INTRODUCTION & HISTORY OF THE CATHEDRAL Chichester Cathedral, formally known as the Cathedral Church of the Holy Trinity, is the seat of the Anglican Bishop of Chichester. It is located in Chichester, Sussex, United Kingdom. It was founded as a cathedral in 1075, when the seat of the bishop was moved from Selsey. For 900 years Chichester Cathedral has stood at the heart of Chichester. Visitors encounter unique architecture spanning the centuries: ranging from original Norman features to the magnificent Victorian Spire. The Cathedral is especially famous for its art, both ancient and modern, with medieval carvings alongside world famous 20th Century artworks. The Cathedral is open every day and all year with free entry. Free guided tours take place Monday to Saturday at 11.15am and 2.30pm. This year we will be hosting a vibrant Christmas Market with German style huts celebrating the Cathedral as the centre of festivities in Chichester! Featuring a selection of carefully selected crafts, jewellery, gifts and artisan food brands amid a bustling atmosphere ! The Cathedral itself is a hub of activity at Christmas with its many carol services, concerts, events and educational activities making it the perfect venue to experience the festive atmosphere both inside and out.
THE CITY OF CHICHESTER One of the great well-preserved Georgian cities in the UK, Chichester has played a key role of the affairs of Sussex since at least Roman times. Today, Chichester is the prosperous administrative capital of West Sussex and a great place for shopping, but it's hard to avoid Chichester's links to its illustrious past. There are plenty of good reasons to visit Chichester. Chichester city centre's broad streets are packed with listed buildings, with the list headed by the towering presence of Chichester Cathedral, now home to a family of peregrine falcons who can be heard as they swoop over the city at dusk. The pedestrianised city centre is neatly enclosed within the ancient city walls and this helps to make Chichester compact and pleasant to explore on foot. There are plenty of good shops in Chichester and the city serves as the main shopping centre for a huge hinterland which stretches across the South of England. Below you can see the high-end successful brands that already see the value of Chichester as a premium retail centre. The City Centre also has the major players like: M&S, Waterstones, H&M, Top-Shop, New Look and many many more.Chichester has a population of 106,445 which is fairly evenly split between young, working age and older people. For broad age categories Chichester falls very much in the centre of the age breakdown measures for the Sussex county. Chichester is renowned as a prosperous area with substantial ABC1 population stats recorded within the city itself, but also in the rural areas within a ten to fifteen mile radius of the city centre.

DATES AND TIMES FOR 2020 The Christmas Market will run for 25 days from Thursday 26th November – Sunday 20th December (inclusive) Trading times will be: Monday - Saturday: 9am - 8pm Sunday: 10.00-16.00 NB These times will only change if the City Centre/Council and/or The Cathedral stipulate services we have to work around All chalets must remain open for the full trading period Retail exhibitors will have two Trading Options: OPTION ONE: 11 DAYS: Thursday 26th November – Sunday 6th December (inclusive) OPTION TWO: 25 DAYS: Thursday 26th November – Sunday 20th December (inclusive)
CHALET STYLES Retail Chalets We have one size of barn door style chalet where doors open out wide allowing exhibitors to showcase stock on the doors which will be covered by the roof overhang. This maximises the visual impact of stalls for customers. Two of these chalets can be linked to form a double. (see pictures below) For Food Chalets you will need to attach a copy of your Local Council Registration and Food Hygiene certificate. We will give preference to catering offers that have a food hygiene rating of five. All applications for catering stalls must include proof that they are registered with their local authority. The eaves on the outside front edge of the chalets will be seasonally decorated. All exhibitors are welcome, and encouraged, to add their own suitable festive embellishments to the fronts and insides of the chalets. This must be in keeping with the overall theme and look of the Christmas Market. All chalet rental prices include hire of a high-quality lockable chalet, pitch rental, basic ambient lighting, electric supply and the support of a team of stewards during the day and night. There will be rear entry to each chalet, 300mm between each chalet and 150mm between the eaves of each chalet. SPECIFIC DIMENSIONS SUBJECT TO CHANGE. PLEASE NOTE: NO EXTERNAL EXTENSIONS TO THE ROOFS WILL BE ALLOWED AND NO ADORNMENTS WILL BE ALLOWED ON ANY ROOFS. ANY SUCH ITEMS WILL BE REMOVED.

SECURITY BOND : An security bond of ÂŁ250 will be included in your final invoice to cover damage to chalets and misuse of facilities and amenities. This deposit will be returned by 31st January 2021. No chalet keys will be issued without this bond being paid. There will also be an additional deposit of ÂŁ10 required when you receive you Chalet Key, (should you lose your key this will be used to replace it !)

