GETTING STARTED WITH ENDNOTE ONLINE ENDNOTE ONLINE Endnote Online is a companion web version of Endnote desktop which allows users to store and manage references online. It is available to all WIT staff and students without the need for any software download. It has less features and capacity than the desktop version of EndNote, but as WIT has a licence for the database Web of Knowledge, students of WIT can avail of an enhanced version of EndNote Online. EndNote Online allows users to: • • • • • •
Record, store and manage references Add references manually or search and download directly from online databases and library catalogues Attach files, such as PDFs, up to a limit of 5 GB Insert citations easily and to create bibliographies in MS Word using EndNote online’s Cite While You Write feature. Create and share groups Synchronise automatically with EndNote X7 desktop
SIGNING UP TO ENDNOTE ONLINE • • •

It is important to note that when you first register for EndNote online you must do so through the WIT domain while on-campus. After you have registered for the account you can log on to your EndNote online account from any computer with internet access. You will have ‘roaming’ access to EndNote Online for 365 days. This means that you can log onto your EndNote online account for 1 year before from any computer with internet access outside the IT before you have to re-authenticate and login to the EndNote Basic account from a college computer.
Go to library.wit.ie/Resources/databases Click on EndNote Online Click on Create Your Free Account to set up your initial account. This sets you up with a log-in which is comprised of your email address and password. Use this log-in each time you want to access your EndNote Online account at www.myendnoteweb.com or library.wit.ie/Resources/databases. You can use any email address with your EndNote online account.

COLLECT • •
Click Collect You’ll see that there are 3 options for adding references 1. Online Search 2. New Reference 3. Import References
Note: Some databases allow you to directly export references to EndNote Online. For all other databases, you will need to use the Import References option. We will look at the New Reference, Direct Export from EBSCO & Import Reference options in the next sections.
NEW REFERENCE Example: Adding a Book Reference • Click on Collect > New Reference • Click on the drop-down menu and choose Book
Choose a format from the drop down menu. e.g. Book

You can either manually complete the relevant sections of the form – author, title, publications details or you can copy and paste the details from an online source, for example, the library catalogue Note: Follow the guidelines on the form for entering the author details – enter each name on a separate line; enter company or corporate authors with a comma at the end e.g. Waterford IT Click Save to save the reference Click My References to view the new reference in your group in EndNote Online You can easily attach a PDF, Word document, etc. to a reference in your library. To do this click on the paperclip icon beneath the appropriate reference. You will then be able to locate the file on your computer and link it to the reference.

DIRECT EXPORT FROM LIBRARY DATABASES Example: EBSCO •
Run your search in any one of the EBSCO databases (MultiSearch; Academic Search Complete, Business Source Complete, CINAHL & SportDiscus etc). From the results screen, click on the folder icon to add results to the folder

Alternatively, click on the Share option to the right above the results list to add all the search results to the folder

To export citations, click Folder View, select the citations you want to export and click Export and then choose Direct Export to EndNote Web from the options available and click Save.

You will be prompted to log back into your EndNote Online account A note regarding your Import Results comes up on screen

Click on My References to view the imported references

After performing your search, tick the checkboxes opposite the references you want to add to EndNote online Click Save to EndNote online
Select your references and Save to EndNote online

A confirmation screen pops up. Choose Send.

The references you have sent to EndNote online are tagged accordingly

IMPORTING REFERENCES Example: The Cochrane Library •

Run your search in The Cochrane Library. Select the citations you want to export by ticking the relevant boxes Click Export Selected or Export all as required From the Choose your export options pop up box choose the appropriate options and click Export Citation
A text file will download to the bottom left hand side of the screen Click on the file to open it Save the file to your desktop, giving it a meaningful name You will import it into EndNote online later
IMPORTING TEXT FILES Example: Importing a text file from The Cochrane Library into EndNote online • •

Log in to EndNote online. Click Collect > Import References Browse for your file and choose the Import Option Note: Click Select Favourites to find the relevant filter. Choose Cochrane Library (Wiley) etc. Choose the group you want to save the reference in or select New group or Unfiled Click on Import

ORGANISE CREATING A GROUP •
Click Organise > Manage My Groups
Click on Organise Choose Manage My Groups

MANAGING GROUPS Your references will be added to a group called Unfiled unless you choose otherwise. It is possible to transfer references from Unfiled to another group. • • •
From My References, tick the checkboxes opposite the references you want to move to another group Click on the drop-down menu to choose which group you want to add them to The selected references are automatically added to the chosen group
SHARING YOUR GROUPS WITH OTHERS •

Go to Manage My Groups tab and click on Manage Sharing for the group you wish to share
Click on Start Sharing this group

Enter the email addresses of those you wish to share the group with in the text box
•
Note: Any individual you share your group with MUST have an EndNote account in order to view references.

