About the ASA The Australasian Sonographers Association (ASA) is the peak body and leading voice for sonographers in Australia and New Zealand. The ASA’s purpose is to lead the profession in delivering excellence in sonography for the community. With a membership of over 70% of sonographers in Australia and a growing base in New Zealand, the ASA has a clear mandate to advocate for best practice in sonography. As a not-for-profit professional association the ASA represents the interests of its members on myriad issues within sonography, diagnostic imaging and the broader healthcare sector. About SIG2016 Queenstown The SIG symposium was developed in response to the need for cutting-edge professional development for sonographers with special interests, and for those who are well established in their careers. The SIG symposium program is developed by the SIG program committees, comprising skilled sonographers who are committed to developing a high-quality program within their discipline. Our 12th annual Special Interest Group (SIG) symposium, SIG2016 Queenstown, will be held on Saturday 10 and Sunday 11 September 2016 in Queenstown, New Zealand, at the Hilton Queenstown Resort & Spa. The symposium promises a tailored, high-end education program, focused on musculoskeletal and obstetrics and gynaecology and presented by leading practitioners in the fields of sonography, medicine and allied health. The plenary sessions and live scanning workshops will showcase the latest technology and scientific advancements in sonography. We anticipate SIG2016 Queenstown will be extremely well attended, attracting hundreds of sonographers from across New Zealand and Australia.

Venue Located in one of the world’s most picturesque regions, the Hilton Queenstown Resort & Spa sits on the scenic blue shores of Lake Wakatipu. Advertising file specifications Advertising files for the delegate handbook must adhere to the following specifications and be submitted to the ASA by 5 August 2016: Half-page ads must be landscape format, at 185 mm wide x 130 mm height, no bleed required. Full-page ads are portrait, at 210 mm wide x 297 mm height, with a minimum of 3 mm bleed all round, and trim marks. All critical text and images should be placed at least 7 mm inside the trim border; inside back or front cover files should leave 10 mm space from trim border. All advertising artwork is to be supplied as either PDF format (press quality), EPS, or .TIF format. Files must be converted to CMYK colour format with no spot colours. All fonts converted to outlines, and a minimum resolution of 300 dpi at 100% print size. Page 6

Terms and conditions Booking and payment deadlines

4. It is understood these images may be used for promotional, news, online/multimedia, research and/or educational purposes by and for the ASA. Exhibitors agree that they are not entitled to remuneration, residuals, royalties or any other payment from the ASA in respect of their image/likeness or its use. Exhibitors release, discharge, and hold harmless the ASA and its agents from any and all claims, demands or causes of actions that they may hereafter have by reason of anything contained in the photographs or video.

Sponsorship and exhibition

Note: Sponsorship applications will not be deemed confirmed unless a payment deposit is received with the booking form.

1. The ASA will take all diligent care to fulfil the above mentioned sponsorship and exhibitor packages.

Payment, schedule and cancellation

2. Sponsors and exhibitors are responsible for providing all their requirements i.e. furniture, banners, artwork, promotional material and any other material within the timelines outlined in this package.

1. The Australian Goods and Services Tax (GST) of 10% is applicable to all goods and services offered for SIG2016 Queenstown.

3. Platinum sponsors are required to provide an ultrasound machine with DVD capabilities for demonstration of a variety of examinations, a full range of probes and AV cables, a fully adjustable scanning chair and couch, and an applications specialist for their plenary-workshop.

2. The sponsorship and the exhibition booths will be allocated strictly in accordance with the date of receipt of the signed booking form. 3. Direct deposits (EFT) must be made into the account nominated by the ASA. Contact us for details. 4. A deposit of 50% is required upon booking with the balance paid no later than Friday 1 July 2016. A letter of confirmation will be provided, together with a tax invoice for the full amount payable.

5. The event organiser (ASA) and event venue accept no liability for damage to exhibits by loss, damage, theft, fire, water, storms, strikes riots or any cause whatsoever. Sponsors and exhibitors are advised to insure against such liability.

5. Deposits not paid within 30 days of application will result in the space being made available for re-sale. 6. No sponsor or exhibitor will be allowed to participate until the full payment and booking form have been received.

6. Whilst every care is taken in program content/structure, the ASA reserves the right to alter/substitute components to the event as deemed appropriate.

7. By signing the application form, the sponsor agrees that the ASA shall retain 10% of the contract price in the event that a cancellation is accepted less than 12 weeks before the meeting and 50% of the cancellation is accepted after that time. 100% of the contract price will be forfeited if the cancellation is accepted within 4 weeks of the meeting.

7. Trade booths are allocated on a sole entity basis, unless otherwise indicated and agreed to by the ASA. Cross promotion is strictly prohibited. Exhibitors must follow the guidelines agreed to when purchasing exhibition space. Any deviation from this will result in the sponsor forfeiting their exhibition space. No funds will be returned.

8. The ASA reserves the right of refusal of any application.

Privacy statement and release

8. The ASA assumes no liability whatsoever for omissions or default, whether negligent or otherwise of those airlines, hoteliers or other persons providing services to the registrant.

1. The ASA protects the privacy and security of information provided by you. We are bound by the privacy principles contained in the Privacy Act 1988 as amended from time to time. The ASA collects and stores your personal information for the purposes of providing membership services, education and training programs.

9. The ASA reserves the right to prohibit entry of any trade delegate at the event, or eject any trade delegate from the event based on behaviour deemed inappropriate by ASA staff and/or its agents and others working under its authority.

By completing the sponsorship form, you agree to the use of your exhibitor information by the ASA to process your application; to contact you about our products and services; and for internal purposes. 10. If the ASA cannot hold the event due to Acts of God, war, government regulations, disaster, strikes or other events outside of the ASA’s control, then the sponsors and exhibitors shall not be entitled to any refund or to claim for any loss or damage. 11. Exhibitors must abide by the rules of the Hilton Queenstown Resort & Spa.

3. In applying to sponsor the ASA event, exhibitors grant permission to the ASA, its agents and others working under its authority, to take and to have full and free use of video/photographs containing their image/likeness.

12. Bump in and out times must be strictly adhered too. Exhibitors are not permitted to pack up or leave prior to the event concluding.

4. The ASA will provide security within the exhibition area for the duration of SIG2016 Queenstown. It is the responsibility of sponsors and exhibitors to ensure that equipment and valuables are not left unattended for the duration of the symposium.
