dear san francisco school community, This year we will have a rip-roarin’ good time at the Hoedown, as we celebrate and support the rich diversity of The San Francisco School. The funds we raise during the auction are critical to our mission in that 100% of the proceeds support the Indexed Tuition program and directly benefit one-third of our families. Our Auction Event on March 22 will feature our SFS Community Items in both the Silent and Live Auction. Our goal for the night is to have parents, staff and our guests come together as a community in support of the school — socialize, eat and mingle, dance and of course, bid! The bidding will continue in our Online Auction, which runs from March 16 - March 28 at sfschool.org/bidonline. Left at stoplight onto Bayshore Blvd. Make first left onto Silver Avenue. Make a right onto Boylston Street. The school will be 3 blocks down at Gaven Street. As you enter the SFS campus, please pick up your bid number at the registration area. Use this number to bid on Silent and Live items. If you have not yet purchased event ticket(s), you may also do this at the door. To simplify and speed up your Check Out post-event, we encourage you to swipe your credit card at registration (Visa or MasterCard). HOW DO I BID? Write your bid number and the amount you are willing to pay on the bid sheets. Every bid sheet will indicate a minimum bid amount and bid increment amount. Please bid accordingly. HOW LONG DO I HAVE TO BID? Silent Auction categories close a few at a time, beginning at 7:30 pm and ending at 8 pm. Announcements will be made a few minutes before each closing time. It is important to watch your bid closely so you can make sure you are the highest bidder when your item closes! WHAT ABOUT ITEMS WITH MORE THAN ONE WINNER? There are several items in our catalog of donations that are meant for more than one person to win. You will find many examples of these in Dinners, Kid-Sponsored & Community Outings and Faculty & Staff Fun. For the multiple-winner items, you write your bid number next to an amount already given on the bid sheet. If you are interested in purchasing two seats at a Dinner, for instance, you should write your number in two spaces on the bid sheet. Please note on each bid sheet whether the bidding is “per spot”, “per couple” or “per family”. As in any auction, this may mean that there are some winners paying more than others. Said another way, winners may be paying different amounts for the same thing.

HOW CAN I MAKE SURE I WIN AN ITEM I REALLY WANT? Make sure you have the highest bid when the category closes! HOW DOES THE SILENT AUCTION WORK? The Silent Auction items have detailed descriptions on their corresponding bid sheets. They are categorized into sections such as Dinners, Wine & Spirits, Art and more. The process is as follows: •
Write your bid number and amount of your bid on the corresponding bid sheet for each item.
•
Each new bid must exceed the previous bid by the minimum increment noted on the item’s bid sheet.
•
Bid sheets must not be removed from their locations except by Auction Team members.
•
Portions of the Silent Auction will close at different times throughout the evening. The closing times are printed on the schedule page and will be announced throughout the evening.
•
After a category has closed, bids on those items will no longer be accepted.
•
Winning bids will be acknowledged after the close of all categories and winning bidder information made available to donors at Check Out, in the days following the event.
HOW DOES THE LIVE AUCTION WORK? During the Live Auction portion of the evening, the auctioneer will describe the catalog description of each Live Auction Item. In the catalog, it is specified how many bidders can win for each item. To bid, simply raise your bid number high in the air. If you want to bid for two people on items where more than one bidder can win, raise two bid numbers high in the air. Spotters will be stationed throughout the room to assist the auctioneer in identifying bidders. The auctioneer will keep track of the current amount being bid. The auction item goes to the highest bidder or, in the case where multiple bidders can win, the top bidders. The final winning bidder(s) should continue holding up their bid number until their bid number and the winning bid amount have been repeated by the auctioneer. This ensures that it is properly recorded. A runner will come to your table with a receipt for a signature verifying the item and price.
HOW DO I CHECK OUT? Silent Auction bid sheets will be processed following the end of the auction event. Check Out opens at school, drop-in or by appointment, a few days after the auction event. Go to the school’s Development Office to complete Check Out, and you will be presented with a receipt itemizing all of the items you won and the total amount due. You may pay with cash, check or credit card (Visa or MasterCard). Your receipt will be marked PAID. Then, you will be given the bundle of all your winning auction items (both physical and certificates). HOW DO I PICK UP MY ITEMS? After you have checked out in the school’s Development Office, you will be given your items to take home. WHERE DO THE DONATIONS COME FROM? All of the donations represented in this catalog, Online and at the Auction Event are contributions from the school community, our families, friends and the larger community, all in support of tuition assistance at The San Francisco School. HOW CAN I HELP THESE DONATIONS COME IN FOR NEXT YEAR? Be sure to write down anything you wish you could have bid on tonight that wasn’t available, and think about finding that item to donate or solicit next year. Also, spreading the positive image of the school to prospective donors in the community will help donations next year. And enjoy working with the donors as you redeem your wonderful items! HOW ARE THE ITEMS VALUED? The San Francisco School does not appraise or estimate the fair market value of auction items. The donors have supplied all statements of value appearing in the catalog, Online and at the Auction Event.
