Each year, thousands of teams, guided by community leaders like you come together for AIDS Walk New York. Proving that we are stronger together than apart, these teams are responsible for 65% of the millions of dollars raised for GMHC and more than 40 other AIDS service organizations throughout the tri-state area. Every year, the inspiring efforts of our teams make it possible for these organizations to provide lifesaving services to thousands of men, women, and families living with and affected by HIV/AIDS, in addition to reaching thousands more through crucial prevention programs. Included in this Team Leader Kit, you will find the necessary tools to build a successful team. As a Team Leader, your goals are to recruit your friends, family, and co-workers to join your team and to help them fundraise! We encourage you to start now – ask at least one friend to join your team today. Once individuals register, we will mail out a Walker Kit with important information about AIDS Walk New York as well as a Sponsor Form. Those that have regular access to a computer can register as Green Walkers™ and receive their materials via email. How It Works:
Participants take on the challenge of raising funds for the AIDS Walk by asking friends, family members, co-workers, and neighbors to sponsor them for the 10 kilometers (6.2 miles) they will be walking. Participants can register on the web at aidswalk.net, or by phone at 212.807.WALK.
Location:

AIDS Walk New York will be held Sunday, May 20, 2012. Who benefits from AIDS Walk New York? AIDS Walk New York benefits GMHC and nearly 40 AIDS service organizations in the tri-state area. Where will AIDS Walk New York take place? AIDS Walk New York begins and ends in Central Park, winding through the streets of the Upper West Side and Riverside Drive. How long is the AIDS Walk New York route? The route is 10 kilometers (6.2 miles) long and takes roughly two to three hours to complete. Will refreshments be available at AIDS Walk New York? What about restrooms? Water and a variety of complimentary snacks will be provided at the venue and at the designated checkpoints located throughout the route. Portable toilets will also be available at the venue and throughout the route. What is the schedule for AIDS Walk New York? Sign-In will open at 8:30 a.m. The Opening Ceremony will begin at 9:15 a.m., and the AIDS Walk will begin at 10 a.m. What constitutes a team? A team is any group of co-workers, fellow students, religious/civic organization members, friends, or family members who preregister, raise money, and walk together on the day of AIDS Walk New York. Teams can range in size from two to more than 1,000 walkers. Any team that registers 25 or more walkers by Wednesday, May 9 at NOON qualifies for a Team Meeting Station, a designated area for Team Members to meet up in Central Park on the day of AIDS Walk New York. What if someone wants to join our team after the Team PreRegistration Deadline of May 9? Walkers may still join your team after the deadline of May 9. However, they will not appear on your Team Roster on the day of the AIDS Walk. You may transfer them to your team at your Team Meeting Station, if you qualify for one. Simply fill out their name, address, phone number, and email address on the Team Transfer Sheets that will be at your Team Meeting Station. You can also find Transfer Sheets on the day of the event at Team Information. In the weeks following the AIDS Walk, Team Rosters will be updated with new walker names and contributions. A final list will be emailed to all Team Leaders in mid-July. If someone registered for AIDS Walk New York as an individual, can they still join our team? Yes, pre-registered walkers can still be part of your team. To transfer walkers to your team, call the AIDS Walk office at 212.807.WALK with the walker’s name, address, phone number, and email address, if available. What is a Gold Team? Gold Teams are the top 20 fundraising teams, announced annually. Last year, this elite group collectively raised more than
$1.5 million. In recognition of their outstanding efforts, Gold Teams receive a separate Meeting & Sign-In Area, as well as a professional team photo taken on the day of the event. How do I set up my AIDS Walk team web page? Setting up your AIDS Walk web page is easy! Visit aidswalk.net and enter your username and password (contact your Team Coordinator at 212.807.WALK if you do not know your username or password). Once you log in, you can customize your web page, send out team recruitment emails, set team goals, change your password, and talk with other Team Leaders on our bulletin board! As the days go by, you can monitor the success of your team by checking fundraising statistics and obtaining donation and team recruitment reports. Are there any incentives to raise money? Incentive Awards will be available for fundraisers who collect and turn in the following amounts to the AIDS Walk New York office by Friday, June 15, 2012: $150 or more - The official AIDS Walk New York T-shirt $250 or more - The official AIDS Walk New York Cap and Tshirt $500 or more - The official AIDS Walk New York Picture Frame, Cap, and T-shirt Registered members of the Star Walkers Club™ who raise $1,000 or more will receive the awards listed above as well as a specially designed Star Walker Commemorative Pin, Star Walker Travel Mug, a “fundraising royalty crown” to wear at AIDS Walk New York, and V.I.P. access to the Star Walkers Club Breakfast. What is the Star Walkers Club? The Star Walkers Club is an elite group of fundraisers who each set an individual goal of raising $1,000 or more. Registered members of the Star Walkers Club who achieve their goal will receive all the official AIDS Walk New York Incentive Awards in addition to a “fundraising royalty crown” to wear at AIDS Walk New York, and VIP access to the Star Walkers Club Breakfast, which includes complimentary food and beverage. What is the deadline to turn in funds for Incentive Awards and team totals? The deadline to turn in funds for Incentive Awards and final team totals is Friday, June 15, 2012. What are matching gift programs? Matching gift programs are established by many companies with the intention of supporting nonprofit organizations by matching contributions made by their employees. Ask your human resources representative about your employer’s corporate-giving policies and whether or not they have a matching gift program. Is there a minimum amount I need to raise? No, you do not have to raise a minimum amount. However, AIDS Walk New York is a fundraising event and we strongly encourage all participants to set a fundraising goal and do their best to achieve it.

