I
n our last issue of BCUG/NAVUG Magazine, Mark Rhodes wrote about keeping up with trends and technology in your business. The theme of this issue is “Technology that will change business forever.” When I was asked to write this article I started think about all of the technology changes I have seen since I entered the business world. Typewriters became common in business in the 1880s and were still around in the 1980s and even the 1990s. Now they are virtually extinct. Laptops were the hottest trend for executives during the start of the 1990s and no office could exists without a fax machine. Now virtually everyone uses a laptop and our company fax machine is integrated into the photocopier and only receives spam. Fax technology certainly changed business forever making it possible to share documents with business partners without waiting for delivery of the mail. Today e-mail and other electronic document delivery methods, like EDI have replaced the fax. In the early 1990s, many businesses used services like America Online and CompuServe for e-mail which required a dial up modem connected to a dedicated phone line. E-mail became very important very quickly for many reasons. E-mails are less disruptive than phone calls and you don’t have to worry about anyone near you hearing anything private or delicate. E-Mail allows you to think about and review your message before sending it and you can easily reach many people with one message. Perhaps most importantly, e-mail has become a way of sharing documents. Not only did e-mail change the way we do business, but luckily high speed Internet connections came along to replace the slow clunky 9600 baud rate modem connections that always started with an ear-piercing high-pitched screech! Now almost everything we do requires an Internet connection. Phone technology has come a long way in the past couple of decades with advances in cellular technology and wireless networking. Do you still have a wired telephone on your desk and is it anything more than a paper weight? Mine is set to “Do Not Disturb” most of the time because the only calls I receive on it are not from “Microsoft” informing me that my computer has a virus and they can fix it for me. Of course, if we need to reach anyone quickly, we using Instant Messaging. Today it is so easy to be connected to the office that we take our work with us wherever we go. I find it Ironic that with all of this technology we spend more time working. Despite the fact that we can and do take our work with us, Americans still left 768 million vacation days unused in 2018 according to the US Travel Association (as reported by CNN). With all of this technology today it will be interesting to see what comes next, but one thing all of this technology has in common is that it has helped us to communicate. Communicating allows us to share information and knowledge and that is what we do best in our user group community through our online forums, local chapter meetings, and of course our Summit and Focus conferences.

