WHAT IS A

RESTAURANT FUNDRAISER? A restaurant fundraiser is a collaboration between your club/division alongside a local restaurant. Restaurants within your community that you could collaborate with include: ● ● ● ●

FUNDRAISERS! DISCUSS FUNDRAISER DETAILS

The first and most important step of this process is discussing fundraiser details with your club board/DLT and advisors. ● Create goals and determine expected profit from fundraiser. Decide where the proceeds of the fundraiser will go to beforehand. ● IMPORTANT: This step must be done 3-4 weeks in advance before the proposed fundraiser date.

SELECT A BUSINESS

Choose a business within your community to collaborate with for the fundraiser ● Make sure the business is active and in good standing within the community ● “Do people eat here regularly? Is the food yummy?” Some businesses may need you to fill out an online application which requires the 501(c)(3) form ● This collects TAX ID Information to verify that you work alongside a non-profit organization. Use it only when your fundraiser contributes to our Minor Emphasis or the Governor’s Project. Do not use if the funds go towards your club. ● If asked to do so, please retrieve TAX ID info from your sponsoring Kiwanis → if unable, contact school → last resort, Kiwanis Club of Gemstones. Their contact information is usually found on a website or through a Google search. Email, phone numbers, or in-person contact are usually the best methods to reach out to businesses

Subj: (High School Name) KIWIN’S Fundraiser Request Good afternoon, I am (Insert name) from ___ High School's KIWIN’S club. Our club is interested in holding a fundraiser at the ___ location (insert address). If possible, we would prefer to have the fundraiser on August 1st. We would greatly appreciate it if we could work with you to help raise funds for our club! Thank you, (Name)

FIND CONTACT INFORMATION (cont.) No response within 2-3 days? Send a follow up email asking them if they had received your previous email. ● Call the business directly and coordinate the fundraiser over the phone for faster response ● IMPORTANT: This process must be done 2-3 weeks in advance before the proposed fundraiser date. ● No response still? Select another business to collaborate with (move on)! ● Repeat the same process until successfully finding a business hold the fundraiser.

Determine dates and hours of the fundraiser with business ○ Most restaurant fundraisers set specific dates and times for the fundraiser to take place ● Ask if there is a minimum amount of money that has to be earned IMPORTANT: Determine how much profit will go towards KIWIN’S ● Propose between 20%-35% of the profit to go to KIWIN’S ● If the business proposes higher than 35%, accept it! ● Decline any offer that is under 10% ● NOTE: Some businesses have a non-negotiable price such as corporate businesses. However, small businesses may allow you to negotiate. ● Don’t settle for less! Negotiate a percentage that is reasonable for KIWIN’S and the business ● Ask if there is specific flyer/handout that must be shown upon purchase to indicate contributions for the fundraiser ○ Alterative: mention KIWIN’S at check out @goldstonekiwins

FINALIZE FUNDRAISER DETAILS

PROMOTE YOUR FUNDRAISER! Find ways to spread the word about your fundraiser! Promote it through your club, division, and even your school! ● Encourage club members, friends, and teachers to buy from the business! ● Use communication methods such as emails and Remind to raise awareness about the fundraiser ● IMPORTANT: Graphics and videos should be completed 1-2 weeks in advance from the date of fundraiser


AFTER THE FUNDRAISER IS OVER… ❏ ❏

Check back in with the business and ensure that the correct amount of profit is given. Keep in touch with the business! They are most likely willing to coordinate a fundraiser again with you in the future! ❏ Keep track of fundraiser details and note the name of the representative you worked with! ❏ This can be used to address issues, concerns, etc. Determine where the profits will go to. It can go to your club funds, PTP (Minor Emphasis), or the Thirst Project (Governor’s Project)!


THINGS TO KEEP IN MIND ●

SUGGESTION: Have the proceeds of your fundraiser go towards your divisional or club funds first. This makes it more flexible to determine and divide where the profit will go to after the fundraiser. Ensure accuracy of logistics and room for error is minimal ○ Don’t hesitate to contact the business if you have any questions, problems, or concerns ○ Make sure everyone is on the same page regarding the fundraiser ■ Communicate thoroughly with your club board/DLT and advisors to ensure that everything is going according to plan If the wrong amount of profit is given, don’t be afraid to speak up! Stand your ground and make sure you are given the correct amount.
