Challenge Within media and advertising, review processes for creative projects—whether print, digital, or broadcast—typically rely on time-consuming manual workflows. Assets may be printed and shipped to geographically dispersed clients—or large, cumbersome files may be emailed resulting in problems with client access and version control. Even when the hurdles of distributing assets for review are overcome, it’s another challenge to consolidate feedback and send instructions to production to make changes. Multiple rounds of reviews and the necessity of repurposing assets for use in other markets create additional complexity. In addition, reviewers may not have the patience to deal with proprietary solutions that put a technological burden on the front end with custom software or plug-ins. Finding an effective, easy-to-use more secure online system for collaborative review is a strategic priority for organizations looking to prosper by driving efficiencies.
Solution The Ensemble Shared Review tool is a robust solution for initiating and tracking ad-hoc reviews of electronic assets. Once materials are ready for review, they can simply be dragged and dropped into a cross-platform Adobe AIR® application. Multiple file types, including PDF, image formats, SWF, and Microsoft Office applications, can be submitted to the system. Managers invite participants and set deadlines using the intuitive AIR client. Files submitted for review are automatically converted into a PDF file from the original document and distributed to reviewers. Tracking capabilities in Adobe Acrobat® software provide a direct way for managers to track submissions, manage comments, and engage new collaborators. Reviewers can document feedback even when disconnected from the Internet as comments sync up with the server as soon as the connection is re-established. On the client side, participation in the review process requires only free Adobe Reader® software.
