Forbes Traveler has praised our event as one of the top five food and wine festivals in the U.S. This five-day event infuses home-grown flavor with the most celebrated chefs, culinary professionals and winemakers in the world! And, this year is our 12th year! We are expecting more than 20,000 visitors who love all things wine and food.You will be their primary contact and resource for information, so we’ve designed this handbook to provide you with all the details you will need to be successful with your position(s) throughout the weekend. RULES + REGULATIONS: CHECK-IN AND ARRIVAL Please plan to arrive and report to the checkin location specified on your schedule at least 15 minutes prior to your scheduled time. If you are running late, please call the volunteer coordinator, Gabby (610.416.1759) or your team captain. Make sure you bring your APRON to every shift! PRIOR TO WORKING AT AN EVENT SITE, PLEASE FAMILIARIZE YOURSELF WITH YOUR SURROUNDINGS. LOOK FOR THE FOLLOWING: • Set-up, design, and layout of events • Check-in sites, ticket sales, and ticket holder entrances • Staff members and Team Captains • Restrooms • All exits, including emergency exits • Access for physically challenged persons
PLEASE DO NOT bring your purses or items of value as there is limited storage and there will not be a place to put them or someone assigned to the security of personal items. Dependability is one of the most important aspects of being a volunteer.We depend on you to ensure that all of our operations run smoothly. It is essential that you be in attendance and on time for your assigned position. CHECK OUT + DEPARTURE At the end of your shift, your team captain will release you. Please do not leave your post until your Team Captain has officially released you. 6 - 2 017

PARKING Parking vouchers will be available in the Volunteer Tent. Each voucher is valued at $5 and will be accepted at both the Visitor Center Parking Deck.
VOLUNTEER LOUNGE There is a Volunteer Lounge located in Marion Square which is where you will check in and out if you are working in or near the Culinary Village. We will have food + beverages available during your daytime shifts and a comfortable lounge area with tables and chairs so you can relax before or after your shift. Volunteers are not allowed to eat or drink in public while working on a shift. Alcoholic beverages cannot be consumed while working for CWF. If you are caught consuming alcoholic beverages during a shift, you will be asked to leave the grounds immediately. ATTIRE/UNIFORM While volunteering for the festival, you are acting as an official representative of the festival. Following the dress code not only makes a good impression, but also helps identify you to festival attendees. Below we have detailed the dress for each event type.
SPECIFIC ATTIRE: For all assignments within the Culinary Village: (Ticketing,The Hub, Corkyard, Main Stage, Biergarten, Artisan Market,Third Space, Rosé Garden + Grilling, Industry Lounge and if you are working one of the ‘shuttles’) Wear a SOLID white or black shirt, khaki or jean bottoms, comfortable shoes + your festival apron. (If you choose to wear jeans, they cannot be ripped or tattered.)
However, if you see someone that you believe to be underage, intoxicated, or without a badge or wristband, do not let them in and immediately report this situation to a security guard or your Team Captain. In addition, the City of Charleston Police Department will provide 24 hour Security for the Culinary Village from Sunday, February 26th through Monday, March 6th. Please go directly to an officer with any emergencies or significant issues that require security personnel.
For miscellaneous daytime and casual evening events: (ALL Beverage Workshops, Pecha Kucha, Hooked on Bowens, Shucked, Pinot NV!, Toasted, Namaste Bubbly, Sinister Siesta,What the Pho?, Snout to Tail, Nassau St. Sideshow, From the Ashes, A Bourbon Affair, Cajun Meets Lowcountry Boil, Commodores + Admirals, Fowl Mouth) Wear a solid white or black shirt, khakis or jeans, comfortable shoes + your festival apron.
SECURITY The festival has procured a private security company that will be on hand during operational hours.These security guards will be responsible for checking for appropriate badges for all events and ID’ing anyone who does not look 21 years of age. Volunteers will not have to be responsible for ID’ing patrons during the festival weekend, however, if you see someone that you believe to be underage, intoxicated, or without a badge or wristband, do not let them in and immediately report this situation to a security guard or your Team Captain. In addition, the City of Charleston Police Department will provide 24 hour Security for the Culinary Village from Sunday, February 26th through Monday, March 6th. For the more formal events: (Party for our Partners, Opening Night: Rooted in Charleston,The Gospel Brunch) Men should wear dress pants + white shirts. Women should wear something black dress pants + solid white or black shirts - something chic and similar to what guests would wear. You should also wear your festival apron.
IMPORTANT: Wear your official festival apron and during all shifts that you are working! We do not have extra aprons! If it’s chilly you may wear a dark/black jacket. CHILDREN + MINORS NO ONE under 21 years of age is allowed into any festival events. This includes infants, babies and toddlers in strollers or carriers. If you see children inside an event, let your team captain or staff member know immediately.

