Chairman’s Annual Report It is a privilege to present my first Annual Report to the Canterbury Branch as Chairman. This year we welcomed three new members to our Branch Committee. Brendon Eason, (Vintage Convenor) and now Hub Editor, Neil Shaskey (Commercial Convenor) and Dave Inwood (Club Captain.) Dave has of course served on this committee previously, and when there was no nomination for Club Captain last year, he graciously offered to take over the role after completion of his duties on the Swap Meet Committee. Greg Lamb stayed on as Club Captain after the last AGM until Dave was free to take over. I want to thank them both for their commitment to this important position. Neil and Brendon have both been excellent convenors and run popular rallies. When Daniella Judge had to resign as Hub Editor to take up studies in Wellington, Brendon offered to take over this role, as he had already been involved in changing the Hub distribution to a digital format for those who wished to receive it by email. Brendon has made a huge contribution to our branch over the past year using his computer skills to update our systems and make information more readily available to all our members. These three new members have made a major contribution to the administration of the Branch and planning our future direction. Rod Thrower has taken over the Secretary’s role with great enthusiasm and has upgraded and improved many of the systems as well as sorting out the ongoing problems with name badges. He is always available to help with activities and is often found at our clubrooms checking on things. Kevin Sarjeant continues to serve us very well as treasurer, and this year he has produced a healthy surplus, despite the expenditure we have undertaken in upgrading our grounds and premises. Believe me, we will need this money over the next year or two with the need to maintain and upgrade our wonderful facilities here at Cutler Park. Young Tim Palmer (Veteran Convenor) and young George Kear (P. Group Convenor) have produced well supported rallies for their respective interest groups, but as well have taken responsibility along with Dave Inwood as committee representatives to support the planning and execution of the Irishman Rally each year. This event grows in popularity each year and is now such a large and complex event that it requires an experienced team like this to support the organiser. 5
Chairman’s Annual Report... George has also been the Chairman of the Grounds Restoration team which over the past couple of years has been responsible for all the new planting of trees and shrubs, landscaping and irrigation which has been necessary following the removal of old, damaged and dangerous trees by E-Can. This has been a tremendous undertaking involving large expenditure of our funds, and thousands of trees and hundreds of metres of irrigation lines throughout the grounds. Many members have attended the large number of working bees over the past two years to undertake this task, and we thank you all for your time, expertise and efforts. We can all be justly proud of what you have achieved, and over the next ten years the shelter and beauty of these grounds will be greatly appreciated. The Motorcycle section under the leadership of Les Freeman continue to enjoy a full social and eventful programme, making good use of the Social corner and hold regular working bees where work is done to tidy up the grounds and routine maintenance tasks are undertaken, such as painting the floor of the toilet block of the main hall. We are grateful for the work this group undertake to maintain and improve our facilities. The 9 – 90’s group under John Kuipers leadership has a very popular following each month, and is one of our better attended events. Regular members of this group take turns to plan and organise a trip each month, often with interesting places to visit. Mike Foster leads our Maintenance Team which regularly meet to maintain and improve our grounds and clubrooms, and these members also assist with the grounds restoration work. Our club is built on the volunteer work of its members, and we are so fortunate to have such a dedicated team. Many of us take our grounds and premises for granted, but you only have to look around to appreciate how much work these members do for our branch. Those who have entered the main hall since the May Noggin will have seen the removal of the old bar and reconstruction of the area to incorporate a new and more efficient bar which better reflects our motoring heritage. Gill Stevenson, our bar manager, and a small group of maintenance people have planned the new bar and we are grateful to those members who have donated their skills and time to complete this important upgrade. 6
Chairman’s Annual Report... The Spare Parts Department under the leadership of Des Fowler continued to improve the service to our members as well as generate a good income for the branch. Sadly Des took ill and passed away during the year, and Ross Butler has represented the Spare Parts at our committee meetings most of the year. The extension to the parts shed has now been completed and a huge amount of work has been done erecting shelving and sorting the parts to go on the shelves. The lighting is now being installed to complete the project. Thanks to the large team who regularly meet each week to maintain this important facility. The Swap Meet committee under Colin Hey has made a lot of improvements to the way the event is run and also had to re-design many of the sites as a result of the landscaping changes and planting carried out in the grounds. The issue of wristbands and new rules regarding payment of entry fees have made for a simpler more straightforward means of administering this large event. Remember that this is the one and only fundraising event for our branch, and members should willingly pay their $5.00 entry fee, knowing that this is supporting all the facilities and events provided for them during the year. Thanks to the many members who serve on this committee and assist with various tasks over the weekend. We have new caterers appointed for branch events. Lyndsay and Annette Painter are branch members, who have taken on this important role, and judging by the food at events so far, a popular choice for future events. This year saw two new calendar events incorporated into our busy schedule. A direction from the National Executive meeting last year saw the first National Vintage Car Club Day held to coincide with Daffodil day as a fundraiser for the Cancer Society. The decision was made with short notice and we had to change one event to accommodate this new event. With little time to arrange an event, Colin Hey volunteered to organise and run this event at the end of August, contacted other car clubs and planned five different routes, organised morning teas and a BBQ lunch as well as different venues to visit. The event was a huge success with this branch donating $5,000.00 to the local Cancer Society and nationally $40,000.00 raised for the Society.

