THE DEFINITION OF TEAMWORK

ith more than 25 years in the technology field along with invaluable experience in the U.S. Navy, Paula Cook, a Microsoft Dynamics NAV programmer at The Ken Blanchard Companies, epitomizes teamwork and tenacity. Paula started her naval career at a time when women had to volunteer to go on ship. She was one of the first 72 women aboard alongside 380 men.

“It all came down to teamwork. Being on a floating vessel in the middle of the ocean, it simply has to run as a well-oiled machine! We were successful together.” Paula continues, “It also helps to have a bit of innate tenacity; if you don’t have what you need, you need that ‘get up and go’ to get at it.” Being one of 14 children in her family, Paula definitely knows a thing or two about teamwork and tenacity. It was during her three years in the service where her technology career got its start. Paula worked in data processing with computers that were taller and wider than she was. While attending the Naval Postgraduate School in Monterey, California, she worked with Army colonels on voice analysis, “training” computers to recognize voice intonations. She received her degree in computer science while at the Naval Postgraduate School. From there, Paula says, “The rest is plain old experience. The beauty of the service is gaining that hands-on experience you learn from each other, not from a book.” Traveling the world while in the Navy greatly contributed to that experience, giving Paula profound memories. “Travel is an education,” she says. “All your senses are put in motion when you’re in another country.” With trips to Egypt, Greece, Spain, and more, the Navy enhanced Paula’s love for travelling and diversity. “Going abroad makes you realize just how big the world is and that for us to be successful, we must all get along.” Paula recalls her time in Egypt as eye-opening. “I remember seeing children go to school on the side of the road with a board up against the tree. That was their education. The trip really made

Multiple Uses for Account Schedules by Kerry Rosvold ccount schedules produce base ﬁnancial statements – and so much more! Here’s my top 10 list of reports, other than a trial balance, income statement, and balance sheet, that I produce using account schedules.

1. Statement of Cash FLOWS (SCF) Yes, this is a base ﬁnancial statement, but there are so many people who are not using account schedules to produce this one. It can be done, I promise! The best advice I can give you is to make sure you understand your SCF well enough to be able to use your trial balance in order to construct it using Microsoft Excel ﬁrst. If you can do that, then you know enough to be able to build it in account schedules.

2. Gross Margin Reports Since my company uses dimensions on our items at a high level grouping as well as at a 1:1 level with the item, I’ve got some great gross margin reports that allow me to see what our margin is a number of diﬀerent ways. I can see what larger groups of items are doing and I can also get down to the level of an individual item.

3. Reports Using the General Ledger Account Number in the Columns This is one of the shortcomings of Microsoft Dynamics NAV account schedules. You simply cannot design column layouts that utilize general ledger (GL) account numbers in the columns. I had someone request a GL walk forward from gross sales to net sales, showing columns for individual GL accounts such as discounts and returns in the columns and then dimensions for our items in the rows. This would be a very ugly report if I was limited to only a few GL accounts in the rows and many columns full of dimensions. I needed to twist this one around, and I did, by putting it into Excel and using Paste Special and Transpose.

4. Reports that Answer Speciﬁc Questions (for example: “How much did we spend on this activity for this project for this team?”) This starts to get into heavy dimension territory, and for this report, activity/project/team are all designated dimensions that I have in my system in order to make this report possible.

5. Lead Schedules When I review my accounts at the end of the year – and prepare for my auditors to arrive – I prepare lead schedules for both the balance sheet as well as the income statement, so I can easily review groupings of like accounts together and get quick year over year comparisons. I use the same lead schedule to monitor clearing accounts that need to have zero balances and also to make sure blocked accounts stayed blocked with a zero balance throughout the year. The lead schedules give the auditors a consistent checklist of accounts to reference as they work through the annual audit, making the inevitable variance discussions easier to handle. 18 | NAVUG Magazine

6. Consolidated Financial Statements I have more than one company to keep track of, and I do so using multiple companies in the same Microsoft Dynamics NAV database, and then use the consolidation feature to move all the ﬁnancial detail to a single consolidation company to use for reporting. The consolidation company and the subsidiary companies all have a consistent shared chart of accounts, so it is very simple for each company to have consistent shared account schedules between them. If you look at an income statement in Company A, it looks exactly the same as Company B because I copied and pasted the schedule from one company to another. Even if your chart of accounts is not the same between companies, you can still use consistent account schedules between companies with a little extra work needed to map accounts to the right lines.

7. Sales Every Day of the Month We’ve got some great reports set up that give us daily information in Microsoft Dynamics NAV, and we can break down, by dimension, what’s going on with things such as sales so we can quickly identify trends.

