Salary Negotiation Things to Consider •

Do your homework! Research the salary of comparable positions, given your education, experience, and skill set. Be prepared with facts to come up with a fair salary range to present to the employer if prompted.

Timing is important. Whether you are negotiating salary during a job offer, or are requesting a promotion in your current role, timing is key.

If the pay is less than what you're worth… "Thank you so much for this offer! I am really excited about the role and the work that [company name] is doing, and would love to join the team. However, according to my research, the typical salary range for somebody with my qualifications in this role is [$$$]. Would you be able to match that figure?" If you have a competing offer with a higher salary… "Thank you so much for the offer! I am really excited about the company and the role. However, as you know, I have been talking to other employers and do have another offer. If you're able to move the pay to [insert your number], I'd be eager to accept." Note: Disclosing the name of the company is totally optional – but a savvy negotiator may try to force it out of you. You also don't have to name the exact offer you've received from another company, but do remember this: never, ever lie about a competing offer.

If the salary they've offered matches or slightly exceeds the salary you researched, but you think there is room to negotiate… "I'm very excited about the offer and think that we are very close to an agreement. However, I would like to talk about compensation. Since I not only fulfill the listed qualifications of the job, like [name some of the job requirements], but I also have [list some of the unique characteristics that make you extra qualified for the role], I’d like to see the base salary at [the number you researched].” If you want to negotiate benefits… "Thank you so much! This role is really exciting, and the salary looks great. I would like to follow up on a couple of details though. How flexible are you with [name the benefit]? The written job offer included [details about the benefit], but I would like to request [the level of benefits you want]. Note: If you are negotiating a benefit to match a current benefit level or one that a competing employer offers, feel free to share that data. experience, grammar and punctuation are a big issue, and under-explained job descriptions plague most resumes. I would be more than happy to accept a 10All job seekers struggle with writing a winning resume to grab the attention of hiring employers. What to say? What not to say? What is relevant information about your jobs? It is never easy, especially when all career coaching experts have a different viewpoint on hiring, and it is just a confusing mess of information to regular people just trying to get hired. I have understood complete for years; my mission has been to simplify the job search process for job seekers – determined to make sense of the job requirements and the complexity of group interviews is beyond frustrating in my mindset. However, I understand that hiring the wrong employee can cost a company millions of dollars, and job seekers have to be willing and able to introduce their skills in the most qualifying format to appear as the best candidate.

WORD RESUME from a potential candidate; assuming you used ten perfectly selected words to explain your skills and experience; that might save me two minutes of browsing the wrong resumes. Nothing is more frustrating to a recruiter than receiving a resume for a General Labor position only to read the entire resume to discover the candidate is a mechanical engineer – well, I will just be donuts. JobFairGiant.com has launched a challenge for all job seekers to announce their Career Field, Experience, and Skills using ten words. The purpose is to make a straightforward introduction to hiring companies; if you do not know who you are as a candidate, how can you apply for the right jobs. For years, I have told job seekers to tailor their resumes to the company's needs, rewrite their resume based on the job description requirements – for the sake of being positive in this sentence. O

nce you get to the interview stage of the application process, you have succeeded in convincing an employer to invest time in meeting you. When you developed your resume and cover letter, you already: • analyzed the job description; • identified and conveyed your skills and accomplishments most relevant to the position; • researched the employer; and • explained what attracted you to the organization. But there is more to do before the interview so you are prepared to answer questions on the spot and articulate what makes you a truly compelling candidate.

Preparing for an Interview Don’t let your first interview be your first time actually answering interview questions! Consider the following strategies when preparing: • Write out answers to questions you think the employer will ask. See samples in this chapter. • Practice saying your responses out loud. Answering potential questions in front of a mirror can make you more aware of your facial expressions and gestures. • Practice with friends or family, or schedule an appointment with a Career Counselor at the Career Center. • Ask for feedback on the content and organization of your answers (completeness, level of detail, how easy to follow) and your presentation style (pace, voice quality/tone, energy, posture, eye contact, hand gestures). • Film or record your responses and review your performance. Ask yourself, “Did I look/sound confident, relaxed, and enthusiastic?” “What does my body language say?” “How were my pace and volume?” Find out what type of interview you will have. Types of interviews include: • One-on-one: Just you and one interviewer, the most common type of interview • Panel: You are interviewed by more than one person at the same time • Group: A group of candidates is interviewed by a panel or one interviewer • Meal: You are interviewed while eating, usually over lunch • Working: You are put to work and observed • Phone or Video: Often used as a screening tool before inviting you to an on-site interview • On-Site or Second Round: After you have made it through a screening interview, this is a more extended interview at the employer site that may include a series of different types of interviews, a site tour, and a meal.

