SCANNING DEADLINES ●
Reportability of EBVs appearing on the website under the animal’s ancestry details, relies upon their accuracy which is based upon the quantity and quality of data recorded on the subject animal itself and all its relatives. The more information, the higher the accuracy. Whilst there are exceptions, the general level of accuracy allowing reportability is 20%.
●
The EBVs reported on the Society’s website are updated monthly on around the 28th of each month. All data submitted to the Office is processed immediately but will make no difference to the reported EBVs until the update has been carried out. Normally results of the new EBVs will appear on the Society’s website around the 1st of each month.
●
If bulls are being scanned with the intention of the results being available for a particular Sale, the monthly deadline is important: For example in the case of the Society’s Autumn Show & Sale held in October if the latest results are to appear in the Sale Catalogue, the data must be submitted by the 25th August. If submitted after, but before the 25th September, the updated results will only appear on the Breedplan Sale Cards, the results in the Catalogue being based upon the previous update. -----------------------------------------
●
For an extended explanation on all matters relating to Breedplan Recording go online via the Society’s website. Select the option “Breedplan”, then from the drop down select “Breedplan Performance Recording”. You will then arrive at “Getting Started with Breedplan”. Whilst not all the information is relevant to the UK, the basics certainly are and are clearly set out.
●
Should you prefer to receive information in “hard copy” format various booklets and information sheets can be obtained, upon request, from the Office.
COSTS OF REGISTRATIONS SUBMITTED ON PAPER Please note that as from the 1st JULY, 2016 the cost of registering calves on paper will increase by 10%. For details of the charges see “Society Fees from 1st July, 2016” elsewhere in this Newsletter. Instructions relating to registering calves “Online” can also be found elsewhere within this Newsletter, together with instructions for submitting payments “Online” via BACS.
SOCIETY POLICY RELATING TO DNA AND IN PARTICULAR GENETIC DEFECT SCREENING Your Council are currently reviewing the above Policy and a final decision will be reached at their next meeting in September. The outcome of this review will result in changes to the Policy currently in being in respect of Society Sales which will not be introduced until 2017. Therefore the Autumn Sales held this year (2016) will operate under the same Policy as was adopted at the last Spring and Autumn Sales. We would also wish to take the opportunity of repeating again the following:-
DNA TESTING TIMETABLE In an endeavour to provide some guide as to the time between submission of samples for DNA testing and receiving results, please note the following:*
Samples lodged with the Society by the 1st of a month should generate a result by the end of the month.
*
Samples lodged with the Society after the 1st of a month should generate a result by the end of the following month.
(Please note that both of the above statements depend upon the hair samples submitted being of the required quality to achieve a result). We would, however, advise all Members to always allow at least 6 weeks between submission of samples and the date a result is required.

SELLING CHAMPIONS AT FUTURE HEREFORD MARKET SALES The Council have agreed that in future the Champion and Reserve Champion Bulls will be sold at the end of the second Class of Bulls.
NEW T.B. MOVEMENT RESTRICTIONS Members are no doubt aware that Defra have introduced new rules regarding the movement of cattle from low to high risk areas and back again. Such cattle when returning back to the holding in the low risk area have to be subjected to a post T.B. test before being allowed to move again. For full details on these new rules please refer to the website – www.tbhub.co.uk There are some exceptions where certain Shows located within the high risk area have reached an agreement with Defra whereby they will provide an isolated housing facility for the low risk area cattle which can only remain on the respective Showground for 48 hours. Another exception will be Shows held in the low risk area where high risk cattle are on the Show site for less than 24 hours unhoused. This includes marquees with no side walls. At the last Council Meeting it was suggested that Members in the low risk area be alerted to the fact that in the event of showing any cattle at Shows in the high risk area late in the season that have been earmarked for entry at one of the Autumn Sales, and the Shows in question are not exempted, to ensure that there is sufficient time between returning home from the Show and the date of the Sale, for a post T.B. test to be carried out allowing the animal to be moved to the Sale in question. Due to the complexity of the rules that have been introduced by Defra, and subsequent amendments that have been made, it is important that Members check with their appropriate Defra or equivalent office if they are in any doubt about the new rules. As far as we (the Administration) are concerned there are no changes to the Conditions relating to the movement of cattle from the high risk area to within the high risk area or to the low risk area. It is still necessary for such cattle to be pre-movement tested and those cattle are allowed to move for up to 60 days from the date of their test.