8. Many Years of Information at a Time Oftentimes we get into the rut of what’s happened this month or this year, but when you start to work on forecasts or annual budgeting, bringing the view out to a higher level is a great tool. Don’t forget that you can look at many account schedules for a longer time frame as long as you’ve been gathering information in Microsoft Dynamics NAV for that long.

9. Budgets Other than once a year when I use the budgeting feature to load a new annual budget, I use account schedules to look at budgets. It’s a great way to get a quick read on what the plan was without having to switch out of my primary reporting tool.

10. Ratios Need to see Accounts Receivable Turns or Days Sales in Receivables? What about Inventory Turns? There are a lot of ratios that can be measured using account schedules!

Bonus! Simple Queries I’ve never really formalized this method, but I actually use it a lot. If someone asks me for detail on what we’ve spent on a project or what portion of a certain expense account a particular team has used, I can whip up a quick temporary schedule that will get me the info I need. I’ve found this particularly useful when needing to solve dimension problems. Using the ” (two single quotes) as a designator for ﬁnding “blank” dimensions was a great tool back in the day before I understood how to completely prevent that from happening, and by using an account schedule to show designated dimensions as well as blank dimensions, I was able to solve that type of problem quickly. More BI Options for Microsoft Dynamics NAV 2013

n last year’s Q4 (winter) edition of NAVUG™ Magazine, I wrote about business intelligence (BI) and Microsoft Dynamics NAV. I also relayed the NAVUG Academy class offerings that could help Users get the right information to their team, in the right format, and at the right time. Since then, I have had many different discussions with NAVUG Members relative to their favorite BI tool. In addition to the robust Microsoft Dynamics NAV ISV offerings out there, one that always seems to come up is the Power BI collection from Microsoft. According to Microsoft, “Power BI for Office 365 is a collection of features and services that enables you to visualize data, share discoveries, and collaborate in intuitive new ways.” The majority of Power BI features are found in Microsoft Excel® and allow Users to create, modify, extend, and collaborate in a very familiar tool. These features consist of Power Query, Power Pivot, Power View, and Power Map. » Power Query – Lets Users connect to data from public and corporate data sources. This includes capabilities to easily transform and merge data from multiple data sources outside Users’ corporate infrastructure. » Power Pivot – Enables Users to create sophisticated data models with data in Excel by creating relationships, custom measures, hierarchies, and KPIs (key performance indicators). Power Pivot

models run at lightning-fast performance.

» Power View – Creates reports and analytical views through interactive charts and graphs that help Users explore and present their data visually in Excel. » Power Map – Takes a look at Users’ data on a 3D map in Excel. One of our most outspoken NAVUG Members on Power BI is Cristian Nicola. He feels that Microsoft Dynamics NAV Users should take full advantage of these robust features to enhance their data visualization options. He has written several blog postings on the topic and continues to be a huge advocate for this technology offering to our NAVUG community. To that end, Cristian has offered to assist NAVUG Members by providing real-world, hands-on virtual classroom training via NAVUG Academy. Starting in Q1 of 2015, Cristian will provide a series of Power BI Academy classes that will focus on Members’ specific needs. We sat down with Marko Perisic, director of program management, for our Q1 2014 issue. At that time, we talked about “Crete”. This time around, we’re visiting with Marko about his Convergence 2014 Europe keynote demo as well as the next Mediterranean island his team has set its sights on, “Corfu”.

NAVUG™: Your Convergence 2014 Europe keynote was very successful. Was that your first time in front of that many people? Marko Perisic (MP): This year has been very busy. While there have been many large stage events where I was talking about the product, Convergence 2014 Europe was the largest to date. The Microsoft Dynamics NAV demo is great, and it is a lot of fun to showcase it in front of 4,500 people. Having a fantastic product to show and a world-class team empowers you to do your best in front of the audience. NAVUG: How long did you work on the mechanics of the demo to prepare for the keynote? MP: The demo itself is one of the first demos we did as a proof of concept for the end-to-end scenario. We always have a “north star” demo that rallies the team around it. Think of it like this: If we can’t end up doing this, then what is the point. That was the demo at Convergence, not to detract from it, because we think it really showcases the power of “One Microsoft” and how Microsoft Dynamics NAV is a critical part of that value proposition. The mechanics of demoing and stage preparation took about two days. You are continuously rehearsing, getting feedback, checking the technology, and so on, but at the same time, it builds a team and a team culture for all the presenters. We all end up supporting and helping each other. NAVUG: What did you hear from Microsoft Dynamics NAV Users after that demo? What aspect seems to resonate the most with them? MP: I think people are finally understanding that the “app” is not just about what runs on your device. It is the service in the cloud that brings the value, and the device “apps” are a means to delivering that service capability across multiple devices in different contexts. We are done with the days where a User picks one client as a preference of use (Classic, Windows, or Web Client). We are in the world of “AND”.

