Spam And Blacklists: What To Do To Avoid It, How To Fix It, And Why It Happens?
Some internet analysts estimate spam accounts for up to 80% of all email traffic. The following methods are reasonably sure ways to land a business on a blacklist at least on some servers:
Understanding how a blacklist works is the key to limiting how spam affects you.
A "Blacklist" is a list of IP addresses or domains that are registered as distributing spam. Email servers check these lists and mark (or block) received email if the sending mail server is listed.
Blacklists are updated by servers receiving emails – some automatically (based upon patterns of language or content) and some from user experience (when you mark an email as spam).
There are more than 100 blacklist servers that are available for mail servers to verify with, which is especially helpful if a specific blacklist has been updated with a false positive (i.e. in error). Sending unusually large volumes of email (in excessive quantities). Sending emails with a high bounce rate (ie invalid addresses or restricted mailboxes) – this limit can be as low as 2-8% of your total mail-out. Spam complaints from recipients in relation to your emails. Sending emails with large or unverifiable attachments.
How do I avoid getting blacklisted?
Avoiding getting blacklisted requires taking steps to proactively monitor/manage your digital reputation when conducting email marketing.
How does a business get blacklisted?
There are a number of ways to get blacklisted and whilst there are guidelines on blacklisting rules there is no definitive industry standard.
Ensure you utilise a genuine list or verified addresses (i.e. from your own clients). Utilise a reputable bulk mailing service. Update and maintain your email list regularly (i.e. housekeeping). Ensure that you comply with the Australian regulatory requirements surrounding emails. Use personalisation on your emails to add credibility and validity to the recipient. Practice good security protocols on your server that sends emails, your domain and your email user accounts to reduce the risk of access to your emails being hacked.
What to do if you have been blacklisted?
If you have been blacklisted don't panic, this can happen by accident.
Verify you have been blacklisted and by which ISP. Send a formal request asking for the blacklisting to be reviewed and for an explanation of why you think you were blacklisted. Check the security of all your email services. Ensure nothing has been compromised. Cease sending bulk email or email to addresses at that ISP / Domain for a time and allow the automated de-blacklisting process to take place. If in doubt obtain help from a professional who understands the processes involved.