SUMMER SHOWS Exhibitors are reminded that, when showing cattle, they should refrain from wearing any attire on which there is any reference to the name of the exhibitor or their Herd. This is a Condition insisted upon by The Hereford Cattle Society and many, if not all, Show organisations.
AN ALTERNATIVE SYSTEM FOR PAYING YOUR ACCOUNTS - BACS (BANK AUTOMATED CLEARING SYSTEM) A number of Members using the Society’s On-line Registration System have now chosen to pay their accounts by “BACS”. “BACS” is ideal for making regular automated payments, helping reduce costs of administration and improve financial control. As the process is electronic, it removes the need to write cheques which can be costly and is often subject to human error. Payments can be made much later in a business day – up to 9 p.m. and are cleared within two business days to any Bank Account. Should you wish to pay your accounts using this method, you will need to approach your Bank who will require the following details:Society Bank: Account Name: Sort Code: Account Number:
-
National Westminster The Hereford Cattle Society 53 50 41 05613019
It would assist us that, when setting up your payments by this method, you request that your Bank use your Society Membership Number as a means of identification in addition to your name. You should also ensure that we are informed that you will be paying your accounts by “BACS” and that you advise us on each occasion a payment is being transmitted. This can simply be an email at the time your payment is made.
Details relating to “BACS” now appear on all Invoices being sent out from Hereford House
MAKE USE OF THE “ONLINE REGISTRATION SYSTEM” Members are encouraged to make use of the “ONLINE REGISTRATION” facility available on the Society’s Website under the heading “MEMBERS ONLY”. To access this facility for the first time you will need to contact the office to obtain an ‘access code’. Once you have entered “ONLINE” you will be requested to create your own “Password” for future access. You will find a number of facilities available to you as a Member of the Society which are all fully explained. Once logged onto the file you will have the ability to submit Calf Notifications/Registrations online and the basic instructions to do so are:● Click on the link that says ‘online transactions’. ● Then click on ‘create a new batch’. ● Then select the appropriate batch type (Calf Registration/Notification). At this stage Recording Members can also choose an option to submit their Performance data. ● When the batch has been created you will need to click on the ‘add button’ to record/register each animal that is included in the batch. ● Once created additional animals and information can be added/changed until such time that you submit the batch to the Society. The batch will remain in a holding file until you submit it. ● Please remember that, having created a batch, it must be submitted to the Society within 27 days of the oldest calf on the file otherwise late fees will automatically be imposed. ● The information available to you includes the Sire and Dam of each calf, details of which can be accessed by either – (A) Selecting the animal from a drop down list, OR (B) Manually entering the Identity Number (Tag No.) of the animal. The drop down list of Sires will include all those you have used in the last two years. The list of Dams will consist of active cows currently in your ownership, together with breeding age heifers.
REMEMBER TO CLICK “SUBMIT” WHEN ENTERING REGISTRATIONS ON-LINE Members using the on-line facility to register their calves are asked to note that they must click “SUBMIT” before signing off. If this is not done the data does not come through to the Society for processing, therefore running the risk of late fees being imposed.

“Youth Development Programme” Following is the report received from Emma Smith “Classic Herefords” Swindon, Wiltshire, organiser of the above event:“The first ever Hereford young members’ weekend took place on the 23rd & 24th April, kindly hosted by Tim Livesey of Normanton Herefords based in Leicestershire. 27 youngsters of varying ages took part over the course of the weekend. They were to undertake a series of workshops, challenges and stock judging skills and lessons. The whole weekend kicked off with tea and coffee on the Saturday morning. There was a real buzz around the event especially as people had travelled far and wide. Four members had travelled from Northern Ireland accompanied by adults. Other members had travelled from Scotland, Kent, Oxfordshire, Hereford and Wiltshire. Already whilst drinking tea, people were networking, swapping stories! Prior to the event each young member had been put into a group which they were to stay in throughout the Saturday workshops. Each person completed a workshop on a rotational system allowing them an hour on each subject. These included washing and blowing with Matt Gray and Richard Edwards, Clipping with Darragh McManus, Dressing an animal with Andrew Hughes and Showmanship and ring craft with Steve Edwards. At roughly 4.30 when all workshops were completed Tim kindly allowed all interested people a farm walk which everyone took part in. We couldn’t waste much time though as anticipation was building - that evening there was a sit down buffet dinner for sixty people with prize giving and Guest Speakers Clive Davies, Keith Jempson and our President, Mr. Michael Clark, together with a raffle. All three speakers discussed the importance of the beef industry and the future of young farmers. This was followed by the highly awaited prize giving. The winners were: Junior section aged 8 – 14 Champion - Imogen Edwards
Reserve Champion - Bradley Graham
Intermediate section aged 15 – 20 Champion – Maddie Clarke Reserve Champion – Katie Baines Senior section aged 21 – 26 Champion – Ryan Coates
Reserve Champion – James Ludgate
All participants received a t-shirt for taking part. These were embroidered by Constructiv Clothing and had the new logo on with Herefords written on a sleeve. To finish the night off there was a brilliant raffle with prizes ranging from straws of semen, chocolates, wine, plants, Mcinnes Show Products and clothing products. It was a thoroughly enjoyable evening to finish off a first good day!!
After a much needed sleep (from me!) everyone arrived at the farm bright and early. The atmosphere amongst children and adults alike were that they were making friends, enjoying their experience and having fun! 11 o’clock saw a “Back Fat Scanning” demonstration from Jim Barber which outlined the importance of EBV recognition. It allowed the members to start to learn about frame and structure of the animal which they were washing and showing the day previous. This then led on to Clive Davies giving a session on what to look for in an animal. He explained about conformation, sound feet and legs and described that an animal had to have style to show itself off – something I think Clive himself has - style!! After a break for lunch which was lovely I may add, all people present, young and old took part in the stock judging. Each young member had to judge three classes, comprising of four young heifers, four young bulls and four cows with calves at foot. Clive Davies was the master judge. The prize for the senior participants is to understudy the Judge at this year’s Autumn Show & Sale in Hereford and so, whilst everyone had a go, the five competing seniors had to battle it out with reason giving which they were marked on by Alan Timbrell. Alan guided and advised all people including the ‘oldies’ on how to give reasons using a microphone - to actually believe in your decisions and have the confidence to talk to people. After much deliberation and marking James Ludgate was the senior member who, with combined scores of his stock judging and reason giving, is the first UK Hereford Youth Member to understudy at the Autumn Show & Sale. I feel for a first time event of this kind it was encouraging to have so much support, ranging from the young members who took part to the adults that brought them and also all the trainers and advisors in giving up their weekend time to allow such an event to take place. Thanks, of course go to Tim Livesey and family, and especially Darragh Mcmanus, in providing the venue and the cattle. The future of UK Hereford Youth is on the up and looking exciting!!” ~~~~~~~~~~~~~~~~~~~~~~~~~~~~ The Council at their Meeting held following the “Hereford Youth Event” expressed their appreciation to Emma for all the hard work she had put into organising what had turned out to be such a successful weekend. They had also unanimously agreed that they would provide every support to the continuation of the programme in the future.