Technology to Change Business Forever
I
n the last issue, we spent a lot of time discussing what technology can do for your business. With constant industry innovation and lack of resources, it can be difficult to keep up. The Dynamics 365 User Group for Business Central/NAV (D365UG BC/NAV) community is proud to be a unique resource for you. As 2019 comes to an end, I can’t help but reflect on what an incredible year it has been: We introduced a new Professional Certificate program to help everyday users validate their application functionality and setup knowledge and skills (www.navug.com/certificates). Our Getting Started webinar series helped new BC/NAV users or new hires in multiple roles get up-to-speed, including Accounting, System Admin, and Distribution/Logistics Manager. We provided new offerings to help those transitioning to Microsoft Dynamics 365 Business Central, including a Business Central resource webpage (www.navug.com/bc-resources) and an entire Business Central News/Inside Business Central track at User Group Summit North America, with 100% of sessions led by Microsoft themselves. Our in-person events spanned worldwide with stops in the UK, Denmark, the Netherlands, South Africa, Canada, and our inaugural User Group Summit in Australia. We can’t forget about our premier annual event – Summit North America. Held in Orlando, this year’s Summit North America is bigger and better, with new features including a Power Zone and Fast Chats – 30-minute discussions on topics not covered in the breakout rooms, such as International Supply Chain. Microsoft Dynamics 365 Business Central and Dynamics NAV users and partners planning to attend October’s User Group Summit North America can look forward to finding solutions to their issues and hearing about best practices from peers and experts. They’ll also hear about important changes and get the latest product information from Microsoft. One of the experts presenting at the event is Andrea Hall, information technology director for Stonewall Kitchen LLC. Hall spoke with MSDW about her involvement in the event and the subject of the session she’ll be presenting.
A participant and a presenter In years past, Hall was a member of the board of advisors for BCUG/NAVUG and took part in the planning.
In that role, I helped put together one of the subject matter tracks for the conference. This year I get to be a participant, which I’m super excited about, and then I’m presenting one session. The session Hall is delivering revolves around project management.
I’m so passionate about project management. And it’s by scraping my knees for many, many years and bonking my head that I finally learned these lessons. We firmly believe in project management, and we are very blessed to have an in-house team [consisting] of an inside developer, a business analyst, and a project manager. I know that a lot of people are not blessed to have that. Hall says it’s not enough for your Microsoft partner to provide a project manager because that person can’t really manage inside the organization. She believes you need a project manager inside your organization dedicated to the project to ensure success.
There are so many tasks that are inside the organization that the partner sometimes doesn’t even see. Never mind can they rally or figure out who’s supposed to do it and hold them accountable.
From NAV to Business Central Stonewall Kitchen has been running Dynamics NAV since 1999 and just recently upgraded to Dynamics NAV 2018. However, the company is planning a move to Business Central in 2020 or 2021. As part of her job, Hall has been trying to get up to speed on Business Central to prepare for the upgrade.
Looking ahead Hall says she’s looking forward to this year’s Summit to get some real-life information about Business Central.
We just completed our upgrade to NAV 2018 and when we go to Summit this year, we are definitely going to be dividing and conquering and hitting a lot of Business Central sessions to see how it’s advanced, because it’s maturing as time goes by. See how it is now, the reality of it. Learn about it, go to sessions about people who have upgraded to it, [and learn] what that process is like. Another benefit of the conference is that it’s primarily led by other users like those from Stonewall Kitchen. You get the real skinny. It’s not a sales pitch. It’s the real nuts and bolts. So we love that about it. It’s always been considered a technology event in our company. But the last two years we’ve been doing tons of internal PR and we’re getting business people to come with us [to Summit]. Finance, sales, merchandising, warehousing. What’s great about the business people going is they say, ‘I want this tool because I know how to use it to make my life better.’
That was one of the best values at last year’s Summit event – it was the first time that my team and I were like ‘wow, we can really see where this is going’ and it’s going to be ready to go in the cloud as well. That was the first time we were really prepared to hear about Business Central, and they showed it in the most real way yet. It was really starting to get legs. That was the first time ever that we could imagine going to Business Central and eventually going to it in the cloud. And so we can’t wait to go back [to the event].

Improving Microsoft Dynamics NAV performance by
TONY DARDEN
As User Group Summit North America approaches, October 15-18 in Orlando, Florida, some users are eager to gain insights on challenges and share feedback with Microsoft to help guide the future of Dynamics. Anthony Darden, vice-president of IT at Protective Industries Inc., spoke with MSDW about the topics he’ll be presenting on and what he hopes to get out of the event.
Retooling NAV Darden’s company is a manufacturer of product protection equipment, offering a range of products and services including vinyl dips, extrusion and OEM rubber to plastic molding for industries as diverse as automotive and healthcare. When he first got involved, the company was using NAV 3.7. In the midst of a Dynamics NAV 2009 R2 upgrade, he halted the process and shifted over to NAV 2013, which went live in 2014. Heading into this year’s Summit event, he plans to present a session about ways to speed up NAV and copresent on how to move from NAV 2013 to NAV 2018.
This past April we upgraded to NAV 2018. It’s the ERP system for all of our North America operations. We’ve also added Dynamics 365 for Sales and Customer Service in the cloud for CRM. We are going to be Business Central SaaS internationally with D365 Sales for CRM. We’re fully on the cloud except for North American NAV 2018 on-prem.
While he supported the move from NAV 2013 to NAV 2018, the experience has presented unique challenges in addition to the benefits that the newer version offered.
Part of the pitch [for NAV 2018] was that it’s more web and network friendly, not as chatty for information requests, more optimized for SQL. Here comes launch day. We’re operating on the latest hardware. We were following the playbook and the system was slower than [NAV] 2013. We’re just 90 days into this and we’re in the honeymoon period. It hasn’t marinated as well as it will in the months to come. Now it’s faster, though not quite as fast as [NAV] 2013. We’ve learned a lot. How we go from performing poorly to today where we’ll get to being faster than [NAV] 2013. Darden shared a few key takeaways about poor NAV performance that he plans to share at the event:
The largest one is how printers are setup in NAV. I could not believe this. It was taking three seconds per label versus the continuous outputting with NAV 2013. There are a lot of other print jobs that we noticed the same lag. Nothing changed except for the technical change to NAV 2018. I’ll dive into the details more, but how the printer path is defined and how printers are named matters a lot. Some drivers were outdated that NAV 2013 didn’t care about, but in NAV 2018 we had to go to the latest drivers for HP printers. It was a gut punch until we figured that out. Where and how you manage fact boxes has a large impact on system performance along with the change log. If you can narrow down the field count for the change log there is a performance boost to be had. In NAV 2013 this wasn’t such an impact. You have to wonder how NAV was architected under the hood. Notification settings and personalizations are also performance-driven. H2 2019 | 15

