Introduction Tic Toc Play clubs is an exciting new club; it’s a family run business and managed by Linda and Richard Bennett. Linda has over 21 years of experienced in childcare and holds NVQ level 4 in childcare management and many other childcare qualifications and certificates. Richards’ background is in Information Technology management.
Mission statement It is our philosophy that Tic Toc Play is dedicated to its family of employees and clients and invites potential customers to experience the exceptional services of our company. We invest in the development of the individual through training, education and experience. We strive to provide an innovative environment for children aged 4 to 12 years. We provide activities to stimulate their minds as well as their bodies; we meet the unique needs of the community by providing exceptional additional services. We provide a clean, safe and child friendly environment. So that your children can play in complete safety and just as importantly learn interpersonal skills through interaction with other children. We guarantee you affordable, quality childcare and ongoing peace of mind.
Policies and Procedures We have a large number of policies and procedures in the setting available for parents to read, everything we do is covered either by a procedure or a policy document. Ofsted Ofsted regulates schools and all childcare providers; we will be inspected regularly to ensure that we are continuing to provide a good service. We currently waiting out first Ofsted Rating and we will have full reports available in each club. Additionally you can view the reports at www.ofsted.gov.uk
Our Ofsted Registration Number Our Ofsted registration numbers are as follows; Southway & The Gattons—EY412607 Sompting Village Primary School—EY389271 The registration number of the club can be used for claiming Working Family Tax Credit or viewing our report on the Ofsted web site. A copy will be displayed on the parent’s notice board.
Registration Parents are requested to fill in a registration form for each child before joining the club. The booking forms for the afterschool / breakfast and holiday clubs are slightly different, we ask that you read and sign the terms and conditions and that we keep a signed copy on file. Please ensure that if your emergency contact details change, we are notified and that we are aware of who is picking up your child on regular basis and any changes we are informed beforehand. It is essential that we have written information of any child allergies, dietary requirements, illness, and medication, emotional, behavioural and learning difficulties. Please ring the club mobile if your child is off sick/ not at school, it is not the schools responsibility to tell us.
Security For the safety of the children the main doors / gate are locked during our opening hours. We have our own entrance, so please refrain from using the school main entrance. When walking children from school to school, the children will be taught the club rules, fluorescent jackets will be worn, 1 staff to every 5 children By car / mini bus – children will be taught the guidelines, seat belts must be worn at all times, a full policy is available on request.
Supervision Our staff to child ratio is set by Ofsted:- 1- 8 on the premises and 1 – 5 for trips out.
Staff We have a full induction plan for our staff and we ensure that we have suitable references in place before they start. We also ensure that they have a full Criminal Records Bureau clearance and are registered with Ofsted. Staff members all hold or working towards a childcare qualification from a teaching degree to NVQ level 2, 3 and 4/5 in playwork or childcare. We send all our staff on First Aid, Health and Safety and Food Hygiene courses and they receive regular in-house training.
Trips (Holiday clubs) We offer optional trips to children at the holiday clubs, if parents do not wish their child to go, the club will continue their usual daily routine. We always welcome parents and carers to help.
Accessibility and Inclusion We are committed to providing a fully accessible and inclusive environment which values and includes all children, staff, parents and visitors regardless of their education, physical, sensory, social, spiritual, emotional and cultural needs. We are further committed to challenging attitudes about disability and accessibility and to developing a culture of awareness, tolerance and inclusion
Parent Notice Board Don’t forget to look on our parent notice board, we will keep it regularly updated with club activities, menus, Ofsted and insurance certificates. It will also include information on EYFS, the newsletter, list of our policies, team information, etc.
Children’s Notice Board The other important notice board is the one where we display the children’s work. Don’t forget to look on our children’s notice board, we will keep it regularly updated with their work, photograph’s and pictures, etc.
Behaviour Management We encourage a positive attitude by staff / children and visitor, this helps everybody to develop self discipline and self esteem in an environment that has mutual respect. The rules have been made up by the children through discussions at group times, as new children join us they will be guided through them, but it is the responsibility of all to help them understand them. All adults will encourage and present a positive role model for the children e.g. care, courtesy and friendliness, etc
Dealing with a case of Bullying All cases of bullying are taken seriously and will be dealt with immediately. The child / children involved will be asked to apologize without prompting All staff will be informed and the children will be monitored. All Incidents will be recorded; All cases reported will be fully investigated. Parents will be invited in to discuss the problem or issue. If the situation requires it, outside professional advice will be consulted. In serious cases, suspension or exclusion will be considered. After the incident has been investigated and resolved, each case will be monitored to ensure that this situation is not repeated. We will review our procedure and make any amendments necessary.
Health and Safety We seek to ensure the health, safety, wellbeing and welfare of all staff, children, visitors and all other individuals who may be affected by Tic Toc Play’s activities. The Health and Safety at Work Act 1974 and the Workplace (Health, Safety and Welfare) Regulations 1992 and their associated Approved Code of Practice (ACOP) and guidance will be complied with at all times. The Manager and staff will always strive to go beyond the minimum statutory standards to ensure that health and safety remains our foremost priority. Child protection is of paramount importance and we are committed to the safety and protection of each child attending the Club. We will provide a safe environment for the children and it is the responsibility of all staff members to maintain this by eliminating any obvious risks and reporting any concerns to the appropriate person. We encourage an open and honest relationship with all our parents/carers/guardians this enables us to discuss any concerns that may arise.

Boredom Buster - 2 hour session
Our Holiday club is generally action packed with numerous activities going on throughout the day for individual play and group games. Additionally we will have trips out or special activities plus competitions and prizes.

