Health and Safety of our employees is #1 priority, and we have taken concrete measures to make sure the workplace is safe. To achieve this, we have set the following guidelines, amongst others. 1. Mandatory completion of self-verification before arriving at the office 2. Temperature check / thermal screening at all entry points 3. Disinfection and cleaning practices to maintain hygiene at washrooms, cafeteria, meeting rooms and common areas 4. Availability of sanitizers or alcohol-based hand rub at entry and exit points and other key locations across the premises 5. Markings to ensure social distancing across cafeteria, canteen, wash rooms, lifts. 6. Protocol in place to respond to emergency situations


A NOTE TO ALL EMPLOYEES OF VOLVO GROUP, INDIA As a step towards creating a safe workplace, our teams have curated instances that you will experience in your daily work life at Volvo, and here are a few measures which you must follow to ensure our the workplace remains safe from COVID-19 infection. This document allows you to discover information quickly and helps you to get familiar with practical recommendations that are based on guidelines from the Centers for Disease Control and Prevention and the World Health Organization. These guidelines have been tailored by the COVID-19 Response Management team to address various scenarios one may face when returning to work. We are re-establishing a workplace during these challenging times so that we can perform our jobs safely is a multi-faceted challenge. It needs co-operation among all. We hope that by sharing this resource, we help you and your colleagues to create a safe workplace where everyone adapts to the new operating protocols. Self-verification is a must To prevent the spread of COVID-19 and reduce the potential risk of exposure while at work, all employees should mandatorily complete filling the self - verification questionnaire before you arrive to work on the first day. The link to complete the self-verification questionnaire will be sent to you either by email or other electronic media options. By responding to the online questionnaire, you will ensure the organization, you and your colleagues are safe. As a step towards creating a safe workplace, our teams have curated instances that you will experience in your daily work life at Volvo. Here are a few measures that you must follow in order to ensure a safe workplace Note: Your responses to the questionnaire will be kept strictly confidential. This questionnaire is applicable to all regular and temporary employees, consultants, contractors, visitors, or anyone physically present at a Volvo Group facility.


Commute Personal vehicles Here are a few things you need to keep in mind while traveling to the office: 1. Please use your personal vehicle to travel. Do not use shared transport. 2. Sanitize your hands before and after using your vehicle. 3. After parking your personal car/motorbike, maintain social distancing and walk directly to your office. 4. Wear your mask or cover your mouth and nose when you cough or sneeze.


Safety @ Elevator If you are using the elevator, please follow the instructions displayed outside the elevator. 1. Maintain social distancing by not crowding and taking the stairs whenever possible. 2. Wear your masks or cover your mouth and nose with a napkin when feeling the urge to cough or sneeze. 3. Do not touch elevator buttons after sneezing or coughing. 4 Remember to sanitize your hands when you exit the elevator. 5. We urge employees to take the steps and avoid elevators as much as possible.


Non-Contact Greeting Greetings don't have to involve physical contact. There's nothing wrong with verbally saying hello to someone and not taking things any further. Say hi and quickly present a follow-up question, like "how have you been?" to keep the conversation going. To avoid ourselves getting or passing on our infections, it is also a good practice to greet others saying "Namaste" or by “waving your hand�


Safety @ Washrooms In order to avoid contact with door knobs, the washroom doors will be kept open at all times. Please ensure you, 1. Maintain social distancing. 2. Wash your hands thoroughly with soap and water for at least 20 seconds to prevent passing on germs. Dry your hands 3. Use alcohol hand rub, if hands are not visibly dirty 4. Take note of various instructions displayed in the washroom to stop / prevent the spread of virus


Safety @ Office space Please ensure the following: 1. Timely use of hand sanitizer. 2. Consider to wipe and clean your keyboard, mouse, desk phone and the desk surface using a tissue. 3. Avoid using other’s computer or stationary. 4. Ensure sanitizing hands before and after visiting the shop floor. 5. Keep your workstation clean. 6. To minimize the risk of germs contacting by opening doors with arms and touching handles, the doors are kept open. 7. Please avoid shaking hands due to the current situation. 8. F2F meetings in the meeting rooms should be only with 50% occupancy.


Safety @ Cafeteria / Pantry Our cafeteria staff has taken additional safety measures to ensure hygiene. While in the canteen ensure you: 1. Wash your hands thoroughly once you enter. 2. Maintain social distancing when in the queue, especially while collecting coupons and food. 3. Follow the directions provided about the seating plan and avoid spending too much time in cafeterias. 4. Avoid eating food from outside. We urge everyone to bring in home-cooked meals 5. Wear your mask or cover your mouth and nose with a napkin when feeling the urge to cough or sneeze 6. To maintain hygiene, lunch will be served by the cafeteria staff, and there will be no self-service. 7. Avoid spending time socializing with your peers in the cafeteria. 8. Disposable paper cups are used for drinking water in cafeterias to avoid any potential harm. 9. Employees should carry their own water bottles and tea/coffee mugs. You should clean it yourself.


Safety @ Meeting rooms As a safety measure during this pandemic, we request you to avoid physical meetings and conduct meetings online through Skype or other virtual tools. However, when hosting or attending unavoidable meetings, please ensure the following: 1. Sanitize your hands thoroughly before you enter the room. 2. Maintain social distancing and limit only up to 50% of the seating capacity. 3. Wear your mask or cover your mouth and nose with a napkin when feeling the urge to cough or sneeze in the room.


Safety @ Security Entry Points As a safety measure during this pandemic, no visitors will be allowed to our facility until further notice. Employees must mandatorily carry ID cards and present to security, when sought. If you are wearing a nose mask and while entering the office you may be asked by the security staff to take off the mask for face recognition.


Safety @ Medical Centre If you are visiting medical centre for doctor consultation, remember to follow the below: 1. Social distancing is mandatory, please follow it. 2. Sanitize your hands before entering the health center. 3. Wear your mask. Cover your mouth and nose with a napkin when you have the urge to cough or sneeze. 4. Avoid touching any surfaces or objects without the staff’s permission.


Safety @ IT Store, Lab and Hub Rooms Follow these few steps to ensure your safety and that of your colleagues. 1. Sanitize your hands before and after visiting. 2. Wear your mask or cover your mouth and nose with a napkin when feeling the urge to cough or sneeze. 3. Maintain social distance when interacting with the store staff. 4. Visit the HUB rooms only if unavoidable. 5. To keep the lab hygiene and surfaces clean, the cleaning frequency has increased.


Safety @ Mailroom When visiting the mailroom, please ensure the following, 1. Social distancing is mandatory 2. Sanitize your hands before accessing the mailroom. 3. Wear your mask or cover your mouth and nose with a napkin when you have the urge to cough or sneeze.


FOLLOW GOOD PRACTICES As measures to stem the spread of COVID-19, to raise awareness and remind employees about basic hygiene at workplace, we have displayed posters at specific locations especially entrances, lunch areas, wash rooms, cafeteria. etc
