2. Registering with the Library If you belong to one of the following categories you will be entitled to register with the Library. HSMC, INLOGOV or Honorary Staff HSMC, MTS and INLOGOV postgraduate students West Midlands Public Health Specialist Registrars in training Birmingham Primary Care Trust Employees The Nuffield Trust All eligible Library members will need to fill in and return a Library registration form. After registration is completed you will be given an HSMC Library borrower card. You will need this to borrow books from the Library. Please supply an up to date email address as we will communicate with you via email regarding your loans and reservations. We send out regular updates via Facebook and Twitter so if you are interested please register for these at the same time. 2.1 Visitors/External Members If you are not eligible to become a Library member via the above routes you can still use the HSMC Library either for reference only or by becoming an “external Library member�. Code of Conduct The following Library code of conduct has been drawn up in order to provide a pleasant and safe environment for research and study for all Library customers: Please do not remove any Library material, equipment or property without authorization. Please do not damage Library materials in any way including; marking, underlining, removing pages etc. Please do not take any Library materials out of the country. Please do not give your personal username/s and passwords to anyone. Please do not tamper with hardware or software in the Library, including introduction of viruses.

Please do not eat or drink within the Library/IT resource room. Please be reminded that mobile phones are not to be used in the Library/IT resource room. Please be reminded that you are responsible for all materials (including introductory memory sticks) that have been issued to you and that you will have to pay for any items that are lost in your care. Please take responsibility for knowing when items should be returned and for ensuring that items are renewed before the due date. Please do not lend your card to any other person, or borrow books on their behalf. Please remember to take all your personal items from the Library, as the Library cannot take responsibility for items left unattended. Please remember to show consideration and courtesy to Library staff and other Library users at all times. 4. Finding Information in the Library 4.1 The Collection The collection of the Library held at HSMC consists of 15,000 books, pamphlets, report titles, DVDs, dissertations and, audio books most of which can be borrowed, and approximately 80 current print journal titles which are for reference use only. There is also a small collection of videos and a collection of Department of Health Circulars dating from 1947. The collection covers the non-medicals aspects of the health service including subjects such as: primary care, public health, commissioning, local government, leadership and organisational development. 4.2 Library Catalogue All items within the collection, with the exception of journals and circulars, can be located on the Library catalogue. The catalogue can be accessed on the Library website at: https://cssfs8.bham.ac.uk/HeritageScripts/hapi.dll/search1 4.3 Dissertations All past HSMC dissertations can be located on the Library catalogue. The dissertations are for reference use only and are not located in the Library. If you wish to see a dissertation please fill in a dissertation request form, available from the Library, and a member of Library staff will retrieve the dissertation within the hour. 4.4 Class Marks The Library uses the Library of Congress classification system. All Library materials except for journals have a class mark. The class mark relates to an item's subject and determines where it is located within the Library. Thus, materials on a particular subject are shelved together and are further sub-grouped by material type. These are: books, quarto books (qb) pamphlets (p) and quarto pamphlets.(qp) Here are some examples: Primary health care

5. Lending Services 5.1 Borrowing Books, reports and pamphlets can be loaned from the HSMC Library for a period of three weeks. You can borrow up to 6 items at any one time excluding journals and reference material.

5.2 Postal Loans The Library staff will post books out to all of its registered users. However, we do ask that you check the Library catalogue first to see if the items you require are available for loan. If the items you require are available for loan we would ask you to send your requests to us via email at: hsmc-library@contacts.bham.ac.uk Please note that the Library makes no charge for this service but requires you to bear the costs of posting books back to us by the due date. We also ask that you send the items back by registered post as lost items will then be refundable by the Post Office. You should receive your items within 4 days providing that the items are available in the Library. 5.3 Returns Please be considerate to all our users by ensuring that the book/s in your possession are returned no later than the due date. Please either hand the books over to Library staff, post them back to the Library if they are suitably packed. 5.4 Renewals You can renew the item/s that you have out on loan twice to make a total loan period of nine weeks. However, please note that books that have been reserved by another user can not be renewed. You can renew your books online on the Library catalogue. You will need your borrower number including all the zeros at the beginning of the number. https://cssfs8.bham.ac.uk/HeritageScripts/hapi.dll/search1 Please note that the new due date is calculated from the date on which you renew the item, not the date on which the item was initially due. Once an item has become overdue by more than seven days, you will no longer be able to renew the book online. Instead, please get in touch with the Library staff who will renew the item for you. 5.5 Reservations You can reserve items directly from the Library catalogue opening up the catalogue record, clicking on the „Reserveâ€&#x; button and then entering your borrower number. We will then send out a recall email to the current borrower to alert them. Please note that you cannot reserve an item that is available on the shelf. 5.6 Recalls If another reader requires an item you have borrowed, you will receive a recall notice, asking you to return the item to the Library by the due date. We would ask that you are considerate to all Library users by ensuring that the item is returned promptly.