Users will be using multiple clients and devices in different contexts as they interact with the service in the cloud. The demo at Convergence showcased that perfectly, and people got that clarity. NAVUG: Last time we talked, you were working on “Crete” but couldn’t share much more than the code name. We now know that “Crete” is Microsoft Dynamics NAV 2015, which has been in market since the beginning of October. What is the response thus far? MP: Overall, Microsoft Dynamics NAV 2015 is the most successful product launch to date. There has been overwhelmingly positive feedback about the value we bring and the effort we made to minimize the disruption of an upgrade. NAVUG: After conversations with Users at Convergence, what aspect of Microsoft Dynamics NAV 2015 seems to have the most traction with them? MP: Everyone loves the big rocks in the release: The tablet experience, the Word reporting, the upgrade tools, cash management, and simplification. Everyone gets the value instantly. I think this is the release where there has been the least dissonance in what we at Microsoft perceive as value for Customers and what Customers themselves perceive as value. We intend to keep it that way and improve further. NAVUG: What’s next for your team? MP: We have already started building our next release, code named “Corfu” to keep with the tradition of picking a Mediterranean island as our code name. In this release we will unlock some amazing new experiences and change how the business solutions world perceives productivity and integration with online services. What will not change is our commitment to deliver high value with minimal disruption. We will ensure that there is a natural and easy path, with absolutely minimal effort for Customers and Partners to move to “Corfu”. NAVUG

This year’s attendance at NAVUG™ Summit was made up of about 40 percent new attendees due to event growth. This year’s theme, “Experience It”, took on a whole new meaning as ﬁrst-time attendees made their mark in St. Louis. Read on to learn what a couple of those attendees learned and are already implementing at their own organizations to drive efﬁciency.

Paula Cook, programmer at The Ken Blanchard Companies As an organized go-getter, Paula came to St. Louis prepared with all her questions and issues written down in her blue notebook, hoping to find answers in the sessions she planned to attend. Much to her surprise and delight, Paula received answers not only in the sessions, but also during lunches with Keith Owen of Restaurant Supply Solutions and experts like Mark Brummel, at the I LOVE NAV booth in the Expo with senior support engineer Thomas Brownell, and while mingling with attendees in the hallways. Paula described Summit in a few (quite accurate) words: “Sensory overload…in a good way!” Here are her top three takeaways and how she’s implementing what she’s learned to drive efficiency: » Paula showed her list of questions to Thomas Brownell at the I LOVE NAV booth and one by one, he tried to resolve the issues as best he could. Not everything could be resolved at the booth, so the Microsoft employees said to send them an email and they’d work on finding solutions. “To me as a developer, that is just priceless,” Paula says. » Lisa Ramsey with Western Computers gave a session about role-tailored views that showed Paula the importance of testing scripts, which shows a User step by step how to test a feature in Microsoft Dynamics NAV. Lisa emailed Paula the testing scripts soon after the event so Paula wouldn’t have to start from scratch. “We’re highly customized at Ken Blanchard and need to modify the scripts with my tasks, but having a starting point is such a huge benefit,” Paula shares. » Another developer, Keith Owen, helped Paula solve a shipping tracking issue where Users can now click on a tracking number and have that direct to UPS or FedEx to see exactly where the package is. Paula was struggling with how to write code that creates a simple workflow for her Users, but getting that written code from Keith alone was worth the cost of her trip. Paula got back to the office excited about all she learned and shared it with her team immediately. In fact, Paula is already registered for NAVUG Summit 2015 in Reno and is determined to stay engaged with new relationships she made this year as well as take advantage of valuable online resources and blogs.