Activities Free play - We encourage children to participate in activities as much as possible, but we operate a freedom of choice, so please do not be anxious if your child does not bring things home, they may be busy with other physical or imaginative play activities. First Visit This can be very distressing for some children and to help them settle each new child will be allocated an adult to keep an eye on and a buddy if they don’t have a friend at the club. We ask parents to bring their child on the first visit to Holiday club by 8:20am. This
Snacks At snack time children will be provided with a drink and snack. The snacks will vary to ensure a balanced diet, avoiding large quantities of fat, sugar, salt, additives, preservatives and colourings and take into account any addition dietary requirements. The snacks are provided by the club and are included in fees. Holiday club :- 10:00am & 3:00pm - Snack time fruit in season, juice, milk or water, toast or crackers/ rice cakes/ popcorn 12:00pm Lunch The weekly menus are displayed on the parent notice broad. What do I do if my child needs to have medication whilst at the club? If you wish our First-Aider to administer medication then you must complete and sign our medical forms giving us permission stating why the child needs this medication and sign another medical form at the end of session to say that you are aware that it has been given. Plasters We only use Hypo-allergenic plasters on the children to avoid adverse reactions. Please inform the supervisor if your child is not able to use these.

Invoices and payments After school / Holiday club Invoices 1) Following term Invoices are available at the desk at the end of each half term, or posted over the half term holiday. 2) Many of our parents prefer to receive their invoice directly by E-mail, this avoids them being lost, forgetting to pick it up etc 3) We do not issue an invoice for the holiday period as payment in full is required at time of booking, unless a special arrangement has been agreed. Payment You have the opportunity to pay by cash, (cheques min £10) childcare vouchers, direct payment into the bank via internet using BACs, standing orders or Credit/Debit card via PayPal. (Monthly payment plan for Afterschool only). The bank details are Account Name: Tic Toc Play Clubs Ltd. Barclays Bank, sort code 20-98-74 , Account number 03854809. Please use your child’s name and invoice number as reference. Once session have been booked they do need to be paid for even if your child is off for any season sickness or holidays etc Late payment It is very important for our small company to receive monies quickly and we incur additional charges and administration when that doesn’t happen. All invoices you will receive will have a date when payment is due and any unauthorised late payments will incur a late payment fee of £20.00. If you think that you will have trouble paying an invoice then talk to us. We will try to find a way that allows us all to be happy. After- School You can pay at the After School Club at the desk but we do recommend payment is sent to our office address: Accounts Dept, Tic Toc Play Clubs Ltd, 40 Busticle Lane, Sompting, West Sussex, BN15 0DJ. When paying in the clubs, you will receive a written receipt, if a printed receipt is required, please contact the Office. Childcare Vouchers We also except childcare vouchers, this is a government initiative to give parents help with childcare costs, and these are given to you by your employer and are tax and national insurance free, therefore a benefit to you. Working Family Tax Credit You may be able to claim up to 70% of your childcare costs back through Working Families Tax Credit. Playwork Principles At Tic Toc Play Clubs Ltd we have adopted the Playwork Principles as endorsed by Skills ActiveŽ in 2004 and are being incorporated into the Playwork National Occupational Standards. These Principles establish the professional and ethical framework for playwork and as such must be regarded as a whole. They describe what is unique about play and playwork, and provide the playwork perspective for working with children and young people. They are based on the recognition that children and young people’s capacity for positive development will be enhanced if given access to the broadest range of environments and play opportunities. All children and young people need to play. The impulse to play is innate. Play is a biological, psychological and social necessity, and is fundamental to the healthy development and well being of individuals and communities. Play is a process that is freely chosen, personally directed and intrinsically motivated. That is, children and young people determine and control the content and intent of their play, by following their own instincts, ideas and interests, in their own way for their own reasons. The prime focus and essence of playwork is to support and facilitate the play process and this should inform the development of play policy, strategy, training and education. For playworkers, the play process takes precedence and playworkers act as advocates for play when engaging with adult led agendas. The role of the playworker is to support all children and young people in the creation of a space in which they can play. The playworkers response to children and young people playing is based on a sound up to date knowledge of the play process, and reflective practice. Playworkers recognise their own impact on the play space and also the impact of children and young people’s play on the playworker. Playworkers choose an intervention style that enables children and young people to extend their play. All playworker intervention must balance risk with the developmental benefit and well being of children.

Code of practice Booking places We are required to receive a fully completed information form for each child. When you receive the booking form, complete it and include the days you would like to enrol your child at the club. We will reserve a place on those days which must be paid for even if not used. Only booked days can be guaranteed to be available. Ad hoc days and emergency cover can only be arranged for registered children. 2) Refunds No refunds given for any cancelled days, e.g. sickness , holidays, other school inset days, etc regardless of the length of notice given. Please only book the days you require. Days cannot be swapped during a week. Your child is booked in for a set day, this ensure staff to child ratio is maintained and that a place is available. If you require an extra session you will need to pay for the extra day in advance. 3) Extra sessions If you require extra days, then the days must be paid for at the time of booking. No additional invoice given unless requested. 4) Non-attendance If your child is not attending the club, please contact the supervisor directly or contact the office. Payment is still required if place has been booked. 5) Late Pick Ups Parents are asked to be as prompt as possible when picking up their children from the Club. Please contact us if you are running late. By law, two members of staff need to remain with any uncollected child. We have therefore introduced a late collection charge to cover wages. For the first 15 minutes after agreed collection a ÂŁ4 charge will be levied, every 15 minute thereafter there will be a ÂŁ4 charge. 6) Cancellation Contracted days will continue into the new term & following school year unless cancelled in writing. A minimum of 4 weeks notice is required.
