I would like to take a moment to welcome everyone and thank you for taking the time to read through our latest edition of WhichAddOn. A tremendous amount of things have been happening over the last few months. As always most of our accounting partners have been working on tax planning and we have been very busy with a myriad of jobs in different industries, from chocolate manufacturers, specialty food distributors, one of the largest Australian speciality giftware and household distributors, and many more.

Our team has continued to be refined and growing, we added three more staff members in the last quarter in operations, sales and marketing and are looking to continue to expand our sales team and operations team to see through the last quarter. We are also starting an internship program to find the best talent that we can help develop from the grassroots up.

You are not the only one to think this. WaxIt After WhichAddOn WaxIt came to WhichAddOn wanting help to implement Unleashed inventory management software with Shopify and Xero.

They decided they were happy with Unleashed, happy to cost out their inventory on average cost (because this is what Attache was doing), happy to deal with the basic document design (because it was way better than Attache’s anyway) and they were also happy that it didn’t have a native POS module in Unleashed. They knew they could use Shopify POS if they really needed it - most of their sales are online.

From Attache to Unleashed to DEAR Inventory As I mentioned above, WaxIt came to us wanting help to install the inventory management software, Unleashed. We started down this path, however, after testing Unleashed for all their requirements, the deal breaker was that Unleashed’s invoices are unable to print as Tax Inclusive.

After WhichAddOn helped WaxIt bring their dreams of playing golf more often to life, this is the apps they are now using: DEAR Inventory for inventory management.

For example, if you sold an item to customers in the showroom for $33 and you wanted the invoice to show $33 incl. GST of $3, instead of $30 plus GST of $3. It can be confusing for customers and it’s the kind of thing you assume is possible in all mature systems these days.

We knew DEAR Inventory well and went about ensuring that this was a better fit for WaxIt, completed testing and finalised the implementation and training of DEAR Inventory to get the systems up running by Go Live.

From Attache to Xero Once the core operational system was sorted - DEAR Inventory - we went about converting the accounting system over to Xero, including payroll. It was an interesting experience as Attache isn’t an easy system to get data out of, but we were able to import monthly trial balances for comparative history and get them up and running on Xero smoothly.

Xero was a huge time saver for the WaxIt team. Previously, they were spending over two days putting in payments for orders, doing manual reconciliations and not even having time to do a bank reconciliation, as they were constantly playing catch up. Since installing Xero, their bank account is reconciled every day and their payroll only takes 20% of the time it used to. Payslips are easily emailed out to the staff after the pay run and bank rules were just awesome for the WaxIt team after years of using Attache.

From Manual Shipping Consignments to StarShipIt

StarShipIt receives the customer order details automatically from DEAR Inventory as soon as the order is marked as Packed in DEAR. This is actually set to be done automatically as soon as the order comes from Shopify, as long as the stock is physically available. It means that the items can be picked and the order boxed and label printed in just a matter of minutes, because it’s all there in StarShipIt ready to go.

The fulfillment team prints off the Australia Post labels in this case.

StarShipIt even knows if it needs to be Express Post or Parcel Post from the data DEAR pushed through from Shopify. Once the label is printed, StarShipIt will push the Carrier and Tracking Code details back up to DEAR and marks the order as Shipped. DEAR then marks the order as fulfilled in Shopify.

Sound too good to be true? It’s not.

From Forecasting Spreadsheets to Inventory Planner Once we had saved the WaxIt team hours and hours of work with DEAR Inventory, Xero and StarShipIt, a week after Go Live, they were ready for more. We then connected DEAR Inventory to Inventory Planner to enable the purchasing team to buy what they needed and when.

Inventory Planner is a forecasting and replenishment software that calculates the sales velocity of each of the products in the business and uses the supplier lead time and days of stock you want to hold, to tell you exactly what you need to buy and when.

Lessons Learned with WaxIt At WhichAddOn, we are always dedicated to learning and improving every day. During the WaxIt job one of the biggest issues we faced was the DEAR to Shopify integration and the DEAR to StarShipIt integration.

With DEAR, the Shopify integration only pushes orders from Shopify into DEAR once per hour. It’s actually at the top of every hour.

What this means is, that if a customer places an order at 2.03pm, it won’t show up in the Sales Order screen of DEAR for fulfillment (or land in StarShipIt) until 3.00pm. With orders coming through every 5 or so minutes at WaxIt, this was quite an issue when we first realised the DEAR Inventory integration with Shopify was only one per hour.

At the time, the documentation said it was updated every 10 or so minutes.

Our solution: enable a manual push Process in the back of the Shopify integration settings in DEAR to pull through the orders more regularly.

This is a short term solution and we have requested DEAR to update this. If you need this too, please vote here.

What’s Next for WaxIt? A2X for Shopify and maybe even for Amazon too. Currently the WaxIt team reconcile the daily sales and payments from different payment methods in Xero each morning. They are saving so much time on reconciliation, that initially they were happy to do this manually. A2X for Shopify is a neat little app that takes all the pain away. In the Accounting World we aren’t overly spoiled for choice in the cloud space.

6 indicators: you are outgrowing Xero: 01 When you are generating more invoices/sales orders, purchase orders and banking transactions which is above the system limit.