Adam Johnson, director of sustainability at Log House Foods Inc. As a first-time attendee and relatively new Microsoft Dynamics NAV User, Adam thought Summit was an amazing event: “The great sessions, experts, and networking really opened up all we can do with Microsoft Dynamics NAV; there was just so much to take in.” Adam hit up mostly the manufacturing sessions to understand how other Users were using Microsoft Dynamics NAV for workflow, seeing what’s been successful, and how they could apply it to their business model. Adam appreciated how the NAVUG tracks were broken out by job function. “That really helped me pinpoint what sessions to go to, and when there are four to five other sessions that you’re trying to choose from, that makes a huge difference.” Here are a few of Adam’s learning highlights from the event: » The “Ask the Experts” sessions were Adam’s favorites, since he had particular issues to address and took away some great resolutions. One has allowed Adam to formulate a better workflow for his warehouse and production staff to move excess raw materials from production back to their proper bin locations. “A couple of others in the room had written custom code to alleviate similar issues, but we use Microsoft Dynamics NAV mostly out of the box, so I wanted to stay away from that, and they still had solutions to offer.” Adam has introduced the new checklist to his teams, and it’s already working well. » Adam met Bob Buccigrossi at a few of his sessions and was able to pick his brain. Adam recalls, “Just having access to the different experts and making relationships within the community in itself is worth the time and investment we put in.” » Adam attended a Business Leadership session presented by Andy Hafer, CEO of Dynamic Communities, and took away a ton of useful information. “We’re a smaller company and have people from older generations, but we’re hiring new people who are a lot younger. Knowing how to present trainings to these two generations is a struggle, and that session helped me identify the need to explain things differently.” Adam and his colleague came back to the office very excited and also signed up to attend NAVUG Summit next year. “The variety of content at NAVUG Summit was incredible. We were surprised and impressed with how much useful content was available and are excited to attend again next year,” concludes Adam. NAVUG Q4 2014 | 23

CREATING A LEAN BUSINESS PROCESS FOR

ike many Microsoft Dynamics NAV Users, Bob Buccigrossi, business system improvement manager at EBO Group, Inc., had too many department managers directly contacting their Microsoft Dynamics NAV Partner about product enhancements. There just wasn’t a good methodology of funneling projects to ensure whether the enhancement was worth the time and cost investment. “We didn’t have insight into why we needed a certain enhancement, what exactly it was affecting overall, what it would ultimately cost us, and finally an idea of the ROI,” Bob says. EBO Group needed a streamlined way to monitor and classify whether an enhancement actually needed to be done. The first step was shifting the current departmental or silo thinking to a complete operational thought process. Instead of one person in each department making the decision, EBO Group assigned a set team made up of its IT manager, its CFO, and Bob. This team now makes sure an enhancement is really worth the resource and dollar costs associated with it. They also ask the question, “Should we make this change to Microsoft Dynamics NAV, or should we instead change our process?”

Clear Objectives; Clear Deliverables Bob and his team created a product design program request form that includes background issues along with a suggested resolution. He works with organizations to identify clear objectives and then submits that to their Partner. The Partner then replies with a time and cost estimate. Alternatively the Partner may suggest that the organization hold off as the enhancement will be in the next upgrade. Bob shares that estimate with the appropriate department head and the president at the organization, ensuring that the enhancement is worth the investment. Once it’s approved, the Partner gets going on the customization and sends it for Bob and team to test in their test system. After user acceptance testing verification, it is loaded in the live environment. This process holds both the Partner and EBO Group accountable and also allows EBO Group to build a better understanding of their product environment. By requesting detailed product programming specifications with a written form and the Partner signing off on the document, each party has clear expectations of the project.

Here’s an Example of Bob’s Process in Motion… » A warehouse manager and shipping clerk meet with Bob and request an enhancement that allows access to the same shipping labels they use for a standard sales order as they do for transfer orders, where the inventory isn’t housed in their location. » After that meeting, Bob ﬁlls in the product design program request form that includes the current functions and keystrokes

they go through to get what they need as well as his suggested enhancement along with where he wants the new function to be located. He then emails that form to their Partner. The Partner responds with their expected completion date and fee. Bob takes that estimate back to the warehouse manager and president to see if it’s worth the investment. The warehouse manager and president approve its worth, so Bob gives the greenlight to their Partner. Once the Partner completes the enhancement, they load it in the test system for user acceptance testing. Bob and team will test out the enhancement and see if they need tweaks. The Partner then loads it into the live system where it undergoes continuous improvement through User testing to to meet their changing business needs.

Learning from the Past Having been through a number of enhancements, Bob has learned the hard way a few times. “I would have to say lack of testing leads to the biggest problem areas and issues,” he says. Sometimes they run into issues months after the enhancement is implemented, but with continuous improvement as their goal, Bob doesn’t get discouraged with those few instances. Putting their programming request together is another area Bob has had to work on to avoid project scope creep. “We have to include immense detail for every scenario,” Bob shares, “and that’s really diﬃcult to do, but ultimately worth the time investment in the end.”

ROI Calculation That ROI calculation is a tricky thing, but Bob has a process for that, too! Although it really depends on the enhancement itself, EBO Group takes it in stages by ﬁguring out a theoretical ROI ﬁrst, and then after several months of the enhancement in place, presents the actual ROI to clearly state the before and after. Many times, the easiest way to track success is when they don’t have to hire another employee after the fact.

