I

n this month’s column I’ll shed some light on the behind-the-scenes activity that sustains the club’s operation. Today’s focus is on the Board and communication. I’ll come back to this theme as we approach the 2019 Annual General Meeting and recruit volunteers to help keep us on track. At the heart of the club is the elected Board, which meets monthly. We use technology to connect with Board members who are not able to travel to attend in person. Our meetings have switched to Victoria (from Duncan) for the spring and summer months. They are listed in Porscher and on the club website. Ensuring an adequate number of high-quality events for our members our highest priority. We encourage and provide support to members (like you) who wish to organize day trips, overnight tours, track days and tech sessions. We welcome and encourage new endeavours, like time speed distance rallying. I maintain an event spreadsheet which is updated at each Board meeting. That’s our roadmap. Another high priority Board agenda item is the Treasurer’s report. Tim Evans reports monthly on our revenue and expenditure and he is responsible for financial policy development. Tim presents a detailed financial report to all members at the Annual General

Meeting. VIRPCA is in healthy financial position.

a

From time to time the Board undertakes an initiative that has the capacity to improve the club as a whole. Last year’s member survey is one example. For example, it demonstrated member support for rallying. In response, Klaus Kreye has planned two (perhaps three) for the 2019 driving season. Another example: Garth Webber Atkins is heading up our 2019 strategic planning exercise. Her committee held its first meeting in April and a fulsome report and recommendations will be published in Porscher before the AGM. See Garth’s article on page 10 of this issue. With a membership approaching 600, effective communication with members is essential to effective operation. Steve Fairbrother compiles our monthly Porscher newsletter and emails a link to it to all members for whom we have a unique email address. Producing Porscher is a big job. In addition to seeking articles, photos and reports on recent activities, there is advertising (an important source of revenue), an events calendar and a buy/sell section where you might find (Continued on page 6)

I

shall probably step down from the role of Newsletter Director (a.k.a. Editor) at the end of this term to make way for new blood and new ideas for the publication to make it brighter and better for you. I am aware that it has included few technical articles that a lot of you would enjoy, however I have not received anything from members to provide features or such that they would share with fellow Porsche owners which is a real shame in my opinion.

the future. So if you have a hankering for desktop publishing, why not become Editor of Porscher for the Club and either carry on with the current format or put your own stamp on it and do with it what you will? If you are interested, you can contact me at :-

I have modernised the overall look and increased ad- newsletter@virpca.org. vertisements, providing useful funds for the Club enabling such things as Track Days which are enjoyed by Steve Fairbrother many of you and I hope you are visiting our sponsors and advertisers so they can carry on helping us out in Editor PORSCHER — MAY 2019

your next Porsche or parts for your present ride. Our club website is managed by Dave Nickel. Dave works with event organizers to ensure information is correct and up to date. Over the past year our Facebook presence has evolved to a group of over 100 individuals where members can post photos or commentary. Tim Evans has overall responsibility for our social media presence. He and Steve Fairbrother vet and approve (or not) all Facebook posts.

sure about the number of cars/people who might show up for their event they had worked hard to plan. They were often responsible for collecting fees for meals, etc. All that hard work and uncertainty – not to mention frustration - is history now that we require the use or MSR for event registration. We expect all members to sign up for their free MSR account. We pay a small fee to MSR for their service but, as many PCA regions have determined, it is well worth the expense. Steve Fairbrother is our MSR authority; he helps organizers set up their events and helps members as required. MSR is a valuable part of our infrastructure.

Communication with members has been a high priority for me, as your president. I send an email to all members on the 1st and 15th of each month where I highlight upcoming events and seek your input about how to improve your experience as a VIRPCA mem- Our event schedule for the month of May has a high performance drivers’ ed session, a rally and a three ber. day tour. For details turn to Around the Bend on page The last element of infrastructure I will address this 32. month is our registration software, MOTORSPORTREG.COM (MSR). Not that long ago we did not use a John McGurran formal registration process. Organizers were never President

On April 6th, 2019, seven Vancouver Island Region Directors and Chairs took some time to step back from the day-to-day matters of club administration to explore a number of strategic issues: Why do we exist? What internal and external environmental factors affect the club? Where do we want to go? What strategies will help us get there? These questions were well answered, thanks to the combined intellect, talents, and focused application of those who were able to attend: President John McGurran, Vice-President James Renfrew, Secretary Michael Holan, Treasurer Tim Evans, Mid Island Director Dan Bourlet, Rally Chair Klaus Kreye and Membership Director Garth Webber Atkins, who also facilitated the session. Advance input was provided by North Island Director Paul Atterton. Thanks to Tyson Johnson and Porsche Centre Victoria for providing their boardroom for the all day session. The questions stimulated much thought and discussion, with a number of insights emerging, and alignment of the participants on several key matters. At the end of the day, the group felt the time was well spent. Another session is needed to complete the planning. Once the work is completed, a draft plan will be made available to the broader membership for comment, likely sometime in late spring or over the summer. The Board’s goal is to have a completed plan ready and approved prior to the Annual General Meeting in the fall.

Folks, our first TSD Rally for 2019 is just around the corner! At the time of writing we have 11 entries with one or two more expected. So if you are thinking of attending stop reading right now and please ENTER !! Click here to register via MSR >> msreg.com/2019-Spring-Rally The rally will run on Sunday May 26th, starting mid-morning in Sooke and you should be back home by the end of day. Feedback from our previous rally was excellent, everyone had a lot of fun. Setting up a rally is a LOT more work than some other events, so early entries are always appreciated. We need to get all the car decals and road-books printed and the roadside timekeepers allocated. The organizing team has been busy these last few months and the routing is finalized and all the clues and timing compiled. I am busy setting up a “newbie school” for Sunday May 5th, so if you’ve never rallied before it would be a good idea to attend! Rally School Session 1 for those that have never rallied before will be held Sunday May 5th 11am, at the VI Motorsport Circuit As always mail me with any questions, ideas etc. Looking forward to seeing you at the event.