Gaining insight at Summit Through his hands-on experience working with NAV, Darden got involved in the User Group for Dynamics 365 Business Central & Dynamics NAV (BCUG/NAVUG). He served on the board of advisors with a focus on local user groups for three years and he is currently chairperson for the CIO Council and with the BCUG/NAVUG Council and leads the group’s Great Lakes chapter. He is also a threetime Emerald Award winner for the user group.
I stay engaged. For me it’s a conduit. It’s my personal university for all things NAV and just a tremendous environment. We’d be in a lesser place without that resource. Although he admits he has “tunnel vision” from the recent NAV 2018 deployment, Darden is very excited for the event and the opportunity to see people he only sees at Summit and similar Microsoft events. But he is also very curious to hear the discussions in other sessions:
How Microsoft connects to other solutions in its own portfolio—or not—will be a big topic. The CRM connector problem is a big issue and has given a resurgence to middleware like Scribe, E1 and Kingwaysoft. Why [NAV] doesn’t talk to D365 for Sales is baffling for me and it costs a lot of money. E1 has a six week backlog for issues like this. We created our own connector internally. We had a perfectly connected NAV 2013 [installation], but when we go to 2018, they’ve completely changed the connector. Why? We could never get it to just work. It sort of forced users like us to go the middleware path, whether you go with one of the three I mentioned or design your own. I’ve made this a topic within the CIO Council. We’ll bring it to Microsoft during Summit in a big way. How can we prevent that from happening again? More community outreach is needed before [decisions like that are made]. Darden hopes to learn more about localizations, particularly for Canada, Mexico, and the Netherlands where his company does business and how to apply them. In addition, he’s interested to explore warehouse management, label creation, and version control for large numbers of documents stored on a customer card. Most of all though, he said, “I look forward to reconnecting with colleagues.” 16 | D365UGBC/NAV Magazine

In just three months, attendees are set to converge in Orlando, Florida from October 15-18th for User Group Summit North America. Among the Microsoft Dynamics NAV and Dynamics 365 Business Central community, anticipation is already running high for the NAVUG and BCUG event, where a range of pressing matters are up for discussion, including support timeframes, automation, upgrades, and the Microsoft Power Platform. One veteran of the event, Victor Diercksen, a virtual CIO consultant based in Salt Lake City, spoke with MSDW about the event and the trends he sees within the NAV and Business Central user community.
Planning the event continues on pg XX Until recently, Diercksen was IT Director at MityLite, a leading manufacturer of custom furniture for hotels, restaurants, and conference centers. Leveraging 16 years of past experiences with Dynamics NAV, he now runs CIO/ NOW Inc, working as a virtual CIO for small to medium size companies while also supporting MityLite. MityLite recently hired a new CEO, who is working with the IT department to marry an internal data warehouse and reporting tool with Power BI for greater bottom-up reporting. They are also focused on key integrations and advanced processes.
All of our products are custom to the needs of the customer [at MityLite]. We have a really important integration between NAV and the ExtraLogic configurator. [Our recent] objective is to complete the implementation of the ExtraLogic configurator, pull pricing into NAV and automate manual functions. Once they’re done configuring the product, the individual items from that product will flow onto the production order [for notifications].
Guided learning for manufacturers at Summit According to Diercksen, the variety of industries and use cases among NAV users in past Summit sessions is always a strength. He has served on the programming committee for six years, overseeing the manufacturing track, and is also part of the board of directors.