APPLYING FOR A CHALET We are looking for exhibitors who will be selling high quality and unique products. Please read the following guidelines for applying for a chalet. ●

Email enquiries@therarebrandmarket.co.uk and express interest - Please give as much detail in the email with a comprehensive list of products you wish to sell. The clearer, more detailed and comprehensive your email the more likely your application is to be accepted. If you are able to in this email, please clearly indicate your preference for chalet number on the site map (slide 9). Further down the line, after emailing us, If you are applying to have a food/drink/alcohol related chalet we will ask you to provide details of registration with your local authority and provide your hygiene rating with your application form and your alcohol licence trading information/ challenge 25 certification. If your application is successful, PAT certificates, Public Liability Insurance and risk assessment forms will be required to be returned to us by 1st September 2020.
The booked brands will be promoted through the Cathedral website, so we will correspond with you oon what artwork and graphics we need to promote your brand once you’ve booked.
POWER / LIGHTING Basic ambient lighting is included in each chalet. If you are a client that requires well lit stock ie jewellery we do suggest you bring additional lighting but you will need to submit to us a lighting form with details of what additional lights you will be bringing so we can cross check with the electrical contractor in advance of the event. This form will be provided at the point of booking. We will provide one single 13amp spur for which you can bring a 4 socket extension lead, but the supply is only 13amp to each chalet. All electrical equipment used on site at the Chichester Cathedral Christmas Market must have a valid PAT certificate. This includes all used and new items. DUE TO THE 13AMP SUPPLY LIMIT, IF YOUR CHALET HAS AN ELECTRIC TRIPPING ISSUE CAUSED BY OVERLOADING WE WILL NOTIFY YOU OF AN ELECTRIC CALL OUT CHARGE AND THESE MONIES WILL BE DEDUCTED FROM YOUR SECURITY BOND. OUR HEALTH & SAFETY OFFICER WILL BE CARRYING OUR SPOT CHECKS THROUGHOUT THE EVENT TO ENSURE THESE POINTS ARE BEING ADHERED TO.