Chairman’s Annual Report... Malcolm McGibbon approached the committee with a plan to organise an Anzac Day run to coincide with Anzac Day services in the rural area, with the emphasis on Veteran, Vintage and vehicles up until 1946, but open to all club vehicles as supporters. Permission was given, and Malcolm arranged support from Duttons Garage, and ran a very well attended event which was thoroughly enjoyable. This is also now a calendar event, and we will look for someone to take over running this new event, and also someone to take responsibility for the National Day event in August. Thanks to both Colin and Malcolm for your enthusiasm and efforts. My first year as Branch Chairman has been challenging, exciting and very rewarding. Over the past two years I have learned a huge amount about all the things that go on unseen within the branch, the incredible dedication by some members in supporting this branch in so many ways, and the huge pool of skills and talent that we have within our branch. When there is a task to be undertaken, there is always someone within the branch who has the skills and experience to ensure it is completed satisfactorily. I want to thank all of the members who contribute in so many ways. Your efforts are appreciated, and the results speak for themselves. Thanks also to all of you for your advice and support during the past year, especially to the branch committee and section representatives. Treasurer’s Annual Report It is pleasing to report that the Club had a comfortable financial surplus of $21,070 for the 2017/18 year compared to a surplus of only $1,323 in the previous year. The cash surplus was $39,563 after adding back deprecation written off of $18,493. This enabled the Club to purchase new assets totalling $ 21,558 including extension to the irrigation system $6,385,more trees and shrubs $7,926 ,two fridges (funded ex the Motor Cycle group account) a new Skope bar fridge and other sundry items.
On the income side subscriptions record an increase of $2,820 mostly because this is the first full year of the subscription increase made in 2016. The Swap Meet contributed another healthy result of $37,914, which is approximately 28% of our income and the Parts Shed contributed a record amount of $33,881 or 24% of our income. On the expenditure side most costs were pretty much as budgeted. A reduction in Hub costs of $5,179 is a result of some 170 members receiving their copy online, saving both the printing and postage cost. Unfortunately postage is set to increase again on 1st July 2018 so more members receiving the Hub on line would be helpful. The only other significant expense variation was a reduction of $7,100 in grounds development costs. The Statement of Financial position as at 31 March 2018 shows the club to be in a sound financial position. Investment accounts total $196,118 up by $20 K on last year. The accounts record a working capital deficit of $20,057 but this is of no concern as it is created by the extensive prepayments we receive for Subs (paid to 31/10/18) , Swap Meet sites prepaid for 2018 and prepaid rally entries all totalling $58,847 I would like to record my sincere thanks to Murray Trounson for his guidance and help with the computer programme. Club Captain’s Annual Report My first year as Club Captain has been eventful and busy. Sincere thanks to Greg Lamb for staying on until after the 2017 Swap Meet last year. I have had help from many of the club members and especially from the current members of the Committee. As always many hands make light work so do not be afraid to put up your hand. From my observations all the rallies, runs and activities of the club seem to have been enjoyable and really successful. The maintenance team has been working away tirelessly as always and also the grounds restoration group - to have our facility looking great again. The Parts Shed has had a really successful year. The Swap Meet – although the weather did us no favours – was also a success. Thanks to both of these teams for producing the main incomes for our club. Our main hall needs painting and the quotations we have been receiving are more than the entire profits from the Swap Meet! From my point of view I think we can carry out this work using volunteers from our own membership. So think about this and keep an eye on the Hub as we will be calling for help as the spring approaches. If we work together we can save a huge amount of money, even if we concentrate on one wall at a time. Mike Foster raised this issue earlier in the year without much of a response. Please keep in mind that all of the money spent by the club on our facility is raised by volunteers. Leigh Craythorne is standing down from the Committee this year after giving years of service. Her experience and attention to detail will be sorely missed. I wish Leigh all the best, although she will still be involved in looking after the Trophies. Thanks Leigh for all your effort. On this subject there are a couple of positions vacant on the Committee. If any of you are prepared to step in please fill in the form in the Hub - you will probably enjoy being part of the running of our club. Secretary’s Annual Report Well here we are one year in and elections again. I have enjoyed my first year as Secretary and hope the members see fit to re-elect me to the position again for another year as I have just started to get my head around what is necessary to make this huge Branch tick over. I feel this past year's committee have been a great team to work with and we have achieved a great deal. I would like to thank Leigh , John and Julie from National Office for the support they have provided over the year, with me making many phone calls all times of the day and into the night, also for my fellow committee members for their patience as well. Veteran Convenor’s Annual Report We had two main Veteran events over the last year & including the early Vintage two wheel brake vehicles End October annual rally was the same day as the All British car day event and both starting at Cutler park. This worked well as we were invited along to the same lunch stop so really did make it a good day out and plenty of cars to look at.