Feeling Nervous? It is normal to feel nervous about interviews. In fact, being a little nervous can motivate you to prepare and do your best. But worrying about being nervous usually just makes you more nervous! Try focusing instead on being self-confident. To harness your nervous energy, think about five things (qualities, skills or experiences) you would like the employer to know about you and practice presenting these points.


Preparing for a Phone or Video Interview In a screening interview, an employer is generally looking for clear interest, a positive attitude, solid communication skills, and evidence that your qualifications and experience make you a good fit for the position. General Tips: • Schedule the interview for when you can give 100 percent of your attention and take the call in a quiet place with good reception/wifi. • Be prepared with lists of points you want to make, your skills and accomplishments with specific examples, and questions to ask. • Keep a copy of your resume and the position description nearby. • Have your calendar available in case you need to set up another interview. • Listen actively and avoid interrupting the interviewer; ask for clarification if you need it, and think out your responses before answering. • Speak clearly and slowly enough so that the interviewer can understand you without difficulty. • Project enthusiasm in your voice to show you are excited about the possibility of getting the position and appreciate being considered. Phone Tips: • Stand up during your phone interview; this will help with your energy. • Show enthusiasm for the position—be sure to smile—it will come through in your voice. • Avoid saying “uh,” “um,” “er,” or “you know.” These fillers are more noticeable on the phone. • Dress in business casual attire to help put you in an interview mindset. • Have the company website open on your computer to reference. Video Tips: • Look directly at the camera, not the screen, to maintain eye contact with the interviewer. • Dress from head to toe as though you were having an in-person interview. • Pick a place with a neutral, uncluttered background. • Run through a practice video interview with a friend to get used to the technology. • Pay attention to your body language – maintain good posture and relax your shoulders.

Preparing for a Second Round Interview Getting a second round interview means you are being considered seriously for a position. The employer will have a chance to gain a more complete picture of what you offer. They will also see how well you fit in with the company culture and with other team members. Begin preparing by reviewing how you did in your first interview. Which aspects did you handle well, and which did you struggle with? Use this information to plan what you will continue to do and what you will try to improve in the second one. Also, gather new information you can bring into the second interview by continuing to research the company and industry. If you haven’t done so yet, consider setting up informational interviews (see p. 2) with staff members who aren’t on the hiring committee. You may have the best luck if you can find alumni working at the company. Before the Interview: • Confirm the date, time, location, and name of the person you should ask for when you arrive. • Allow plenty of time to get to the interview site and arrive at least 10 minutes early. • Make any necessary travel arrangements. If traveling out of the area, ask whether the company will make reservations for you. • Keep any receipts. Some medium and large sized companies may help with expenses. • Try to find out in advance what the agenda will be and with whom you will be interviewing. • Have ready extra copies of your resume, transcripts, references, and all employer forms that you have been asked to complete. • Come up with at least five questions to ask the employer; see p. 36 for sample questions. • Alert references that they may be contacted.


What to Wear to Interviews • How you should dress will vary somewhat depending on the industry and specific company culture, but it's better to dress up than to be too casual. • Unless otherwise directed, dress conservatively. Men should wear a dark suit and conservative tie. Women should wear a dark suit. Avoid miniskirts, trendy outfits, or loud colors. • Make sure your clothes are cleaned and pressed. • Wear dark polished conservative shoes with closed toe and heel. Men should wear long, dark socks and women should wear dark or nude colored nylons or trouser socks. • Minimize jewelry, makeup and fragrance. Women should wear no more than one pair of small earrings. Men and women should wear no additional body piercings. • Style your hair neatly and keep it off your face. • Search the Career Center website for “Interview Attire” to see samples of appropriate attire.

