Collecting Ethnicity Verbally At the start of the conversation you should explain why you are collecting the information, for example “We are required to have accurate data and we do not have current information recorded for your ethnicity.” When asking the ethnicity question you will need to ask the patient to state which ethnic group or groups they belong to and read all of the ethnicity options as stated in the standard ethnicity question. You will need to pause after reading out each ethnic group and wait for the patient to respond yes/no to each before continuing to read the next ethnic group. Record the patient’s response in the ethnicity form and scan to the patient file.
Confirming the Ethnicity Verbally Read out all ethnicities recorded and state that this is what is currently recorded. Then ask the patient to confirm their ethnicity data. You should make an audit note in your PMS record that the patient has confirmed their ethnicity data and the date. If the data is not correct you will need to collect the information again by reading out the standard ethnicity question to the respondent.
