Effective Fall 2009, Student Assessment of Instruction will be delivered to all East Campus students, all Winter Park Campus students, and online students on other campuses in an online format each semester. West Campus and Osceola Campus will use paper assessment forms for all onsite and hybrid courses. Below we’ve listed a few of the answers to frequently asked questions that you may be interested in reading as we embark in this new process of student assessment of instruction. How will your students receive the online Assessment? If your class is receiving an online survey, your students will receive an e-mail message in their Atlas account from an address called “Student Feedback Admin studentfeedback@valenciacc.edu,” which will alert students that the Student Assessment of Instruction is available to them, and invites them to participate by completing the survey. Please take a look at the image (shown on the right hand side), which is a sample of the email that students will receive. As you will note in this sample, every student will receive a link to the survey itself, along with a security password for authentication purposes. According to policy and to ensure the students’ anonymity these passwords are untraceable and the students’ responses are anonymous. NOTE: Only one survey can be completed per password. If students have trouble with the given passwords, they should contact the Administrative Assistant in the Department office. Are there any reminders in place that will prompt students to take the survey? Yes. If a student has not used their password and taken a survey, the system will send out a reminder email to that student at specific intervals while the survey is open. The email text is very similar to the invitation email. The main difference is located in the subject line, which states that the email is a “reminder” email for a particular course’s online survey. See the image below for details. Once the student has taken the survey they will receive no further reminders, meanwhile those students who have not completed the survey will continue to receive reminder emails until the survey closes. faculty are encouraged to remind students about the importance of completing these online assessments of instruction.
How do students take the survey? Taking the survey is an easy process. The invitation email that is sent to student will include a link to an online tutorial outlining how to take the survey, but we’ve also included the information here. Please take a moment and familiarize yourself with the procedures. We strongly recommend that you share these steps with your students as well. To take the online survey, the students simply have to follow these easy steps: Open the email invitation from studentfeedback@valenciacc.edu, either write down or highlight and copy the password, and click on the URL for the survey. The survey is located in a secured area. Therefore, if you receive an internet browser security certificate as the page loads, click on “Continue to this website (not recommended)� to launch the survey site.

Students will now be prompted to enter the password that was provided in their atlas email. Paste or type in password and click OK.
Students can now fill out the survey form and click Submit. A pop up window will appear asking students to confirm submission of the questionnaire. Click Ok to complete the survey submission process.

How do students know their survey answers have been submitted? All students who successfully complete an online survey will receive a confirmation email within minutes of submission to their atlas email. The image below shows a sample of the email message that students receive.
How does a student receive and take the paper Assessment forms? You will receive a packet of Assessment forms from your Department office. There will be one packet for each course section (CRN) and it is important that you give the correct forms to the correct class. Click here to view a sample of the survey form that your students will need to fill out. Please note that each and every survey form is bar-coded to match a particular CRN, so it is important to keep the surveys for each of your course sections separate; for example, don’t give the forms for CRN 11111 to CRN 11112.

It is very important to instruct the students to use BLUE/BLACK ink and to make an X in the box rather than a checkmark. If they do not follow these instructions, the answers may not be captured when the forms are scanned.
Will I receive a copy of the survey responses? According to policy, all surveys for the semester close at the time grades are due. This is a safety measure that ensures students’ responses on the survey are not influenced by their final posted grade as well as ensuring that the final grades entered by the faculty member are not influenced by the responses of their students. When the survey closes, a report (in pdf format) is emailed to faculty.

Please note, if none or only one or two students took the survey the report might not be generated and you will receive notification that there were not enough responses. There will be one report for each course section.