Starting with Field Tests at Cutler Park and then finishing at the Kirwee domain for lunch after about a 30 mile run. The January Picnic run started at Kelvin Finlays lovely property close to Kaiapoi , we did about a 35 mile run around north Canterbury and ended up back at Kelvins place for a picnic lunch. Both runs we were lucky with the weather again so always makes for a good day out. Tim Palmer - Veteran Convenor 11
Vintage Convenor’s Annual Report This year's rally started at the clubrooms at McLeans Island with a lovely morning tea made by the Smith family, while the entrants awaited their appointed start times for the Timed Section of the rally. The weather cleared from easterly overcast to a beautiful sunny day. The rally meandered through West Melton, Weedons, Burnham and Rolleston to finish at the fantastic Straight 8 Estate in Burnham. A 40 mile run past 3 local vineyards, including a time trial, 2 x check points and field tests after lunch in the vineyard at Straight 8 Estate. 45 vehicles managed to attend (2 broke down prior to the rally and withdrew). Thank you all for making the Vintage Section so magical and fun. This year was my first as the Vintage Convenor, and I want to encourage any current members and any prospective members to get involved and come along. After seeing hundreds of vehicles at the recent fundraising VCC Daffodil Rally for Cancer, I am enthused to get as many along to the Annual Vintage Rally as possible.
To me, that’s what makes the VCC so special, people enjoying using their vehicles in a safe and enjoyable way. It would be a shame if all the cars of ‘older’ ilk ended up just in museums or sheds for people to look at but not to touch. I would love to encourage members who feel they might not want to bring their vehicle out on their own to involve family members or friends to drive their vehicle or even navigate. Rallying is fun when you do it as a team! So… if you have a road-worthy and club-eligible vehicle dated between 1919 and 1931, please consider coming along to enjoy your vehicles alongside members who have vehicles of a similar age. Who knows, you may even win a prize! See you at the Annual Vintage Rally, or one of the many other wonderful club events. Brendon Eason - Vintage Convenor

P Group Convenor’s Annual Report This year’s P-Group Rally was the biggest yet with 68 cars starting the day with field tests at Cutler Park. Yet again I must take full credit for another clear sunny day, making this the 5th in a row for this event. The field tests were designed more for amusement than point gathering with plenty of laughs coming from the cars and even more so from the on lookers. The ducks even managed to catch up with us at the lunch stop at Whitecliffs and were happy to go to new homes with the day’s event winners. This year, on request I split the run into three lengths to help cater for the wide year range that the P-Group covers. We had 10 cars take on the long route, 13 on the short and the majority of 45 on the medium 100km route. I did think that this approach worked but for next year might only offer 2 routes to make it easier to organise and reduce the chance of errors when routes cross over. The makeup of classes was also interesting. 12 PVV’s, 18 PWV’s, 32 P60V’s and 6 P80V’s. It is good to see the older cars still being active and the newer models numbers starting to grow. I strongly believe that the club is about encouraging motoring from any car category and the new models help to bring on the younger generation. I enjoyed being the P-Group representative on the committee this year and have offered up my time again for next year. If you have any ideas for a destination for next year’s run please speak with me and I will see if we can make it happen.

Commercial Convenor’s Annual Report It has been an interesting first year on the committee, after seeing that there was a shortage of people putting their hands up, and deciding I probably should do something to contribute after being around the club on and off for quite a number of years. I’ve found that there’s a bit of organising involved in being commercial convenor, particularly the monthly commercial noggin which relies on members volunteering to host the noggin or making arrangements for an interesting place to visit.
