Royal Alberta Museum | Opening The new Royal Alberta Museum is opening to the public on October 3, 2018! The new facility is right in the heart of downtown Edmonton and has plenty of meeting space available. The Amiskwaciy Theatre has 238 permanent seats and is ideal for events where Audio/Visual plays a big role (i.e., presentations, film screenings, performances). The Theatre Lobby is also available to rent, either with the theatre or on its own. There are three Seminar Rooms, each of which comes equipped with a conference phone and Audio Visual (HDMI/USB connections). For events that do not require meeting space, the Café, Private Dining Room and Fraser Courtyard are all available to book outside of the museum’s regular hours. Edmonton & Calgary Event Awards Nominations

Malcolm Hotel & Conference Centre | Opening

The Edmonton & Calgary Event Awards will be opening nominations for the 2019 awards in mid-October. Make sure to keep an eye out on EventAwards.ca, and nominate someone in the event industry who stands out to you as above excellence!

The Malcolm Hotel and Conference Centre is set to open its doors on November 3, 2018! The hotel is a Clique Hotel and Resort property and is the first traditional hotel to be built in Canmore in more than two decades—and the first four-star luxury accommodation. The name is inspired by King Malcolm III and aims to pay tribute to Canmore’s Scottish history, while maintaining the mountain atmosphere that Canmore is known for. There is an 8,800 square foot event space, 124 guest rooms and suites, and a restaurant/lounge on the property.

Calgary Public Library

New Central Library | Opening

On November 1, 2018, Calgary Public Library will open its New Central Library. This facility will have more than 30 bookable meeting rooms, ranging in size from small (accommodating groups of 6 people) to large (accommodating groups of 20+ people). All rooms will be equipped with whiteboards and A/V connections and displays. Also available for rent is the Idea Lab, which is set up specifically for brainstorming or discussion sessions and includes flip-top tables, study chairs and plenty of whiteboards. The Video Conference Room is another Special Space, which accommodates up to nine people and has a table, chairs and conferencing technology. If you’re looking for an Event Space, the Library also has four larger spaces. The BMO Financial Group Community room holds 80, the Performance Hall holds 400, and the Shaikh Family Welcome Gallery is 5,000 square feet with endless options!

JW Marriott Edmonton ICE District The JW Marriott Edmonton ICE District hotel is opening its doors in March 2019 and is one of three JW Marriott branded hotels in Canada. There will be 10 meeting spaces in total, including what will be the largest ballroom in downtown Edmonton (10,500 square feet). All together, the hotel will have over 22,000 square feet of conference and meeting space. For the hockey fans, the added bonus is that all the rooms are named after Oilers alumni, including Wayne Gretzky, Mark Messier, Glen Sather, Paul Coffey, Glenn Anderson, Kevin Lowe, Grant Fuhr, Al Hamilton, Jari Kurri and Rod Phillips!

The entrepreneur and “senior millennial” reflects on building OneWest

F

or 10 days out of the year, Calgary transforms into an Old West extravaganza. Not only do more than a million people flood through the gates at the Stampede Grounds for a rodeo, exhibition and festival, but across the city, there are hundreds of free pancake breakfasts, windows painted with Western insignia and Calgarians from corporate environments decked out in cowboy boots and

For 10 days you feel an immense sense of pride for the city—it’s not just about the midway and the rodeo, it’s about a city showing off what we do best.” Alberta-born and raised, Westling has a special connection with the Calgary Stampede, as it was the site of his first

denim. You’ll find Dustin Westling, managing partner of OneWest Event Design and Logistics, right in the heart of it. OneWest is an event-management and design company with offices in Calgary and Burnaby. They design, plan and execute hundreds of events a year for some of the most recognizable brands in Western Canada, including WestJet, Stantec and the Calgary Stampede. 14

hospitality job and is now one of his biggest clients. He worked as a server for the venue’s year-round events, which include everything from graduation celebrations to Christmas parties. He moved on to work in hotels, convention centres and other public attractions, never straying from the hospitality industry: “Every day is a new adventure—whether it’s the guests you’re taking care of or employees—there’s always new and interesting people around you.” His background was the right fit for running OneWest. “One of the things you really learn in hospitality is service,” Westling says. “That’s something I know we’ve been really successful in—always providing a hospitality-level service with our clients and our guests.” He was always drawn to the hustle of the industry, which fits into the 34-year-old’s view of himself as a “senior millennial.” “In a lot of ways I think like a millennial,” he says. “I love the fast pace of business. I love things to be instant. I can identify with the traditional millennial, but I’m also very focused and strategic.” Pair that with a lifelong fascination with business, a strength for building relationships and a thirst for growth, and Westling has long possessed the characteristics required to be an entrepreneur—whether he was comfortable with that label or not. Nine years ago, through his connections in hospitality, Westling had the opportunity to buy a small company that would become OneWest. “For the first few years I refused to call myself an entrepreneur,” he explains. “I didn’t set out to be an entrepreneur. I bought the business because I thought it’d be a great a side-hustle. It took me