We provide HIV prevention and coordinated care services to men, women and families living with, or affected by, HIV/AIDS in New York City. Client Intake offers comprehensive and holistic intake, assessment and reassessment services to HIV positive and at-risk clients to ensure they are effectively linked to vital programmatic services. The department is the entry point in GMHC’s model of continuum of care and is staffed by trained intake clinicians and support staff.

Community Health and Research develops new approaches to HIV prevention for marginalized populations who are underrepresented in the healthcare sector, with a particular emphasis on LGBTQ communities and women of color. These communities have been disproportionately impacted by HIV and face other challenges and health disparities that often exacerbate their risk for HIV and other health conditions. Through a community-based outreach model, we seek to identify the most effective models of care and prevention to improve the healthcare outcome for these individuals. The department utilizes an expansive toolkit of community health that includes advocacy, public policy, public health research, social marketing and outreach to engage individuals at high-risk of HIV infection or lacking HIV/STI-specific care. In the pursuit of these objectives, the department partners with diverse organizations in the governmental, private, and non-profit sectors, and our work spans local, national and international levels.

Coordinated Care connects clients affected by HIV/AIDS to vital community resources and assists in the negotiating and coordinating the care. The department advocates on behalf of the individual, their families, and significant others, to ensure that they have access to comprehensive medical care, health insurance, entitlements, housing, food, substance use services, dental and mental health providers, job training services, support groups, and treatment education. The David Geffen Center for HIV Prevention and Health Education effectively combines a highly successful, community outreach HIV and STI testing and counseling program with immediate connection to care and prevention services. It also provides referrals to programs that empower clients with the knowledge to maximize their well-being in the context of broader health concerns, specifically in connection with substance use and adherence to HIV medications.

Health Informatics is the hub for data management, quality assurance, and research and evaluation related to program services. The department is responsible for the collection of valid and reliable data for the purposes of program evaluation and monitoring. In addition, the department develops and implements reporting systems that promote reflection, informed decision-making and the use of information to continuously improve the quality and strategic aspects of GMHC’s work. Dissemination is a key function as findings from evaluation and research projects are distributed internally and externally— including presentations at national and local conferences, and publications in peer-reviewed journals. Legal Services assists clients in obtaining and maintaining basic life-sustaining services, including access to food, housing, medical care and employment. The department focuses on HIV-related discrimination in the workplace and elsewhere, bankruptcy and debtor-creditor issues, homelessness prevention, family law, child custody, permanency planning, immigration, and access to benefits and entitlements. The Michael Palm Center for AIDS Care and Support empowers HIV positive and at-risk clients by stabilizing their lives in the areas of housing, income support, and access to healthcare. It also provides one-on-one and group services that address depression, substance use, and sexual risk-taking behaviors. The services are targeted to specific populations most affected by the epidemic through programs including the Women’s Care, Prevention and Support Services, Outstanding Beautiful Brothers, Many Men, Many Voices and Substance Use Counseling and Education. Public Policy advocates for fair and effective HIV/AIDS policies at all levels of government, including expanded access to healthcare and services. The department also focuses advocacy efforts on the development of new, improved and less expensive methods for the prevention, diagnosis, and treatment of HIV and AIDS. The Volunteer, Work and Wellness Center offers services devoted to the overall health of clients, including nutritious meals, nutrition counseling, therapeutic art, and complementary therapies such as acupuncture, yoga and massage therapy. The Work Center offers a comprehensive array of educational, GED, job readiness, training, job placement, and retention services for people living with or at risk for HIV/AIDS in order to build economic self-sufficiency. The Volunteer Center recruits, trains and supports volunteers and interns who offer help in a wide range of tasks.