Alternatively you can select a text file containing email address of the people you wish to share the group with by clicking Choose File

This group is now shared with others and will appear on the left hand side of their EndNote online account under Groups Shared By Others
OTHERS’ GROUPS •
Click on this tab to view groups that others have shared with you
FIND DUPLICATES • •
It is possible to have duplicate records in your library. To identify and delete them, use the “Find Duplicate” link under the Organize tab. EndNote compares the Author, Year, Title, and Reference Type fields when identifying duplicates. EndNote will select duplicates and you can then choose to delete them

MANAGE ATTACHMENTS •
You can see all attachments in your library at once by clicking on the link Manage Attachments. You can open attachments or select and delete if necessary. Keep in mind that you have 5 GB of space in total. You can check how much space your attachments are taking up individually and in total in Manage Attachments.

FORMAT DOWNLOADING THE CITE WHILE YOU WRITE PLUG-IN • • • • • •
Click on Format > Cite While You Write Plug-in Click on the relevant plug-in to download it (either PC or MAC depending on your computer type) When the download is completed, a message pops up on screen Open a Word document You will notice a new tab on the main menu – EndNote Web Using the features available under this tab, you will be able to work between your Word documents and EndNote online to automatically generate citations and a reference list for your projects

WORKING WITH MSWord – ADDING CITATIONS AND REFERENCES

Click on the EndNote Web tab Set your Referencing Style e.g. APA6th by clicking on the drop down menu opposite Style If the Style you require is not listed, click Select Another Style. Choose your preferred style from this list. • • • • • •
Place the cursor where you want to add a citation (either a direct quote or paraphrase from another author) Click on Find Citation. This links to your EndNote online library Type in your search term, for example, the author’s name and click on Find The citation automatically appears on the form Click Insert The citation automatically appears in your Word document, with author and date information included and a reference list automatically starts to generate at the end of your document

Click on the EndNote Web tab Click Edit Citations to edit your citations at any time Choosing Edit Reference links you into EndNote online and allows you to edit the reference from source Click Exclude author to exclude the author’s name. Click Exclude year to exclude the year. You might want to exclude these kinds of details as they may already be mentioned in the body of your essay: Example: Bloggs (2010) (exclude author’s name as already mentioned) suggests that Ireland is a cheap holiday location, while a 2011 paper (Brown and Jones) (exclude year as already mentioned) claims the exact opposite
EXPORT REFERENCES • • •
Use the Export Preferences tab to export citations in groups, unfiled etc. using text file export options such as Bibtex Export and RefMan Export. Save the downloaded text file on your desktop/Documents with a meaningful name Open the application that you wish to export the file to and import the file

GENERATING A STANDALONE BIBLIOGRAPHY •
From the EndNote online menu, click Format > Bibliography

Choose References i.e. one of your Groups or All References in My Library Choose Bibliographic Style e.g. APA 6th Choose File format - RTF
Choose Group or All References Choose Style, e.g. Harvard WIT Choose RTF Format

Click on Save to save the file to a convenient location e.g. Desktop / My Documents The file opens as a Word document, formatted according to the referencing style chosen above

The Options tab allows you to view and change your Password, E-mail Address and Profile Information as well as choosing your preferred language option.

DOWNLOAD INSTALLERS: CAPTURE TOOL •
The Capture Reference tool allows you to “capture” the bibliographic information presented on a web page and create a reference that you can save to a new or existing group or in the Unfiled section
Click & drag the Capture Reference tool to the bookmark bar
•
To install the Capture Reference tool, click and drag the grey Capture Reference link onto the bookmark bar in your web browser
•
To capture references, browse to the web page that you wish to create the reference for.
•
Click Capture Reference on your bookmarks bar and a new window will appear.
•
Add any additional information you want to include in the reference to the window
•
You can also specify which group(s) you want to put the new reference into

Account Information allows to view your Roaming Status Roaming occurs when you log into EndNote online from a computer or device that is not on-campus You can roam for 12 months before you need to log in to your account from a computer on-campus