At the Interview: • Turn off your cell phone, and do not chew gum. • Be respectful to everyone. Job offers have been denied based on how applicants have treated administrative staff. • Build rapport in the first 5 seconds. When your interviewer comes into the waiting room and calls your name, walk toward that person with confidence, make eye contact, extend your hand for a handshake, and say, “Hello, I’m (insert your name here).” This should help set the tone for a successful interview. • Do not put your belongings on the interview desk. • If a panel interview is part of the second-round interview, be sure to maintain eye contact with everyone on the panel as you answer questions. • Be prepared to answer the same question several times since you will probably meet with several people over the course of the day. Stay enthusiastic and consistent in your responses. • Remember that you are always being evaluated. In group activities and during meals, your ability to work with people and your “fit” in the organization are being assessed. • Keep in mind that the interview is a two-way street. Be observant. What is the atmosphere like? Are employees friendly? • Be sure to ask when you can expect to hear from the employer again. • If you receive a verbal offer on the spot, it’s usually better to think about the offer before accepting or declining. If you are not ready to make a decision, ask for written confirmation and tell the employer when you expect to make a decision. After the Interview: • Within two days of the interview, send a thank-you note/email to the person in charge of the interview process with copies to the others involved. Mention what you appreciated from the day’s activities and reiterate your interest in the position and the organization. • A week after sending the thank-you, you may contact the employer to show your continued interest and ask if there is any additional information you can provide. • If the employer does not respond within the expected time frame, you may phone or email the person who interviewed you to ask about your status.

Types of Interview Questions Depending on the position you apply for, you may be asked questions from any of three different categories: • Traditional Questions • Behavioral Questions • Technical or Case Questions Since most interviews consist of a mix of different question types, practice responding to questions from both the traditional and behavioral categories, and add in some technical or case questions if you are entering a field that is known to use them.

Traditional Questions

Straightforward questions about your experience, background, and personal qualities. Examples: • Tell me about yourself. • Why are you interested in this position/industry/ organization? (What do you know about us?) • Why should we hire you? (What can you offer us?) • Describe your ideal job. • What are your greatest strengths and weaknesses? • Tell me about an accomplishment that you are proud of. • What have you learned from your failures? • What motivates you to do good work?

• How do you prefer to be supervised? • How would a former supervisor describe you? How about your friends? • Why did you decide to attend UC Berkeley? • Why did you choose your major? • Which classes did you enjoy most/least and why? • What do you see yourself doing in five years? • Do you plan to return to school for further education? • What other positions are you interviewing for?

Behavioral Questions

Frequently used questions based on the premise that past behavior is the best predictor of future behavior. For example, if you have shown initiative in a club or class project, you are likely to show initiative in a job or internship. Examples: Interpersonal Skills • When working on a team project, have you ever dealt with a strong disagreement among team members or a team member who didn’t do their part? What did you do? • Tell me about the most difficult or frustrating individual that you’ve ever had to work with and how you approached the situation. • Tell me about a time when you had to be assertive. Communication Skills • Tell me about a time when you had to present complex information. How did you get your point across? • Describe a time when you used persuasion to convince someone to see things your way. • Tell me about a time when you used written communication skills to convey an important point. Initiative • Provide an example of when you had to go above and beyond the call of duty to get a job done. • Tell me about a project you initiated. Creativity/Innovation • Describe a time when you provided a creative solution to a problem. • What is the most creative thing you have done?

Leadership • Tell me about a time when you influenced the outcome of a project by taking a leadership role. • Describe your leadership style and provide an example of a situation where you successfully led a group. • Provide an example that demonstrates your ability to motivate others. Planning & Organization • Tell me about an important goal of yours. How did you reach it? • Describe a situation when you had many assignments or projects due at the same time. What steps did you take to finish them? • Provide an example of what you’ve done when your time schedule or plan was upset by unforeseen circumstances. Flexibility • Describe a situation in which you overcame a “personality conflict” in order to get results. • Describe a time where you were faced with issues that tested your coping skills. • Describe a time when you received constructive criticism. Decision-making • Provide an example of when you had to make a difficult decision. How did you approach it? What kinds of criteria did you use? • Describe a time when you had to defend your decision. • Summarize a situation where you had to locate relevant information, define key issues, and determine the steps to get a desired result.