years to finally accept that feeling you get about your business, and that die-hard loyalty to clients and employees, is really what an entrepreneur is.” In the beginning, Westling felt out of place in meetings, even as a leader of the company: “I felt I was working around people who were smarter or more experienced than me. I was lucky to work with really, really successful companies, and I would sit there and go, ‘I hope I can be helpful!’ And over time I realized I can do this. I don’t have to be afraid to speak up—I’ve earned a seat at the table. That changed my business. Fear as a business owner and entrepreneur will get you every time.” When asked what he considers the definitive key to his success, Westling doesn’t hesitate: “My team. There’s no

question.” He found it difficult to stay motivated in the early days of OneWest when it was just himself and one part-time support person. “What I found as my business got bigger and I had the opportunity to lead a team, I really started to enjoy this,” Westling says. “So much of my efforts now go into creating opportunities for my team to be successful. At the end of the day that really drives me. I’m so lucky to have such smart, hard-working, loyal, fierce, dedicated people that work for me. Watching them grow and take the opportunities provided, there’s nothing better in the world. Nothing.” Renée Pittet, director of business development for OneWest, has worked with Westling for almost six years. They

often collaborate on landing larger clients and creative brainstorming. She describes him as quick to lend a hand—the first person to jump on-site when needed and the last to leave. “His energy and passion for what we do not only inspires me and the team, but the entire event industry,” Pittet says. “He is truly interested in our values and goals both within OneWest and our personal lives—encouraging balance between the two and allowing for professional development regularly through conferences, speaking opportunities and sitting on boards. Leadership starts from

the top and he himself is a risk taker, pushing us to dig deep into our own creativity.” Westling oversees the project management team and still hires all of their employees. To find the best person for the job, he does interviews a little differently. He takes candidates through Calgary’s Plus 15 pedestrian skywalk system for an hour to make sure they can think on their feet while also keeping up with Westling’s brisk pace. “I’m 6'3"—if you can keep up with me and I haven’t killed you, you have the stamina required to do this,” he says.

For those who want to join the industry, he adds it’s important to be persistent: “Nothing is handed to you in this industry. Nothing. You will work for every single thing you want. If you’re willing to work for it and put in the time, anyone can be successful.” He recommends investing your time in a non-profit organization like the International Live Events Association (ILEA), which he says gives event professionals the opportunity to collaborate and advocate for their industry. This year Westling, along with fellow ILEA member Lisa Marks, won the J. Robert Graves Award for individuals who have made a significant contribution to ILEA, and the ILEA Canada team earned international recognition as Affiliate of the Year. He also recommends getting an education in public relations and marketing—key skills to possess in the industry, and building relationships with vendors, who are critical to a company’s success. “Make sure you’re open to every opportunity to make a name for yourself—and that name has to be something that’s genuine and honest and passionate,” he says. “If you can figure out how to do that, you’ll get a seat at the table and this industry will be really good to you.” n

10 Simple Event Design Updates

Take your event to the next level with these small changes By Tahira Endean

If you only do one thing, start with this. Meet the needs of your gluten-free participants to ensure everyone is able to maximize their experience. Food is fuel, full stop. When you combine fresh and delicious greens and fruit, light dairy and meat (or vegetable) proteins for your meals and breaks, your guests will be nourished and better able to concentrate and connect, to ideas and to each other.

2/ S imply Rethink Design Ask yourself what else you could use your name badges for? Consider the basics, from the font size of the allimportant first name to what else people 20

need to know. Does the role or organization really matter in the context of your event? If so, include that. Will understanding a passion of your participants incite more conversations? If so, include that (instead).

When you need to encourage conversation, keep your tables between 4 and 6 guests. They can easily see and hear each person, and this is the right amount for everyone to easily contribute and weave their ideas into the discussion.

Beyond the ubiquitous mobile app, consider integrating easy Q & A apps, allowing alternate methods of engagement for today’s attendee who seeks deeper engagement, but without having to step up to a microphone. There are many ways to serve the people and purpose of an event, and often it is not in a “face-the-front and pay attention to me” format. On-Site Event Registration Part 2 of 2: If You Build It & They Come, What Then? By Eryne Sarabin and Alicia Powers

To Name Badge or Not To Name Badge We’ve all seen them, we’ve all worn them. Though some are more memorable than others, most serve a limited usefulness.

