VII. Acquaintance party

I.

Auxiliary Corps a. There will be an meeting for all corps members on the 13th in SE 125 at 4pm up to 6pm. The general assembly will coincide with the regular council meeting hence council meeting will be postponed. The room will be reserved next week in compliance to the new policy that room reservations should not be made too far off from the date of the event. b. The program as explained by Kehrl Reyes will consist of a short orientation of what the auxiliary corps is. It will be presented by the chair, Kehrl Reyes. It will be so that “they know why they’re there” However, the bulk of the program will be dedicated to foster unity through team building activities. The last part of the program will be used for a quick “pakain”. c. Carissa Sta. Maria mentioned that one applicant applied to finance but was not accepted. She said that there appeared to be a miscommunication and the applicant wasn’t accepted. This was quickly resolved however as Carissa Sta. Maria took the applicant under her wing. d. Diane also brought up the idea of pins but due to budget constraints, this idea was shelved.

a. Freshmen batch reps i. The freshmen batch reps mentioned that the contest for their batch shirt design has already begun. They’ve created a page for the batch shirt and voting is ongoing. They’re expecting to announce a winner by this Friday. ii. Other than that, the freshmen batch reps are focusing on empowering the members of their batch through “little things such as congratulating the achievements of all their batchmates.” - Ann Huang arrives here 5:08 b. Sophomore batch reps i. The sophomore batch reps said that some designs have already been entered for the batch shirt. However, they will first sort the designs for the voting process to begin. c. Junior batch reps i. The junior batch reps are planning to hold a rummage sale on the 18th of July, Monday next week. The target venue is Dagohoy. However, it was brought up by Kelvin Tagnipez that the USC rummage sale in Dagohoy only made around 1000. Carissa Sta. Maria further mentioned that people in those places are good hagglers hence an alternative venue should be considered. Kehrl Reyes then brought up that he knows of an ideal venue for the rummage sale. ii. With regards to the batch shirt, several designs have already been submitted for posting. Voting for the batch shirt will start this week. d. Senior Batch reps i. The senior batch representatives were holding their thesis workshop but it was brought up that the event seems to be going well as they have not asked for additional assistance thus far. More than that, Pernia has 20 students hence the attendance seemed good. e. Sports, arts and culture i. The touch rugby event was moved to July from August 16 to avoid hitting exam dates. The target dates are the 26th and the 29th of July. Van Valdez will coordinate with Matel in order to secure the date. It was also 3|P a ge


brought up that friendship week among other events should be avoided so as not to create a conflict. ii. The incentive for Scholympics from the acquaintance party was clarified. Irene Arzadon brought up that it is unfair for a simple “show of number” to win attendance as the batches are not equal in terms of numbers. A percentage of the total population of the batch, hence, is more fair. The terms are unanimously agreed upon and it will be based on percentage to be determined by the master list of students to be provided by Tita Connie and fetched by Benedict Bismark. 1. Henryson Tan then inquired how much weight the incentive will give in terms of winning the schoolympics. Van Valdez mentioned that the incentive is not a fixed value. Rather, it will be based on a percentage system. The bottom line though is that it will have more or less “the same weight as the chess game” iii. It was mentioned that the women’s basketball team held its try-outs. Rachel Malaluan was accepted. f. Secretariat i. It was mentioned that the masterlist will be ready by Friday in time to compute who won attendance in the acquaintance party. ii. The room reservation for acquaintance party is not completely free due to a new policy stating that for rooms other than those in the same row as SE 127, cannot be offered for free unless for academic events. iii. The lights system was gotten at a discounted rate and will be delivered to the school by 3pm on Friday. The sounds for acquaintance party will be checked tomorrow. g. Finance i. The Tekki Shomen sale will start ASAP. The deal is that at least two boxes will be sold and the rest can be returned if not liquidated. There are 48 pieces per box. Each cup is worth PHP 13 but will be sold at 15. The water heater will be c/o Arianna Zapanta. Tekki Shomen will give away free noodles during the party on Friday. Hence, we will not sell during the party. Bettina Ramas mentioned that the profits can be used to subsidize extra food during the acquaintance party. ii. The name of the person will be placed on the lid of the Tekki Shomen lid for a raffle and publicity purposes. 4|P a ge