One thing we do every year is a 101 and 201 for basic and advanced manufacturing and 301 deep-dive on costing. This year, we’re doing a fun one where we look at manufacturing add-ons… We have new sessions comparing manufacturing with assembly or kitting, sessions for web services and tablets to get information out on the floor—we expect that will be really popular … The common trend we hear from customers is Customer Service [in the form of Dynamics 365 for Customer Engagement and customer service modules in Dynamics 365 Business Central] Customer service as a department is more important these days and you have to get that group integrated into the product design, production, and logistics groups. We’ll have a session on integrating customer service with production, tracking and building reports with Power BI. We’re doing a big one this year on the integration between manufacturing and WMS. We have an end user coming in to talk about their experiences integrating those.
Getting a pulse on Business Central In addition to manufacturing topics, Diercksen expects lots of discussion about Dynamics 365 Business Central at this year’s event. Although first announced in 2018, 2019 is the first year with a significant number of customers and partners beginning to work with Business Central, both on-premises and in the cloud as a SaaS offering.
Bigger customers are still going with on-premises, it’s smaller installs that are doing hosted… The hosted version completely changes the add-on solutions that are available. On-premises you buy from a vendor, pay for licensing and get it installed. But the new hosted model is more of an app store: Click on it, install it and start working with. There’s lots of confusion about when addons will be available and certified and the licensing on those. Even just a couple of months ago, he says he saw little more than a “trickle” of add-ons available on AppSource. But the pace may be changing. Microsoft announced thirty-three add-ons in June. Diercksen is also interested to know about the ways Microsoft is rethinking ERP systems, including the impact of Flow.
Almost all ERPs have a workflow built-in, but Microsoft is now starting to challenge that. Why include it? They released Flow, a completely separate workflow engine. With Flow, the workflow can be accessed through PowerApps, the documentation is held inside of SharePoint…Everything managed inside of Flow, and can go to managers through Teams for approval. [The end result is captured in the] ERP, whether Business Central or Finance and Operations… I’m going to be focusing on how Flow works and what it integrates with, what it takes to get PowerApps up and running, how it works with Teams, and does it work better on-prem or on cloud? Microsoft Dynamics 365 Business Central Admin Center: Why You Need To Know It, and Everything You Need To Know About It
Change is the only constant. In the world of technology, that is a fact you cannot deny. Change often occurs for good reason, and usually with the intent to increase efficiency or create ease. Here’s another fact: The people who are most impacted by (major) change to a process, product or system are usually those who are the most knowledgeable in that area. If you’ve been a longtime Microsoft Dynamics NAV administrator or consultant who’s adjusting to life with Microsoft Dynamics 365 Business Central in the cloud, then I’m sure the first paragraph resonates strongly with you. Many things have changed in recent years as we transitioned from Dynamics NAV to Dynamics 365 Business Central. While the UI/UX refresh in the Web Client and the new development platform get the most attention, one of the more significant changes relates to managing environments and debugging in Business Central.
Meet the Business Central Admin Center. You may not have known it, but it’s existed for quite some time. A big reason why it’s been a riddle wrapped in a mystery, inside an enigma is because it doesn’t appear in Business Central’s setup menus nor can you search for it. Important: This topic is only relevant to Business Central Cloud. If you are using Business Central On-Premises, you do not have an Admin Center portal. All management activities can be done using the traditional tools that have existed for Dynamics NAV.
If you are a Microsoft Partner, you can access it by going to the Customers menu in Partner Center, expanding the record for the desired customer account, and then clicking on Dynamics 365 Business Central. But you don’t have to be a partner to get to the Admin Center. You can also get to it by bookmarking the unique link for your Business Central tenant.
NOTE: Only members of the Internal Admin group in Business Central, or Partner users assigned Admin Agent or Helpdesk agent roles by your Business Central partner can access the Admin Center.

Every Business Central tenant has a unique tenant ID, also known as the Azure AD tenant ID or the Microsoft ID for the tenant. Once you know your tenant ID, you can easily construct and bookmark the URL to get to the Admin Center. The default structure to construct the URL to the Admin Center is: https://businesscentral.dynamics.com/<TenantID>/admin In the URL above, simply replace <TenantID> with the actual tenant ID and copy and paste it into your favorite browser (Note: do not use < and > characters). If you are not already logged into Business Central, you will be prompted to do so. So, here’s the million-dollar question: How do you find out your Business Central tenant ID? There are a few different ways, but the simplest route is from the Help menu which can be accessed by clicking the ? icon located at the top-right of the Business Central browser window. Here, you will see a link titled Help & Support. Clicking it will open an information window. Scroll all the way to the bottom of that window to the section titled Report a problem. In this section, you will find a caption titled Azure AD tenant followed by a long alphanumeric string with some hyphens in it, ending in a comma. That entire string (without the final comma) is your unique tenant ID for Business Central.
In the Wave 2 Release of Dynamics 365 Business Central coming this fall, you will have a direct link to the Admin Center visible right from the Help menu.
PRO TIP: Your tenant ID can also be used to quickly access a Sandbox environment in your tenant or your production environment (Did you know that Wave 2 will allow you to have more than one Production environment of Business Central within your tenant?). Here’s how: https://businesscentral.dynamics.com/<TenantID>/<EnvironmentName> • The <EnvironmentName> parameter is replaced with the name of your environment • When the <EnvironmentName> is left blank, you are taken to your Production environment • When an <EnvironmentName> is specified, it takes you to the specific environment