SECURITY/STEWARDS There will be security throughout the Christmas Market, including during the set-up and take-down periods and
overnight patrol. Each chalet will have a lock and each exhibitor will have one key. Please look after your key! We will take a ÂŁ10 cash deposit on arrival to cover the cost of replacements. The Christmas Market Control room will keep a duplicate key for all the chalets. When the Christmas Market closes each day, a professional security company will be on duty and will patrol the market area throughout the night. There is also Government run CCTV cameras covering the entirety of the West Street facing side of the market site.
REFUSE + PLASTIC FREE POLICY It is each exhibitor’s responsibility to ensure their site and their chalet is kept smart and tidy at all times. Each exhibitor will be responsible for the removal of their own refuse. There will be limited wheelie bins available on site so these will only be used for the general public. Failure to remove rubbish will result in the security bond being forfeited. Our Stewards will be managing this on a daily basis. Stewards will be on hand during each day and are responsible for clearing the litter in public bins throughout the trading hours. They will ensure public litter bins are emptied and the whole area of the Christmas Market looks smart and litter-free. They are not employed to take away exhibitors’ litter! As part of our planning application this will be a plastic free event. Please help us protect the environment by thinking carefully about the packaging you use. Consider reusable storage for your stock and non plastic packaging for customers. Our preference would be for biodegradable packaging but if this is unavailable to you it is a must that your packaging is able to be recycled.
PARKING FOR EXHIBITORS/ SET UP & SET DOWN There is no parking at the Cathedral Christmas Market or in the nearby streets. Neither the Cathedral nor Chichester City Council provide a designated car park for use by traders. There are ample car parks close by and you will find details of what is available in this pack. Parking and loading without a valid ticket or timeslot will result in liability to be ticketed. North Gate & Market Avenue are the Cheapest options. There will also be a Park & Ride option, details will be available nearer the event date. DIRECTIONS Directions : A prominent landmark of the area, the Cathedral is in the heart of Chichester close to the Market Cross, the centrepoint of the City's main pedestrianised shopping streets. The Cathedral's postcode is PO19 1RP. By Car: Approach from the M27 (A27) and turn northwards at one of the bypass roundabouts following signs for the city centre. Visitors arriving by car should aim for one of the many public car parks around the City. By Coach: Coaches should approach from the west side of the City and head for West Street where there is a drop off point for coaches, just outside the Cathedral. By Train: Leaving the Railway Station on foot, turn left into Southgate. Walk straight ahead into South Street and follow the road to the pedestrianised crossroads at the top. Turn left into West Street and you will see the Cathedral on your left, the entrance is signposted from here. It is about half a mile from the station to the Cathedral and will take an average of 10 minutes to walk. There are no inclines on the journey. CHICHESTER CATHEDRAL CHRISTMAS MARKET TERMS AND CONDITIONS 2020 The Rare Brand Market is the event organizer and project management consultant to the Chichester Cathedral for the purposes of a Christmas market for Chichester City Centre in late November/December 2020. Each exhibitor is allocated a pre-agreed pitch at the venue and will be provided with an exhibitor external wooden retail trading hut of a specified size as confirmed when booking the event. Any changes will be made in consultation with you should changes be imposed by the Chichester Cathedral or the Chichester District Council. The Rare Brand Market makes no representation in relation to footfall or potential sales at the event although Chichester Business Improvement District ‘Bid’ will share footfall numbers for Chichester city centre for that time of year. Although the Cathedral and the Rare Brand Market will invest in marketing, signage and other footfall generators for the event, sales depend on a multitude of factors including the exhibitor’s products, displays, pricing, weather and engagement with potential customers. Please check the venue plan with the pitch layout and please email us if you have a query ASAP. Any queries must be sorted out 4 weeks prior to the event. Load in and set up for the event will take place 1-2 days before the event and load out will commence on the last day of trading and continue into the day after however as this is a city centre location there will be very strict load in and out times in accordance with surrounding road usage. We are unable to assist with load in. Please bring a trolley or specialist equipment if you have particularly heavy items. Stock delivered to site must be in accordance with guidelines which will be issued closer to the event and tie in with the operating hours of the Cathedral. Public/consumer refuse will be collected daily by the council from a dedicated refuse area on site, but exhibitors rubbish must be dealt with by each exhibitor and we will expect exhibitors to remove from site their own packaging daily. A guideline pack for refuse control will be issued closer to the event and each exhibitor will be required to sign a copy indicating their agreement to the terms. Exhibitors are not allowed to make any alterations to wooden retail trading hut, and the cost of any damage caused will be charged to the exhibitor. Each exhibitor should expect a Risk Assessment to be undertaken by The Rare Brand Market prior to trading to ensure no escape or key routes are obstructed and to ensure that necessary health and hygiene specifications are in place and exhibitors should comply with any instructions or risk being unable to trade. No heaters are allowed and will be removed by The Rare Brand Market. Any additional lighting must be pre-approved. The Cathedral and the Rare Brand Market have their own event/public liability insurance. However, each exhibitor needs to have their personal stock insured for loss and damage, and please make sure this includes ‘stock in transit’ and off-site from your base premises/storage facilities, including cover for stock whilst trading. Neither the Cathedral nor the Rare Brand Market will not take any responsibility for the loss or damage to exhibitor stock, stand equipment or personal effects. Each exhibitor must man their stand during the event trading hours and work with others to have breaks. Each exhibitor is required to adhere to a plastic free event policy and should allow for sufficient non-plastic carrier bags to support their sales. This policy document will be issued prior to the event and a signature to agree to the policies will be required. There will be a 13 amp power point and lighting provided in each Chalet. Any equipment must be PAT tested and comply to current electrical standards. Each exhibitor should try to be able to offer either mobile EPOS/Streamline and the ability to accept cash and cheque as payment for goods. The purchase of all goods is a transaction between an individual customer and that exhibitor. Each exhibitor should ensure that their terms and conditions of sales are made available for customers to view and that any recourse or refund is dealt with directly with the individual customer. There is no onsite parking at the Cathedral and the Rare Brand Market will supply a city centre map with alternate car parks. The Rare Brand Market is not party to any retail transactions made at the event. Cancellation policy The Rare Brand Market reserves the right to cancel the event or your pitch or re-assign your pitch to a new location in the event trading area, in the following circumstances: • A Chichester District Council barrier to trade or challenge to the retail layout. In these circumstances the Rare Brand Market will offer you a full refund within 30 days of notice. • In the event of relocation a reasonable adjustment to the pitch cost can be agreed. No refunds will be given for cancellations by you post booking. You will not be guaranteed a stand booking unless a X% deposit is received and a further X% deposit is received by date TBC. Therefore if you book and say you are transferring monies by BACS, we will not formally book your stand and process the paperwork until the transfer has reached our accounts team. All BACS transfers need to have a reference of your brand name and Chichester Cathedral event name. All final payments are due 12 weeks prior to the event. Minimum 11 days trading.
