ORGANIZATIONAL DEVELOPMENT & LEARNING INSTITUTE (ODLI) PHILOSOPHY AND STRUCTURE ODLI Statement In accordance with Redesigning Simmons and the Nine Strategic Goals, it is the intention of Simmons that all in-house professional development and employee training be a planned activity; that employees receive relevant training to achieve development of skills, knowledge, abilities, and attitudes related to their job duties and individual growth in their own departments and the organization overall; and that training programs will provide for the full development and utilization of the human resource potential of Simmons staff in conformance with Simmons’ institutional values and strategic plan.

ODLI Learning/Training Defined One or more series of formal, planned activities which are instructional in nature and are developed for the purpose of conveying course content leading to the acquisition of demonstrable knowledge, skills, and abilities.

ODLI Shall Provide for the Following 1. To declare Simmons’ intent to improve service through in-house training and outside training 2. To ensure continuous staff development and the responsibility for it in order for Simmons to increase the knowledge, skills, and abilities of employees to meet both present and future needs of their departments and the organization 3. To assist in the implementation of a system-wide program of career development to attract and retain persons of superior ability and potential for development

I. Training Audience A. New Employees: On-Boarding • To orient them to Simmons programs and policies • To teach them the skills, knowledge, abilities, and attitudes necessary to safely and efficiently perform their jobs B. Current Employees • To keep them up-to-date on policy and regulation changes • To expand their knowledge and skills necessary for upward mobility C. Supervisory and Management Employees • To provide them with supervisory, management, and human relations skills so they can effectively work with the employees they supervise to accomplish business goals and objectives • To help them develop the qualities of good leadership that are essential for career and organizational success D. All Employees • To provide them with human relations skills so that they can courteously and effectively serve the public, and work harmoniously and efficiently with other employees • To improve practices in their professional, technical, and administrative duties • To enable them to develop and realize their own potential • To address safety, risk management, and compliance issues

II. ODLI training will be delivered through a combination of the following methods A. In-House Training: Training received from Simmons personnel, including online/e-learning and formal classroom instruction through in-service offerings or academic classes B. Outside Training: Training received from anyone other than Simmons personnel, including professional organizations, private consultants, or other recognized providers C. Developmental Training: Training for employees designed to develop skills or provide knowledge which will enhance an employee’s opportunity for internal promotion D. Proficiency Training: Training for employees designed to correct a deficiency identified in reviewing work plans or performance appraisals, or to provide additional knowledge which would improve performance in the current position

III. Employee Training and Development Simmons organizational learning/training is a joint responsibility of the Human Resources Department and Office of Organizational Culture, Inclusion, and Equity (OCIE), individual departments, other University entities, employees, and managers/supervisors. The Vice President of Organizational Development & Learning maintains overall responsibility for organizational learning and employee training and development to include designing the training and development plans for the organization. Department administrators are responsible for providing the training offered by their respective units. The responsible department offers necessary policy, procedures, systems, and compliance training. Such training and appropriate refreshers are offered as needed and may fulfill regulatory requirements. HR assists with coordinating and facilitating these training sessions.

ODLI FOUNDATIONAL STATEMENT, MISSION, AND HUMAN RESOURCES RESPONSIBILITIES Foundational Statement To provide a consistent message related to the purpose of the training sessions and programs, each opportunity will begin with an Organizational Development Statement that is tied directly to Redesigning Simmons and the Nine Strategic Goals—Management Goals (Signature Strengths, One Simmons, and Operational Excellence) vision, mission, values, goals, everyday leadership, diversity, equity, inclusion, belonging, and culture of collaboration.

Organizational Development & Learning Institute Mission To support Simmons’ focus and strategic goals, ODLI will provide training modules specifically designed to: • Grow employees professionally • Enhance organizational performance beyond expectations • Increase retention • Build a culture of collaboration • Move the organization from awareness to transformation related to diversity, equity, inclusion, and belonging

HR Responsibilities 1. Develop and implement the training policy and programs 2. Conduct training needs assessments 3. Plan, design, and instruct Simmons-wide proficiency and developmental training in Simmons’ procedures and practices 4. Coordinate proficiency and developmental training needs with executive staff, other agencies, or private consultants 5. Screen and evaluate available training programs 6. Coordinate, advise, and assist divisions with their technical training requirements as necessary 7. Coordinate, advise, and assist with intra-divisional and inter-divisional communication 8. Review proficiency and developmental training 9. Maintain individual and Simmons training records

DESTINATION “ONE SIMMONS” ON-BOARDING EXPERIENCE Purpose: To welcome and assist new employees in adjusting to their job and work environment while instilling a positive attitude and increasing motivation. In addition to allowing the opportunity to complete the necessary paperwork for an employee to begin their duties, this on-boarding process will orient new employees to job responsibilities and functions, educating them about the organization’s history and values, impart valuable information about “who’s who” in the organization, and provide them the resources they need to be engaged, productive, and successful.