Many thanks to those who have put their hand up to help out in any way, and for passing the word around to correct a couple of errors in the Hub reports to make sure everyone knew where they were going and when. We were fortunate to have great weather for the annual commercial rally and as far as I’m aware everyone enjoyed their day out, thanks to everyone who volunteered their time to help out. Otherwise it’s been mostly uneventful, and hopefully I’ve managed to make some useful contribution to the running of the branch. Thanks, Neil Shaskey - Commercial Convenor
Maintenance Annual Report The maintenance team has had a busy year mostly keeping the grass mowed and weeds under control, cleaning up rubbish from tree and wind break trimmings. George and myself had a big rubbish fire. Thank you to his boys who stayed over night to look after it for us. The cooler weather is here which gives use a reprieve from shifting irrigation etc, With the new plantings are coming along nicely The roof on the chalet has been re levelled and repaired as it was leaking badly, Thank you Graham. A big thank you to the rest of the maintenance team who give up their Sunday morning freely with out them the grounds would not look so neat and tidy. Cheers Mike Foster - Maintenance Rep

Motorcycle Section Annual Report It is again my privilege to present this report on behalf of our section for 2017—18. Your committee has been working very diligently to provide a full and varied programme for us all to enjoy. A lot of our monthly noggins have been held away from the Island and the numbers attending have been higher away from the Island. All the events continue to have good support but there is still room for greater participation at the 3 Major events.
The Girder Fork Rally had 38 entries, where we again had a garage/shed raid on 2 properties in the morning run which proved very popular and I wish thank the owners for hosting us and the displays they put on. We then proceeded to a BBQ lunch and field test at Ataahua Domain Hall, after a great lunch we followed the main road to Akaroa for the night. Sunday was a leisurely ride to Tai Tapu for Lunch. Annual Rally this year took on a totally different approach, with us on the Saturday morning assembling at Redwood then going to the beach runs on New Brighton Beach where 12 members did the flag marshalling duties, and a number of our members were also exercising their machines on the beach. Each rider had at least 4 runs up an down the beach. On Sunday morning we had 2 runs leaving from different locations finishing at the Island for a BBQ lunch Followed by prise giving an another fabulous evening meal catered by June and Alan Bland in the barn. The Fish & Chip impromptu runs are being well supported. The Moped run continued to get great support and the numbers are growing. Unfortunately the Scooter Rally had to be postponed because of the weather and will be run in the spring. Social corner is continuing to develop into a great asset for the club, with the planting having a favourable growing season is looking very smart. I would like to again Thank those involved for their contributions and working bees to keep them tidy and chopping fire for the fire. Finally I wish to thank the committee for the support and help during the year on your behalf. I again have enjoyed my year as convenor. Thanks Les Freeman - Motorcycle Section 15
Swap Meet 2017 Report I want to begin this report by acknowledging the great effort put in by the 2017 Swap Meet committee last year, and also by the many members who helped out with various tasks and with displays over the weekend. Your help was appreciated, and the overall outcome is entirely due to your efforts. Despite the weather once again not playing its part, the event was once again successful financially, with a net surplus of over $37,000. A high level of expenditure on advertising and promotion helped bring the crowds to the event, most realising that Friday was the day to be there and coming out in force on that day to find the bargains. This was also matched by a good turnout of display vehicles despite the weather, both from our own club members and from the various clubs and organisations that support the event. Last year we introduced wrist bands to prove admission had been paid. This was very successful, and whilst some questioned the need for it, it stopped all sorts of evasive behaviour and arguments at the gates, made the gate-keepers work a lot easier, and gained us more revenue. One of our biggest challenges is people arriving earlier and earlier every year, with some arriving the weekend before, and even beginning trading as early as Wednesday. This makes it extremely difficult to manage admissions, as our manpower efforts are focussed on setting up the grounds until late Thursday. If this trend continues, we may have to look at keeping the gates closed until at least Wednesday afternoon so we can better control who is in the grounds. The committee has changed only slightly for 2018, and we still need someone who is reasonably computer literate to help out with some of the administrative tasks. We will greatly miss Alan Parris who is sadly no longer with us – he was always there to offer advice and make sure all the finest details were buttoned-off. Alan put in a huge effort over the years, and the financial rewards of this work enabled our branch to be so successful and for Cutler Park to develop into the asset that it is today to all of our members. We will miss him at our monthly meetings. We have already begun work on this year’s event, which will challenge us once again as we try and do better than last year, whilst (like every year) introducing some subtle but necessary changes to try and make the event run even smoother. Actually promoting the event is becoming more and more challenging, as the traditional means of advertising in newspapers and other publications is now very much old-school. Whist it still has a place, we need to look more and more to digital and social media to achieve the same or a better outcome. 16
