>> Have everything you NEED to complete the task BEFORE you begin. :: Resolve to handle every piece of paper using the T-R-A-F system. :: >> TOSS – ask yourself, “is this paper that needs to go into the waste basket?”. >> REFER – ask yourself, “does this require my immediate attention or require me to take action?” In this situation REFER/DELEGATE it to someone who would have better use for the information. >> ACTION – ask yourself, “does this require my attention and/or requires me to personally act upon the information?” If yes, ACT UPON IT/ TAKE
consider the paper/information to be of importance, SAVE it for future use. Four ideas you can use to improve the use of your time :: Create a Time Planning System that contains the following four components:: >> MASTER LIST – Record every task/reminders as they come to your mind. >> CALENDAR – Lay out your tasks on a calendar. Plan ahead. Spread tasks over several months. >> DAILY LIST – Using the data from your Master List and Your Calendar/Appointment Journal create daily 'To-Do list'. >> A-B-C-D-E SYSTEM – Organize the tasks/appointment on your daily 'To-Do list' in order of priority. .A = MUST do .B = SHOULD do .C = NICE TO do .D = DELEGATE .E = ELIMINATE