5.7 Overdues The Library does not currently charge for overdue items. However, the Library staff does expect borrowers to return their books by the due date in order to keep the items in circulation for the consideration of other users and takes a dim view of borrowers who abuse this generosity.

5.8 Lost books If you lose a book, please notify Library staff. If the book is not found, you will be expected to cover the cost of its replacement as well as incurring a ÂŁ10 administration charge. 6. Journals & Electronic Journals 6.1 Journals The Library subscribes to around 90 current journal titles, in print format, focusing on healthcare policy and management particularly in the UK. The Libraryâ€&#x;s journal holdings are listed in the journal holdings guide which can be obtained either in hard copy in the Library or can be viewed on the website: http://www.hsmc.bham.ac.uk/library/Catalogue_journals.shtml Please note that all journals are for reference only. 6. 2 Electronic Journals 6.2.1 Via HSMC Electronic journals are journals that are available electronically via the HSMC Library website. You will need an additional logon available from the Library staff. A list of electronic journals is available via the website at: http://www.hsmc.bham.ac.uk/library/eresources_ejournals.shtml 6.2.2 Via The University of Birmingham The University of Birmingham provides access to all electronic resources through it's eLibrary Service. Students, staff, and guests at the University of Birmingham can login to the ELibrary using their standard University username and password (i.e. this is the same as your Active Directory Account/WebCT logon details) to access the University's full range of Ejournals. These are available at: www.elibrary.bham.ac.uk 6.2.4 MTS Students MTS students are encouraged to access ejournals via Blackboard where there is a comprehensive list of Ejournals. The list of contains a descriptive analysis as well as access details. 6.3 NHS Employees If you are NHS employee you can access further electronic resources including ejournals via NHS Evidence at http://www.library.nhs.uk/Default.aspx In order to do this you will need to register for an NHS Athens password which is free to all NHS staff. InterLibrary loans 7.1 Inter-Library loans/photocopy requests InterLibrary loans are material/s requested from another lending Library if the item you require is not held in the HSMC Library, is missing from stock, or is not available from any of the University's other campus libraries.

7.2 Students The InterLibrary Loan department in the Main Library processes all interLibrary loan requests for students. Requests are submitted online, you will need to provide full bibliographic information for the item/s you require and have a valid University ID number. For more details on this service please contact the Library staff. 7.3 Other Library users including Public Health Trainees, PCT employees, HSMC staff and members of the Nuffield Trust You can obtain an InterLibrary form (ILL) either from the HSMC Library or via the Library website at http://www.hsmc.bham.ac.uk/library/FAQ_interlibrary.shtml The Library requires one ILL form per group of requests and you will be asked to provide full bibliographic details of the item/s you require. Please note that due to copyright regulations, only one article may be requested per journal issue. If you require several articles from the same issue, please make one request for the whole issue. Unless the journal is current (within the last six months), we should be able to obtain it from the British Library. 7.4 Photocopying facilities A black and white photocopier is available for use within the HSMC Library in accordance with the Copyright Act, 1988. The photocopier is operated with a Birmingham University ID card. The ID cards can be credited with units via either self service machines available in most Departments across the University campus, or can be credited manually in HSMC‟s Library. All transactions are cash only. The prices are as follows: 5p per A4 sheet 8p per A3 sheet 7.5 Copyright and the Law Copyright is an intellectual property right, which protects the rights of authors. It is generally accepted that under the “fair dealing” principle individuals are allowed to copy:  No more than one complete chapter of a book or 5% of the total publication.  No more than one whole article in an issue of a serial publication or in a set of conference proceedings Further information on the Universities‟ Copyright Licence negotiations with the Copyright Licensing Agency (CLA) can be found at: http://www.is.bham.ac.uk/copyright/ Permission to photocopy from publishers not operating under the CLA Agreement must be sought from individual publishers. 8. Library web site To go to the HSMC Library homepage go to: http://www.hsmc.bham.ac.uk/library From here you will be taken to a variety of hypertext links providing you with a “gateway to health management information”. 8.1 Podcasts and online demonstrations The Library has produced a number of in-house introductory and subject specific podcasts as well as online demonstrations. 9. Databases There is a wide range of databases available to users. These include:     

Medline (electronic equivalent of Index Medicus). EMBASE (Drugs and pharmacology). CINAHL (Nursing and allied health literature). HMIC (Health related books, reports, grey literature and journal articles). Web of Science (Science & Social Science Citation Index).