Demographic Statistics Worldwide Statistics At the end of 2009, there are an estimated 33.3 million people living with HIV/AIDS and 2.5 million children are living with HIV/AIDS. About 2.6 million people were newly infected with HIV. Women account for an estimated 15.9 million of all adults living with HIV/AIDS. Young people (under 25 years old) account for half of all new HIV infections. There were an estimated 1.8 million AIDS deaths as of 2009. More than 25 million people have died of AIDS since 1981. United States Statistics In 2009, an estimated 50,000 people became infected with HIV. More than 1.2 million people in the U.S. are living with HIV. Through 2008, more than 594,500 people with AIDS in the U.S. have died since the epidemic began. New York City Statistics
GMHC Key Statistics (7/1/2010 - 6/30/11) GMHC serves close to 11,000 men, women and children living with and/or affected by HIV/AIDS. GMHC provides close to 100,000 hot, nutritious meals to clients living with HIV/AIDS. The vast majority of GMHC clients live at or below the poverty level. GMHC conducts outreach and delivers HIV prevention messages to multiple high-risk communities, directly reaching thousands of residents throughout NYC. 61% of new GMHC clients are HIV-negative and receive HIV testing and counseling, prevention, and mental health/substance abuse counseling services. 62% of clients who tested HIV-positive at GMHC accessed medical care, the vast majority of whom did so within the first month of diagnosis.
NYC remains the epicenter of the HIV/AIDS epidemic in the U.S. More than 107,000 New Yorkers are living with HIV, but thousands don’t know they are infected. NYC has the highest AIDS case rate in the country, more than Los Angeles, San Francisco, Miami, and Washington DC combined. HIV is the third leading cause of death for NYC residents ages 35 to 54. Gay Men/Men Who Have Sex with Men (MSM) In NYC, 68% of new HIV diagnoses were among men who have sex with men (MSM), a group that has always been heavily affected by HIV/AIDS and remains at high risk. Nationally, MSM accounted for 61% of all new HIV infections as well as nearly half of people living with HIV. Between 2006 and 2009, the number of new infections increased among young MSM—driven by a 48% increase among black MSM ages 13 to 29. Over-50 Population
49% of persons who accessed services are gay men. 55% of those who received an HIV-positive test result at GMHC were MSM of color.
Over 44% of HIV-positive clients were age 50 and above.
In NYC, 40% of new diagnoses are among people over the age of 50. Nationally, persons over the age of 50 accounted for 17% of all new HIV/AIDS diagnoses. The rates of HIV/AIDS among persons 50 and older were 12 times as high among blacks and 5 times as high among Hispanics compared with whites. By 2015, it is estimated that half of all people living with HIV nationwide will be over the age of 50. People of Color
66% of GMHC’s HIV-positive clients are black and Latino, and 29% are white.
In NYC, more than 80% of new HIV diagnoses and AIDS-related deaths are among African Americans and Hispanics. In the U.S., 64% of new infections were among African Americans and Hispanics. Women
70% of the women who received services were HIV-negative.
One in three New Yorkers living with HIV is a woman. About 93.4% of new HIV diagnoses among women were among black and Hispanic women. Of the total number of new HIV infections in U.S. women in 2009, 57% occurred in blacks, 21% were in whites, and 16% were in Hispanics/Latinas. In 2009, the rate of new HIV infections among black women was 15 times that of white women, and over 3 times the rate among Hispanic/Latina women.
26% percent of GMHC’s HIV-positive clients are women. Of those clients, 49% are black, 36% are Latina and 11% are white.
Youth
GMHC continues to provide HIV prevention information to thousands of young people ages 29 and under who are at risk for HIV or unaware of their status.
