Booking requests are to be sent to our office by email or fax. This should include the following: A. Full and correct names of each passenger traveling (as per their passport) B. The dates of birth of any children traveling. C. Dates of travel and departure city in Australia. D. Flight Itinerary required E. Name of property/properties to be booked check-in and check-out dates. F. Number of rooms including room type i.e 10 x twin rooms with Ensuite Confirmation of the booking will be sent including invoice, copy of flight itinerary (if applicable) and booking agreement form that must be signed and faxed back within 7 days of confirmation, this will include deposit payment of a minimum $500 per person, some properties may require additional deposit to secure the booking. Final details of the group are required at final payment stage, no later than 120 days prior to departure. This should include the following: A. Bedding configurations and rooming list B. Any ‘own arrangements’ travel details and special requests. C. Dates of pre-booked tours if applicable D. Ski Lesson / Rental requirements Transfers and tours are not confirmed until full details have been received and are subject to bus operating times. The group will need to cover any additional payment if details do not match standard schedules. Bookings made less than 2 weeks before departure incur a $100 late booking fee per file. GROUP PRICES AND MINIMUM NUMBERS: A group booking is a booking of 10 or more people traveling together. If a booked group at any time prior to final payment becomes a group of less than 10 people for any reason, the group status and therefore any group discounts will be forfeited. The remaining members of the group will be liable to find a replacement traveler within a 7 day period in order to retain group status, failure to do so will render the remaining group members liable for the additional costs involved in re-booking the non-group package and any cancellation fees that may apply. Fees of any kind, non-refundable deposits or cancellation fees will not be deducted from the total cost of the booking. In addition to this all tour groups will have minimum numbers to be met prior to final payment for the tour to run. Should the tour not meet the minimum number of bookings SkiJapan.com reserves the right to cancel the tour. If the passenger does not wish to use their deposit towards alternative arrangements, this is the only circumstance under which a deposit will be refunded in full. All prices are quoted ‘per person’ unless otherwise stated. A single supplement may be payable by those traveling alone on a group tour. Land component prices are priced in Japanese Yen (JPY) and are converted to Australian Dollars (AUD) using an indicative exchange rate, which is listed on your quote/invoice. This is to serve as an indication of the AUD equivalent only. The final AUD payable to SkiJapan.com is determined using the invoiced JPY amount. This will be converted to AUD using the exchange rate applicable on the day final payment is made. The offer, prices and all terms and conditions on this booking form, in the brochure, on our website and all our promotional material are subject to change or withdrawal without notice prior to final payment being received by SkiJapan.com. The price for each tour or the land content of each booking represents a package price and will not be sold as separate items nor will an itemization of costs be rendered. ‘TAX INVOICES’ for each booking will be offered to conference delegates on a request basis and will itemize neither the costs nor the individual products but will state the number of people in the booking and all payment details. DEPOSIT: A minimum $500 NON-REFUNDABLE deposit per person is required within 7 days of your confirmed reservation together with a signed booking form, to secure your booking, otherwise your reservation may be automatically cancelled. Some properties may require an additional deposit to secure the booking. Payment of a deposit indicates acceptance of these conditions.