Once you are in the Admin Center, you will land on the Environments page. Here, you should see at least one environment listed, with “Production” as its name. If you have a cloud Sandbox, you will also see it listed here. So, what can you do from the Admin Center? 1. Manage Environments 2. Set Notification Recipients 3. Track Telemetry 4. Track Reported Outages 5. New Support Request Let’s examine each of these one by one.
Manage Environments: This area is the most valuable one in the Admin Center. In this area, you can create a new environment or delete an existing environment. Today, you can only create and delete Sandbox environments; Production environments cannot be deleted, nor can a new one be created at this time. It’s possible that when creation of additional Production environments is supported in Wave 2, you may also have the option to delete them. You will also see the environment Type (Production or Sandbox), environment state, the Country/Region it is tied to (and consequently, the localization of Business Central applied to that environment), the Scheduled update date (when applicable), and a URL to quickly launch the desired environment. Note: You can create a sandbox from inside Business Central, but when you do it that way, you lose the ability to assign a specific name to the sandbox environment. Its name will automatically be set to ‘Sandbox.’ Clicking the +New menu item allows you to select a Type for the new environment (today, only Sandbox is supported). You can either create a clean Sandbox environment or copy a Production environment. When creating a clean Sandbox environment, you may be presented with the option to choose from two versions: the current version or a preview (or next) version. The preview or next version choice is only presented shortly before a major update is about to be released or when you are eligible to update to a new version. Note: Each Business Central tenant can have up to three (3) Sandbox environments.

On the Environments page, you will find that each environment name is hyperlinked. When you click one, it will take you to a detail page where you can learn more about the selected environment (what data center the environment is located in, the database size, and the platform and application version/build of Business Central it is running on). Further, you can report an outage, but it is only supported for Production environments. In the future, you will also be able to manage support contacts from here. Another useful feature/function here is the ability to manage updates and upgrades. This can be done by clicking the Update menu, which gives you the option to Set Update Window. This option lets you choose a 6-hour window during which monthly updates/hotfixes can be applied automatically by Microsoft without interrupting your work. Also, if the Version Management table on the detail page shows that there is an Update version and Update scheduling is available, the Update menu will also let you Schedule Update. This only applies to major updates, i.e. Wave 1 and Wave 2 half-yearly updates (what we traditionally refer to as an upgrade) and will allow you to choose a date within a one-month period. This is the longest you can defer a major update for. The date you select will be treated as a “do not update before” date, and can allow you to prepare for the upcoming changes by testing the new version in a sandbox environment, or to fix compatibility issues that your current extensions may have with the newly released version.
This nicely leads us into the next area of the Admin Centerâ&#x20AC;Ś
Notification Recipients: In this area, you can assign one or more recipients (from your organization, or consultants from your partner organization, etc.) to receive administrative event updates from Microsoft about Business Central. An example of an administrative event is when a new version is available, when an automated attempt to update your tenant succeeds or fails, or compatibility issues with existing extensions that have been identified with regards to an upcoming version update.
Telemetry: In this area, you can set a date and time filter, a relative window of time and the instance name and retrieve all relevant system telemetry. You can also filter or sort this list by Failure Message. While the failure message is not as in-depth as traditional debugging in Dynamics NAV using the Sessions function or from the Development Environment, it can still be helpful in identifying which Object, Extension and Function is causing a problem. It also provides a Timestamp to narrow down specifically when an error took place.
Reported Outages: This is a fairly new area in the Admin Center, and the value here is that you can track Production Outages that you have reported in the past. You have the ability to filter down to a window of time such as 7 Days, 14 Days, 30 Days, or All. Each reported outage is identified with a Ticket ID, when it was created, the environment name, and type of Outage.
New Support Request: This is also a recent addition to the Admin Center. Unlike the other menu items on the Admin Center, the New Support Request menu does not appear in the main window. Instead, you access it by clicking the ? icon (help menu) in the top right of the Admin Center window. Clicking it will pop up a new window (or tab) in your browser from where you can create a support ticket for an issue within the Business Central application.
Note: This area is reserved for end-customers to open a Support ticket. Microsoft Partners and delegated administrators who wish to open a Support ticket can do so from the Microsoft Partner Center. Last, but not least, under the ? icon (help menu), you will also find a menu item called Learn. This link takes you to the documentation associated with the Admin Center. User Tasks – Keeping Track of Your Life
H
idden in the Activities section of the Role Center is a cue with a lot of power behind it. Labeled “My User Tasks”, this cue opens up the world of User Tasks. Introduced in version NAV 2018, User Tasks is a cool feature which can be used by you and our organization to keep track of various things like : • Support Tickets • Reminders • Month-end Closing Checklists • And much more… User Tasks can be created for yourself or they can be assigned to others. Let’s take a look at what this feature can do. You can navigate to the User Tasks by clicking on the role center cue or by searching for “User Task”. From the list page, you can create new tasks, edit existing tasks, or mark tasks as completed. Creating or editing tasks opens the User Task card.
The General fasttab allows you to enter the subject of the task along with a lengthy description. The created by user and date are auto populated allowing you to know who and when a task was created.