iii. If there are x-deals that aren’t liquidated by Friday, they will be sold to Ate Leonie but at a lower profit margin iv. Doughnuts will be sold on Friday from Chello’s in the same booth as that of Tekki Shomen. These expire however and must be liquidated as soon as they arrive. v. The budget for acquaintance is set at 12,000 given that the spoons and forks are going to be free. h. Marketing i. The auxiliary corps is still to be fully utilized as the orientation will not be held until the 13th. Given that, there is some difficulty in marketing for the events. Diane Vitriolo then asks for a quick rundown of all the events that need marketing support. She mentions that for friendship week and batch week, proposals have already been sent. ii. September events will also be covered by Diane Vitriolo. Notably, Schoolympics and Kapekonomia are top priorities. iii. The band event/ party/ sem ender is also being planned. It is being eyed as the culminating activity for Schoolympics. However, it will not be after Schoolympics itself. It was brought up that this is what several other colleges do for their sports events. i. Media and Publicity i. The movie/video for acquaintance is already being edited in coordination with Horace Cimafranca. The shoot could’ve been done earlier but the batteries all died out. Carlo Magsino reassured everyone though that this is but a simple step back and deadlines will still be met regardless. ii. The council IDs have also been distributed save for a few that still need to be edited or fixed due to some simple camera errors. They will all be ready by Friday iii. Kehrl then asks if the committee has met yet and Carlo Magsino mentions that they are set to meet on the 13th during the general assembly j. Education and research i. Irene Arzadon mentions that the college of education student council is asking for a speaker in their symposium in July. The talk will be about Honer and Excellence. However, it is still unclear exactly who will send an email. More than that, the terms of partnership are still murky. 5|P a ge


ii. Irene then asks for sample exams again. She mentions that she hasn’t received much and stresses how important they are. iii. Benedict Bismark asks Irene Arzadon if the NYC team will appreciate a folder to be provided for them. This is because of cleanliness concerns. She points out though that she has already provided one for her team. Her team isn’t fully utilizing the folder however. k. Environmental concerns i. The place for tree planting has already been set. This is because the Marikina venue proved to be a little too complicated due to the floods and all. More than that, they’re “fixing the soil” in that area. Right now, the ad hoc team is in search of a seed sponsor and is eying Bantay Kalikasan. A letter will be sent ASAP. l. Econ rep to the USC i. The GST will be held in the school of economics. The event is for org recognition hence the attendance is expected to be large. ii. The freshmen elections during the leadership talk in law was successful. Notably, an econ freshman was able to win a position. iii. The acquaintance party will coincide with the freshmen concert to be held in the AS parking lot. However, as brought up before, there is no direct conflict as the concert will start a few minutes after the acquaintance party ends. At worst, it provides the freshmen with something to do right before the party begins. However, Kevin Mesa brought up the fact that the call time for the models is at 4pm which definitely conflicts with the acquaintance party. Furthermore, it was brought up that the models have a large amount of influence over the batch. Attendance might potentially be split. Fortunately, at worst, the freshmen will only miss the last parts of the program as it was brought up that during call time, the models will be in the holding room. Hence, they will not call on their batchmates just yet. iv. ACLE orientation will be on the 18th of August, Tuesday. If ever the council is interested in holding an ACLE, they are more than welcome to attend. v. Ann Huang and Aya will meet for STRAW tomorrow and LCC Thursday next week. This is because the regular STRAW meetings conflict with the regular council meetings. vi. Kelvin ends his updates by invited everyone to the LCC meeting. He mentions that there is a lot to hear given all the issues and concerns mentioned during the meetings. 6|P a ge