9.1 Members of the University To access these databases please go to the eLLibrary at: www.elibrary.bham.ac.uk/. You will need your University log on details. 9.2 Via HSMC The Library has an individual subscription to HMIC for the benefit of users who are unable to access it any other way. It can be found at http://ovidsp.uk.ovid.com. Please ask the Library staff for the log on details. 9.2 MTS Students MTS students are encouraged to access databases via Blackboard. On Blackboard there is a list of useful databases with a descriptive analysis as well as access details. 9.3 NHS Employees In addition to the services already provided by HSMC, NHS employees will be entitled to receive a range of electronic Library services, including ejournals and databases, via NHS Evidence database pages. http://www.library.nhs.uk/booksandjournals/ Further details of these services can be found on the databases sections of the HSMC‟s Library‟s website at http://www.hsmc.bham.ac.uk/library/eresources_databases.shtml 10. Computer Facilities There is an IT Resource Room (G19) at Park House which contains 11 PC‟s, including one PC for disabled access, along with a networked printer. A further PC and printer are available within the HSMC Library itself for the purposes of searching the Library catalogue. Please note that the IT Resource Room can only be used by HSMC staff, students, and external contract users. 11. Literature searching 11.1 Students Training sessions will be provided in effective literature searching during the first year of study for all postgraduate students. 11.2 Other Library users including Public Health Trainees, PCT employees, HSMC staff and members of the Nuffield Trust The Library staff can carry out a literature search for you. We can also provide assistance in literature searching techniques. Please arrange this in advance with a member of Library staff. We can provide brief training sessions on the use of individual databases, and can help you to define your search strategies. 12. Education & Training The Library web site provides a comprehensive collection of guides, pod casts and online demonstrations regarding all the Library‟s services. http://www.hsmc.bham.ac.uk/library/training.shtml 12.1 Students The Library provides both induction and effective literature searching training sessions for all its students. If you require further help we can also provide brief training sessions on the use of individual databases as well as helping you to form your search strategies. Please arrange this in advance with a member of Library staff Library induction and literature searching sessions take place during the autumn term. Please see the Library staff for further details. 12.2 Other Library users including Public Health Trainees, PCT employees, HSMC staff and members of the Nuffield Trust The Library will provide you with a full Library induction session when you register with us. We are happy to provide training sessions and support in using the Library and literature searching. 13. Distance Learners The Library provides a number of services designed specifically for distance learners. These include a postal loan and photocopying service. Further details can be obtained either from the Library staff or via the Library‟s website at http://www.hsmc.bham.ac.uk/library/FAQ_services.shtml. Library Services at the Main Library also provides a distance learning service. Details of this service can be found at: http://www.library.bham.ac.uk/using/offcampus/ 14. Using Other Libraries Staff and students registered with the University of Birmingham are entitled to use all the site libraries, which are part of Information Services. This includes the Main Library and the Barnes Medical Library. Their catalogues of books and periodicals can be accessed from terminals across campus, and via the web address: http://www.library.bham.ac.uk 14.1 Sconul Library Scheme The University of Birmingham has joined the Sconul Library Scheme. The scheme allows part-time students; distance learners and students on placement to register and borrow from up to 3 other participating libraries. Full-time students and University staff can use other libraries for reference purposes. For further details please check the part-time and distance learning section of the Main Library‟s website. 15. 15.1 Monthly Database Search The monthly search service will provide you with the search results across a number of databases which match your specific area/s of interest. Please note that this service is only available to certain categories of Library users. 15.2 Electronic Journal Content Pages This service will provide you up with up to date contents pages of a range of electronic journals. Please note that this service is only available to certain categories of Library users. 15.3 HSMC Daily Digest This digest is available to all registered Library users and contains all the latest health news headlines and can be delivered to your desktop. 15.4 Primary Care Bulletin This weekly digest is available to all registered users and contains all the latest primary care news headlines for the proceeding week. 15.5 Public Health Bulletin This weekly digest is available to all registered users and contains all the latest primary care news headlines for the proceeding week. 15.6 Leadership Bulletin These occasional bulletins, which are available to all registered Library users, contain the latest news and journal articles covering the topics of leadership and organisational development. 15.7 Commissioning Bulletin These weekly bulletins, which are available to all registered Library users, contain the latest news and journal articles covering the topic of commissioning. 15.8 Literature Search Update This a monthly bulletin that informs you of all the latest literature searches carried out by the HSMC Library staff. 15.9 Snappy Searches These twice weekly, speedy Internet search bulletins which will provide you with a quick overview of the latest guidance and evidence on Public Health issues, these include: smoking, practice based commissioning, sexual health, tobacco control, alcohol, child protection, obesity, substance abuse etc. 15.10 Welsh, Irish and Scottish Bulletins These bulletins contain the latest health news headlines can be delivered to your desktop. 15.11 Wednesday Wire This news alerts is a weekly round up of news from the HSMC Library & Information Service (for HSMC Library members only) 15.12 Library News Bulletin This bulletin is available to all registered Library users and will keep you up to date with developments in Library facilities.
