EMPLOYEE OF THE MONTH: TERENCE GRAY Congratulations to Terence Gray, maintenance helper/logistics, on being selected as the June 2018 facilities employee of the month (pictured above along with Emile J. David (left), associate vice chancellor, and Kenneth Bradshaw (right), director of facilities). Terence’s dedication in fulfilling his normal job duties, as well as going the extra mile was recognized. The nomination specifically outlined how he always shines with any task he is given. He is hardworking, dedicated and always takes care of any task that’s asked of him and more. A few weeks ago, his superintendent, Jeff Fields, received a call at the end of the work day from a lady on campus who needed some boxes taken to her car. He made a call to Terence about 4:40 pm and Terence didn’t hesitate, or decline to provide help, given it was close to his time to clock out. He immediately agreed to go over to help out. He stayed over long enough to take the time to help get all of the lady’s boxes to her car. We want to thank Terence for taking pride in his work and always doing his best every day here on the UTHSC campus.

Great job Terence. Keep up the good work!

CAMPUS PROJECTS, EMPLOYEES AND EVENTS MADISON PLAZA LOBBY AND FOOD COURT

930 MADISON, 6TH FLOOR

Renovations are progressing on the Madison Plaza lobby and food court project. Over the past several months, you may have noticed that lots of changes have taken place including the new gray and white tile on the floor and the new wood and glass handrails. There are new lights in the lobby and Vol Shop, as well as new bight paint on the walls. This adds a much needed bright and fresh modern twist to the building. In the food court area, work is still in progress and we hope to have this space finished real soon. We are excited so the new vendors can begin serving great food here on campus! At this point, you should start to notice installation of furniture, wall panels and signage and eventhough we are by no means finished, we are getting to close to completion for this project.

The 930 Madison building, 6th floor restrooms underwent a major upgrade. The project is now finished and includes a fresh new look, complete with new tile for floors/walls and fresh paint as well as a new counter top, fixtures, mirrors and toilet partitions installed. The work was done by an outside contractor, Superior Contracting. Take a look at how great it looks (before, left column and after, right column).

FACILITIES SAFETY TRAINING

Facilitator: Scott Campbell, Campus Safety Officer The month of June was National Safety Month, and Scott Campbell, campus safety officer, made sure the entire facilities organization received training on exercising safety each day. Trainings held on June 25, 26 and 27th. With summer in full swing, the guidance on how to exercise heat safety during the summer months came just in time. Highlights are below: Heat Safety During extremely hot and humid weather, your body’s ability to cool itself is challenged. When the body heats too rapidly to cool itself properly, or when too much fluid or salt is lost through dehydration or sweating, body temperature rises. When this happens, you or someone you care about may experience a heat-related illness. On average, drink 4 cups of water per hour or more. Choose water over soda and other drinks containing caffeine and high sugar content it may lead to dehydration. Heat exhaustion If an employee appears to suffer from heat exhaustion, move the person to a cooler environment, lay the person down and loosen their clothing. Then apply cool, wet cloths to as much of the body as possible, fan or move victim to air conditioned room, offer sips of water and if the person vomits more than once, seek immediate medical attention. Heat stroke A heat stroke is a severe medical emergency. You should call campus police or 911 to get the victim to a hospital immediately, as delaying can be fatal. Move the victim to a cooler, preferably air-conditioned environment. Reduce body temperature with cool cloths or bath. Use a fan if heat index temperatures are below the high 90s. Important: A fan can make you hotter at higher temperatures and DO NOT give fluids.

Take extra precautions during the summer months and drink plenty of water, rest breaks, and have a “buddy system” with other co-workers. Keep an eye out for each other with the heat and watch for heat illnesses. Keep safety top of mind!

ARCHIBUS TIPS AND TOOLS

Lacy Scott, Archibus/IT Administrator Tips are to assist with the use of Archibus and provide continued support for any questions elated to using the Archibus System. 1.

Sometimes, when you try to login to the Archibus system your browser may come up with a blank screen. This normally happens when you neglect to logout of the system after using it. The browser remembers the last screen loaded, (for faster loading), and tries to go back to that screen. This is not a valid screen because it needs your sign-in credentials. If this happens you need to clear your browser cache. Clearing browser cache is different for each browser, i.e., Chrome, Firefox, Safari or Internet Explorer. Next month I will start giving instructions for clearing each browser.

2. To create more user-friendly descriptions for your Archibus requests, the facilities department is currently revamping the problem types. Our first update will be with the problem type descriptions for the Logistical Department. From this point forward, to create request(s) in Archibus for moves, please use the “MOVE MANAGEMENT-LOGISTICS” problem type selection. When choosing this as your first-tier, you will be able to identify further, with the second-tier selection, as to your particular request submission.

NEWS YOU CAN USE... KEY AND LOCK CONTROL MANAGEMENT Key and lock control management is under Facilities Administration. If you need to turn in, transfer, have new keys issued, or have locksmithing needs do the following: 1) Complete a request form found on the facilities website under the key control tab (https://www.uthsc.edu/ facilities/key-control.php). 2) Attach the form to an Archibus work order request (link found at the bottom of each page of Facilities website). We are located in the Physical Plant Building (room 224). Office hours are 7:45 am – 4:45 pm, Monday through Friday. For further assistance, please call 901.448.4001.

These days, our digital devices contain vast amounts of data, from family photos and music collections to financial/health records and personal contacts. While convenient, storing all this information on a computer or mobile phone comes with the risk of being lost. Data can be lost in several types of incidents, including computer malfunctions, theft, viruses, spy ware, accidental deletion and natural disasters. So it makes sense to back up your files regularly. A data backup is a simple, three-step process: • Make copies of your data • Select the hardware or method to store your data • Safely store the backup device that holds your copied files When you conduct a backup, the files will have to be stored on a physical device – such as a CD, a DVD, a USB flash drive or an external hard drive – or on the web using cloud-based online storage. Ideally, you should back up your files at least once a week.