EMERGENCY PROCEDURES If a problem arises at an event at which you are working, contact the Volunteer Coordinators, event Team Captain, a security guard or police officer. If it is an emergency, call 911. Remain calm. Telephone lines are located at the main Ticket Tent in Marion Square. If there is a patron who is acting out, kindly ask them to leave or locate the nearest festival staff member or officer and they will handle the situation.

SHOULD A SITUATION OCCUR: Even with the best of plans, the occasional accident, incident or situation may occur. How the volunteers, staff and participants handle the incident is vitally important to all involved. The following tips should enable those at the scene to handle the situation in the best and most effective manner: DO: • Stay calm • Call 911 for all emergencies • Immediately notify a staff member • Enlist the help of other volunteers and staff • Keep the area clear of other guests • Get the names, addresses and phone numbers of any injured parties and witnesses • Have staff member complete a Situation Report DON’T: • Speculate on cause, fault or outcome to anyone, including the media • Attempt to handle the situation by yourself • Attempt to move an injured person who is not able to move on his own BASIC DO’S + DON’TS • Please maintain a positive attitude. The impressions we make will last a lifetime. If you do not have an answer to something, see your Team Captain or the Volunteer Coordinator. • Take any issues or conflicts to your Team Captain and resolve them behind the scenes. • Do not smoke or drink while working as a Volunteer or while wearing the CWF apron. • Please clean up around you. If you see trash anywhere, please discard in the appropriate receptacles. • Welcome guests enthusiastically and thank festival attendees for coming and let them know you hope to see them next year.

HELPFUL HINTS • Have fun! This is a time to showcase everything great about Charleston. • Wear comfortable shoes! • Drink plenty of water throughout your shift. • Travel light - there will not be a place to store any purses/bags. • Don’t forget to allow enough time to park. • Patience and sense of humor go a long way, so keep that in mind when talking to guests and other volunteers. • Please be flexible with your assignments. Due to unforeseen circumstances you may be asked to do something completely different from your original assignment.
Where do you park for events? Parking lots/garages are located around Charleston, including across from Marion Square on King and Calhoun next to the Francis Marion Hotel. Look for the green “P” signs that indicate parking. Metered parking is also available on King, Calhoun and Meeting Streets. Meters must be paid in change daily until 6 PM (Mon. - Sat.).
MOST IMPORTANT At any Charleston Wine + Foof event, we must strike a balance between the number of participants and the availability of food/space at the venue. We cannot guarantee that you will be able to ‘attend’ the event after your shift. If you are wishing to participate in an event we encourage you purchase a ticket and attend as a guest.Volunteers are not permitted to indulge in the activities of the event, drink or eat while on a shift.
Where can I find water? Water will be available in buckets throughout the Culinary Village as well as at the Water Station inside the Third Space provided by Acqua Panna.
FREQUENTLY ASKED QUESTIONS + TICKETING PROCESS GENERAL QUESTIONS What does the festival benefit? The festival is a 501(c)(3) non-profit organization that benefits a variety of charitable endeavors.The festival has established culinary scholarships to benefit students at the Culinary Institute of Charleston, College of Charleston and the Art Institute of Charleston.To learn more, visit the “Partners” page of our website. www.charlestonwineandfood.com/partners

