As the world slowly recovers from the global recession, the events industry is also recovering and the changes that have taken place both within our businesses and our clients businesses are monumental. It has been absolutely fascinating watching the new event world emerge, companies re-inventing themselves and carving new ground in this new economic and social climate. From a couple of years ago, the rebound in the number of events happening is huge and clearly reflected in the Star Awards entries this year. We hit a new record, and the quality of the entries as well as the level of sophistication far surpasses previous years. One thing that stood out for me this year was the enormous impact social media and technology has had on these events. The way we do business, communicate, market, the way we design, the way we research, the way we entertain, the way we educate... has all changed, and it keeps changing every day. We are thrilled to be showcasing much of this new technology at our trade show this year. From our new mobile app to our new online registration, our focused social media marketing campaign and onsite social media lounge, to the online collaboration tools and content management systems. CSEME is teched out! But… with all that said, the question I ask myself, as I work well into the night,

night after night, preparing for this multi day event, is that, with all this new technology designed to make our lives easier and more efficient, why am I working so much harder? Is technology really making it easier, or is it complicating my life? I used to talk on the phone and send emails…now I have to text, instant message, Facebook, tweet, make sure I’m linked in and four squared and have my make up done for my multiple Skype conferences, while I talk on the phone and email with 3 - 4 people at a time. I want to know if anyone else agrees with me so stop by the social media desk at CSEME and do my ‘Is Tech Better?’ survey. You could win a free iPod. The rate of technology change is increasing. Meetings and tradeshow technology continues to advance with technology products becoming better, cheaper and easier to use. Innovation is bubbling with new options. Here are some of the major meetings and tradeshow technology trends to watch for this coming year. 1. Web-based software increases meeting planning ease and options. The web has been the driver for much of the technology change we have seen in the last decade. The days of shrinkwrapped, custom-installed meeting software programs are gone — they now delivered over the web. With the development of web services, a communication standard enabling different web programs to work together, the ability to exchange attendee, exhibitor, and member data has never been easier. Richinternet applications are giving desk-top functionality to these programs. In short, the web is providing software for nearly every aspect of the meeting planning process in a manner that is cheaper and easier to use than ever before. 2. Freeconomics – the rise of free or low cost meetings and tradeshow software is increasing. Another benefit of the web is that it is more efficient than “shrink-wrapped” software. With the plummeting costs for data storage and bandwidth, the cost for web software delivery is going down as well. There are now many meetings and tradeshow technology products that are free (with ads or upselling as a business model) or sub-

stantially lower prices than they have been in the past.. 3. Mobile apps for meetings are exploding. Mobile apps are hot! This 2010 has seen hundreds of new mobile phone apps benefiting meeting planners, attendees and exhibitors – and many more are in the pipeline! Smart phone “micro-computers” are increasingly being used for networking, lead exchange, electronic ticketing, way finding, audience polling, surveys, pocket programs, pocket exhibit guides, course notes/literature collection and much more.

4. Location-aware applications are finding their way to meetings. Hot right now is location-based applications. In the context of meetings, attendees are business travelers who need way-finding information as well as location-based networking. There are many applications that can help with meetings: Google Goggles can help with identifying landmarks, restaurants and other places of business using photo recognition and augmented reality. Foursquare and Gowalla are networking and social review apps designed to encourage loyalty at restaurants, bars and other lbusinesses are beginning to be used at meetings. Specific business networking tools such as www.sipity.com using location-

