Purpose of a Telephone Interview

Preparing for a Telephone Interview

Telephone interviews, also known as telephone screening interviews, are a convenient way for employers to narrow the pool of applicants to be invited for in-person interviews. Additionally, phone interviews are more efficient and minimize the expenses involved in interviewing out-oftown candidates. For job hunters, the objective of a phone interview is to establish rapport with the interviewer.

You want to present yourself as professional as possible. According to Joyce Lain Kennedy, nationally syndicated careers columnist, most people don’t prepare for screening telephone interviews as rigorously as they do for face-to-face meetings, [and] the casualty toll is heavy. Prepare for a telephone interview just as you would for a traditional face-to-face encounter.

Advantages to the Organization Telephone interviews are: • cost effective and efficient • often given using standardized questions • used to differentiate between candidates who appear similar on paper • helpful in determining the organizational “fit” of a potential candidate • an easy method for the employer to check if the candidate is affordable and available • convenient screening devices for out-of-town applicants

Who Calls Whom? Employers typically prefer to call candidates at their convenience and will arrange the interview time accordingly. However, employers may ask a candidate to call them to test how serious they are. If you receive a call from an employer at a bad time, ask if you can call the employer back in ten minutes or so in order to position yourself in a location free from distraction. It’s better to ask to reschedule than to come across unprepared. If there is a chance that you might miss an expected call from an employer, make sure your voicemail message is clear and professional. When rescheduling, remember to request a time that will also be convenient for the employer. Try to avoid arranging the interview too early in the morning or late on Friday afternoons. Remember to always clarify what time zone, the length of the interview, and who will be conducting the interview. Occasionally, there will be more than one person conducting the interview.

What to do... •

Practice. Use a voice recorder to get an idea of how others hear you on the phone or have a mock telephone interview at the Career Center.

Dress in a professional manner. If you’re dressed for business, both your language and paralanguage will convey greater professionalism (Krannich & Krannich, p. 47). Choose professional clothing that you will be comfortable wearing (Colvenbach).

Research the organization.

Have a pen and paper ready for note taking.

Warm up your voice and practice smiling. A smile can be heard over the telephone.

Keep your resume or CV, cover letter, career portfolio, and job advertisement in clear view.

If possible, have pictures and/or bios of the interviewer(s) in front of you.

Have a short list of your accomplishments available to review.

Prepare a short list of questions about the job and the organization.

Have a calendar available should you be asked to schedule another interview.

Ensure interview materials are strategically laid out and that you are familiar with them. No employer wants to hear shuffling papers.

Turn off call waiting so you are not interrupted.

Close the door and ensure the interview location is free of distractions (e.g., kids, pets).

Turn off your stereo and television.

Have a clock nearby to monitor the time you have remaining in the interview. Respect the time parameters set by the interviewer.

What not to do...

Thank the interviewer for the opportunity.

Request contact information for follow-up questions and thank you letter submission.

As with all interviews, ask for the job! Restate your interest and desire to move to the next step.

DO NOT USE A CELL PHONE! To ensure quality of the conversation and to guard against dropped calls, use a land-line phone. Have important points written down on paper, but DO NOT write entire paragraphs or sentences and read them when you are conversing with an employer. It is very easy for someone to tell if you are reading, and they may test how quickly you can think on your feet (MIT Careers). Think of your notes as a “cheat sheet” that you can refer to when making important points, not a script (Colvenbach).

What not to do... •

Don’t smoke, chew gum, eat, or drink.

Avoid the overuse of the following words: “ah,” “err,” “hum,” “uhhh,” and “like.” This habit is especially noticeable on the telephone and eliminating it takes practice.

Avoid the simple “yes” or “no” response; add selling points at every opportunity by backing up your answers with specific examples from previous work and/or education experience.

Do not mention compensation. This conversation typically comes at the end of the interviewing cycle and not during the telephone interview stage.

During the Telephone Interview What to do…… •

Have a glass of water by the phone in case your throat gets dry.

Speak slowly, clearly, and directly into the phone receiver.

Enunciate your words, use correct grammar, and complete sentences.

Be careful with the tone of your voice. It is your visual representation. Make sure you sound interested, confident, and capable.

Smile so your friendliness can be heard!

Address the interviewer by name. If more than one person is interviewing, know who asked you the question and address the answer to that person and their possible “interests.”

Repeat the question if necessary to clarify your response.

Sit up erect at a desk/table or consider standing. Your voice may sound stronger and more alert.

Pace the call. Let the caller do most of the talking, without interruptions.

Reaffirm your qualifications and end with a strong closing. Express your interest in the job and the organization.

Ask the interviewer at the end of the conversation where you stand and what the next step will be (e.g., time line, second phone interview, arranging a on-site interview, etc.)

