With that being said, and as a person who believes in the powerful impact IFMSA Exchanges has on med students. I am hereby signing up to putting my all in and investing as much time, energy, and resources into making IFMSA Egypt exchanges one of the best recognized exchange programs in the world. I truly believe in the potential IFMSA Egypt and its members have, and I aspire to build a legacy throughout the term that will hopefully last ages.
I hope that I can gain your trust to serve as your NEO Out for the upcoming term. Promising that I will do my best to make sure that you and your fellow med students will have the best exchange experiences ever, and will truly reach the sensation of ‘living life in a month, not a month in life’.
I strongly believe that going on an exchange during med school years is one of the best experiences a med student can go through. It is with no doubt that IFMSA Exchanges provide an intercultural learning setting that allows med students to encounter a phenomenal medicocultural experience that surely contributes in shaping the future doctors they aspire to be.
Dear IFMSA Egypt family, I am Mostafa Wassim, a 6th year medical student in Ain Shams university. I am presenting my candidature for the position of IFMSA Egypt’s National Exchange Officer for the Outgoings (NEO-Out) for the term 2022/2023.
For more than five years now, I have been affiliated with IFMSA Exchanges. I started as a rookie contact person who knew nothing other than a few cool spots to chill with the incoming students, and made it all the way to becoming a part of IFMSA Egypt’s National Exchange Team and attending a myriad of exchange related sessions/events on regional and International levels.
Throughout the past five years, IFMSA Exchanges gave me the opportunity to learn, develop, and grow. It gave me the chance to create bonds and friendships that will hopefully last a lifetime, and the blessing to be surrounded by people that reshaped how I envision life and perceive the future. I owe IFMSA Exchanges a huge part of the person I am today, as it made me go through a rollercoaster of experiences, situations, and emotions that played a major role in developing me on personal and professional levels.

iv. Create a detailed excel sheet showing the status of each of the previous term contracts’.
vi. Reach out and communicate with NEOs in order to solve the problems of late CAs, ILs, and Visa rejections as much as possible. vii. Refresh and renew as many spoiled contracts as possible.
A. SITUATIONAL ANALYSIS & PROBLEM SOLVING
x. Work on enhancing relationships with all NMOs, especially the ones that we’re looking forward to sign contracts with in the upcoming term. This will be achieved by; being responsive to all the communication channels, being present at all times, and having proper problem solving and crisis management skills.
iii. Establish contact with SCOPE IT.
It is quite clear that the world is thankfully starting to open up after the COVID pandemic,and the exchange is finally starting to heal from the repercussions it faced since 2020. However, it is apparent to everyone that we are still facing certain struggles on the national level. That’s why I hope to start my term by paying special attention to the pressingproblems that are endangering the success/sustainability of our exchange programs, andputting our LCs at risk due to the high number of postponements and cancellations throughout the past 3 terms.
viii. Make sure that the LCs and their outgoings are satisfied with the solutions we’re reaching regarding their concerns. ix. Work hand in hand with the NEO IN and LC Presidents to figure out solutions for thecapacity issues, to be able to enhance our relationships with the NMOs that faced troubles in sending their outgoings to IFMSA-Egypt.

ii. Establish contact with NEOs through official channels (NEO Server) and non-official channels.
i. Ensure a swift thorough handover from my predecessor.
v. Update the already existing LC concerns sheet, and figure out ways to solve the pressing concerns that are hindering our outgoings as soon as possible.

vii. Create a needs assessment form for the national team to know which competencies they’re lacking.
iii. Update the selection criteria of the applying candidates.
B.
As someone who got to practically witness the structural change in IFMSAEgypt’s National Exchange Team, I will make sure to reflect my overall experience to the next IFMSA-Egypt EB, NEO IN, and NORE, to make sure we can utilize the national team positions optimally, and to be positive that the positions will allow the individuals holding them to grow and expand their knowledge while adding to the quality of IFMSA-Egypt Exchanges. That’s why it’s important to:
ix. Establish a monthly reporting system for the national team, together with a mental health watch system to make sure they’re not burnt out.
x. Engage the national in as many regional and international opportunities as possible, and give them the chance to fly solo in some tasks to prepare them to lead IFMSA-Egypt exchanges in the upcoming terms.
iv. Thoroughly prepare the interview questions with NEO IN and NORE that will ensure the selection of the most qualified candidates.
i. Update the job description of IFMSA-Egypt’s National Exchange ii.Team.Look into adding new positions.
vi. Carry an induction meeting (preferably physical) with the accepted candidates for team building, ground rules, and setting expectations.
v. Encourage experienced candidates to apply and be there for them and answer any of their questions.
viii. Conduct a competency based national team training to capacitate the national team and prepare them for the upcoming term.