aware services have direct application to events. Facebook has just entered into this space and will likely have a major impact. We are just seeing the tip of the iceberg in terms of locationaware services and augmented reality applications for meetings. These will have huge potential in the future. 5. iPad and tablet PCs displaying options for meetings and events will be increasingly used. As the iPhone lead the way for a whole new genre of mobile phones, the iPad will lead the way for a wide range of touch-sensitive, tablet-like PCs in a wide range of formats. Dell, for example, is coming out with two “Streak” tablets and he Microsoft booklet PC is another proposed option on the drawing boards. These highly portable, easyto-input-while-standing (or walking) tools will be a natural for meetings: for surveys, for lead qualifications, for interactive displays at booths, for meeting planners to access specification data, for attendees to view streaming event video, for distribution of session handouts for attendees, and for a largerversion of the hundreds of mobile apps currently being developed for meeting planners, attendees and exhibitors. 6. HD video for hybrid meetings will bloom. Skype newest 5.0 beta version provides 760p high definition video conferencing at no charge (as well as the ability for four simultaneous callers). This is just one way that HD will lead the way to jump in hybrid meetings and speakers presenting remotely at events.The price has plummeted, and with increasingly more reliable internet connections, the reliability is good. continued on next page

7. Social media is working into the mainstream for events. Social media continues to be a huge driver for change at meetings. Meeting planners, attendees and exhibitors are all getting their feet wet, but most have not figured out how to integrate fully a social media strategy into their marketing mix. This coming year will see

8. Online collaboration tools will begin to replace email as a primary project management tool for events. Email was invented forty years ago, and as means of project management for meetings, is not efficient. It is interruptive, often incomplete, it is difficult to manage a stream of multiple conversations, and people are often not on the same page with document versions. Meeting professionals need a better way of managing these data! Wikis (collaborative websites) will emerge as much more efficient ways of tracking conference logistics and other details among geographically distributed meeting planners and suppliers. Free tools such as Google Docs will play a role as well as other web-based project management wikis.

10. Strategic meetings management and ROI measurement is expanded and refined to improve meetings. Strategic meetings management programs (SMMP) have been used historically by large corporations to reduce meeting spend by using tighter controls on procurement of sleeping rooms, meeting space and other meeting services. There are several companies who are developing web-based SMMP tools with a range of pricing models including Certain Software www.certain.com, Cvent.com and SignUp4.com The increased competition in this field will provide better meeting procurement tools at lower costs to a wider range of companies and associations – not just for the “Fortune 500” anymore.

11. Despite the economic downturn and the increased use of virtual meetings technology, face-to-face meetings and tradeshows remain viable (a repeat from last year’s predictions). Virtual meeting and web conferencing usage is up and conference attendance is down in these economically challenging times. However, meetings and tradeshows can still provide the best value for your education, networking, and sales budgets. Events offer unparalleled opportunities to bring buyers and seller together, to build relationships, to brainstorm, to network. For an exhibitor, it is often the best way to meet so many qualified buyers in such a short time. For buyers, it is a great chance to meet vendors of interest – all together in one location, categorized and mapped for your choosing. The events, tradeshow and hospitality industries are relationship-based and events and tradeshow are some of the best ways to build these relationships. Although webinars are good for short information exchange, meetings offer a much richer learning experience. What happens in the meeting room is important – people have made the commitment to be there and are not as distracted as in the office. However, the conversations in the hallways, receptions and exhibit hall contribute greatly to the information exchange. Meetings provide a vastly richer, more targeted, and more focused learning experience than any virtual meeting. Remember the very first day started really working in the event industry and what you did to snag that dream job? You may have been a spectacular candidate but it also may have been a wee bit easier back then to “break in” For students in event management programs today, it’s a whole different ball game. Competition is fierce and not only do they need classroom hours they need real life practice in events to graduate and to stand get that job. t is so helpful and positive for your conference or event attendees to have a common face in the crowd over the course of your multiple day event. Many conference goers are on their own, attending without a colleague or mate and often this can be intimidating. It may even dissuade them from attending the social functions. Having a conference host or Emcee can help address these issues while bringing light and levity to any educational or meeting environment. They not only draw everything together, they allows guests and delegates to identify one person in the crowd who will always know what’s going on, will always have a welcoming smile and will always sit with them should they find themselves on their own during any special function. Vancouver’s Patrick Roberge has had quite a year. He is coming off of the biggest and most spectacular events of his career and there is certainly no end in sight. Over the past few years Patrick’s company, PRP has been chosen to produce some of the most high profile events that Vancouver and Canada have seen and judging by the success of every show, PRP is clearly staking its claim as one of the most creative and talented production companies in North America.