02 You have a large number of addon applications it can be a challenge to keep them all talking to each other.

Comparable to CRM Solutions, Inventory Solutions - Accounting solutions are lesser in the number of choices. Out of these accounting solutions, one very popular solution that has taken the world by storm and loved by many, is NZ based Cloud Accounting Solution - Xero.

So why would you ever change from a solution you love? When you begin to hit your limits with a system, you very quickly begin to part ways with the love of it. The same may apply to many things but here we are talking about Accounting Systems.

Small or even in some instances medium size businesses prefer Xero by default, because it is easy to use, intuitive. Now there are a lot of different ways you can outgrow a system, but with Xero the issue arises when you are working with transactions, for example;

Trade or Business to Business customers, that are specifically On Account and need to bring transactions through line by line, this can be seen as a limiting factor because Xero has a soft limit of 1000 orders PER MONTH (Shhh I didn’t say soft I meant a hard limit). SO, You do have the ability to push the limits on this, I know clients that are doing about 6000 in sales order transactions, but these are mostly from online orders which can be sent through as a single batch by payment method, rather than a line by line transaction.

The implications of this, where you are truly pushing the boundary is that it can slow down the system, crash or even provide reporting information that will not make sense.

03 If you are spending too much time in a system just to keep it running (this is not just Xero it could be other systems too) then maybe time to switch.

04 You need to work a lot more in excel, which defeats the purpose of your system.

05 Reports are slowing down and timing out on you.

06 You need to expand into new markets where language, tax and regulation becomes a focus.

I will let you in on something, even Xero has outgrown itself from it’s own market and is working with a financial solution to manage their business performance.

This is actually a great thing if you have made it this far successfully, where you have outgrown Xero, don’t feel worried about it, certainly a good problem to have and rest assured that there is an answer.

As I said right at the beginning, people are always looking for the next best thing, so this might be the time to do just that. People are often screaming at the name “Oracle Netsuite” because they associate this name with huge cost.

If you were to buy the full suite of functions within Netsuite, yes there would be some serious costs to consider and the return on investment would be a serious factor too.

However, Netsuite Financials great solution and often misunderstood, for those who are embarking on it for the first time. If you have a specific industry focus, Netsuite has pre bundled editions to help you find the most appropriate one to suit. Their base price licence costs start out at $999 plus $99 per user per month. They may have a longer term contract than you may be used to with other cloud software solutions you have come across.

Needless to say, Netsuite is not the only answer and it will largely depend on what you are trying to achieve for your business.

DEAR Inventory was perfect for this client. This was the first time the business was using an inventory system, so DEAR’s easy to use interface and workflows helped get them up and running smoothly.

Xero was set up by their accountants in this case and they now have complete real-time stock visibility and real-time financial reporting.

One of the client requirements we couldn’t solve initially was that the products being imported didn’t have a normal UPC barcode or EAN barcode.

All of their products have a QR code, which was not compatible with DEAR Inventory - or any of the other inventory management solutions we use.

Recently, we came across a solution we are currently testing that integrates with DEAR and provides QR code scanning. It’s called ScanSKU. We will let you know how the testing goes in the next issue of the WhichAddOn magazine.

Problem Outliving was looking to expand its operations and had an ERP system in place that handled inventory, sales and dispatch. The accounting system used was MYOB. These two systems were not connected, and ran independently. Manual journals were entered at month-end to take into account inventory.

Outliving also worked with some large retail brands, like Myers and David Jones. They also had a 3PL warehouse service, and used NuOrder for B2B orders. All these different systems were independent systems and none of them were connected.

Finally, they also had a very comprehensive inventory forecasting tools that were built using spreadsheets.

Solution One of the main aspects of using a cloud-based system was to be able to connect all the different systems that Outliving used. The proposed systems to do this was Cin7, Xero and Inventory planner.

With a combination of products created and designed in-house and a strong distribution model, Outliving is a key supply partner for retailers in Australia, The United States, The United Kingdom, Canada and New Zealand. With a customer base including most mid-to-high-end major retail chains, along with thousands of boutique stores, Outliving is the flagship destination for premium brands seeking distribution.

Between these three systems, almost all of their independent systems were connected or replaced.

Cin7 connected to Outlivings EDI Customers, the 3PL, NuOrder and Xero. Inventory planner is proposed to also replace their forecasting spreadsheets.

The benefit of this is that Inventory planner can pull data from Cin7 in real time, this allows for far more accurate data, than exporting data and then importing it into a spreadsheet.

Final Thoughts The setup of the main core system was quite a straightforward process. However, the 3Pl and EDI connections took quite a bit of time due to a number of external factors.

Staff from Outliving were quite used to the older system they had, they had created some really nice custom automations that were very useful for dispatching sales orders.

We never were able to completely replace these highly customised reports/automations, but we helped ascertain about 80% of the requirements, stretching Cin7 to its utmost to do so.

Overall as with any implementation, the first few months are always a steep learning curve and then it starts making sense in the second and third month. The team at Outliving are happy with the day to day requirements of the system and they are looking forward to seeing how the forecasting system will also benefit the team.