In the Status fasttab, you have the ability to assign the task to yourself or other users within the system. You can also set start and due dates, assign a priority to the task, and keep track of completion percentage. By setting filters in the User Task list page, you or other managers can keep track of the progress of tasks.
The Task Item fasttab allows you to link the task to a specific page or report. The power here is that by clicking the “Go To Task Item” button from the ribbon, the user can go immediately to that specific page or report making navigation much easier. Your ERP support team can use this feature as a ticketing system by allowing users to set up tasks for issues they may be having and assigning them to your ERP support person. Granted, there are more elaborate ticketing applications out there, but this feature gives users basic ticketing functions within a system you have already paid for and installed. One feature that opens up the use of User Tasks as a monthend closing checklist is the “Recurrence” feature. When you click on this option from the ribbon, you can set what date to start the recurrence, how often to the task should recur, and how many recurrences to set. When you click OK, the system will create multiple tasks based on the recurrence settings. By using date range and completion filters for your task list and you can see the tasks due this month and which ones are or aren’t complete. By reviewing the features of this functionality there may be other uses that you may want to investigate. Take a look and see what User Tasks can do for you.

Change Log
O
ne of the things Iâ&#x20AC;&#x2122;m frequently asked about is how to see if or when someone changed something mission critical. Microsoft Dynamics NAV has a built-in system for tracking changes to any part of the system, but you have to know how to configure it and how to read the results.
Turning on the Change Log To enable the Change Log, weâ&#x20AC;&#x2122;ll need to go into the Departments area, under Administration -> IT Administration, and select the Change Log Setup task.
This will open a small form with only the one notable option: That checkbox turns the whole Change Log engine on and off.

Setting up what to track There’s a Relation Information action bar button hiding on that form (which you can see easily if you resize):
That menu will send you to the Change Log Setup (Table) List (it will take a couple of moments to open, as it is scanning your system for all known tables and fields):
In this case, the client wants to track anytime someone changes the Vendor Posting Group on their Vendors. We’ll select Some Fields under Log Modification:
Here’s a nice bit of confusion: Try to determine how you set the fields you want. In Classic, we could have both an AssistEdit button and a DropDown arrow, like so:
However, the RTC does not support that, nor were any Action buttons added to the Change Log Setup (Table) List to open it up. But, in the RTC, if you press Shift+F4 where you have selected the Some Fields option, it will open up the Change Log Setup (Field) List: We’ll go ahead and resize that, then locate our Vendor Posting Group field using the Quick Filter in the upper-right: Check off the Vendor Posting Group. Now when anyone alters the Vendor Posting Group for any of the Vendor, it will be logged who did it and when, as well as the before and after. H2 2019 | 31
Reviewing Log Entries Back on the Administration department, we have an option under Lists for the Change Log:
When you open that the first time, you’ll see a host of entries, even before anyone changed anything on Vendors:
The Change Log records changes to settings to the Change Log itself, so if someone tries to circumvent any logging by altering the settings, the circumvention attempt will be logged. In our example, we’re watching the Vendor table, so we can filter our results to that Table Name (image split in two to show the whole list):
We can see: • The exact date and time of any change • Which user caused it • What table number & name was involved • Which record was involved (in our case, Vendor 1287) • Which field number and name (Vendor Posting Group) • What kind of change (Insert, Delete, or Modification) • What the Old Value was • What the New Value is As you can imagine, it’s very easy to set these to monitor critical elements of data. It is a very good idea to set these up on critical setup tables or critical financial components (like the Chart of Accounts). For some forms of auditing, such as Sarbanes-Oxley, you can likely consider this mandatory. But, something to be careful of – this data can grow very quickly if you set it up on the wrong fields. For example, if you set this up to record every insert, modify, and delete on a Sales Order table, every time people are going about their normal work, they’ll fill this table with hundreds or tens of thousands of records.