WITHRAPPORTBUILDINGTHELEOs
Local exchange officers undoubtedly play a crucial role in maintaining the success and sustainability of IFMSAEgypt’s Exchanges. Building solid relationships and enhancing the chains of communications with the LEOs is a chief cornerstone to ensure a successful term. Therefore, we have to insure that: i. Start the term with a round of introductions on the WhatsApp group to break the ice. ii. If possible, conduct an online team building before the first term NGA and LEO/LORE Weekend. iii. Make sure that all the LEOs feel comfortable in reaching out to me on a personal and professional level by establishing communication iv.channels.Planamonthly check up/meeting with the LEOs to keep in touch, and try to plan physical gatherings every once in a while. v. Make sure to add an inclusive social program to the LEO/LORE weekend and ensure active participation of everyone.

ii. Try to target/advocate for our national priorities for the term 22/23 through exchange related events. ii. Consult and brainstorm with the NEO IN and NORE to make sure we are united and working towards the same goals. iii. Assist the National Team in creating AWPs that will serve the overall purpose of exchanges throughout the term.
i. Carefully look into IFMSA-Egypt’s strategic plan and exchange IOGs and make sure my AWP is aligned with them.

iv. Be open to adjust my AWP based on the needs of the NMOs or to be able to match any unforeseen events. WORKING PLAN
D. ANNUAL
I believe that creating an AWP is one of the most important milestones of the term. The AWP could be used throughout the term to make sure I am still on track. I am planning to:

v. Ensure that all AFs are sent before the deadline, for our outgoings to be eligible to get their desired cities/departments.
iii. Set a strict timeline for outgoing selection, and ask all the LCs to share with me their outgoing selection details beforehand. I will also try to attend some of the exams/interviews if possible.
iv. Ensure that all LCs conduct a PDT 1, and assist them in preparing the PDT 1 outline and materials. I will try to attend some PDTs if possible.

vi. Carry a series of online Educational Activities for the selected outgoings. The goal of these EAs is to make the outgoings more familiar with important exchange related topics including but not limited to; Global Health, Universal Health Coverage, Ethics in Exchanges, SOGI in Exchanges, etc... Overall we aim to enrich Global Health Education and Social Accountability awareness in our outgoings. The nine steps of academic quality are undoubtedly the base of our work, and we should spare no efforts to enhance our academic quality to make sure that both our outgoings and incomings have the most academically enriching experience. We should aspire to reach IFMSA’s and SCOPE’s vision and mission through a better academic quality. I will make sure to work throughout my term hand in hand with the NEO IN to achieve a better overall academic quality. However, as the main responsible for the outgoing division I will try to;
i. Go through the candidate and consult with the NORE and the EB if it needs any update.
ii. Share the candidate with the LEO-OUTs on their personal emails to ensure confidentiality.

vii. Conduct a 2-day conference in May with the following goals; -Carry a PDT-2 using the UNESCO PDT Manual as guideline. -Make sure that our outgoings have a good understanding of SCOPE Handbook and SCOPE Terms and -InviteRegulations.previous outgoings to share the outcomes of their exchanges with the upcoming outgoings.
-Conduct hands on EAs as for instance; basic surgical skills workshop, suturing workshop, first aid workshop… -We can collaborate with SCORE to conduct research related EAs (Basic Research Methodology, Open Science, Open Data, Open Access, and others) as well viii. Create a student feedback google form, that will be used alongside the EF to evaluate the experience of the outgoing regarding the academic program they received, the social program, and the visa issues they encountered (overall quality assessment). Analysis of the results of this form can help us come out with solid conclusions about which NMOs we should prioritize while signing contracts for the new exchange ix.season.Wecan also look into creating a tutor feedback form to be filled by the outgoing’s tutor alongside SCOPE Handbook. This could give us a better insight about the efficiency of our outgoing selection process and the competencies that we can try to support our outgoings with for a better x.representation.Workonupdating the LEO Folder with all the necessary materials that the LEOs may need.
-Create a simulation to prepare the outgoings for the multi-cultural setting.

On a personal level I believe that CB is the most important point/pillar in my POA. The COVID situation has negatively affected the capacity of exchanges globally. As one of the few people left in IFMSA Egypt who has witnessed and worked in exchanges before the pandemic, I will strive to make IFMSA Egypt’s Exchange great again. I believe that through CB I will be able to prepare future leaders that will be taking IFMSA Egypt Exchanges places. That’s why I need to:

I have never been a fan of the stereotype that Exchange people are always there in NGAs to chill. SCOPE as the first created committee in IFMSA has a lot to do with serving IFMSA’s mission and vision, and I am sure that it crosses paths with other SCs as well. I am planning to utilize my year to change the false impression about SCOPE people, by working on conjoint events, campaigns, workshops, and sessions with other SCs. This could be achieved through:
i. Educational Activities! In my opinion Educational Activities provided to Outgoings and Incomings are the best example on why and how SCOPE should collaborate with other SCs. We can implement conjoint national EAs by:
-Conduct conjoint sessions with SCORP targeting Discrimination and gender bias in research and medical diagnosis, intersectionality and the right to health, and vulnerable groups and minorities.