PRP started as a company of one – Patrick as a sole freelancer. He learned early for the company to grow and to be able to take on great projects, he needed to surround himself with an incredible team. And so the journey began… and has grown literally one project at a time. Starting with Expo 86, PRP’s first large-scale production, Patrick and his emerging team managed over 60,000 performers and 3000 performing groups from all over the world for six months for the worlds fair’s daily on-site atmospheric entertainment. Patrick calls this his college education. Since that time he has moved from massive project to more massive projects, tackling each with the same incredible imagination, precision and his winning formula. Highlights of his career include the Opening Ceremonies of the 2008 North American Indigenous Games, the Opening Ceremonies of the 2007 Canada Winter Games in


Whitehorse and the Opening and Closing of the 8th IAFF world championship in Athletics. For IAFF PRP created these moments of ‘wow’. PRP helped coordinate the largest and most intricate non-rehearsed card stunt in North America. Over 22,000 audience members were equipped with coloured cards. On cue the audience held up the cards to create large colourful images as the athletes paraded into the stadium. It was a spectacular way to welcome the world’s best athletes. They were also honored with the role of Producer for the Opening & Closing Ceremonies of the Vancouver 2010 Paralympics Games; and most recently have returned from Halifax where they produced the Opening Ceremonies for the 2011 Canada Winter Games.

Toronto’s newest 130 year-old secret

After that a break would be in order but for PRP… not so much. Next they move into the production of a brand new Pirate Adventure show for Legoland Florida, show production for Vancouver’s new MLS team, 2011 Grey Cup halftime show, a major concert series for the Pacific National Exhibition in Vancouver and have just begun production of the Opening Ceremony for the 2012 Arctic Winter Games. Wondering what makes this company so successful and what their secret it? I caught up with Patrick during a few minutes of downtime to ask him those pressing questions and find out for ourselves what’s up with PRP. My first question was what is his key to success? Without a blink Patrick replied,

“Our key to our success is not wavering from our solid value system. Always remembering to “have fun in the process” and staying focused on achieving the objective. We always remember we are only as good as the next project we are taking on. We truly appreciate the opportunity to work with people and this drives us to always keep the bar high.” What keeps them sane throughout the stressful and high pressure gigs? The ability to have fun in the process. PRP prides itself on producing high calibre productions, which can be very demanding on the staff, but no matter what, they always find a way to have fun. Work hard – and have fun in the process. What drives someone like Patrick to continue to reach higher with every event? Passion and big dreams. Native of Argentina, Marcos Mendosa was only three years when his family moved to Toronto, Canada in a pursuit of a better life. ISES Vancouver had the pleasure of hosting a group of expert panelists in a discussion on sustainable event standards, as the ISO (International Organization for Standardization) gears up to launch their ‘Sustainability in Event Management’ Standard (ISO 20121) in 2012. “While the event industry offers valuable education-

al, social, and economic benefits”, Heather Baker, VP Programs for ISES Vancouver, explains, “the organization of these events can generate considerable waste and cause environmental harm”. We asked panelists Shawna and Ginny to provide their perspective on this crucial topic.

Ginny Stratton “Widespread use of the ISO 20121 standard will provide the Canadian event industry the opportunity to position itself as a leader in event sustainability.”