Behavioral Questions: Planning Your Responses Respond to these questions with a specific example where you have demonstrated the skill the interviewer is seeking. It’s helpful to remember “CAR” to compose a thoughtful response. Here’s how it works: CONTEXT: What was the problem, need, or concern? Include obstacles you had to overcome. ACTIONS: Describe steps you took, incorporating skills you employed. Focus on what you did as an individual rather than the group as a whole. Own your accomplishments. RESULTS: Quantify the results you achieved if possible and relate them, your skills, and actions to the organization’s needs. Show up to interviews ready with several stories that demonstrate your relevant skills and accomplishments. Develop them by anticipating the skills that are important for the position and reviewing your past experiences. Accomplishments can be found in all parts of your life: • Academics, such as class projects (How did you work with others? Lead others?) • Sports (Will your goal-orientation transfer to your career? What did you learn about being a team player?) • Activities (Have you published a story, given a speech, or marched in the Cal Band? Were you a leader?) • Volunteer, work, or internship experiences (When did your performance exceed expectations? Achieve something new? Make things easier? Save or make money?)

Behavioral Questions: How to Say It Question: Describe a time when you worked in a team. What role did you play? CONTEXT: Last semester, I was part of a team of five people for a group project in my Introduction to Marketing class. We were given an assignment to develop a marketing strategy for a new line of toys for Mattel. As part of the project, we were required to create a 15-page marketing plan by the end of the last day of class. ACTION: I was the team leader, in charge of coordinating all of the group meetings and delegating tasks. I took the initiative to create a meeting schedule so that our group met every Wednesday afternoon, emailed the agenda to each group member prior to our meetings, and kept an Excel spreadsheet of all of the tasks. I also worked on making the team cohesive and supportive of each other by mediating conflicts. To do so, I facilitated discussions, listening to each member, and helping them to work towards a compromise. RESULT: As a result of my efforts, we finished the project one week ahead of schedule and were chosen as the group with the “most innovative” marketing plan. Also, the number of conflicts between members significantly decreased and we were able to agree upon a marketing plan that satisfied everyone.

Case and Technical Questions Case and technical questions are especially common in business fields such as finance, consulting, and accounting, as well as in engineering, physical science, and computer science fields. Technical questions ask about discipline-specific knowledge; they may be related to concepts that you learned from your coursework, industry knowledge (e.g., familiarity with financial markets), or specific skills (e.g., programming languages). Because both technical and case questions can vary so widely from one setting to the next, the best approach to effectively prepare for them is not to "learn" a particular set of interview questions and then hope that your interviewers ask you them. Instead, aim to get really good at answering strategy-based questions you've never seen before. This can be attained through lots of PRACTICE. Explore our “Case Interview Resources” on the Career Center website for further tips and tools. A general principle that applies to case questions, however, is this: often, you won’t know the answer, but you need to make an attempt. The interviewer is evaluating how you approach a problem just as much as your answer. Logical and reasonable thinking is preferred over a one-line response. Keep in mind that there is often no RIGHT or WRONG answer; each candidate has their opinion and perspective on a question. You can also log in to Handshake to access sample questions in the Vault Guides for consulting and try asking company representatives, alumni, or peers who have had interviews in your target field about the types of questions you can expect. For more in-depth information about case interviews, it would be wise to review case interview books (e.g., Case in Point) and consulting-focused websites, and look for opportunities to participate in case competitions on campus through student organizations.


Difficult Questions When encountering a difficult question, pause for a moment and ask yourself, “What is the interviewer really hoping to learn about me?” Examples of questions that students often find tricky: What are your salary expectations? Tell me about yourself. If you are asked this question during an interview, assume that This commonly asked question seems so broad. Keep in mind the employer is deciding whether or not they can afford you, your audience and purpose. Keep your comments focused or wondering if you will undersell yourself. Research locationon information that will help the employer determine your appropriate industry salaries. See “Offers & Negotiations,” p. 37, qualifications and/or interest in the position. I recently participated in a regional debate competition where I helped my team win second place. Because of my experience in the Debate Society I have felt less nervous and more confident about speaking in public and feel that this position would be a good fit for me because I could continue to develop my communication skills.