Where are the restrooms located? Restrooms in the Culinary Village will be located on both sides of Tobacco Road behind the Third Space and Industry Lounge. Restrooms will be available on site at each event held outside of the Culinary Village.
Do you recycle? This year Charleston Wine + Food will be composting our waste and flatware! Most of our flatware is made out of compostable material, and will be sorted and composted. You will see numerous composting stations throughout the Culinary Village. At the completion of the festival we will be donating our compost to a local farm. Are kids or pets allowed at events? No. All festival events are 21 and older. No children, infants (in strollers or carriers) or pets are allowed to attend any festival event for the safety of all parties. How do I get around during the festival? Charleston Wine + Food does not want attendees to drink and drive. There are a variety of ways to get around in Charleston, but we recomend downloading the Uber app and requesting a ride to your desired location. First time users will recieve a free ride up to $20! Where is the best place to stay during the festival? Please visit the “Partner” page on our website and scroll to the “Hotel” partners to check out the hotels that are official partners of Charleston Wine + Food. Where is the nearest ATM? There will be two convenient ATM sites inside Marion Square (the Culinary Village) throughout the Charleston Wine + Food weekend. Where is the most up-to-date information about the festival? The latest festival news can be found on our website. The Official Program was printed in February in partnership with Charleston Magazine, so it does not have the most current schedule for specific demos like in The Third Space of the Culinary Village. Signage in the Culinary Village is also extremely helpful for information. 10 - 2 017

TICKETING QUESTIONS: What do you receive with admission to the Culinary Village? • Admission to the Culinary Village (12 - 5PM each day) provides each ticket holder with the following: - Guests receive a commemorative etched festival wine glass, free food samples and beverage samples throughout the Village landscape (samples are bite-size, not full meals). - ALL DAY ACCESS to the following areas for the day you purchased your ticket: The Hub, Artisan Market, Third Space ft. elements of Earth, Air, Sea, Land, and Fire. Rosé Garden + Grilling, Corkyard. Snack Shacks. Cooking with Cocktails. Teepee Talks, Slice + Dice. Industry Lounge. Biergarten. Kitchen Cameos. Charletson Wine + Food Retail. Wine Retail Shop, and the Main Stage. What’s included in the ticket price for events? All food and beverages are included in the ticket price along with glassware (if distributed) and all serving elements. Each event has its own unique elements and has som fun surprises for guests. These can be viewed on the website or check with the event captain.

If you do not feel comfortable fulfilling their request, kindly ask them for their patience and locate a staff member. If they are an exhibitor they will recieve 2 on their table + can reach out to their tent manager if they did not receie them. In all other cases, kindly let them know that it is one per ticket holder. Are there assigned seats for events? Most events are open seating without assigned placement. Signature Dinners, Luncheons, Beer Dinners and Cocktail Dinners. There will be enough seats for all attendees, and volunteers will need to assist guests in finding an available seat at these events. What is the process for receiving tickets once they are ordered? Each ticket holder will receive a confirmation email immediately after the order is placed that provides a link to download and print a copy of a unique bar code confirmation receipt. Please print your ticket receipt(s) out and bring them to each event you purchased ticket(s) to attend. This receipt will be scanned at stations located near the event entrance. You will receive a wristband to gain access into the event once your receipt is scanned.
ATTENTION, DO NOT COPY YOUR TICKETS! All tickets will be scanned for authenticity and only the first ticket will be converted to an event wristband. How do I reprint my ticket? You can reprint your ticket by clicking the link on your original confirmation email and following the instructions given. Are tickets refundable? Tickets are non-refundable and non-transferable. All events will take place rain or shine. Will an event sell out? Most events sell out before the actual festival weekend. All events are limited and the festival encourages all interested guests to purchase tickets in advance to ensure attendance. To be added to the waiting list, email ticketing. What events have shuttle service? Do I have to take a shuttle service if it is provided? Shuttles are included and required in some excursions and offsite events. The events that provide shuttling are marked on the Schedule at a Glance. Please check your ticket for shuttle information and time. How do I request to sit with someone at a particular event? When buying tickets on our website, you will be asked to enter the names of the parties you request to be seated or partnered with for the following events: Brunches, Luncheons, Beer Dinners, Cocktail Dinners, and Signature Dinners. All other events are general admission with no reserved seating. What do I do if I have a food allergy? When buying tickets on our website, you will be asked if you have any food allergies for seated events. The chefs at these events will do their best to accommodate your special dietary needs, but we emphasize this is only a request. All other events are not able to accommodate any special dietary needs or food allergies. How can I purchase festival merchandise? CHSWFF merchandise is available at the Culinary Village during the festival weekend at the Retail Tent. How do I volunteer for the festival? Volunteers are needed in a number of positions throughout the weekend. Recruitment begins in November and continues until the positions are filled. Volunteer orientation takes place in February and Team Captains are selected in advance.
How do I become an exhibitor at the Culinary Village? Exhibitor applications are available online for culinary related businesses in midAugust. Applications will be judged by a committee in October and applicants will be notified in November. Space is limited and first priority will be given to partners.
