Roy D'Cunha B.Com, FCA (Ind), CIA (US), CISA (US), ACMA (UK), CGMA (UK) IA Manager – Corporate Tax, Treasury, Finance Hewlett Packard Some of the intelligent species in the animal kingdom leave a trail to share knowledge on food, water, warnings and many more. The organizations have similar trails to capture and share knowledge. Knowledge is more than just facts, information or descriptions and it can be regarded as 'Intellectual Property' if it is used as a differentiator to gain a broader context, new ideas or insights.

Some of the fastest growing companies go beyond just managing knowledge. The companies have an intelligent process to identify areas, which are best-in-class or

Knowledge Management (KM) has changed from static form to real-time updates. Businesses today look for a greater and tangible return for investing in knowledge management. Roy D'Cunha shares a 5-step process that will make a positive difference to the business.

lagging behind. Most times people wonder why some of the employees, countries, competitors, customers and others are the best-in-class. The collective sharing of best practices adds tremendous value and the synergy is energizing to create something extraordinary. Knowledge is as precious as water and if you don't save it then it will drain. There

are very few who know end-to-end for a large company and the information is difficult to assess for operations spanning several countries. Sometimes organizations

struggle to capture information in simple and logical fashion. Some people don't feel the need to share knowledge as they don't feel it adds value and how it links to execution. We award individual for the outcome, but very few organizations document the way the outcome was achieved that can serve for others to follow. We can solve these problems using a simple 5-step process. Learn from the best: First step is to rank and identify the areas which are significantly above the average in terms of performance, delivery, execution, etc. The reasons for superior performance could be plenty e.g. it could be a charismatic leader, technical expert, cutting-edge technology, team synergy. The easiest and the best source of gathering intelligence can come from within the organization. We can start by selecting the high-performing individuals and sharing their techniques for a larger population to tap on. Share with the rest: The second step is to create interest by sharing among the larger community. Also, the employees have numerous ideas during the normal course of work, but don't have a mechanism to share. People are the key for the success of this program and they need to be motivated to share. The information should be simple to understand and accessible to the community at large. The process needs to be developed where the employees can share ideas or best practices. The submission can be commented upon as feedback by other employees of the same team or other teams looking to leverage best practices. The ideas that have the highest user ratings and great potential to leverage can be awarded or recognized. The content will also be independently analyzed by a team of experts. The experts can act as 'ambassadors' to systematically expand the benefit to other teams within the organization.

The most difficult part is to capture tacit knowledge into a tangible form. ideas implemented. It is important for the application to have access restrictions for confidential information.

Reward success: The last important

Use the right tools: The fourth step is to have a good tool that supports the process. In the past, these were normally included in process documents or newsletters but KM has evolved from static information to more fluid and real-time updates. The growth of new tools and social media like Wiki, Facebook, Google and Twitter have enhanced user experience with several features e.g. like, share, debate, timeline, how to and search capabilities on audio/video. The company can invest to add some of these features and the investment can be recovered over time through the savings generated by the

step is to keep the momentum, managing the content and rewarding the people. The ones that have generated great savings or impact or cost reduction can be inducted in the 'Hall of Fame'. The program can be expanded to include latest news, problems requiring solutions, propose alternative suggestions for existing ideas and future strategy. The plan can selectively be extended to other interested stakeholders like customers, suppliers, pan-industry, and etc. For any comments, suggestions or questions on this article - please send an email at roy.dcunha@hp.com