Swap Meet 2017 Report... This year we are planning a huge display of utes and pick-ups (any age) to assist with our promotion. If you have one, get it ready and plan to be there – you won’t want to miss it. Going forward, we need to ensure the Swap Meet continues to evolve to meet changes that invariably happen with time. The landscaping efforts over the last two years have made a huge improvement to the space available and enhanced the grounds, but they have meant a lot of effort re-marking sites, so it is good that the major work is now over and our markings will stay in place year to year. Overall, however, we are in good shape to deliver another Swap Meet in 2018. Colin Hey Swap Meet Chairman

The Hub Report This year saw two new Hub Editors, starting with Daniella Judge and ending with Brendon Eason taking over December/January. Thank you to Daniella for stepping in when the need arose and producing a quality magazine until University studies called you away. It was very much appreciated from all in the Club. Since taking over the production of our Club magazine, I have tried to keep it clean and easy to read. It is always produced in full colour, and published as such in the online and emailed versions. Due to printing costs, the printed copies of The Hub can only have the cover pages and a centre spread in colour. My ultimate goal would be to get as many members as possible to sign up for the electronic colour versions and cut down on our printing and postage costs as a branch. The online versions allow you to hover your mouse over ‘links’ in the magazine and be taken directly to websites, online rally entry forms and emails. We now have over 170 members on our email list each month, but this could be greater - when you consider our branch has over 1000 members. Please feel free to send me any funny stories, rally summaries, restoration photos, anything you think other members may appreciate. I am trying to add a little humour and a few puzzles each month to keep you guessing and keep you laughing. The magazine reflects our branch, and as such should have as much input from members as possible. Thank you, Brendon Eason - Hub Editor 18
Vehicle Identification Card Report This year there have been 16 new Vic’s issued, 39 Authenticity Statements and 21 Renewals. There has been a steady increase in the number of non members getting authenticity statements so they can register their vehicles. These need to be done through the VCC and non members pay a fee to the Club to have this done. Could applicants please make sure that their forms are filled in correctly and that the photos are the correct size to avoid delays in getting these processed. There is still a problem with members sending forms for Vics, renewals and authenticity statements to Head Office. These need to be sent to the Branch to be signed off. Sending them to the Head Office always delays with the processing. Please make sure that they are sent either to the Branch secretary or directly to me. I would like to thank the members who have assisted me during the past year. Don Bennetts
Library Annual Report Another busy year for the Branch Library, which was well used by members each month; some to browse, some just to chat, other taking out books and magazines. We still have some books, of which we have multiple copies, which we are offering to members for a donation, the money received being used to purchase new books. We have also received donations of books and other magazines during the year, and these donations are very much appreciated, and keep the library growing. We haven’t been able to do a stocktake so far this year as with over 6000 books, it is a huge task. Parts Shed Annual Report Whilst the Parts Shed produced a great return from activities this year, this was marred by the illness and subsequent passing of Des Fowler, our Chairman and representative to the main committee. He is, and will continue to be greatly missed. Sales of parts etc have produced $33,881 this year, a record amount. We have continued to receive many donations of parts and some almost complete vehicles, (in varying condition) and have been fortunate in being invited to take part in the clearance of a number of garages and properties which have yielded an amazing range of items. Regrettably, in several cases, desirable vehicles have been parked up and left to the ravages of time and weather. This has resulted in our having to decline a number as they were rusted beyond redemption and couldn’t be moved in one piece, but others were brought back and uplifted with enthusiasm with plans for their future restoration or use as a donor vehicle for something already under restoration. The parts shed team have been very active throughout the year as usual and the racking, along with a mezzanine floor in the engine shed extension is now completed under the supervision of Neil Stevenson who has led the design and installation of racking throughout the complex. Thanks to Neil and all the team who have done this. Lighting for the new area is about to be installed which will bring completion to this project. Finding appropriate wheels is now much easier after Peter Wright sorted them according to size and stud number in the new wheel rack, thanks Peter. Thanks are due to those members who look after parts sales and enquiries on the days the shed is open and also thanks to those who sort parts on receipt and put them in their allocated positions.