Nationally, young people aged 13–29 accounted for 39% of all new HIV infections in 2009. HIV disproportionately affects young gay and bisexual men and young African American men.
24% of the clients served by GMHC were under 29 years old; and 39% of new clients were under 29. 20% of the MSM served by GMHC were between 18 and 29 years old. Of those clients, 59% were black and Latino.

On Facebook, give thanks and get sponsors at the same time: Update your status with your fundraising goal and thank sponsors by writing on their Facebook wall. Your updates in the Facebook News Feed will inspire others to donate!
Email Signature: Add a link to your fundraising web page in your signature. Each time you send a message, the recipient will be provided the opportunity to sponsor you.
Retweet: On Twitter, become a follower of AIDS Walk New York and other AIDS service organizations. Then retweet messages you read and be sure to ask your followers to donate to you.
Sell goodies to your co-workers: Pick up the most sought-after sweets and set up a snack area near the photocopy machine. Put a sign up that reads “Suggested donation $1.”
YouTube: Record a personal video message asking for support for your fundraising efforts, keep a video diary of your AIDS Walk New York experience, or thank people who sponsor you by video.
Corporate Matching Gifts: Ask your Human Resources department if your company has a matching gift program. If not, suggest an employee match, or get your boss to match the proceeds collected at your next fundraiser. Don’t be shy. You never know who might be your next big supporter!
Virtual Walker: If you can’t physically be at the event, you can still register and collect online donations. On the day of the event, wear a red ribbon wherever you are! Inspire your friends with HIV/AIDS facts: Include statistics and HIV/AIDS related news in your status update and emails. Blog your way to fundraising success: Keep an online journal of your fundraising progress and announce fundraisers!
“Denim Days” or “Dress Down Days”: First get corporate approval, and then charge people $5 to wear jeans to work on a Friday, or $20 for the whole week. Everyone can benefit from a more relaxed work atmosphere. Help people be comfortable on the job while contributing to a great cause. Office Lunch Fundraiser: Get food donated or have co-workers bring in their favorite dishes! Charge $5 per plate–charge more for additional side dishes!
WHAT KIND OF FUNDRAISER ARE YOU?
Social Butterfly Dinner with Friends: Ask your local restaurant if they will donate a portion of one evening’s proceeds to your AIDS Walk Los Angeles fundraising total. Make flyers with the information and invite everyone you know to dine there on that evening. You’ll bring in more business to the restaurant and more money to your fundraising efforts. Raffle it off!: Use your connections and fabulous social skills to acquire irresistible prizes donated for a raffle. You can ask businesses that you frequent (restaurants, spas, hair salons, sports venues) to donate. Sell tickets at $2 each or 10 tickets for $15 – people can’t say no to that bargain! Benefit Concerts/Gigs: If you know a rock band, jazz group, DJ, comedian, or string quartet, ask them if they will do a benefit for AIDS Walk New York at a local club or coffeehouse. Karaoke Night: Contact your favorite karaoke spot and get a portion of the proceeds to go toward your goal. Bring all of your friends out! Guest Bartending: Ask your local bar if they’ll allow you to be a guest bartender for a night. All the tips go to your fundraising total!
Still in School Bake Sale: Get faculty and students involved to showcase and sell their best baked goods! Penny Wars: Use the power of good ole’ competition and have classrooms battle it out. The Goal: Collect the most pennies. Pennies give your team positive points while nickels, dimes, quarters, and any dollar bills take points away from the team’s total. Whoever collects the most pennies in their jar and put as many non-pennies in everyone else’s jar, wins. The total funds collected go to the winning team. Sports Tournament: Choose any sport from basketball to dodgeball! Charge $5 to participate or $25 to form a team! Charge an entrance fee to watch the game for $1. Get donated goods and sell them at your concession stand with proceeds going toward your AIDS Walk New York team. Pie Smash: Ask a teacher or the student body president to agree to be smashed in the face with a pie to raise tons of money for AIDS Walk New York! Students or classrooms try to out-bid each other for the privilege of throwing the pie. Get parents involved: Send out a memo to all parents and include a Sponsor Form and AIDS Walk New York Fact Sheet. Parents have friends and co-workers who can be great potential donors!

