WHAT HAPPENS AT A PRODUCT FITTING?
NDIS PLANS & ASSISTIVE TECH WRITING GOALS FOR DIFFERENT PRODUCTS
We are thrilled to release this guide after years of including product reviews in the Source Kids Magazine for various products, there was so much interest in these, we decided to collate these into one comprehensive AT eGuide covering eight different product categories.
We’ve covered manual and powered wheelchairs, pushchairs and strollers, bikes and trikes, standers, walkers, seating and positioning, bathroom aids and beds and sleep systems.
We hope that this eGuide becomes your AT bible – we’ve tried to ensure there is variation in product types for different levels of needs. We’ve also included a helpful directory on our website outlining the suppliers of each product and their direct resellers within each state to make it easy to go directly to the source.
Please share this guide around, with your OT, Physio, family and friends and we will revise and release this annually to make sure it’s fresh and up-to-date!
Much love,

When your child is fitted for a piece of assistive technology equipment such as a wheelchair, walker or stander, the primary goal is to assess their needs and ensure that the equipment meets their specific requirements. Much of the information gathered will be used for an NDIS funding application but it also serves an important practical use in ensuring that any equipment prescribed will be functionally appropriate for your child.
The fitting process typically involves several steps and may vary depending on the specific device and your child’s needs. Here’s an overview of what may happen during a fitting:
The fitting process begins with a comprehensive evaluation and assessment of your child’s abilities, mobility requirements, physical measurements, and any specific medical or therapeutic needs. A team of professionals, including occupational therapists, physical therapists, and assistive technology specialists, may be involved in this process.
Parents or caregivers, along with the professionals, will discuss the goals and expectations for the assistive technology. This helps in determining the appropriate type of equipment and customisation required to meet your child’s needs
effectively.
Based on the evaluation and goals discussed, the team will recommend the most suitable product. Depending on the product category, they will consider factors such as the child’s mobility level, posture and positioning requirements, terrain and environment of use (does the home have narrow doorways for example), and any additional accessories or adaptations needed.
Precise measurements of your child’s body dimensions will be taken to ensure proper fit and comfort. This includes height, weight, seating posture, leg length, arm length, and more. The equipment will be adjusted and customised accordingly to provide optimal support and functionality.
Once the initial adjustments are made, professionals may closely observe your child’s comfort, posture, alignment, and ability to manoeuvre or operate the device. They may make further modifications based on the child’s feedback and observations during a trial period.
You can work with a provider to obtain training on how to properly operate and maintain the assistive technology. You’ll also learn about safety precautions, adjustments, transfers, and general care of the equipment. Additionally, you may receive guidance on incorporating the equipment into your child’s daily activities and therapeutic routines.
After the fitting, a follow-up session may be scheduled to assess the child’s progress with the equipment. This allows for any necessary fine-tuning or adjustments to be made to ensure ongoing optimal performance and address any emerging needs.
Factors such as a child’s ability to self-propel, level of trunk control, and need for specialised seating or positioning are considered. Based on the evaluation, a team will recommend a suitable wheelchair type, such as manual, powered, or specialised options like tilt-in-space or reclining wheelchairs. The appropriate seating system, cushions, and accessories are also discussed.
A child’s weight-bearing abilities, range of motion, and positioning needs are evaluated. The goal is to promote weight-bearing and maintain proper alignment. The appropriate type of stander (e.g., mobile, static, supine, prone) is chosen based on the child’s needs. Accessories like trunk supports, knee supports, and ankle supports are discussed if required.
A child’s walking ability, balance, and weight-bearing capacity are assessed. The need for upper-body support and stability is also considered. The appropriate type of walker (e.g., posterior, anterior, reciprocal) is selected based on the child’s needs. Features like wheels, brakes, and accessories (e.g., forearm supports) are discussed if required.
Seating and positioning needs during transportation are assessed.
Considerations include postural support, head control, comfort, and ease of transfers. The appropriate stroller type is selected based on the child’s needs, such as lightweight, folding, or specialised positioning strollers. Options like reclining features, adaptive seating, and headrests are discussed.