m. Vice-chair i. The SEAC photoshoot pubmat will be out by next week. The pubmat will be posted on the website and on the council board. Carlo Magsino mentions that it might be a little weird given that the council has a different pose and background. However, it was dismissed as a nonissue because the photos are more symbolic other than anything else. ii. The SEAC website will be launched on Friday during the acquaintance party. The articles and pubmats will be posted there assuming that they will all be submitted on Friday. There will be a per org “segment� on the website. iii. SEAC meetings cannot be held every Thursday as there will be a lack of an agenda. n. Chair i. The council will have lunch tomorrow from 12-1pm. This is the most ideal schedule given that only two council members, namely Stefanie Su and Kelvin Tagnipez, will not be able to attend due to classes. They will meet in the atrium and several IDs will be given. ii. Publicity for acquaintance party will be full force. Room to room assignments will be given online. Carlo, Van, Car and Hannah will cover Econ 109. Irene will cover 121 under Ubias. Additional assignments will be posted as needed. Math 102 and 17 will also be targeted. The council locker will be used to store the publicity materials and fliers when not needed. iii. Student regent tie-up is still unclear. The publicity materials are out but there is still no word on the terms of the tie-up. Kehrl Reyes has talked to Krissy Conti via text message though. It was then mentioned that tie-ups should be cleared out first before making any moves. It was stressed that information has to be disseminated to the whole council beforehand. iv. Courtesy call is still TBA as the professors are still finalizing their schedules. v. Invites for professors will be disseminated tomorrow during their respective classes. Acquaintance party a. All council members should help out with publicity. Ann Huang mentions that she is not the most “ “Facebook savy” person in the world and would greatly appreciate any help with all the technical stuff. A quick run-through of how to share and tag was done. Email brigs are no problem, mentions Ann Huang. She has already sent out several. Kerhl Reyes mentions that the SESC email can be used to send out email blasts as it is a member of all the groups. b. The text message for tonight is already being worded. Erin Ablaza was the one who worded the first few text brigs. c. There will be a sound check tomorrow at 4:30 c/o Cocoy Vargas and Benedict Bismark. The sound system in the auditorium is working but SE 101 mentioned that there have been several complaints regarding the quality. d. The batch fashion’s theme will depend on what the attire will be. It was then decided that each batch should showcase a highschool stereotype to be in line with the party’s theme. The four stereotypes will be nerds, jocks, preppy and fashionistas. The names of the models should be with Ann Huang tomorrow so that she can coordinate with Cocoy Vargas for the program. - Bettina Ramas taskes a quick bathroom break here 5:50 e. Havianas will be raffled but only a few as some will be for liquidation. The raffle will be based on the lids of the Tekki Shomen noodles. f. Kehrl Reyes then mentions that the council should help out whichever committee they see in need during the acquaintance party. He stresses that “we are one council”. g. Kehrl then asks for a rundown of members of e-sound the econ dance crew. He mentions as a side note that Aris Dacanay’s brother was once a member of the e-sound. He mentions that there should be a 30 second video presenting the two groups before they perform. h. Kehrl also mentions that the old acquaintance party had several awards which included the Mr and Ms. Acquaintance party. He also mentions that the trend for the attendance is generally downward sloping and he hopes to counter this. - Bettina Ramas taskes returns here 5:56 -

i. Kehrl then asks for a rundown of the program for the event. Ann Huang responds and the needs for each time were identified. Notably, the major needs were: ingress and décor set-up, registration, facilitators for all the games, food distribution, laptop manning and the council presentation. Logistical needs included: Sounds systems, laptops, food and drinks runners. The council will perform “Falling for you” towards the end of the program. - Irene Arzadon leaves here 6:06 j. Kehrl mentions that everyone should practice and memorize the song for tomorrow’s performance k. Finals reminders included wearing the ID and having things approved before handling any task.