Digital Finance: Eliminate Time Wasters with Intelligent AP Automation
W
hen it comes to Accounts Payable, exceptions and errors often become the norm at many companies. In fact, the average AP staff spends 24 percent of its time working directly with suppliers to correct invoice, processing and payment errors, according to an Ardent Partners report, The State of ePayables 2018: The Future of AP is Now. Nearly a quarter of staff time is spent handling exceptions such as disputed payments, missing invoice data, incorrect posting information and matching failures. Itâ&#x20AC;&#x2122;s no secret that manually processing invoices is highly inefficient. Every AP department must contend with a multitude of vendor invoice formats, often from different geographies and volume levels that vary from cycle to cycle. This situation creates multiple downstream processes that increase costs, pose significant risks in terms of data reliability and agility, and lead to lost opportunities for the business. Most importantly, though, these activities are time wasters that divert employee attention away from the kind of high-value strategic initiatives that drive the organizationâ&#x20AC;&#x2122;s growth and innovation.

The time-saving benefits of Intelligent AP automation The good news is that the intelligent automation of AP processes eliminates these time wasters and helps businesses work like the digitally enabled company of tomorrow. AP automation frees staff to focus from the transactional to the more strategic aspects of the business, such as data collection, data analysis and the dissemination of this intelligence throughout the enterprise to help drive profitability. “Automating at least the front end of the process, invoice receipt, and approval, can significantly reduce per-invoice processing costs and invoice approval time,” said CPO Rising, which highlighted the importance of AP automation in its report, Accounts Payable Predictions, “Noting this can result in enormous cost and process savings that can create more opportunity for AP to become strategically valuable to the greater organization.”
Leveraging Intelligent AP Automation While adding any type of automation to AP processes will free up staff to focus on more strategic initiatives, Intelligent Automation is the true “golden goose” recommended by Ardent Partners. Intelligent Automation includes features such as cognitive capture, configurable workflows for approvals and exception handling, analytics, and integrated ERP. Analytics are particularly important, providing total visibility into performance and process metrics. A recent CPO Rising article noted the importance of AP automation for business intelligence, “Organizations that take a data driven approach to AP put themselves in a better position to manage their cash flow, accelerate P2P performance, and ultimately drive more value to an organization’s bottom line.” The AP process contains an enormous amount of valuable data, especially when it comes to managing cash flow. Intelligent Automation provides insight into data around outstanding liabilities, DPO, cash flow planning and even compliance risks. With analytics, AP staff have access to business-critical data, so they can: • • •
Identify (and correct) bottlenecks in AP processes and workflows Catch potential problems early Support finance in evaluating the overall health of the company’s cash position
Intelligent AP automation delivers major reductions in invoice processing cycle times and costs, as well as helping to monitor, manage and improve the performance of existing resources. In her Q&A Brianne shares a behind-thescenes look at determining Summit session content and why she believes in the value of the User Group. Dynamic Communities (DC): Why did you get involved with the Summit Programming Committee? Brianne DiLorenzo (BD): I have always loved NAV from the day I got my hands on it 8 short years ago. From day one, I wanted to know what made it tick. I have been involved in so many areas within NAV, that I felt I could share some of my knowledge. I personally have gotten so much out of the community, that I felt the need to give back. What better way than through helping to plan one of the largest events! DC: What’s one thing a person might not know about what goes into creating Summit sessions? BD: There is a lot of discussion and back and forth in the committee. From everything to what sessions will be done to session names down to helping the speakers be the best they can be for all the attendees. Above all, we have fun with it! DC: How would you describe Summit to someone who hasn’t attended before? BC: Summit is a great forum for all things NAV. From the Expo, to the sessions and the networking opportunities, it is a great place to find others in the same situation you might be in and find and connect with subject matter experts. Every day is power packed with learning opportunities, and there is fun to be had once sessions are over! DC: What advice would you give to someone looking for a leadership role within the community? BC: The advice I can give Is to reach out to anyone of the members of the planning committee, Dynamics Communities, or even your local User Group Chapter. Anyone can get you hooked up with the right person to get you going. It is easy to get involved! You don’t have to be a speaker, or in the spotlight. There are many ways you can help if being in the spotlight isn’t your thing. DC: What do you hope to accomplish with the User Group in 2020? BC: I hope that for myself, and the entire planning committee to bring in the best content, the best speakers, and have the most fun yet doing so. I would like to see all the members of the User Group learn at least one thing they didn’t know about NAV.