If things sound good to you, say so. The interviewer can’t see you, so he/she can’t read your body language.

Preparing for a Telephone Interview

After the Telephone Interview 1. Take notes about what you were asked and how you answered. 2. Evaluate the conversation to improve your performance in future phone interviews. 3. Follow up with a thank you note that reiterates your interest in the job. 4. Send any requested material immediately. Employers are conducting telephone interviews with greater frequency and use these as a screening process. So take them seriously, prepare thoroughly, and remember that your goal is to set up a face-to-face interview.

Boost Your Transferable Skills If you are changing careers, you can use your previous work experience to show your potential to succeed in this new role. Interviewing Tips Preparation is an important part of the interview process. The time you spend preparing prior to the interview will be time well spent in your job search process. The following are some tips on what you can do to prepare yourself before, during, and after a job interview.

A job interview can be described as a mutual "exchange of information" because it provides the candidate with an opportunity to both gain information about the department and position, and to discuss his/her own skills, and career goals in relation to the job. Interviewing helps managers determine three things before they make a hiring decision: 1.

Can you do the job? Managers want to know if you possess the necessary knowledge and abilities to successfully perform the duties of the job.

2.

Are you motivated to do the job? Managers want to know if you are interested in the job and if you will do the job with consistent effort.

3.

Are you a good fit in the organization? Managers want to know if your work ethic, values, and goals are consistent with the organization, if you will be a team player, and how well you will work with the team.

Before the Interview • Review the Job Specification and Position Description. Job Specifications can be found at www.michigan.gov/mdcs under Job Specifications/Pay and Position Descriptions are attached to the job posting. • Learn more about the department by visiting their web page. • Review your résumé and be prepared to discuss your relevant skills. • Decide who your references are. They should be a current or past supervisor, coworker, teacher/professor or associate who has knowledge of your work history, skills, abilities, accomplishments, initiative, education and integrity. Get permission to use their name in advance and collect their current contact information (including e-mail address). • Bring extra copies of your résumé and a notebook. • Dress for Success -Appearance should reflect maturity and selfconfidence. Be neat, clean, and dress in good taste. • Find out where the interview will be, obtain clear directions, and confirm the time. Plan to arrive 10- 15 minutes early. During the Interview • Relax! Think of the interview as a conversation, not an interrogation. • Be enthusiastic, confident, courteous, and honest. • Listen to the questions carefully and give clear, concise, and thoughtful answers. • Convey interest in the organization and knowledge of the position. • Ask relevant questions about the job or department. • Present a list of your references and any letters of recommendation or reference that you may have to offer. • End the interview with a firm handshake and thank the interview panel for their time and consideration. After the Interview • Send a concise 1 – 3 paragraph thank-you letter within 24 to 48 hours of the interview. Reiterate your interest in the position, mention anything you know reinforces you as a good fit for the job, and your contact information. • If you are not selected for the job, it is OK to politely ask an interviewer which area(s) you could improve on in the future! WRITING A GOOD RESUME The most basic principle of good resume formatting and design? Keep it simple. Use a basic but modern font, like Helvetica, Arial, or Century Gothic. Make your resume easy on hiring managers’ eyes by using a font size between 10 and 12 and leaving a healthy amount of white space on the page. You can use a different font or typeface for your name, your resume headers, and the companies for which you’ve worked, but keep it simple and keep it consistent. No matter what resume format you choose, your main focus here should be on readability for the hiring manager.

CAREER FAIRS WORK… FOR CANDIDATES Don’t Be Shy. This is your chance to shine. As you approach each employer table, be friendly, be confident, and be prepared with something to say. Introduce yourself with a smile, eye contact, and a brief, firm handshake. Often, the recruiter will take the lead and ask you questions, but you should also have your elevator pitch ready—a 30-second soundbite of what you want the company to know about you. (Here’s how to craft one if you’re unsure.) To really use your time wisely, you should be able to concisely convey why you’re interested in the particular company and how your skills or qualifications suit the position. But at the same time—don’t go too fast! Job seekers have a tendency to speak quickly, which comes across as rushed or nervous. You want to speak slowly and with interest. Follow-up is important; do not drop off your resume and forget to follow up. Seriously, that is a waste of a good career fair.

