GOVERNOR’S UPDATE

Good evening! Hopefully you have enjoyed the first weekend of your holiday break! If you're like me, you’ve already enjoying sleeping in. With Winter Board coming up, I’ve already started my Secret Santa shopping and begun counting the days down to when we will reunite in person again!

!

TRICK-OR-TREAT FOR UNICEF BOXES Trick or Treat for UNICEF money is due by December 31st to International. Please let your clubs know!

WINTER BOARD Our Winter Board meeting is the weekend of January 8-10 and is a mandatory meeting. Please be aware that all DCON ad sales money is due by that day and all forum presenters must be ready to run through their presentation at the board meeting. ALL AD SALES ARE DUE BY WINTER BOARD. If you are having issues with ads, please contact me or Megan.

CANDIDACY FORMS If you weren't already aware, candidacy forms for 2015-2016 are available on the website. Please make sure your divisions are aware of this information. All information about how to complete the forms and send them in are on the forms. http://tokeyclub.com/candidacy-forms-now-available/

DECEMBER REPORTS AND NEWSLETTERS Please be aware that December Reports, Newsletters, and Articles are due between January 1st and January 5th. If you have a conflict between those dates, please plan accordingly to get your reports and newsletter done.

Please make sure that you have all of your sign-in sheets and all of your documents turned in. They will be used for your third quarter evaluation and will also help the staff decide end of the year LTG recognition. I can’t wait to see you guys at WinBo!

~ Obtain all new officer contact information and contact them at least once every two weeks. - Check up on how they’re doing- don’t be afraid to actually call

them! A personal visit in your spiffy red polo and shiny name badge really does make a statement. Don’t be afraid to ask from help from the District Staff or your Regional Advisor!

~ Plan a training conference or a large division/region

social if you haven’t already. - Use the resources provided by the staff to keep your clubs updated. Make sure to invite Kiwanians.

~ Work diligently on the committee assigned to you throughout the year. ! - Chairpersons keep in constant contact with your staff member and regionals.

- Make sue to be working between committee meetings so that you are getting things done efficiently.

~ Plan visits with each of your clubs. - Bring your club visit sheet. - Wear your spiffy red polo and khakis (or nice jeans). Enhance K-Family Relations - Kiwanis, Circle-K, Builder’s Clubs, K-Kids, Aktion Club! - Attend as many Kiwanis Club meets as possible! - Promote the Governor’s Project and send out the Governor’s Project survey to clubs! ~ Reply to all Staff emails to acknowledge you received

them. ~ Turn in your newsletter and monthly report on time. - This way District Staff is able to review your progress throughout the year AND you can keep your divisions updated with newsletters.

~ Encourage membership growth to reach our goal of

18,500 members so that we can contribute more service hours to the K-Family. ~ Make it your goal to not only maintain but improve your division! ~ Begin planning your DEC and after your LT. G elect has been elected begin working with them.


SECRETARY UPDATE FROM LILY NGUYEN Hey T-O!

I hope you all had a wonderful Thanksgiving break with your friends and family. Thankfully, the season of giving is finally upon us, and what better time to serve than during winter break! Despite the holiday, remember that monthly reports are still due on the 5th. Tell your club secretaries to keep that in mind when collecting signatures as our first day back is also on the 5th. Make sure to share the Secretary Resources on the District website to any club secretary in need, or direct them to me. I'd be more than happy to set up a personal training session with them via phone call or Skype. I want nothing more than to see you all succeed!

If you haven't seen it already, the Top 25 Clubs of the 2nd quarter has been posted on the District website! Be sure to congratulate your clubs who made it, and tell them to include this post in their monthly report under Club Recognition/ Awards for extra points. For clubs not on the list, keep in mind that there are still two more quarters until DCON. The scores are extremely close especially at the bottom of the list, so it's anybody's game! However, continue to encourage clubs to report regardless of points. After all, serving your community is a reward in itself. Also don't forget that all Trick-or-Treat for UNICEF money is due at the end of this month. If your clubs haven't already, they should be turning in their funds to Kiwanis International for the Eliminate Project. Remind your club secretaries to include their donation in their Activity Sheet in their monthly report to ensure they get the credit they deserve. Like always, proof is required for money donated over $500. Although the regular dues deadline has passed, clubs can still submit dues by the late deadline in February. Otherwise, clubs will be considered inactive. If anyone has any questions, feel free to ask Emily, our wonderful District Treasurer, for help. Remind your clubs that proof of payment of dues must be included in their monthly report in order to receive credit. This proof may be a photocopy of the dues check or a copy of the credit transaction to Kiwanis International. If you're ever unsure if your proof is sufficient, contact me and I'll let you know.

TREASURER’S UPDATE FROM EMILY ZHAO Hey Fam!

Hi TO Board! It’s super chilly now, so be sure to stay warm and happy!

Dues: Dues are now LATE. Please urge your clubs to get their dues in ASAP. It is imperative that cubs submit their dues in order to receive their Key Club benefits and NOT be suspended! If your club is having trouble with the dues process, please don’t hesitate to contact me! I know there has been some confusion, so I will try my best to help you. MUC: Concerning the MUC, if you have direct MUC website related issues, please contact memberservices@kiwanis.org or 1-800-KIWANIS x411. Since KCI runs the MUC website, we do not have direct control over it at the district level! Questions: As always, please let me know if you ever have any question, comments, or concerns! I would love to help you out in any way that I can. Best of luck in school, the winter break is super near!

Congratulations! If you are reading this, that means you have survived finals week! Although you may have not made the grade you were striving for, you still survived! This Christmas, I was hoping to release a project booklet to all the clubs in T-O, and I still plan on doing so! I just need your help. I did not receive as many submissions as I was hoping for. If you guys could all submit 3 - 5 submissions we should be good! If you have the time, please submit some ideas to possibly be featured in a T-O publication! Refer to my December Editor’s update to see how to submit a project / fundraiser. I hope you guys are super excited to celebrate the holidays! ! I hope your winter break is treating you well and you all are relaxing with your families! Please remember to sell ALL AD’s by January 8th, all $500 or more is due. This is what funds DCON and we need all the ad’s we can get so we can make this the best DCON ever. REMEMBER: LESS MONEY = LESS AWESOME DCON, MORE MONEY = MORE AWESOME DCON! This money is for your clubs, you, and the District Convention as a whole! We need to show the T-O District what we can do and that we are able to put on a great District Convention for our guests. If you have any trouble selling ad’s and need help, please let me know!
