THE BUSINESS OF PRACTICE Next in a series of easy, quick management tips that you can implement in your practice today in less than an hour, by Fred H. Dubick, OD, MBA, FAAO.

One Hour Quick Bites: Workplace Environment

Fred H. Dubick, OD, MBA, FAAO

The single biggest investment in an Eyecare Professional’s operation as a function of expenses, time and emotional investment are the employees. Some big corporations call their employees team members, associates, partners or staff. In the small business atmosphere of an ECP office, the employees are probably more important to the success of the business then the doctor. Unlike large businesses there are generally no spare folks to fill in if someone has an unplanned absence. It is critical to have a positive workplace environment where all parties have a clear understanding of their responsibilities of when they work and what is expected of them at work. There are a number of ways to have your team looking forward to coming to work everyday and not dreading walking in the door. •

Take the time necessary to cross-train as many employees as possible to have the skills to fill in more than just their primary position in the office.

Have the courtesy to post the doctor’s schedule well in advance so that employees can plan their time off as far in advance as possible.

Try to have employees work a similar schedule every week.

Provide uniforms and a reasonable dress code to staff.

In the break room, have water, coffee and tea at a minimum available during the workday. At least once a week, provide either breakfast or lunch to the staff. Many times, this expense can be scheduled and provided by vendors. Many of the representatives that call on your practice have years of experience in the ophthalmic product industry and can share valuable knowledge with your employees during a one hour lunch in-service session.

Most importantly of all, it is imperative that management interact with the team both in patient encounters and in private in a positive and respectful manner. Surveys almost always show that the satisfaction with one’s job is contingent on the work environment over actual salary.

STAFF HIRING TIP:

INTERVIEW QUESTIONS

P12

by Michael Graves, Senior Consultant for ExecTech

Advice on hiring the right staff could easily fill a book. Here is a tip

• “How much do you need to make?” This will also give you an idea

that you can put to immediate use to help you hire staff that you will

how quickly they think on their feet, as it puts them on the spot and

want to keep.

it’s not a question that most interviewers ask. You may also discover

Ask “open-ended” questions in the interview. By asking a question that is not anticipated, and which deals with the interviewee’s opinion, as opposed to straight facts, you get a clearer impression of the personality

that they need to make less than you were planning to offer, which may make them a better hire if you have someone with comparable skills who says that they need to make $3.00/hour more.

and character of the interviewee than you would by using a more conventional question. Here are some examples:

A final point: ALWAYS check references. When you are checking

If the interviewee has held the position being applied for: • If you could make three recommendations to a person who is learning this position, what would they be?” • “What do you enjoy most about (as appropriate: scheduling patients, helping patients with frame selection, assisting the doctor, etc.)?” b) “What do you like least about it?” c) “What did you find most difficult about it?”

references, speak to the practice owner, not to a co-worker. If you have concerns about former employers who are reluctant to say anything about the interviewee, call us at (800) 555-6063 ext. 7, and we will be happy to send you ExecTech’s “Employment Application” on which the interviewee provides written permission for you to check their references. There are lots of good staff out there. Asking the right questions is a key to finding them.

• “Is being an optician (pretester, scheduling coordinator, etc.) different than you anticipated when you first become one?” (If yes, follow up with: “How is it different than what you were expecting?”)

General questions: • “If there were three things that you could change about the last place that you worked, just by snapping your fingers, what would they be?” If the answer is something like: “I wish that we were busier,” that’s good. If the answer is: “I think that we should have gotten five weeks paid vacation after the first year on the job, and longer lunches,” that’s not good. • “What did you like best about the last place that you worked?”

ExecTech is a practice management consulting firm with offices in California, Colorado and Florida. VENDOR AND INDUSTRY UPDATES ICOAT ICOAT COMPANY INTRODUCES STAINLESS AR WITH “LOW UV” REFLECTION TECHNOLOGY Taking into consideration recent research studies on Anti-Reflective (AR) treatments causing elevated UV reflections, iCoat is pleased to introduce its new Stainless AR coating with advanced UV reflection protection. The new Stainless AR features LUV™ (Low UV) technology that helps eliminate significant amounts of UVA and UVB rays reflected off the back-surface of AR lenses. Since its inception, iCoat Company has been a pioneer in developing lens treatment technologies and this is a step forward in its continuing efforts to provide better visual acuity and true maximum UV protection for improved eye health. AR treatments are designed to eliminate surface reflections and glare while allowing maximum amounts of visible light to be transmitted to one’s eyes. However, regardless of the lens material, AR treatments were recently found to reflect measurable amounts of harmful UVA and UVB radiation from the back-surface of the lens into the eye. This is true whether applied to clear, sun, polarized or Photochromic lenses. Stainless AR with LUV™ technology, engineered by iCoat, addresses this issue by providing maximum UV reflection protection from the invisible dangers of UVA and UVB while maintaining maximum visible light transmission for clear and crisp vision. About iCoat iCoat Company is a full service optical lab and a leading provider of various premium thin-film treatments for optical lenses including anti-reflective, mirror coating, hard coating, UV treatment, oleophobic and hydrophobic applications, anti-static treatments and anti-fog coatings.

MOREL

Koali takes the new collection to the watery depths of the ocean, with frames inspired by coral reef and more particularly the anemone. The Coral collection imitates the waving branches of the anemone. Frame fronts and temples are given both volume and movement through triple-layered acetate. The deliberately visible metal core inside the temple evokes the structure of a coral reef. Coral is available in three shapes (two acetate models and one combination frame) and is offered in a palette of four color combinations per model. Coral models priced at $90.
