I am very excited to introduce you to the first issue of the Secretary’s Scoop! Within this newsletter, I hope to assist you with making your time as Club Secretary as enjoyable as possible. It is understood by many that by holding this position, you must be responsible for keeping accurate records, compiling your club’s service hours, submitting the MRF, and so much more-making you an integral part of your club!

The resources available to you are vast, and I will use these newsletters, as well as my emails to you, to condense them and inform you of ways to make your job easier. What’s a ‘‘Service Hour?’’ It’s not always easy for your club’s club’s members to distinguish what counts as a service hour for Circle K, and what doesn’t. Below are some helpful points to remember and relay to your clubs to help make the definition of a service hour clearer.
A voluntary act which no payment is received for that benefits others Any administration hours or preparation time for an event that is purely service in nature Ex) Working with a community agency, acquiring project supplies, or pre-project training
Travel time TO a service project Ex) Driving for 1 hour to a Relay for Life event Outside service projects not directly associated with CKI, but are offered to members Ex) Circle K Members volunteer at a service project hosted by a sorority on campus.
Service Spotlight Three months of service hours have been reported for the 20132013-2014 Service Year so far, and we are already well on our way towards making a difference on our campuses, in our communities, and the world. Let’s see what we’ve we’ve accomplished! accomplished!
Most Hours in April: Stockton with 893 hours! Most Hours in May: Stockton with 308 hours! Most Hours in June: Rutgers with 225.5 hours! NJCKI’s Total Service Hours: 3,506.25 hours!

Monthly Report Forms Filling out Monthly Report Forms, or ‘‘MRFs ‘‘MRFs’’ MRFs’’ for short, is one of the most imperative parts of the secretary’s position. Do not feel intimidated! With some practice and attention to detail, turning in these forms is as easy as pie! Below you will find a small breakbreak -down of the MRF and what you need to know to fill it out efficiently.
Each month, you will be reporting on club membership, meetings and attendance. Make sure club members sign into meetings so you can keep track of who attended each meeting.
Finally, make sure you keep track of all of the fundraising your club does, whether it is for the club itself, The Eliminate Project, or any of our preferred charities. Additionally, at the end of the MRF, feel free to nominate any club members or projects that go above-and-beyond!
Next, make sure you report on your club’s service projects! Include details such as how many members went, when the event was, and how many hours were performed. Don’t forget to use the proper event code(s)!

Summer Service Just because school isn’t in session doesn’t mean that we have to stop serving our communities! Below you will learn about one summer su mmer service project I did that involves Hurricane Sandy relief, a cause I feel very strongly about and encourage you to assist with.
Sandycastle – Point Pleasant, NJ On Sunday, May 26th, members of NJCKI, NJKCI, and NYCKI came together to help with the creation of what would be the World’s Tallest Sandcastle ever! We sifted buckets of sand for sharp objects in order to ensure the safety of those at the site. Once the castle is complete, people can pay to view the castle and all proceeds will help with Hurricane Sandy relief efforts. It was a fun day of service that I will never forget! Other opportunities to help restore the shore are available all throughout the state, and I encourage all of you to find a project near you to participate in this summer. ☺ Pictured: TopTop-CKI members posing with some shovels! K-Family & Interclub Hours
What constitutes a K-Family service hour? Just what ARE interclubs? This next section will go over both of these types of service hours so that you can correctly report them to the district.
K-Family Hours
Interclub Hours
When 2+ members from one branch of the Kiwanis Family (i.e. Circle K) attend an event with 2+ members from another branch (i.e. Kiwanis)
When 2+ members from one Circle K club attend an event that another Circle K club is hosting with 2+ members.
Note: Events can be a K-Family AND an interclub, but not every interclub is a K-Family event.
Note: The host club does NOT also record the event as interclub hours. Additionally, District Events do not count towards interclub hours.