But what if you customized them to include additional information about the event and incorporate your brand? With the paperless trend gaining momentum, think about including a mini agenda at the back of the badge, space permitting. By investing a few extra dollars to have your name badge template designed by a professional so that the aesthetic mimics your event branding, you could potentially open the door to another sponsorship or gamification opportunity. In addition, these templates could be used year after year, with slight modifications, to create consistency amongst events and activities. For those events that do not require name badges but do require check-in of guests, make sure you use an exception registration system that has the capacity to effectively capture the information you need from your attendees and that can be easily exported into an easy-to-read

report that can be shared with your client, staff and event volunteers. Format your registration sheets in a few different ways, as your registration team will all have different ways in which they interpret or read information. You want to make it easy for them. Be sure to have text at a legible size so that finding names is easy to do. Should your event allow walk-ups or last-minute check-ins, ensure that the proper tracking system (digital or paper) is set up to account for these guests’ details. If you have name badges that you’re giving out, you’ll also need to account for an on-site printer, backup printer ink and paper.

Paper or Electronic Check-In For large events, splitting your registration lines into alphabetical name badge sections is a total time saver. Three to six

n Part One of our registration feature, we compiled a roundup of a variety of event registration platforms, software and apps that can be used for events small to large. In Part Two of our registration feature, we want to dive into on-site event registration. Now that we’ve successfully mastered the art of getting attendees to commit and confirm their attendance to your event, we can focus on how to make their process of arriving at and entering your event painless, seamless and efficient? Let’s look at some best practices around on-site event registration—the process, the experience, the software, the signage and the people.


Setting the Stage

lines usually does the trick, depending on your attendance numbers and staffing support. Be sure to have plenty of visible signage leading up to the registration tables and at the tables themselves. To ensure lines move efficiently, place stanchions out to define each line, and dedicate a separate registration table for trouble shooting/walk ups/etc. Should you have VIPs, dignitaries, media, high-profile guests, keynote speakers, etc. at your event, set up a separate registration line with a dedicated staff member to manage those guests once they arrive on-site. Once checked in, they should then be handed over to a designated liaison. From here, their respective liaison can lead them to the green room, to the stage for sound check, to the media room, etc., and stay with them throughout the day if necessary. Depending on the guest’s role within the event, their assigned liaison may be required to be dedicated to them for the duration of the event to keep them on time, to make sure they know how to get where they need to be and to introduce them to any “key people,” etc.

Staffing It’s always helpful to have some identifiable staff or volunteer members posted at each of the accessible entrances into the event venue. These hosts can easily spot and guide unfamiliar attendees to the registration area. One host per 100 guests is a good rule of thumb. Each staff member or volunteer should be well trained and versed on the venue, registration process, timings and event procedures. Staff should also be strategically placed and assigned to a specific area. Ideally, these hosts might be given a radio or have a means of quickly liaising

with their assigned lead event member should they be presented with questions that they do not know how to answer.

First Impressions Signage, people, and impact. A trifecta that will ensure to create a fantastic first impression for your guests. The last thing you want is for attendees to be confused, lost, frustrated or underwhelmed. Ensure that from the moment guests walk into the venue that wayfinding sig-

Communication Is Key A solid communication strategy among your staff is vital to your event’s success. Communication between staff members and event volunteers is crucial on-site. Make sure the roles and responsibilities of each staff member are clear and that your staff members are accessible by phone or walkie-talkie. This way, staff can join forces if there is a situation that requires immediate attention. Be sure to identify the leads for each area so that event staff and volunteers know who to go to themselves or who to send guests to, should the need arise. Ensure that a preevent registration team meeting is done in advance of your event, and a quick huddle is done on-site at the event prior to registration opening. This will ensure everyone is in the know and that any questions or oversights can be flagged and addressed then and there, rather than on-site during the event kickoff. There are a lot of variables that can affect how to best set up your on-site registration, but it all leads back to having a streamlined, thoughtful and well communicated process in place. Be sure to have a solid plan in place and one that everyone is aware of in advance of your event so that once onsite your team feels empowered and confident with what is expected and required of them. These elements will ensure your guests have a wonderful, stress-free, and positive first impression of your event. ■

GoToMeeting — Up to 15 or 25 people can participate (based on licensing model), it’s very intuitive and requires software install.