Questions to Ask Employers Bring at least five questions to all interviews to ask employers. Asking thoughtful questions shows your interest in the position and demonstrates that you have researched the company. Avoid questions that you can find the answers to on the company’s website; focus instead on questions that show you have gone above and beyond to learn about the employer through news articles, company reports, talking to company representatives, etc. It is usually appropriate to ask questions at an interview, and typically the interviewer will invite questions at the end of the interview. WRITING A GOOD RESUME The most basic principle of good resume formatting and design? Keep it simple. Use a basic but modern font, like Helvetica, Arial, or Century Gothic. Make your resume easy on hiring managers’ eyes by using a font size between 10 and 12 and leaving a healthy amount of white space on the page. You can use a different font or typeface for your name, your resume headers, and the companies for which you’ve worked, but keep it simple and keep it consistent. No matter what resume format you choose, your main focus here should be on readability for the hiring manager.

CAREER FAIRS WORK… FOR CANDIDATES Don’t Be Shy. This is your chance to shine. As you approach each employer table, be friendly, be confident, and be prepared with something to say. Introduce yourself with a smile, eye contact, and a brief, firm handshake. Often, the recruiter will take the lead and ask you questions, but you should also have your elevator pitch ready—a 30-second soundbite of what you want the company to know about you. (Here’s how to craft one if you’re unsure.) To really use your time wisely, you should be able to concisely convey why you’re interested in the particular company and how your skills or qualifications suit the position. But at the same time—don’t go too fast! Job seekers have a tendency to speak quickly, which comes across as rushed or nervous. You want to speak slowly and with interest. Follow-up is important; do not drop off your resume and forget to follow up. Seriously, that is a waste of a good career fair.

Boost Your Transferable Skills If you are changing careers, you can use your previous work experience to show your potential to succeed in this new role. What are transferable skills employers desire? If you worked in a customer service occupation, a transferable skill could be your resilience. In a busy coffee shop in New York City, it might be common for a customer to say “hurry up with my order,” and being shorttempered and belligerent in your response is not acceptable. It takes resilience to remain pleasant and calm in the moment and for the rest of your shift. A standard interview question is, “Tell me about a situation when you had to use resilience?” First off, the definition alone can cause a candidate to stumble, but be prepared to explain this transferrable skill. A role dedicated to helping the public can position you well to land any job if you have this transferable skill. Another example: If you’ve worked as a receptionist, you likely have good active listening skills. Interview Thank You Letter RECAP THE INTERVIEW Immediately after the interview, start the follow-up procedure. Answer these questions: • • • • • • • • •

Whom did you meet? (names and titles) What does the job entail? What are the first projects, the biggest challenges? Why can you do the job? What aspects of the interview went well? Why? What aspects of the interview went poorly? Why? What is the agreed-upon next step? Where is the employer in they hiring cycle, when will a decision be made? What was said during the last few minutes of the interview?

Probably the most difficult—and most important– thing to do is to objectively analyze what aspects of the interview went poorly. A person does not get offered a job based solely on strengths, and those would will be easy enough to answer. On the contrary, many people get new jobs based on their relative lack of negatives as compared with the other applicants. So it is mandatory that you look for and recognize any negatives from your performance. That is the only way you will have an opportunity to package and overcome those negatives in your follow-up procedure and during subsequent interviews. The next step is to write the follow-up letter or e-mail to the interviewer to acknowledge the meeting and to keep you fresh in his or her mind. Sending a follow-up letter also shows that you are both appreciative and organized, and it refreshes the urgency of your candidacy. But remember that a canned follow-up form letter could hurt your chances.