Will the standards be structured to roll out in stages set over a period of years or one single initiative? Shawna McKinley “They actually all seem to be hitting at once, which I think is making it a bit overwhelming for professionals! My experience with BS 8901 has been that it is not productive to try to change your business or event over-night to comply with it. You


really need to have a long-term commitment to the process and engage people in how they want to see it roll out. In terms of the APEX-ASTM standard it does have a four-level structure, which you can choose to gradually implement.” Ginny Stratton “ISO 20121 is currently in its final phases of development and its release is set to coincide with the London 2012 Summer Olympics. As part of the final development phase, the ISO 20121 Draft International Standard (DIS) will be released for public comment in April of this year. The public will have five months to review the standard and submit comments. How will certification impact private and corporate functions? Shawna McKinley “Not all of the standards include a certification. Some do, some do not. Those that do may be selfcertified, or may require independent certification or provide options for both. It seems that certification is an important driver for people to comply with the standards. LEED is a perfect example of this - it is a huge coup for the Vancouver Convention Centre to achieve the Platinum designation. The independent certification provides validation that can be used in marketing. This kind of validation can be important to combat green washing concerns, which consumers often experience related to environmental claims.”

Will there be penalties or fees for non-compliance? And if so, who will enforce it? Ginny Stratton “Pursuit of compliance with ISO 20121 is voluntary. It is designed to be used by organizations across the event supply chain, including event organizers, venues, and suppliers of event related goods and services, to demonstrate their commitment to sustainable development and event sustainability and to report on performance. Users of the standard may voluntarily claim compliance with the standard, or may pursue second or third party verification.“

In late 2010, the Catering and Events Industry lost a wonderful, gifted man, with the passing of David Peake. Best known in event circles as one of Vancouver’s most loved caterers, David was a kind, creative and passionate man whom I had the pleasure of working with many times over the past 15 years. It is a tragic loss and our hearts and condolences go out to his family and colleagues.

This past winter the event industry lost a brilliant mind and the world lost a kind and gentle soul. Ann Bayley, who co-founded world renowned ice sculpture company Iceculture, with her husband, Julian, more than 30 years ago, passed away in mid-January after a twoyear battle with lung cancer. Ann was very well known in the industry around the globe and touched many lives throughout her career. She and her husband Julian travelled extensively throughout North America, Europe, South Africa, Australia and the Middle East. The hundreds of tributes to Ann from many sectors of the ice business are testament to Ann’s popularity.

David’s global catering career began more than three decades ago in the formal European Apprenticeship Program in London, UK at the young age of 16. David has earned many awards, achievements and accreditations during his career as Executive Head Chef at a variety of exclusive locations. David owned and ran highly successful resorts, restaurants, catering companies and delicatessens. In 2007 David launched a DVD series “Catering for Caterers”. Most recently, David and the Peake of Catering team were thrilled to be a part of the success of the 2010 Olympics and Paralympics when Peake of Catering was awarded a food service contract for a 2010 Winter Games competition venue. In addition, throughout the games, Peake of Catering enjoyed producing events for many dignitaries, royalty, government, military and various corporations. Peake of Catering was named a 2010 finalist in the Spotlight Awards as Supplier of the Year. Numerous charities were also touched by David’s generosity throughout his career. Through his busy life David was a dedicated husband to his childhood love and devoted father to his four children. His achievements in life, on all levels, were exceptional. David will be sadly missed and fondly remembered by all those who had the pleasure of knowing him.

A succession plan came into effect last summer and Ann stepped down as president of the company with Heidi Bayley taking over the role. Christine and Sam took on responsibility for sales and production, respectively. Julian now concentrates on R&D. Ann has two other daughters, Peta who is also an accomplished ice carver works in London, UK as a 3-D animator in the movie industry and Leigh, who lives in Pittsburg, PA and is on the staff of the University of Pittsburg. Her legacy lives on in the incredible company she has created and the beautiful family she raised and loved. Iceculture has been a strong supporter of CSEME since its inception and Ann was always involved in helping ensure her company was a prominent figure at the events and in the publications. Our hearts go out to her family and loved ones and wish them much pride and success as they carry on her life’s work. Iceculture is a private, family-owned company with a staff of 50 and four divisions. The manufacturing plant produces 25,000 blocks a year which are shipped all over the US and Canada and are exported to Britain, Europe, South Africa, Australia and Japan. Recently, ice has been shipped to Iceland and Norway.