Overall, the fitting process for any piece of assistive technology equipment aims to ensure that the product meets the child’s individual needs, promotes independence, is safe to use, and contributes positively to their overall well-being. It involves a collaborative approach between the child, parents or caregivers, and a team of professionals with expertise in paediatric rehabilitation and assistive technology.
Assistive Technology (AT) includes equipment or devices that can help your child with disability perform tasks more easily and safely. Learn how you and your child can access the benefits of AT support.
The aim of any AT is to help your child achieve the goals outlined in their NDIS Plan. So your first step is to ensure the addition of AT aligns with these outcomes.
If your child’s goals need to be changed, you can use wording such as:
• Maintain or improve independence
• Increase ability to access the community
• Improve quality of life
To have AT included in your child’s Plan you may also want to get a letter of support from an allied health practitioner. If an assessment is required, it should outline how many hours they would need to select, purchase and provide training for the appropriate piece of AT.
There are different levels of AT funding and each has its own evidence and usage requirements.
How you approach purchasing AT depends on the category your equipment or device.
There are three categories of AT: low, mid and high cost. Each one has its own rules and requirements:
Low-cost AT: under $1,500
• Funding is from the Core budget in your Plan
• No quote is needed
• No written evidence is needed to get funding
• Low-risk item: it’s best to get advice from an AT advisor before purchasing
• High-risk item: you must get written advice from an AT advisor
• Funding is from the Capital budget in your Plan
• No quote is needed
• Written advice from an AT advisor is needed to get funding and before buying the item
• Funding is from the Capital budget in your Plan
• A quote is needed
• You need an assessment from an AT assessor to get funding in your Plan
• You need an assessment from an AT assessor before buying the item
Before you purchase any AT, be sure to get advice from professionals who are working with your child. These are called AT advisors and can include:
• Allied health practitioners
• Orientation and mobility specialists for the vision sector
• Continence nurses
• Rehabilitation engineer
For high-cost AT you need to consult with a Specialised Assistive Technology Assessor. They will assess your situation and identify the equipment or device most appropriate for your child. They can also write assessments, which you’ll need when purchasing high-cost AT.
Speak with your child’s current therapy team to find an AT Assessor. Make sure you ask how much assessments will cost.
You can use the remaining funds to buy low to mid-cost AT, provided you have a supporting letter from your AT advisor.
If you have a Plan Manager, it’s a good idea to also inform them of your intention before you purchase.
When purchasing high-cost AT, a service agreement from your AT advisor is essential.
You will need to include a few hours in your Capacity Building budget to sign an initial shorter agreement.
This way you can ensure the AT advisor has a good understanding of your child’s needs, as well as any NDIS requirements.
After signing the shorter agreement, you can sign a further agreement to complete the process.
This will need to contain several hours allocated for:
• Trialling various brands of the equipment or device
• Liaising with suppliers for best price and ongoing manufacturer support
• Delivery and assembly needs
• Training on the equipment or device (across relevant settings)
• Providing repairs, maintenance and rentals
If your application for AT is denied, you have options to appeal the decision.
If you have a Support Coordinator (SC) be sure to keep them involved through the process. Especially if you are requesting high-cost equipment or devices. Your SC should:
• Keep you informed on the status of your application
• Get the Local Area Coordinator to provide written reasons for the application denial
• Support you in requesting a review

Purchasing assistive technology (AT) for your child or young adult can be a little daunting, especially when it’s a significant investment. You want to be confident the item is right for their needs and, of course, good value for money.
QWhat high cost assistive technology may be suitable for purchase under an NDIS Plan?
High cost assistive technology under the NDIS is any item of AT that costs more than $15,000. By its very nature, high cost AT tends to be complex. It’s sometimes custom-made or tailored for the individual.
High cost assistive technology includes custom wheelchairs, prosthetics, ventilators, some specialised patient lifts or hoist systems and higher cost augmentative and alternative communication devices (AAC).
QHow can I get high cost
AT included in my child’s NDIS Plan?
A great place to start is to speak with an occupational therapist (OT) or physio about the kinds of AT that might help your child meet their goals. If high cost AT is required for your child or teen to meet their goals, a qualified assessor (such as an OT or physiotherapist) will need to complete an AT assessment.