COMPOSE THE LETTER Write a follow-up letter to be sent as an e-mail or as a traditional letter. The follow-up should make four points clear to the employer: • You paid attention to what was being said. • You understand the job and can do it. • You are excited about the job, can do it, and want it. • You have the experience to contribute to those first major projects. USE THE RIGHT WORDS AND PHRASES IN YOUR LETTER Here are some you might want to use: • • • • • • • • •

“Upon reflection,” or “Having thought about our meeting . . .” Recognize— “I recognize the importance of . . .” Listen— “Listening to the points you made . . .” Motivation— Let the interviewer catch your enthusiasm. It is very effective, especially as your letter will arrive while other applicants are nervously sweating their way through the interview. Impressed— Let the interviewer know you were impressed with the people/product/service/facility/market/position, but do not overdo it. Challenge— Show that you feel you would be challenged to do your best work in this environment. Confidence—There is a job to be done and a challenge to be met. Let the interviewer know you are confident of doing both well. Interest— If you want the job (or next interview), say so. At this stage, the company is buying and you are selling. Ask for the job in a positive and enthusiastic manner Appreciation— As a courtesy and mark of professional manners, you must express appreciation for the time the interviewer took out of his or her busy schedule.

MENTION THE NAMES OF THE PEOPLE YOU MET at the interview whenever possible and appropriate. Draw attention to one of the topics that was of general interest to the interviewers.

ADDRESS THE FOLLOW-UP LETTER to the main interviewer. Send a copy to personnel with a note of thanks as a courtesy.

DON’T WRITE TOO MUCH. Keep it short—less than one page—and don’t make any wild claims that might not withstand close scrutiny.


SEND THE LETTER WITHIN TWENTY-FOUR HOURS of the interview. If the decision is going to be made in the next couple of days, e-mail the letter or hand-deliver it. The follow-up letter will help to set you apart from other applicants and will refresh your image in the mind of the interviewer just when it would normally be starting to dim.

PUT IN A TELEPHONE CALL to the company representative if you do not hear anything after five days. Reiterate the points made in the letter, saying that you want the job (or next interview), and finish your statements with a question: “Mr. Smith, I feel confident about my ability to contribute to your department’s efforts, and I really want the job. Could you tell me what I have to do to get it?” Then be quiet and wait for the answer.

MANAGING OFFERS & SALARY NEGOTIATION Entry-level hires Many employers are unwilling to negotiate with entry-level candidates, as they typically have standard starting salaries to ensure equity among candidates for these positions. However, attempting a negotiation and conducting it professionally is great experience and can yield a positive result. Often college students think if they attempt to negotiate an offer, the employer might view this negatively or even rescind their offer. If handled professionally and both parties communicate effectively this will not be a concern. Step One – The Offer You’ve worked incredibly hard to reach this point – congratulations! Up to this point your job search can seem out of your hands and in the employer’s control, but the “balance of power” shifts once you receive your offer, so relish this fact and make sure you have all the information (and time) you need to make a good decision. You can follow the scripts below, but too many students delay their response and risk an employer rescinding an offer because they think you’re not interested. I am in the process of interviewing with a few other firms and need some time to communicate with them prior to making a decision – can I get back to you with my decision in two weeks? (Note: employers will want your decision ASAP but it is entirely reasonable for you to stall for time while you are concluding your search – the next step, of course, is to call/e-mail all the other employers you have applied to, tell them you have an offer and ask where you are in their application process.) 1


