MULTIPLE OPTIONS FOR EMPLOYEE WORKDAY TRAINING Sarah Persinger A message from the Workday Change Management and Training team — Welcome to the new year! We are getting closer to our Workday Go-Live date of July 1, 2024! As we move ahead in 2024, you’ll start to see a number of training opportunities being made available for Workday (the replacement system for Banner and BannerWeb). We’ll have options for attending in-person or remote, for viewing recorded materials on-demand, and having job aids printed as well as available digitally. We’ll also have in-person small and large group options. The Miami Workday training team will develop customized, ROLE-based training to raise awareness, educate impacted employees across campus, and enable lasting change. What is ROLE-based training, you ask? It is training on tasks and activities that you’d perform in the Workday system based on your ROLE as an employee. A sample list of these actions includes viewing your payslip, reviewing your benefit elections, requesting time off, entering time worked, requesting the purchase of goods and services, changing your direct deposit bank for your paycheck, reconciling your P-Card, requesting reimbursement of travel expenses, and many more.
We’ll have sessions dedicated to training for those in manager or supervisor roles (for actions like approving time off, approving hours entered for time worked, approving purchases for the applicable departmental budget, reviewing financial information for the department, approving open position postings, etc.). We’ll also have training materials and sessions for those engaged in research and grants who need to know how to manage their funds in the new Workday system. This is just a short list of the possible session topics, and much more information will be provided in upcoming months. There is not a “one size fits all” method of learning, and we want to engage all Miami employees in a training method that is most applicable to how they learn! Be on the lookout in the upcoming months for our training dates slated to start in April. WORKDAY CUSTOMER CONFIRMATION SESSIONS ENDED YEAR ON A HIGH NOTE Randy Hollowell Miami University is in the process of replacing our current legacy Banner system with Workday, a cloud-based enterprise resource planning (ERP) system. The new system is going live with HR, Payroll, and Finance in July 2024, followed by a phased Student implementation slated for completion in 2026. For more information about the background of Workday coming to Miami, please check out the Workday Announcement article. Members of the Workday Implementation project completed Customer Confirmation Sessions (CCS) during the last part of November and early December. These sessions were a time for the Miami functional team leads and sub-leads to “get into the driver’s seat” and present a few of the high-impact Business Processes to key resources in their areas. During the sessions, Miami project team members – with support from their Avaap counterparts – were able to provide a high-level showcase of their work to date. “I have attended many Customer Confirmation Sessions over the years and have never seen a customer team take such ownership of the sessions,” noted Wendy Landsiedel, Lead Engagement Manager from Avaap. “I am exceptionally impressed with the thoughtful preparation that clearly went into the content selection and the team's navigation in Workday in the demos. If you continue to learn and grow at this pace, your go-live will be a huge success! Congratulations to the Finance team and David Ellis for a very successful week.” Throughout CCS, the project teams documented key configuration changes. To prepare for these sessions, many hours were spent creating and running through test scenarios, capturing screenshots, structuring session materials, and practicing their presentations. The actual sessions lasted anywhere from one to four hours. With CCS completed, the accolades for a job well done came pouring in.
“Kudos to Jeana {Becker} and Karen {Wilson} - working tirelessly to practice and fine-tune the CCS dry runs and presentation to make it a success,” noted Avaap Benefits Lead Jii Khoo. “And many behind the scenes supporting the Miami cast - thank you Sarah {Persinger}, Tori {Ashley}, Ruth {Groom}, Dan {McCuen - Avaap}, Kent {Covert} for providing feedback.” Customer Confirmation Sessions were a key project milestone with several positive impacts, including: • Introducing Workday key concepts to the Miami team • Providing visualization to end users in the sessions • Validating decisions and assisting with the final configuration • Facilitating/supporting change management "Melissa {Wyatt} put in a lot of hard work and thoughtful preparation when it came to bringing Miami's talent and performance processes into Workday," noted Brittany Hammerschmidt, Avaap Talent Lead, and Dan McCuen, Avaap Talent Consultant. "She brought focus to important details to make this project successful to this point." Throughout the duration of CCS, the project team documented many key configuration changes. Participants were asked to submit feedback on the sessions which was collected and reviewed by members of the Organizational Change Management team, and processes demonstrated during the sessions are being revised based on the feedback received. According to Avaap Recruiting Consultant Brittany Chapman, “Mike Savnik, the Director of OEEO, did an outstanding job kicking off the HCM portion of Customer Confirmation Sessions! He was exceptionally well prepared, demonstrated Workday's Recruiting capabilities with ease, and showed how much he has learned in these short few months. Mike was extremely engaging and his confidence within the system was apparent as he captured the audience’s attention. At the end of the session, his peers noted what an extraordinary job he did relaying how hard he has worked to create an excellent user experience for Miami and its applicants.” A total of 23 sessions took place over a two-week period. CCS was one of the last major tasks of the Architect and Configure phase of the implementation. Following a well-deserved holiday break, the teams were back at it on January 2 when End-to-End testing got underway.