Final Advice: Leaner is Better “As we delve into our own Microsoft Dynamics NAV 2015 upgrade, it’s even more apparent to ensure our business processes are as lean as possible,” Bob says. He recommends eliminating as much waste from the process itself as well as understanding what standard Microsoft Dynamics NAV can already do. A gap analysis can also help in understanding how much of the gap you want to address in one enhancement or if it can be in multiple enhancements. “It’s plain and simple,” Bob concludes. “Do NOT let your ERP system add waste to your business process.” NAVUG Q4 2014 | 29

ounded in 1999, k-eCommerce got its start by enhancing the buying experience for its online retail clients. The company specifically worked to streamline efficiency for those clients by integrating its e-commerce platform with enterprise resource planning (ERP) software. In 2005, k-eCommerce brought its solution to the cloud and opened its own data center where the company now hosts websites as well, handling IT and web support, providing web design, and offering custom web development. We sat down with Giuseppe Ianni, vice president of sales k-eCommerce, to learn more. NAVUG: How does k-eCommerce work with Microsoft Dynamics NAV? Giuseppe Ianni (GI): We have a graphic (see next page) that really speaks to how we sync all e-commerce data with Microsoft Dynamics NAV from a visual standpoint. But in more detail, k-eCommerce integrates with the web service client in Microsoft Dynamics NAV 2013 and SQL so that a client’s website captures orders and customer information, and then takes that back into Microsoft Dynamics NAV automatically. On the flip side, when Microsoft Dynamics NAV is down or undergoing updates, the web store will stay up and run business as usual until Microsoft Dynamics NAV is back online, and then update all data at that time. This streamlined and automatic integration works both ways and ensures that data is in one place and talking to a customer’s web presence

at the same time. With k-eCommerce, all Users get the same data and in close to real-time, helping enhance what they’ve already invested in Microsoft Dynamics NAV. NAVUG: How does k-eCommerce help drive efficiency for Microsoft Dynamics NAV Users? GI: Fast deployments, flexibility, and scalability. Specifically: k-eCommerce is an out-of-the-box integrated web store that can be customized through Model View Controller (MVC) to have complete control over what customers see. Sites can go live in weeks versus months. k-eCommerce can also be deployed at any time, whether you’re just deploying Microsoft Dynamics NAV or with Microsoft Dynamics NAV already in place. The solution also works with other ERP and CRM solutions as well as eBay, Amazon, and other online marketplaces. The flexibility really can’t be beat. k-eCommerce has built our platform to be capable for more than what you need; this way, clients can have the features they need today as well as scale to what they need as years go by. NAVUG: What do Microsoft Dynamics NAV Users find most shocking about k-eCommerce? GI: The different architecture in Microsoft Dynamics NAV 2013 Web Client has opened doors for our solution, making it possible to implement an add-on versus a brand-new solution from scratch. Most Users are accustomed to building custom

solutions inside of Microsoft Dynamics NAV, versus something that works with the solution but sits outside of it. This classic way of thinking can get very expensive fast, but with k-eCommerce, Users don’t have to consider a massive upgrade to get the functionality they need. Although a shock to Users, it is a very compelling reason to consider our solution. For example, we sponsored NAV Directions this year and got feedback from attendees like, “This is how it should be done, built outside of Microsoft Dynamics NAV.” NAVUG: What are online retailers demanding more of these days? GI: The #1 request we get is, “Can you take me mobile?” And with responsive web design, we certainly can! By creating a responsive website, you get a unified look across all web-enabled devices. We leverage Bootstrap, a mobile first front-end framework, to ensure an omni-channel experience with tablet and mobile capabilities. This technology uses one style sheet, simplifying plug-in management of different resolutions while still providing a great User experience.

NAVUG: What does it mean to offer an omni-channel experience, and why is it so important? GI: Omni-channel means selling with the same effectiveness and efficiency across all devices and channels. Whether our clients are selling to businesses or straight to consumers, people aren’t just using their computers to shop online any more. They’re also buying items on their phones and tablets while in line for coffee or on the bus, so having a streamlined User experience where it’s three clicks and you’re done is crucial and really what consumers are demanding today. NAVUG: What should Microsoft Dynamics NAV Users look forward to with k-eCommerce? GI: We’re constantly adapting the back-end platform with new features, but the integration with Amazon and eBay is a great new feature for Microsoft Dynamics NAV Users. This provides the interface to get data to Amazon and eBay while also taking orders back into Microsoft Dynamics NAV. These websites have strict parameters, and with k-eCommerce, Users can go in and create a catalog that will automatically publish out on eBay or Amazon. NAVUG
