Cruise Procedures

Registration

• Cruises are open to members and their guests.

• Slip preregistration will be sent in the previous Fall to gauge interest.

• Slip assignments and additional reservation instructions will follow at a later date.

• Cruise activity registration will be sent 60-90 days to the beginning of the cruise.

• Activity fees will be outlined in the cruise itinerary.

• Cruise registration must be completed through BHYC’s surveys and forms sent by email or by emailing cruiseclub@bayharboryc.com.

• Registration through the mobile app or member website does not guarantee or complete cruise registration.

• A Cruise Participation Form must be completed each season to ensure participation on the cruise(s).

• Only one form is required per couple/boat owner per year.

• Individual slip reservations may be required through the Michigan DNR website.

• For marinas where slips are preassigned, slips are assigned on a first-come, first-served basis, based upon reply date as well as slip size availability.

Cruise Deposit Policy

• Upon registration, members will be charged a Cruise Deposit in the amount of $300 per boat, per cruise.

• Billing Timeline:

• Cruise to Northport: Billed on March 2023 Statement

• Cruise to Mackinac Island/Mackinaw City: Billed on April 2023 Statement

• Cruise to Traverse City (Both Dates): Billed on May 2023 Statement

• Cruise to Door Country: Billed on June 2023 Statement

• The Cruise Deposit will be applied to the total cruise cost billed individually to each member.

• Ex: Cruise Deposit $300, will be applied as a credit to the member’s account upon billing for each cruise’s activities and events.

• Slips fees are excluded. These fees are additional and are to be paid to the marina(s) directly.

• If the member’s cruise activity charges do not

meet or exceed $300, the remainder will be credited to the member’s statement.

• Waitlisted reservations will not be charged a cruise deposit until the reservation becomes fully confirmed.

• Members who wish to participate in the activities, but not bringing a boat or requiring dockage, will still be charged a deposit to ensure participation in the group activities.

Cancellation Policy

• If a member cancels before 45 days of the beginning of the cruise, the cruise deposit will be refunded.

• If a member cancels within 45 days of the beginning of the cruise, the cruise deposit will be forfeited.

• If a member cancels within 45 days of the cruise and the Cruise Manager finds a replacement attendee from the waitlist, the original attendee is refunded the deposit and the replacement member from the waitlist will pay the cruise deposit and will be responsible for their portion of the cruise expenses.

Additional Information

• Members are encouraged to download and utilize the free mobile app “Whatsapp”.

• Whatsapp is used to communicate to the group and is helpful in sharing locations, travel conditions, photos, and other pertinent information.

• All confirmed participants using Whatsapp, will be added to the group prior to the cruise.

Cruise FAQs

I don’t own a boat. May I still participate in cruises and events?

Absolutely! All BHYC members are invited to participate in all cruises. Some non-boaters choose to drive to the location or with enough notice, the committee can try to pair you with another member traveling by boat. Every port destination will have options for hotel accommodations.

Is there a standard itinerary?

Boaters are welcome to set their own departure and return schedule. However, if possible, it is recommended to travel in groups as a safety precaution, especially when traveling to distant ports. The first night of each rendezvous, the group comes together for “docktails”, a potluck-style gathering located in a designated location at the marina. Attendees are asked to bring an appetizer to share and their own beverages.

Throughout subsequent days, cruise captains will plan various activities unique to the area. The group usually comes together for an organized dinner the last evening of the excursion. Participation in planned activities, excursions and dining events is not mandatory and completely optional, but everyone is encouraged to join the fun!

What if I need to cancel?

Boaters need to cancel their accommodations directly with marina or hotel and are subject to their cancellation policies. Activity cancellations will be made through BHYC. Depending on the activity and arrangement with the activity host, a cancellation policy and charges may apply.

Do I need to do anything special when traveling into Canada?

In addition to your passport, all boats leaving and returning to any US port require a vessel decal through US Customs and Border Patrol. For more information or to purchase or renew your decal, please visit the Decal and Transponder Online Procurement System “DTOPS” website at www.dtops.cbp.dhs.gov. The current decal fee for a private vessel (30+ feet) is $30.53 per calendar year.

What is the reservation process? Accommodations

Boaters are required to secure their slip and/or hotel accommodations directly with the marina or hospitality provider. The committee will secure a block of slips at marinas who allow reservations; however, statemanaged harbors require reservations to be made through the Michigan DNR website. Reservation procedures will be provided in advance. Due to the popularity of the destination locations, it is encouraged boaters secure their slips as soon as a block is in place or when registration opens on the Michigan DNR website at www.michigan.gov/dnr

Cruise Activities

Activity registration is booked through BHYC. Members are asked to complete a form indicating which activities they are interested participating in and the number of participants, prior to the registration deadline. Pricing will be provided and based upon the activity. Some activities will be billed through member statements, while others may require direct payment to the service provider. Payment procedures will be provided in advance.

Whom should I contact with questions during the cruise?

One or two couples are assigned as Captains for every cruise. The Captains have planned that trip’s itinerary and are a great source of information about the area, marina and weekend’s events. The Captains’ contact information will be listed within the trip agenda. In addition, a full list of attendees will be shared with the group prior to departure. This list will include emails, cell phone numbers and boat name.

The Cruise Club also uses the free mobile app “Whatsapp” to communicate as a group during the trips. This app is helpful in sharing locations, travel conditions, photos and other pertinent information. Your BHYC contact is Megan Nickerson, Cruise Manager. “PIRATE PARTY” DINGHY POKER RUN

Aarrggh! It’s a treasure hunt me say!

Join us for a fun twist on an old classic with our Pirates of the Caribbean Dinghy Poker Run! Grab your dinghy and move from one host to another throughout the evening for a poker run on Bay Harbor Lake! Cruisers will stop at various lakefront locations to grab their treasure (card) before our celebratory Caribbean picnic with a Cruise Club Signature drink at BHYC’s private beach. The best hand will win a prize!

You are encouraged to play the part and dress up! Prizes for best dressed and best decorated dinghy. Ideas to consider: a treasure chest out of a Styrofoam cooler by painting it gold and adding beaded necklaces and fake coins, create sails out of white sheets and paint skull & crossbones on them - let your creativity shine!

Eat up me hearties, yo ho! Please note the Poker Run begins sharply at 5:00pm and you will have roughly one hour to collect your hand around Bay Harbor Lake before we meet at the Beach for our last stop and dinner.

Please Note:

• All stops will be within Bay Harbor Lake. Boaters will not need to exit into Little Traverse Bay.

• All cards will be in envelopes and each participant will pick an envelope at each stop until they have a full hand of five. No peeking!

• If they wish to participate, every person on each dinghy will receive a card at the stops.

• Once at the Beach, turn all five envelopes into the staff, who will be doing the tallying of the hands.

• Best hand will win a $100 gift certificate redeemable at our Wellness Center or Spa (and bragging rights)!

• There are five stops: Look for the flags as a marker for each stop.

• Stops 1 through 4 can be completed in any order. There is no set route.

• Locations to be announced soon!

• Last stop is the Beach House where the group will meet, turn in their hands, and enjoy the meal.