One of the most common New Year’s resolutions is always “getting back in the gym.” This year, Miami Recreation wants to help you stick to your goal. Craig Martin, Senior Personnel Technician and long-term Miami employee, has a lot of Miami knowledge and a little over two years of experience in HR. The MUPIM Motor Vehicle policy sets forth the requirements for drivers who operate university insured vehicles, including golf carts and gators. The policy was designed to proactively manage the use of our vehicles, establish minimum qualifications for our drivers, and decrease the number and severity of auto accidents. As of March 1, 2023, only authorized drivers are permitted to drive University insured vehicles. The Offices of Risk Management and Human Resources jointly administer the policy; and each faculty, staff, student and/or volunteer who plans to drive a university-owned or long-term leased vehicle must submit a Motor Vehicle Use Agreement annually. Motor vehicle records (MVR) checks will be conducted via HireRight, Miami University's background check provider. Miami University will only consider violations occurring within the past 3 years when determining driver eligibility. We encourage all drivers to submit their Motor Vehicle Use Agreement as soon as possible to ensure that we have sufficient time to complete all background check reviews by January 31, 2024.

INVEST IN YOUR PROFESSIONAL TOOLKIT WITH THE PERFORMANCE MANAGEMENT SERIES! Brenda Curry For an organization to remain successful, it must grow. Everyone, from top managers to individual teams, needs to develop skills, knowledge, and competencies to fuel growth and to prepare them to achieve personal and professional goals. The Performance Management Series offered by Human Resources Staff Development is comprised of five courses from Development Dimensions International, Inc. that are designed to develop critical interpersonal and leadership skills that will enhance your ability to achieve results. Performance Management Series Communicating with Impact (prerequisite for series) All employees will benefit from gaining a powerful set of interaction skills that enables them to communicate more effectively with leaders, colleagues, and customers. This allows them to build trust, strengthen partnerships, and achieve desired results. Learn key interpersonal skills that are essential for exceptional performers to have a greater impact in their roles. Setting Goals and Reviewing Results Employees are more engaged and strive for better results when they feel ownership of their work processes and outcomes; and leaders must engage and reinforce this sense of ownership during performance management discussions. Participants will experience how to use effective SMART goals to help them and their employees track progress and fairly evaluate outcomes. Coaching for Peak Performance Effective coaching is one of the most important drivers of team member performance. Whether leaders are guiding people toward success in new or challenging situations or helping people improve or enhance their work performance, their ability to coach and provide feedback makes the difference between mediocrity and high performance. Participants will gain three coaching techniques and how to effectively handle both proactive and reactive coaching discussions.
Addressing Poor Performance A single employee with chronic performance problems can dominate a leader's time and drag down the productivity and morale of an entire work group. Learn how to document and present a solid case for needed improvement and use effective interaction skills to discuss performance and provide ongoing feedback and support. Participants will identify the steps to take after the performance problem discussion and determine if it is necessary to impose formal consequences. (The course does not cover the Miami-specific discipline process.) Developing Yourself and Others Development is critical to attracting and retaining talent, driving employee engagement, preparing future leaders, and ultimately ensuring the success of the organization. Development is just as important to leaders as it is to their direct reports. Discover a practical process to guide their own and others’ development planning efforts. The outcome is a meaningful development plan that supports the organization's current and future business needs. RUNNING THE EXTRA MILE: CELEBRATING WALTER MAST Beth Keith The Rec is incredibly fortunate to have so many dedicated, passionate, and captivating members who have utilized the facility for years but probably very few who can say they have run around the world! We are grateful for the opportunity to highlight an outstanding member this month who has gone above and beyond and is so deserving of our recognition: Walter Mast. Walt embodies the work ethic, motivation, and success many of us strive to attain. He set out in 1986 with the inspirational goal of “running around the world” (25,000 miles) in his lifetime. Remarkably, he achieved his goal in October, so we couldn’t be more thrilled to celebrate his accomplishment! As you can imagine, this process was definitely not easy but Walt explained the importance of setting goals and establishing a personal bottom-line to “commit to exercising 2.5 hours a week at 75% of his maximum heart rate.” Through the years, enduring injuries, and less than ideal weather, he remained steadfast in his fitness journey by being flexible with his workouts and journaling every step of the way. Walt admitted, “Personal, family, and business commitments always come first, but exercise is non-negotiable.” When necessary, he included various types of workouts, exercised indoors, and ultimately never gave up. While this objective may be unattainable by most, the planning strategies, accountability measures, and behavioral changes he used are applicable for all. He broke the overall goal down to more manageable tasks such as 20 miles per week or 1,000 miles per year. He also spoke highly of several people and books that inspired him during the process and said, “Reading kept me motivated until the new lifestyle became semi-permanent.” Books from authors such as George Sheehan and articles in Runner's World magazine provided Walt the extra encouragement he needed to continue. When asked what he would recommend to someone who is just starting out on a fitness journey he responded, “Start with the end in mind. What do you really want to accomplish? Then create a program to achieve that goal.” He also added, “Nothing is more certain than the defeat of
someone who thinks they can’t and the success of someone who thinks they can. The race that is life goes not to the swiftest nor the strongest nor the wisest but to those who never give up. Never, ever give up on the important things!” We are all capable of achieving the goals we set out to do, but with a little willpower like Walt, who knows what we can accomplish? When Walt isn’t running or working out, you can find him restoring old homes or writing a book entitled "Bunker Hill Tavern and the Underground Railroad." The tavern, now called the Bunker Hill House, was once a stagecoach stop and UGRR safe house in Fairhaven, Ohio. We truly appreciate Walt for sharing his story and for his patronage at the Rec. We are honored we got to be a small part of this tremendous feat.

