HOW TO ENROLL IN BENEFITS OR MAKE CHANGES • Enroll or make changes in Edison – edison.tn.gov. Enrollment period begins September 30th. • If adding dependents for the first time, you must provide proof of dependent’s eligibility by submitting acceptable documents by October 11 at 4:30 pm central time zone • A list of eligible dependent documents is found at tn.gov/partnersforhealth under publications then forms. • Employees can upload documents in Edison or fax to 615.741.8196.

RETIREE EMAIL CONTINUATION WILL END NOVEMBER 19, 2019 On November 19th, all current retiree email accounts will be closed, and the option will no longer be offered. Current and future retirees who work in a temporary post-retirement position or provide a service to the University that will require a NetID and email will not be affected by this change. The employing department must sponsor the retirees’ email and ensure retirees are completing the required security training. For more information please read Retiree Email FAQ’s.

PROFESSIONALLY DEVELOPING EMPLOYEES Leadership encompasses a variety of knowledge, skill and ability. Nothing is more rewarding for leaders and employees than professional development activities and stretch assignments that help foster growth and increase confidence. A stretch assignment is a project or task given to employees which is beyond their current knowledge or skills level in order to “stretch” employees developmentally. The stretch Chandra Alston, EdD assignment challenges employees by placing them into uncomfortable situations in order to learn and grow. A UTHSC position description is one tool that provides details related to the position’s contributions to the department and organization. The supervisor should provide opportunities beyond the scope of the position description to foster growth and build confidence. Debbie Long, HR Specialist, works in Human Resources and was recently offered a stretch opportunity to certify in Myers Briggs Type Indicator Training and then deliver it to our campus constituents. This opportunity allowed Debbie to expand her knowledge and impact to our campus. I challenge you to provide a stretch opportunity to your employees. 2019 SICK LEAVE BANK ENROLLMENTS

After a successful Ice Cream Social and campaign, the Sick Leave Bank boasts 110 new members! The Sick Leave Bank has open enrollment every year April 1-June 30th. If you would like to learn about the Sick Leave Bank, you can find information on the HR/Employee Relations website.

FRIENDLY REMINDER! WORKERS’ COMPENSATION CHANGES Beginning July 1, 2019, the TN Division of Claims and Risk Management will assess a $500.00 departmental penalty: • Each time an injured worker seeks non-emergency medical treatment prior to reporting their injury to CorVel and • If an employee or employer does not report a work injury within (3) business days after sustaining said injury The purpose of Workers’ Compensation is to provide care and compensation to University employees who are injured or contract an occupational illness in the course of employment. FLEXIBLE SPENDING ACCOUNT OPEN ENROLLMENT: OCTOBER 1-31 WHAT IS A FLEXIBLE SPENDING ACCOUNT? If you paid for any out of pocket medical or dependent care expenses this year and are not currently enrolled in the University’s Flexible Spending Account plan, you are paying more in taxes than you would have if you were enrolled in the program. A flexible spending account allows you to take money from your compensation and place it into an account for medical and dependent care expenses. These funds are not taxed, thereby potentially saving you hundreds of dollars. The money put aside in the account is then used by you to pay eligible medical and dependent care expenses. These payments can be made via the debit card provided or you can make the payments and request reimbursement from the funds in your account.

HOW DO I ENROLL! Re-enrollment is required each calendar year! Enrollment is online at stateoftn.payflexdirect.com. Instructions are provided on the “Your Guide to Online Enrollment” weblink. If you are enrolling for the first time, you must click on Register Now button. You will be asked to enter your Member ID (this is our social security number) and your 5-digit home zip code. Enrollment must take place during October 1 through October 31. • You may carry over up to $500 from your Health Care FSA or Limited Purpose FSA from 2019 into 2020 only. Any funds greater than $500 remaining in your account will be forfeited. There is no carry over for your Dependent FSA. You have until April 30 of the following year to file FSA or L-FSA claims for the previous year. Any carried over funds will be added to your election for 2020 and these funds will be tapped before your 2020 funds are used. • During the annual enrollment period, if you have a balance in your medical FSA on December 31 and you choose to enroll in a CDHP for the following year, you cannot open a health saving account (HSA) until April 1 of the following year. Any claims against your HSA must be for April 1 or later, as well.

The PayFlex debit card will not work at childcare facilities. On dependent care claims, you will need to file a paper claim with PayFlex for reimbursement. You can set up a PayFlex’s state-specific website your bank account information so that you can issue a payment directly from PayFlex to your dependents care provider. A PayFlex representative will assist you with this process. You can also make a payment via your own personal check, keep your provider’s receipt for tax purposes and then deduct the funds from your dependent care FSA to go back into your bank account. Please keep copies of all receipts for IRS tax purposes or in case of an audit.

HOW DO I USE THE PAYFLEX CARD TO PAY FOR ELIGIBLE EXPENSES? The PayFlex Card provides a simple way to spend the money because the card is used similarly to a debit card since it electronically accesses the money loaded onto the card when used to pay for eligible expenses - PayFlex Card Flyer.