The assessment looks at how each feature of the AT helps with building skills and independence, and how it relates to other types of support. The NDIS has templates to guide assessors through this process.
Experienced Leap in! plan manager Tabitha is on hand to help. Tabitha answers some frequently asked questions about high cost AT so you know what to expect if you’re exploring options for someone in your family or care.
The AT assessment is submitted to the NDIS with a quote from one or more providers for the item. If approved by the NDIS, the funds are added to the Capital supports budget in the person’s NDIS Plan. The NDIS may also fund other options, such as renting the item.
Does a high cost AT quote need to include the cost of other items, like delivery?
Yes. The quote should cover everything associated with the purchase, including delivery, set up costs, and any customisation required. It should also include the brand name and model number.
Before buying, can I use my child’s NDIS funding to trial assistive technology?
With so many different brands and options for AT, you’ll sometimes want to test an item before buying or renting. Some providers will let you try a product at no cost.
If not, you can use your child’s NDIS funds to pay for a trial. The NDIS may also cover travel costs for a provider to adjust the item. You can find a trial and rental funding guide on the NDIS website.
Details about the outcome of any trials need to be included in the AT assessment.
My daughter has a high cost custom wheelchair approved and included in her NDIS Plan. Do I have to cover the cost upfront?
If your daughter has a plan manager like Leap in! the provider can generally send the invoice to your plan manager to process the payment from your daughter’s plan so you’re not out of pocket.
If your daughter’s plan is Agency managed, the provider needs to be NDIS registered. The usual process applies where the provider submits the claim for payment through the NDIS portal.
If you self manage, there are two options:
1. Make a payment request through the NDIS. Money from your daughter’s NDIS Plan budget will be paid into your account. You can then pay the provider.
2. You can pay for the wheelchair upfront, then submit a claim to the NDIS for reimbursement.
the new $15,000 limit for AT works?
Recent changes to the NDIS make it easier to purchase assistive technology with your NDIS funds, providing you meet the requirements.
If you have relevant evidence and the funding in your plan budget, the NDIS will automatically approve funding for mid cost AT valued between $1,000 and $15,000. No quote is required.
However, you need to obtain a letter or report from an AT advisor outlining the item, how it will assist and why it is the best value for money.
Does “higher risk” AT refer to items that cost more?
Good question! The NDIS has two “product” risk categories for assistive technology: low risk and higher risk. While higher risk technology is often more expensive, this is not always the case.
Higher risk items are generally more complex and often require personalised setup. For this reason, advice from an AT advisor or assessor is necessary before purchase, regardless of the cost. The NDIS will not fund some high risk items such as trampolines or swings.
My daughter needs several new low-cost AT items to help her achieve her goal of being more independent at home. How do I know how much to ask for?
The NDIS has a useful guide for low cost AT support funding (you can find it here as a download). For example, allow around $50 each for everyday items such as adapted grip cutlery and non-slip bathmats or $150 for elbow crutches.
If the items needed are not listed, make a note of how they will help your daughter achieve her goals, a brief description and an approximate cost to take to your next plan meeting.
Did you know you can ask for AT at any time?
That’s right! You don’t need to wait for a plan reassessment. As your child or teen’s goals and needs are constantly changing, there is in-built flexibility in the NDIS for AT requests.
There are several ways to make an AT request:
Ask an allied health professional such as an occupational therapist or physiotherapist to assist with completing an AT assessment form to be sent to the NDIS (required for high cost AT).
Request funding by submitting a quote for the AT item yourself, along with a letter of support from the allied health professional or qualified assessor.
At a plan reassessment.
It’s worth noting that while an AT request can be submitted at any time during your child’s plan, your request may initiate a plan reassessment by the NDIS.
What should I do with high cost AT funded by the NDIS that is no longer needed?
If you have purchased the equipment, you can take it to a service in the community that accepts and refurbishes used equipment or donate it to charity. If it is under a lease agreement, you need to return it to the provider. Depending on the item, you may also be able to sell it privately.