TEAM MIAMI IS BACK! Rhett Butler Join our 5K training team that will meet for 10 weeks leading up to the Red Brick Run on Sunday, April 28. Different levels of participation will be available such as a walking group, a walk/run group, and a running group. All ability levels are welcome to participate. The program will begin on Tuesday, February 20 and participants will have the opportunity to train on either Tuesday nights from 12-1 p.m. or on Thursdays from 5-6 p.m. You’re also welcome to attend both sessions each week! The cost for the program is $60 which will cover the cost of registration for the race, access to the Rec Center during training times, an exclusive Team Miami T-shirt, and all other programming involved with the training. The program is available for all Miami University faculty and staff and Rec members. Participants will meet at the Miami Rec Center and train outdoors (weather permitting) or utilize the indoor track. SOUNDS OF SUMMER Rhett Butler The Goggin Ice Center is currently making preparations for the 2024 Annual Ice Show. The Ice Show is a wonderful opportunity to experience the skill and artistry of the figure skating programs at Miami. Participants from the Learn to Skate program, Miami Skating Academy, and Miami University skaters will perform in this year’s production titled "Sounds of Summer." Enjoy the soundtrack that will remind you of warmer days and sunny skies. This event also represents an appreciation to everyone who helped support these skaters along their journey. The Oxford community is encouraged to attend as well, not just parents of skaters. Enjoy this season ending celebration on Saturday, April 27 and Sunday, April 28. Show times are at 2:30 p.m. Tickets will be available at the beginning of April at the Goggin Pro Shop. Children ages five and under have free admission. TRIUMPH IN TEXAS: MIAMI'S JOURNEY TO THE 2023 NIRSA NATIONAL SOCCER MEN'S OPEN CHAMPIONSHIP
Rhett Butler Miami's Club Soccer team traveled to Round Rock, Texas last fall to compete in the Open Division Club Soccer National Championship Tournament. With over 50 dedicated teams, Miami Club Sports boasts one of the largest programs in the country. The tournament commenced with the group stage matches, during which Miami faced tough competition but secured victories against James Madison University with a 2-0 scoreline and Utah Valley with a 1-0 win. The momentum continued on November 17 as Miami triumphed over Minnesota in a closely contested match, winning 2-1. In the knockout stages, Miami faced Cal Poly, winning 3-1, and later competed against Colorado College, securing a 1-0 victory and earning their spot in the National Final. The pinnacle of their journey arrived on November 18 as Miami faced Purdue in the National Final, winning 3-1 and securing the National Championship. Senior Noah Hjelmeng was named tournament MVP. When asked about his experience at Nationals, Club President Ryan Gora said, "This year's team was the most talented and connected team I've ever played on." Ryan, who has been the club president for a year as a senior, has also fulfilled the role of treasurer on the executive team.
At Miami, clubs are self-managed through a team of student officers (the executive team) with positions ranging from president to safety officer. While some club sports have coaches, most are entirely student-driven with guidance from coaches, advisers, and the Club Sports Office. Miami's club soccer team is assisted by their manager, faculty member Darrel Davis. Club Sports remain highly competitive, despite not being an NCAA affiliate. A club sport has a conference, division, or governing body that oversees the rules and regulations associated with the sport. Club sports teams compete against other colleges and participate in national tournaments. Ryan also explained that the team votes on various executive positions. Elections take place every February, with the season beginning in the fall. The executive team handles the majority of administrative work, including preparations for their national tournament, flight scheduling, organizing and managing team uniforms, and more. 2024 DATA SUMMIT Bridget Maney The 2024 Data Summit will be held on Thursday, January 18 from 12-5 p.m. in the newly opened McVey Data Science Building. This year's theme is "Uncovering Value in Data" and will feature keynote speaker Dennis Kettler from the Global Head of Data Solutions at FIS | Worldplay and breakout sessions.