New Employee Personal Workplace Connector Purpose: Whenever a new person is brought on board, they will be assigned a “Personal Workplace Connector” to help the new employee to become knowledgeable about department practices and organizational culture. The intent is also to provide support, monitor stress, and reinforce safety procedures. The “Personal Workplace Connector” will help welcome employees and reaffirm their decision to join the organization and serve as a reliable, motivated, single point-of-contact to address basic workplace questions. The department supervisor will work with their staff to match the new employee with someone in their department. PERFORMANCE MANAGEMENT SUPERVISORY REQUIRED TRAINING (ODLI 2502) Simmons University recognizes the important role that performance management plays in the accomplishment of the University’s strategic goals and priorities, and in the maintenance of a diverse, inclusive, and equitable workplace. Therefore, Simmons will consistently manage performance in a manner which holds employees and supervisors accountable for supporting its values, successfully fulfilling assigned job responsibilities, and accomplishing individual performance goals. Redesigning Simmons and the Nine Strategic Goals provides a framework for the future success of the University, the comprehensive and constant management of individual performance and development will be a critical foundation for that framework on all levels at Simmons. Specifically, the overall assessment of each employee’s contributions will incorporate these components: • Job Behaviors

• Job Responsibilities Purpose: To provide Simmons supervisors with practical and hands-on training and tools of performance management to help improve and facilitate employee engagement to improve the effectiveness of the organization. Audience: Mandatory for all supervisors, directors, and managers (anyone who manages other employees). Each manager must register for one of the five sessions listed below. MENTORING TRAIN-THE-TRAINER (ODLI 2503) Purpose: To train a cohort of experienced managers or other employees to serve as mentors to support and act as an advisor or guide to a junior employee. Audience: Experienced managers or employees, one-day course (10-12 people) Registration: TBD Date/Location: TBD

MENTORING PROGRAM (ODLI 2504) Registered employees will be matched with a trained Simmons Mentor. Purpose: To assign a more experienced or more knowledgeable employee with a less experienced or knowledgeable employee to provide guidance, support, and feedback. Pairing will be determined based on the number of mentors available and will be on a first-come, first-serve basis. Audience: • All Simmons employees • 30 minutes to 1 hour • Minimum of six individualized sessions • Scheduled by mentor and mentee Registration: TBD Date/Location: TBD

PROFESSIONAL COACHING TRAIN-THE-TRAINER (ODLI 2505) Purpose: To develop individuals to learn to support a client in achieving a specific personal or professional goal by providing training and guidance. Audience: Experienced administrators and staff, two-day training (10-12 people) Registration: TBD Date/Location: TBD

PROFESSIONAL COACHING PROGRAM (ODLI 2506) Registered employees will be matched with a trained Simmons Coach. Purpose: To help employees produce desired results in their careers, personal lives, businesses, or organizations and to help bridge the gap between where the employee is now and where they want to be. Pairing will be determined based on the number of coaches available and will be on a first-come, first-serve basis. Can contract outside executive coaches for senior staff, as requested. Audience: • All Simmons employees • Minimum of six individualized sessions • 30 minutes to 1 hour • Scheduled by coach and employee Registration: TBD Date/Location: TBD

ASPIRING ADMINISTRATORS/ SUPERVISORS PROGRAM (ODLI 2507) Purpose: To equip current supervisors (three years or less at Simmons) and aspiring future Simmons administrators and supervisors to deliver breakthrough results by equipping them with the skills to build a thriving organization. This program will meet once a month (full day or partial day) for five months. The first 15 employees to register will be considered for this program. To determine eligibility, each registered employee’s employment record will be reviewed to determine if they meet the eligibility requirement. If selected, participants will be contacted via email. LEADERSHIP ENHANCEMENT PROGRAM (LEP) (ODLI 2508) Purpose: The LEP is designed to enhance the leadership skills of seasoned Simmons administrators and supervisors (four or more years of experience). The sessions will enable participants to sharpen and/or acquire the knowledge and skills to be successful to lead Simmons into the future. The sessions will provide opportunities for reinforcement of learning and application back in the employee’s department. Note: Participants must attend each session to receive full credit for the training. Structure: Cohort (first 15 registered). Meets 4 times, once a month from September to December. Topics: A. CAREER ADVANCEMENT PROGRAM (ODLI 2509) Purpose: To assist employees with developing skills necessary for career advancement opportunities at Simmons. Future Job Trends and Job vs. Career Mindset E. Identify Strengths and Weaknesses/Assessment F. SIMMONSWORKS (ODLI 2511) Purpose: A pilot program focused on cross-training and professional development opportunities for the Simmons community! Topics: • Human Resources • Technology • Finance • Admissions • Communications • Advancement • Office of Diversity, Equity, and Inclusion • Academic Affairs If selected for a SimmonsWorks opportunity, you will perform special projects and other assigned duties in another department of your choice for three to five hours a week as a part of your regular work week, as arranged by the assigned supervisor, employee participant, and their employee. This 40-hour program is designed not only to expand (cross-training) your experience in other functional areas you might be interested in pursuing, it is also designed to enrich (professional development) your understanding of your current position and help you understand synergies between your role/responsibilities and others within the University. Your performance in a SimmonsWorks opportunity will not be a part of your annual performance evaluation and acceptance into the program is not an offer of employment. SimmonsWorks opportunities are unpaid, scheduled as a part of your regular work week, and arranged to minimize business impact and in consultation with your manager. PROJECT MANAGEMENT FUNDAMENTALS (ODLI 2512) Purpose: In this course, you will master the essentials of project management. You will become an indispensable member of your project team by discovering and mastering the critical concepts you need to plan, implement, control, and close any type of project. You will learn about project politics and ethics, project measurements, and project closure. You will be able to develop all sections of a project plan, you will become comfortable with the project management body of knowledge, and you will develop a variety of powerful techniques to generate project ideas. If you’re new to project management, this course will provide you with the essential information you will need to prepare for and complete your first project. If you’re an experienced project manager, this course will make you more valuable to your employer by increasing your skills and competencies.
