Undeb Bangor - Notification of an Emergency / Emergency Procedures Advice and guidance regarding what to do in the event of an emergency. This procedure provides guidance for Students and Staff on the action to take after an emergency has occurred. In any emergency situation the safety and wellbeing of those involved in an emergency situation should be prioritised. Only after the threat of the situation has subsided and/or Emergency Services have taken control of the situation should the following action be taken. Specific guidance relevant to managing your activities or events should be contained within the specific Risk Assessment or Hazard Control Sheet for that activity, including the Emergency Action Plan (EAP) for the site that you are operating from. For the purposes of this procedure, an Emergency is “a serious and unexpected/unplanned situation requiring immediate attention or action of which the outcome may include stranding, significant damage to property, injury, illness or the death of a member or members.� Emergency Situation - Stranding of a member(s) All Undeb Bangor vehicles including those that have been externally hired have fully comprehensive breakdown cover in place. This will ensure that you at least have the provision in place to return to Bangor. Guidance for the action to take in this instance is contained within the documentation on board the vehicle. You should also consult the Undeb Bangor Vehicle Risk Assessment (which is available on www.undebbangor.com) In the event that Undeb Bangor member(s) become stranded after leaving Bangor due to a nonrecoverable failure of the planned mode of transport or its operator, the trip organiser should also contact Bangor University Security on 01248 382795 to advise the team of the issue. The Duty Officer will then contact the designated Undeb Bangor point of contact for further advice. You may then be contacted by either a representative of Bangor University Security or Undeb Bangor staff to coordinate the recovery of the member(s) and any vehicle(s) if required. The exact action to be taken will depend on the specific situation and variables involved. This procedure relates only to trips that have commenced. If you have problems with the vehicle arranged for your activity prior to departing Bangor - i.e. Security will not issue you a vehicle as you do not have the correct confirmation, or the vehicle is not available for any reason, this is an unfortunate situation but NOT an emergency and should be resolved during Undeb Bangor opening times whereby the reasons for the occurrence will be investigated. Emergency Situation - Significant damage to property In the event that the actions taken by a member/members or a third party results in damage to physical property, this should be notified to Bangor University Security on 01248 382795 to advise of the issue. The Duty Officer will then contact the designated Undeb Bangor point of contact for further advice. If the damage has been caused to public property, details of the owner should be gathered and supplied to Undeb Bangor no later than the next working day. Consideration about notification to


the Police via either 999 (Emergency) or 101 (Non-Emergency) should also be made if unsure about whether it is a notifiable incident or not. Please request an incident reference if this action is taken. Damage to any Union owned or hired vehicle will require completion of a Vehicle Incident Report form no later than the next working day. This is available online through www.undebbangor.com or from the Undeb Bangor Student Centre. Please record any incident reference information that you may have received from the Police on this form. It is advisable to take photographs of any relevant damage, documentation and/or contributing factors that may be useful later. Emergency Situation - Injury/illness of/to a member(s) Minor injury/illness (May or may not require medical attention) sustained whilst participating in official Undeb Bangor activities may or may not require assistance or intervention. If the incident requires hospitalization and/or subsequent support is required, this should be referred to Bangor University Security on 01248 382795 to advise the team of the issue. The Duty Officer will then contact the designated Undeb Bangor point of contact for further advice. Major injury/illness (Requires medical attention) sustained whilst participating in official Undeb Bangor activities may or may not require assistance or intervention. If the incident requires hospitalization and/or subsequent support is required, this should be referred to Bangor University Security on 01248 382795 to advise the team of the issue. The Duty Officer will then contact the designated Undeb Bangor point of contact for further advice. This can be a particularly stressful or upsetting situation and the welfare of those present should be considered. Both categories will require completion of an Incident Report form no later than the next working day. This is available online through www.undebbangor.com or from the Undeb Bangor Student Centre. Emergency Situation - Death of a member(s) In the event of an incident occurring that results in the death of a member or members, you must contact Bangor University Security on 01248 382795 to advise the team of the issue. The Duty Officer will then contact the designated Undeb Bangor point of contact for further advice. This will be a particularly stressful or upsetting situation and the welfare of those present should be considered for some time after the event. It may be helpful to encourage those that may be affected to contact the Bangor University Counselling Service for support. This will require completion of an Incident Report form and we’ll be in contact to work through this with you. This is available online or from the Undeb Bangor Student Centre. The Police will be involved and may require witness statements and interviews. We can support you with this if required.