Matching Gift Information MATCHING GIFT PROGRAMS CAN MAKE A HUGE DIFFERENCE IN YOUR FUNDRAISING! A matching gift is a donation made by a corporation or foundation on behalf of an employee. The donation matches the contribution made by that employee to a nonprofit organization. Matching gifts are an increasingly vital resource for many nonprofit organizations because of their ability to double, triple, or even quadruple an individual’s contribution.
MATCHING GIFT PROGRAMS BENEFIT YOUR COMPANY! Community Involvement Matching gift programs provide an opportunity for companies to acknowledge causes and organizations of interest to their employees while giving back to the communities in which they operate. Matching gifts are an effective way to encourage a company’s employees to give, and thus expand the base of contributions to a nonprofit. Public Relations Matching gift programs are an effective way for companies to demonstrate their commitment to serving the community, thus promoting a positive corporate identity to the public. Employee Relations Matching gift programs allow employees to direct corporate funds to nonprofit organizations of their choice. By financially backing their employees’ charitable efforts, employers can create healthier staff relations and foster a more positive atmosphere in the workplace. Broad-Based/Flexible Giving Matching gift programs reflect the company’s corporate giving philosophy while supporting the interests of its employees. With flexible giving, companies can create or alter matching gift programs to meet a variety of objectives, for example: encouraging larger gifts by designating a minimum donation, or structuring a campaign to encourage continued giving.
HOW TO START A MATCHING GIFT PROGRAM IF YOUR COMPANY DOES NOT HAVE ONE: Take an informal poll to see if your coworkers would be interested in formulating a matching gift program. 2. Research organizations your company currently supports and its method of giving (e.g., annual charitable giving, sponsoring specific fundraising events, donations of goods and services). 3. Present the idea to your human resources department or other company executives. Include information from your informal poll of employees as well as a written request with details of how everyone would benefit. Be sure to discuss what type of program would work best for your company and the organizations you and your coworkers would prefer to support. 4. Ask for an informal matching program. Simply ask your boss, CEO, or other company executive to match what your team raises, to sponsor the first 25 walkers to register, or get involved in any other creative fundraising solution you come up with. Just ask! 1.
Utilize Matching Gifts 1. RESEARCH YOUR EMPLOYER’S MATCHING GIFT POLICIES Ask your company’s Human Resources department whether your employer has a matching gift program. If not, you can take advantage of companies that do by asking your friends and family members who work for those companies to sponsor you. NOTE: Many companies process their matching gifts online. If this is the case with your company, be sure to inform your walkers where to go to utilize this tool. To receive credit for the matching donation as part of your AIDS Walk fundraising total please forward the email confirming completion of the online matching gift to: matchinggiftny@aidswalk.net. Make sure the following is included in the e-mail: o Dollar amount of the match o Donor’s name o Walker’s name With an email confirmation, it is NOT necessary to print out additional paperwork when you turn in your funds at the AIDS Walk. The participant will be credited with the match when you forward the confirmation. If you do not email your confirmation, you may print out the confirmation and turn that paper in on the day of the AIDS Walk at Sign-In to receive credit for the matching gift donation.
2. READ EACH MATCHING GIFT FORM THOROUGHLY Most Matching Gift Forms are divided into two sections. The first section is completed by the sponsor, and the second section is completed by the nonprofit organization receiving the gift. NOTE: Some companies require that a photocopy of the sponsor’s check accompany the Matching Gift Form. Ask your Team Members to attach all required documentation to the Matching Gift Form when they turn it in to AIDS Walk New York.
3. BE PREPARED AND MAKE IT EASY Keep a supply of Matching Gift Forms readily available along with your Sponsor Form. Encourage Team Members to do the same. Then sponsors can complete the form at the same time they make the contribution. NOTE: Many companies will ONLY accept original Matching Gift Forms, NOT photocopies! Be sure to find out your company’s policy before copying the form.
4. TELL YOUR SPONSORS WHAT TO DO If your company does have a matching gift program, promote it. Explain how the match works. What kind of matching ratio does the program offer? A 1:1 ratio (dollar for dollar)? A 1:2 ratio (one dollar for every two dollars raised)? Is there a minimum contribution that a sponsor must make in order to utilize the program? Many times, sponsors will increase their level of giving when they know that the gift will be matched with funds from the company. Doubling or tripling your contribution is very motivating! When presenting your sponsor with the Matching Gift Form, be sure to indicate the sections they will need to complete.