-Each national officer will be responsible for around 10 LCs (3-5 buddy groups) and will establish a non-official communication with them (WhatsApp group). SYSTEM
E. BUDDY
-The buddy system should allow the less experienced to consult the more experienced LC if they’re facing any troubles, the buddies could also collaborate together in conducting UATs, PDTs, EAs, and Social Programs.
i. Create a multidisciplinary buddy system in which; -Less experienced LCs will be paired up with more experienced -Eachones. LC will have one or two buddies (e.g. one experienced LC will be placed with two less experienced ones) -It’s preferred to pair up the LC based on similar geographical distribution (e.g. experienced LCs in upper Egypt will be paired with the less experienced LCs in upper Egypt).
During my 2 years serving as a member of the EB of my LC, I witnessed the buddy system being implemented for the first time on a local level, and I got to experience how important it was on a personal and professional level. That’s why I believe that introducing the buddy system in exchanges will surely have a myriad of benefits. That’s why I am planning to:

iii. A call for a SWG should be opened, and the SWG should start working on a visa booklet and hopefully it could be ready by the end of April.
Visa issues and rejections are one of the unfortunate events that negatively affects the mental health of our outgoings, and stresses out both the LEOs and NEOs. Sadly, this something that we can’t 100% control. However, we can do our best to ensure that our outgoings can acquire their visas as smoothly as possible. This could be done through: i. Working in retrospect, by reaching out through our LEOs to previous outgoings that have successfully travelled to countries with problematic embassies, and that are cooperative enough to share with us their experiences with these embassies and How they successfully issued their visas. ii. Collected data from previous outgoings should be used to create a google drive with multiple folders, each folder will represent a country, and will contain the forshouldinformation/documentsnecessarytheoutgoingknow/havepriortoapplyingthevisa.

The booklet should contain a link to the drive folder created earlier and other general tips that should be put into consideration before applying to any embassy.

x. Make sure to send the hardcopy ILs to the LEOs as soon as I return from the xi.MM.Try as hard as possible to avoid the situation of late CAs with any NMO.

As part of our academic recognition process, we can reach out to faculties officials’ and check with them the possibility of issuing official support letters to the outgoings (stating that they recognize our exchange programs and that they guarantee that the student will return back to Egypt to complete their studies) to hopefully make their visa process easier.

vii. Look into the possibility of reaching out to partners of IFMSA Egypt and ask them to issue endorsement letters for our exchange program.
ix. Make sure to collect the information of outgoings that will need a hardcopy invitation letter in a reasonable time period before the MM to have sufficient time to request them from the NMOs.

IFMSA-Egypt is one of the biggest NMOs in the region and the whole world in terms of SCOPE active LCs and numbers of active members. It’s important to make sure that this manpower is being meaningfully engaged in our activities on the national, regional, and international levels. This could be done through; i. On a National Level: -Work hand in hand with the NEO IN, NORE, and National Team on developing a members engagement plan.

-Motivate members to apply for SCOPE ST in MM and AM 23 and guide them through the application process.
-Work on selecting the most qualified candidates to attend SCOPE sessions in MM and AM 23.
-Motivate members to apply for workshops and trainings held in SRTs organized by nearby NMOs in our region. iii. On an International level:

30 A. ACADEMIC RECOGNITION
i. Making sure that LEOs have a complete understanding of academic ii.recognition.Assessing the current situation and mapping the obstacles LCs are facing to reach academic recognition. iii. Working alongside the NEO IN, NORE, and EB in creating a solid plan for achieving academic recognition in as many LCs as possible. iv. Provide the LEOs with endorsement letters, support letters, and strategies to approach their faculty officials to achieve academic v.recognition.Payingvisits to the LCs that will need assistance in talking to their aculty officials to reach academic recognition. I believe that reaching full academic recognition of our exchanges on a national level should be one of our main goals. Not only for this term, but also on the long run as reaching full academic recognition is definitely something that is not going to happen overnight. Egypt’s national med school system includes an internship period (one or two years depending on the system) and going on a SCOPE exchange as an alternative to 4 weeks of the internship is definitely something we should all look forward to and unite to achieve. We can direct our work to reach academic recognition through:

Tutors are one of the most important stakeholders of our exchange programs. We should always make sure that they are highly interested, motivated, and looking forwards to working with us. & ENGAGEMENT
vii. Look into the idea of creating a facebook group to gather and engage tutors from different universities to offer them a sense of belonging and motivate them to share their work with our students to help engage them even more.

