ASA2016 MELBOURNE ABOUT THE ASA A professional association with charitable status, the Australasian Sonographers Association (ASA) is the peak body and leading voice for sonographers in Australia and New Zealand. For over 20 years, the ASA has guided the advancement of the sonography profession to ensure the community has access to quality ultrasound services. The ASA represents the profession on the myriad issues within sonography, diagnostic imaging and the broader healthcare sectors. The purpose of the ASA is to lead the profession in delivering excellence in sonography for the community. ASA2016 MELBOURNE WELCOME On behalf of the ASA2016 Melbourne Program Convening Committee, I would like to invite you to participate at the ASA’s 23rd annual international conference, ASA2016 Melbourne, at the Melbourne Convention and Exhibition Centre (MCEC) from Friday 13 to Sunday 15 May 2016. The theme for the conference is ‘Excellence in Sonography’. I firmly believe Australian and New Zealand sonographers are the best in the world, so it is without question that ASA2016 Melbourne will be world-class. The ASA2016 Melbourne program has been designed to showcase the abundant talent and expertise we have to offer. In addition, there will be a number of keynote speakers to complement our program. Encompassing the many aspects that contribute to excellence in sonography, the program aims to promote professional discussion, motivation, on-going skill advancement and education. With a balance of national and international speakers, a broad range of topics and an extensive collection of workshops, the program will appeal to all sonographers – from a foundation level to the more advanced. Adding to the experience will be a lively social program. The iconic MCEC is located at South Wharf on the Yarra River adjacent to the Melbourne CBD. It is the ideal destination for the ASA’s annual international conference. The ASA’s Rural and Remote Sonographer Scholarship Sponsorship provides financial assistance for three sonographers towards attendance at the conference with three (3) grants of $1,000. Advertising file specifications for Delegate Handbook Advertising files for the delegate handbook must adhere to the following specifications: Half-page ads must be landscape format, at 123 x 80 mm (W x H), no bleed required. Full-page ads are portrait, at 148.5 x 210 mm (W x H), with a minimum of 3 mm bleed all round, and trim marks. All critical text and images should be placed at least 5 mm inside the trim border; inside back or front cover files should leave 7 mm space from trim border. Files must be converted to CMYK colour format with no spot colours. All fonts converted to outlines, and a minimum resolution of 300 dpi at 100% print size.

9. ASA protects the privacy and security of information provided by you. We are bound by the privacy principles contained in the Privacy Act 1988 as amended from time to time. ASA collects and stores your personal information for the purposes of providing membership services, education and training programs.

Deposit of 50% of the total cost is required to secure sponsorships. Balance due: Friday 26 February 2016. Packages taken out after this date will be required to pay the full sponsorship amount at time of booking. Payment can be made by credit card – we accept Visa and MasterCard only, Cheques or direct deposit (EFT). A tax invoice/receipt will be issued. Note: Sponsorship applications will not be deemed confirmed unless a payment deposit is received with the booking form. Payment, payment schedule and cancellation 1. The Australian Goods and Services Tax (GST) of 10% is applicable to all goods and services offered for ASA2016 Melbourne (and SIG2016 Queenstown). 2. The sponsorship and the exhibition booths will be allocated strictly in accordance with the date of receipt of the signed booking form. 3. Direct deposits (EFT) must be made into the nominated account by the ASA. 4. A deposit of 50% is required upon booking with the balance paid no later than Friday 26 February 2016. A letter of confirmation will be provided, together with a tax invoice for the full amount payable. 5. Deposits not paid within 30 days of application will result in the space being made available for re-sale. 6. No sponsor or exhibitor will be allowed to participate until the full payment and booking form have been received. 7. By signing the application form, the sponsor agrees that the ASA shall retain 10% of the contract price in the event that a cancellation is accepted less than four months before the meeting and 50% of the cancellation is accepted after that time. 100% of the contract price will be forfeited if the cancellation is accepted within two months of the meeting. 8. The ASA reserves the right of refusal of any application.

In applying to sponsor the ASA event, exhibitors grant permission to ASA, its agents and others working under its authority, to take and to have full and free use of video/photographs containing their image/likeness 12. It is understood these images may be used for promotional, news, on-line/ multimedia, research and/or educational purposes by and for ASA. Exhibitors agree that they are not entitled to remuneration, residuals, royalties or any other payment from ASA in respect of their image/likeness or its use. Exhibitors release, discharge, and hold harmless, ASA and its agents from any and all claims, demands or causes of actions that they may hereafter have by reason of anything contained in the photographs or video. Should a registrant not agree to the above image release, they must advise ASA by emailing marketing@a-s-a.com.au Sponsorship and exhibition 13. The ASA will take all diligent care to fulfil the above mentioned sponsorship and exhibitor packages. 14. Sponsors and exhibitors are responsible for providing all their requirements i.e. furniture, banners, artwork, promotional material and any other material within the timelines outlined in this package. 15. The ASA will provide security within the exhibition area for the duration of ASA2016 Melbourne. It is the responsibility of sponsors and exhibitors to ensure that equipment and valuables are not left unattended for the duration of the conference.

16. The event organiser (ASA) and event venue accept no liability for damage to exhibits by loss, damage, theft, fire, water, storms, strikes riots or any cause whatsoever. Sponsors and exhibitors are advised to insure against such liability. 17. Whilst every care is taken in program content/structure, the ASA reserves the right to alter/substitute components to the event as deemed appropriate. 18. Exhibitor stands and booths are allocated on a sole entity basis, unless otherwise indicated and agreed to by the ASA. Cross promotion is strictly prohibited. Exhibitors must follow the guidelines agreed to when purchasing exhibition space. Any deviation from this will result in the sponsor and exhibitors forfeiting their exhibition space. No funds will be returned. 19. The ASA assumes no liability whatsoever for omissions or default, whether negligent or otherwise of those airlines, hoteliers or other persons providing services to the registrant. 20. The ASA reserves the right to prohibit entry of any trade delegate at the event, or eject any exhibitor delegate from the event based on behaviour deemed inappropriate by ASA staff and/or its agents and others working under its authority. 21. If the ASA cannot hold the event due to Acts of God, war, government regulations, disaster, strikes or other events outside of ASA’s control, then the sponsors and exhibitors shall not be entitled to any refund or to claim for any loss or damage. 22. Exhibitors must abide by the rules of the Melbourne Convention and Exhibition Centre. 23. Exhibitors must strictly adhere to the bump in and out times. 24. Exhibitors are not permitted to pack up or leave prior to the event concluding.