WebEx Meeting Center — Up to 2,000 people can participate, it has many tools and products, and flexible screen layouts for all platforms. Zoom Video Communications — Up to 1,000 people can participate, it has a free offering and is very intuitive. You have said before that your favourite platform is Zoom. What is it about Zoom that makes it stand out?

You can easily host webinars at little cost…

Zoom has a lot of great benefits that make it stand out. It is easy to use, and the free version is still a great version to use. If you need to upgrade, the pricing is very fair. It has great video and audio quality, and screen sharing. For everyone to join from their phone, tablet or desktop, it is just a quick click. There is no infrastructure required — everything runs on the Cloud, and you can easily record the entire session. You can also use it as either a video platform or an audio-only conference call. What resources (i.e., laptop, Wi-Fi) does each user need available to them to use Zoom? All you need is a reliable Internet connection, a laptop/computer, a speaker, webcam and a microphone.

The greatest advantage is they can save time and money for online business meetings, conference calls and hosting events. You can easily host webinars at little cost and get access to amazing speakers/presenters at minimal-to-no cost (no need to pay for flight, accommodations, etc.). There is also the ability to increase the number of participants in your events and meetings with people connecting remotely. n

Production & Lighting Design Q&A with Pierre Marleau of Orange Frog Production Inc. Tell us a little bit about yourself and your background.

of lighting the same way you would think of a movie director…. lighting tells you where to look, it can grab your attention at a specific moment. Lighting has the power to quiet a room (by doing a blackout) or pump up the energy of the room to 10 by following the beat of the music and making you feel like you are a part of the action.

I am a production and lighting designer. I graduated from National Theatre School in 1990 and started in the industry in Montreal in 1988. I worked on Broadway for a large part of the 1990s and also toured with multiple Broadway shows throughout Canada and Asia. Between Broadway shows, I worked with Cirque du Soleil. In 1999 I was tired of always being on the road and decided to move to Alberta and Started Orange Frog Production Inc. We will be celebrating our 20th anniversary next year. I also worked as the lighting and production designer for the Calgary Stampede Grandstand Show for 19 years. What are some of the trends you are seeing for meetings/galas/conferences as we head into 2019? One of the trends I am seeing is a shift from the typical staging of two screens and a podium for gala night to a more creative environment with integrated video screen, scenery and MVA/Brit Awards/Juno-type lighting installation. Pixel mapping, which is different than video mapping, is also becoming a trend. Pixel mapping is where you can run video content throughout video screen, lighting fixture, led tube, led tape and led in scenic components. Gobos are also a big trend in my circle. Texturing a room with lighting fixture can totally transform a concrete bunker into a beautiful room. How can small events utilize A/V to make their event stand out? For me I am a little biased to lighting. If you have only a few dollars to spend on an event, spend it on lights. A few gobo textures projected on the wall, some up-lights, a buffet well lit or a dance floor that has lights moving to the music are some of the best ROI an event can get. So many planners spend lots of money on photographers and videographers but not on lighting. The problem is that these artists need lighting to capture the scene. The better the lighting setup will be, the better the photos and video are. Finally, lighting gives the room a focus. Think 38

Smaller budgets mean decisions need to be made regarding what the “must-haves” are. What would you consider a “must-have” for smaller events? As I mentioned before, lighting is a great ROI for smaller budgets. A few lights positioned in the right area can really transform a room. Wrapping the room

Obviously, if you are doing a PowerPoint presentation, your best ROI is a video screen and a sound system. Unfortunately, most of the time lighting is an afterthought, but lately we are noticing more and more successful event professional making a shift and making lighting a priority. Many planners have shared with us that beautiful lighting design has been their secret weapon for years. Finally, make sure that your lighting designer has chops. If you are just dropping some light in a room without purpose, it will not benefit you. What should event professionals be looking for when considering an A/V company? Are there any “red flags?” Event professionals have to be aware that there are two types of AV companies out there. There are generalists that can do everything for you, and there are specialists that are on top of

the latest trends in their specific field. There is an advantage to both scenarios. The turnkey AV company (generalist) can provide you with everything you need from screen to audio, décor and lighting. Some will even provide you with entertainment. This simplifies the workload of the event professional, who most of the time is overloaded with projects. On the other hand, there is the specialist, the company that specialize in only a few subjects to the best of their ability. These companies are lighting, audio, décor, scenic, DJ and video companies. These companies tend to be ultra-specialized, and they know everything there is to know about their specific fields. When using these specialists, it will require more time from a planning perspective, but it brings a lot more creative options to the table. You are getting multiple voices at the table, and if you like being a part of a tribe, collaborating and being creative, it is well worth the extra effort, and you will see the difference on your events every time. n