As we all know, most of the med students out there are enthusiastic about signing up for exchange programs. Unfortunately, not everyone gets the chance to go on a SCOPE or SCORE Exchange due to the limited number of units. However, organizing national/domestic exchanges can have a myriad of benefits. Whether it will be organized on a bilateral level between LCs or a unilateral level with external non-university hospitals, it will definitely be a huge step for our NMO and it will increase the level of impact we have on med students in Egypt. Therefore, we’ll have to:

The outgoing campaign is one of the most crucial steps in marketing our contracts. As a person who worked on IFMSA Egypt’s incoming campaign for the term 21/22, I have witnessed the pitfalls and the struggles that might be faced while conducting an online exchange campaign. I will use my experience as well as the experience of my predecessors to make sure that we conduct a successful outgoing campaign with a high reach. I will work alongside the NORE and the Outgoing assistant to:

Work on investing more time and effort into our Instagram IFMSA Egypt Exchange page; add more interactive stories, highlights, reels, and iv.posts.Make sure to have a media coverage for our online and physical outgoing campaigns. v. Make sure that all our Outgoings are following the page and are tagging it in their stories while on exchange. vi. Encourage LCs to post more exchange related content on their social media platforms and create accounts specified for the exchange. vii. Make sure that we post and document our national, regional, and international activities and accomplishments (e.g; national exchange fair, EMR exchange fair, MM and AM exchange and contract fair, announcement of members accepted in national and international SWGs...).
B. IFMSA

I believe that we’re spending a tremendous effort on national and local levels to make sure that our exchanges have the best possible outcomes, that’s why it’s important to make sure that our work is well documented and well marketed for. In my opinion it’s important to show the world the amount of effort we’re investing in our exchanges, to encourage NMOs to be more enthusiastic to collaborate, work, and sign contracts with IFMSA Egypt. It’s undoubtedly important to: EGYPT EXCHANGE

using more social media platforms alongside Instagram to market for our exchanges.

iv. Open a call for submissions for the newsletter, and gather materials from our outgoings, incomings, LEOs/ LOREs, and exchange team members. The submissions could include interesting cases encountered during SCOPE/SCORE exchange, favourite social program memories, exchange funny moments/stories, local achievements for LEOs/LOREs, and achievements of IFMSA Egypt Exchange in general.

It’s definitely important to keep putting effort into coming up with new marketing strategies that serves our purpose. Being innovative isn’t an easy process and we should all work hand in hand to achieve more creative outstanding strategies to market for our exchange programs. It’s important to: i. Conduct marketing sessions in NGAs and LEO/LORE ii.weekends.CreateSWGs in those sessions to gather inputs from the LEOs/LOREs about new marketing strategies that could be iii.adopted.Workwith the assistants, NEO IN, and NORE to develop a SCOPE Newsletter which could be published twice; once after the MM and once before the AM.

41 A. IMPACT ON THE LOCAL LEVEL i. Be there for the LEOs at all times and help them reach their personal goals. ii. Assist the LEOs and/or LC Presidents in developing their exchanges on a local level. iii. Ensure sustainability of the LCs for the upcoming years by capacitating their members and encouraging them to apply for more opportunities on the national and international levels. B. DUTIES AS AN IFMSA EGYPT OFFICIAL i. Attend all TOMs and make sure to be actively participating and adding to the overall environment of the TO. ii. Be there for the rest of the team on the personal and professional levels. iii. Assist the NEO IN and NORE in anything they might need and cover them during their exam period. iv. Establish good dynamics with my EB Buddy and make sure everything always goes smoothly. vi. Represent IFMSA-Egypt in the best way in different vii.situations.Continuous updating and reporting of IFMSA-Egypt SCOPE plans and progress to the rest of TO members to gain their support and advice. viii. Be there whenever IFMSA Egypt needs me.

INTERNATIONAL&PARTICIPATION
ii. Ensure good representation of IFMSA Egypt in SCOPE Sessions Internationally. iii. Actively participate in exchange fairs and contract fairs and try to win in any exchange fair. iv. Establish good relationships with SCOPE IT and other NEOs.
iv. Contribute in International SWGs, Session’s Team, or Facilitating PRETs/ TNETs to make sure that IFMSA Egypt is always well represented.
i. Attend the EMR, MM, and AM.
v. Conduct preparatory meetings for IFMSA Egypt members attending exchange sessions in regional/ international meetings.