Before the Interview Basics

• Take time to write out your answers to standard interview questions and read them over several times. • Practice interviewing with someone with experience. Mock interviews may seem silly but will help you feel more comfortable in the actual setting. Include practicing a “business handshake.” (See handout, “The Perfect Business Handshake.”) • Take a few copies of your resume and list of references, a pen and a notebook to your interview. Consider purchasing an inexpensive, simple folder or notebook at an office supply store. This gives you a more polished, professional look and keeps your resume and reference copies clean. • Arrive a few minutes early. Know where you’re going and do a practice run if you’re unsure how long it takes to get there. This way you’re not rushed or out of breath. • Leave backpacks, gym bags, cell phones, water bottles, food, books, or large purses in the car or at home. If you want to carry a purse, make it a small, simple one. • If you have to wait for the interviewer, occupy your time by checking your calendar or by reading periodicals or office materials in the waiting area – look engaged! • Maintain eye contact when being asked questions or when giving answers. Show the interviewer that you’re attentive, interested and personable. Be positive. Breathe naturally and try to relax. • Good posture shows confidence. Don’t slouch or use negative body language by crossing your arms, clenching your fists or twirling your hair. No GUM.

Make sure they don’t have rips or stains.

During the Interview Saying the Right Thing the Best Way

• Be polite. Don’t interrupt when the interviewer is talking. Use good manners and say thank you after the interview. • A smile goes a long way when meeting the interviewer or anyone else at the company. • Be friendly with everyone you meet. They may be checking to see how well you’ll fit in. • Don’t be afraid to make yourself sound great. It’s not bragging. It’s okay to say you’re good at things. You are selling yourself and want to get the job. It’s important for you to convince the interviewer you’re the person to hire. Employers like people who know who they are, both their strengths and weaknesses. Be prepared to share specific examples of how you’ve used your skills. • Be honest even if it means admitting you don’t know something. Many people exaggerate on their resume and during the interview and are bound to get caught. Show them you have great ethics right from the start and carry that with you throughout your career. • Don’t speak negatively of yourself or a former employer. For example, don’t say you left your last job because the hours were too early and you’re not a morning person or that you didn’t get along with your last supervisor. Keep to the positives about your experiences and you.

• If you’re asked a question you’re not certain how to answer, it’s okay to take a brief moment to think before you reply. The employer will see that you think before you speak.

Sample Questions You Can Ask The interview process is a two-way street; be prepared to ask questions. Do a little research about the company before going to the interview. Find out how long they’ve been in business. Most companies now have Web sites. Show you’ve done your homework by mentioning things you’ve learned on their Web site. Here are some sample questions you could ask if not already covered in the interview: • When can I expect to hear back from you? • What will be expected of me as an employee? • Once I’m hired, who will I report to? • What are the typical hours I will work? Will there be any overtime? • How many people will I be working with? • What kind of training will I receive? • How will I know if I’m doing the job right? • Are there positions for me to advance to? • My family is taking a vacation the last week in June. Would I be able to join them for part of that time? • Will I need to buy uniforms or provide myself with anything special? • If you don’t have the interviewer’s contact information, ask for it. Make sure you have the correct spelling of their name.

Do You Want the Job?

Typically you don’t get an offer on the spot. If you do and aren’t certain you want the job, it’s okay to say, “I’m interested in the job and I’m really glad I had a chance to talk with you about it. Could I call you with my answer tomorrow?” This gives you time to think it over, consider your options and maybe talk about it with a friend or family member.

Talking About Money Most jobs you’ll apply for don’t involve pay negotiations. Usually the employer has a set wage in mind and that’s what it will be. Depending on the type of work, you may be paid hourly (for example, $6 an hour for babysitting) by the piece (for example, $1 a T-shirt for silk-screening) or by commission (for example, 15% of each sale you close). Here are some questions you might have once you know the rate of pay: • Will I be getting tips as part of this job? If so, do you know the approximate amount each week? • How often will I get paid (weekly, biweekly, or monthly)? • Are there bonuses that come with this job? (Some seasonal work includes a bonus for employees who stay for the entire season.) • Are there any perks that come with the job? (If you’re a retail worker, you may get a discount on the things you buy.) • What benefits do you provide? (Some companies offer health insurance and retirement funds even to part-time or short-term employees.)

When You Don’t Get the Job

Don’t Ask: • Questions about salary, paid vacations, holidays with pay or paid sick days. These are things to deal with after a job offer.

After the Interview Follow-Up

• Say thank you. It’s also appropriate to send a thank you by e-mail or a handwritten thank-you note right away, especially if you’re really interested in the job. • Don’t hesitate to call if you have further questions. • If a couple of days go by and you don’t hear back from the employer, it’s okay to call and check on the status of the position.

Even though you may think you’re the best person for a job, you won’t always get a job offer. Getting a job is a competitive process and typically there is only one person that will get the job. That’s why it’s especially smart to do your homework and invest a little time in preparing for a job interview. It’s a good idea to apply for several jobs and not count on one particular position. If you get a call from an interviewer who says they’ve hired someone else, sure, you may have a moment of disappointment, but keep moving ahead with the next opportunity and stay positive. There are other jobs out there and the next one may be even better.