Step Two – Research When negotiating salary, you need data. If you have another offer at a higher salary, that’s ideal! You can tell the employer this and often they will try to bring their offer up to match, if they can. You may not have another offer, so your foundation for negotiation has to come from research. Get all the data you can from friends and recent grads who are searching or are currently employed in your field – they’ll often share information about typical salaries. Another key consideration is cost of living in the area – make sure you know how a $35,000 offer in Philadelphia compares to a similar offer in NY or DC. Career Services asks graduating seniors for salary information each year – you can find this data, as well as links to salary calculators, cost of living websites and salary message boards at http://www.swarthmore.edu/career_salary.xml. When you’ve finished your research, you’re ready to negotiate. Take a deep breath, and begin: Sample script Miriam: Hello, this is Miriam from Swarthmore College. Is now a good time to talk? Again, I’m very interested in the offer you extended for an editorial assistant position with your organization and I have a few questions I was hoping we could discuss. Employer: Of course! It’s good to hear from you. Miriam: In reviewing salary and cost of living data for similar positions in the NY area, I found the salary you’re offering -- $28,000 – is a bit below the average. Is the salary negotiable? Employer: I’m surprised you found our salary was below average – how so? Miriam: My research showed the range for editorial positions in NY is $30,000-$35,000. For example, XYZ publishing pays $32,000. Please understand I am very interested in your organization – but I’m not from NY, I’ll be living independently and I’m concerned about how I’ll manage rent and student loan payments on a limited budget. (Note: Employees earn money because they add value to an organization. You can respectfully reiterate how you will benefit the company and not just that you need the money.) Employer: I understand. Have you reviewed our benefits package though? We are very competitive in this area and our benefits tend to make up for any slight salary differential. Miriam: Your benefits package is excellent – thank you for forwarding that information. Robert in HR was very helpful in explaining the details about the 401(k) and health plan. Of course I understand if the salary is fixed, but I am hoping you are willing to consider an increase. Employer Response #1: This is unusual, but let me take this back to my manager and see what I can do. I’ll be back in touch by the end of the week. (Note: at this stage, be aware that the employer typically expects you to accept their offer if they meet your negotiation request.) Miriam: Thank you very much for understanding my concerns and being willing to consider this option. I look forward to hearing from you. Employer Response #2: Actually we’ve established a fixed salary for our editorial assistant positions to ensure equity among our entry-level hires. The cost of living in NY is very high and I want to be responsive to your concerns. You should know that we evaluate all of our entry-level employees after their three-month probationary period and again after six months, at which time 2


you are eligible for a merit-based increase. One area where we do have some flexibility is in relocation assistance – we can offer up to $1,000 to help you relocate to NY, which can be used to pay for moving and apartment rental expenses. Would this be helpful to you? (Note: Employers unable to negotiate salaries are often able to negotiate in other areas including relocation, a signing bonus, vacation and benefits eligibility.) Miriam: Absolutely! I understand and respect your concerns about equity but as a new resident of NY the relocation assistance would be incredibly helpful. Thank you for our conversation – I’d like some time to think this over. When do you need my decision? Step Three – The Decision In the final analysis, salary is only one piece of your job and $1,000 here or there shouldn’t make or break your decision. Make sure the job is the right fit for you – will it help you develop new skills? Does your boss have the makings of a good mentor? Can you build upon this position – does it increase your marketability or does it place you in a narrow niche? Is the work culture of the organization a good fit? Do people seem happy – do they like their jobs? Is there a structured training program? If not, how is training offered? How will you be evaluated and what are the average annual salary increases? Don’t forget also to clearly lay out your costs such as rent, student loans, travel, food etc. to know what your monthly costs are and what salary you truly need to meet these costs. Once the deadline for making your decision arrives you need to communicate with your employer – by phone is best. If you still need time it is often possible to ask – but know that most employers don’t like to drag this process out because they need time to extend another offer if you turn them down. Generally two weeks is the amount of time you’ll have to make your decision – but often that can be extended to one month and sometimes more, depending on how close you are to graduation (students with fall semester offers often have until spring semester to make their decisions; spring semester offers will allow less time). If accepting the offer, indicate your enthusiasm for the position, establish your start date and check to see if there are any papers you need to sign. Celebrate! (Note: Once you verbally accept an offer do not go back on your word, even if your dream offer finally comes through. The world is a small place and people within the same industry often know each other. They may talk about how they were wronged by a potential hire such as yourself.) Negotiate and accept offers with integrity. If declining the offer, thank them for their interest. They may ask for your feedback about the process and want to know which organization you accepted – they’re not being intrusive; this is part of their benchmarking process. Feel free not to share this information.

Experienced hires

The process of negotiating salary is much more common (and typically more successful) for experienced professionals. The same steps apply – do your research (professional associations often provide salary data) – and stay in contact with the employer during the process. Benefits negotiation is also much more common – employers are often willing to waive delays in qualifying for retirement plans, increase vacation time, offer additional relocation assistance, etc. Bottom line, it doesn’t hurt to ask – a negotiation conducted professionally is respected by any employer.