DC: Why do you think the User Group is so important for other Dynamics users? BC: Where do I begin…. The User Group is the Holy Grail of information about NAV. From the open forums, to the Local Chapters, there is always a networking opportunity. NAV is such a diverse system, that it is always fun to hear how other companies are using it. You can get many ideas just from listening to others, just as others will get something out of listening to you or asking a question. The User Group is a very friendly place. I have always felt like I was a member of a family – from day one. There are also training opportunities, webinars and just a vast wealth of information on NAVUG.com.

How to Launch on Amazon in Two Weeks
O
k, so not two weeks, unless you’re only talking the NAV portion. Which lucky for us is all I’m going to talk about. Amazon itself is a complex beast of burden that you should probably YouTube a few videos to learn more about. Or, better, hirer an expert on the matter or a consultant. Right now, you have one very important decision to make: How will you get your goods to Amazon Customers? #1 FBM - Fulfilled by Merchant. Amazon takes the order and sends to you for fulfillment. #2 FBA - Fulfilled by Amazon. You ship to Amazon, Amazon sends to their customers. If #1 – Congratulations! You need a heavy-duty integration. Amazon has strict policies regarding how fast you must ship. No integration means no FBM. There are a few NAV/Amazon FBM integrations on the market, including a very promising one by ArcherPoint. If #2 – Amazing! Because now this article is worth your time.

NAV Basic Setup • A Customer Card for Amazon. Make sure the shipping method is Internal or not an outbound freight forwarder. Then use the appropriate selections coming up next. • Customer Price Group with Product Pricing – it is technically sub-optimal to have a different B2C price listing than Amazon, but if you do, ensure you have this setup for easy invoicing later. • Select an Amazon warehouse, after all, this is your inventory. Don’t go crazy, Amazon has tons of warehouses and they will move your item from CA to TX without notice. Unless you’re integrated it will be nearly impossible to keep up with their transfers. One warehouse transfer order from you to your Amazon warehouse is good enough – you can pull a report from Amazon if you need more detail for an audit. Don’t forget to set up your GL accounts as well for this warehouse. On your customer card ensure the customer routes to the Amazon warehouse in NAV. • Do you have Amazon-specific packaging and a Bin system? Ensure that inventory is in a bin that’s not pickable for your other lines of business. • Gen Bus Posting Group – do you want to see Amazon separate from your other lines, or if possible, separate GL accounts? You’ll want to create a new Gen Bus Posting Group just for this type of business. • Things to ponder: cash clearing accounts. Are you the type of business to have more than one? Do you need one for this line?
Process Flow First, you’ll want to determine who is responsible in your company for the process on Amazon such as setting demand and getting orders out and packaging labels? Amazon will want when creating an order your box size, weight and quantity to be shipped per SKU. Next, who will pack and ship these Amazon boxes and make a Transfer Order in NAV? You will need to use a Transfer Order to both ship and receive in NAV. Amazon will send an email when they have received the order and what quantity they received. Caution: this could be different than what you sent. Are you a lot-based company? Ensure you transfer the correct lot(s) for your inventory management. Amazon does not care about your lots and will not tell you what lot was sold. If you have a recall on one lot, per Amazon rules and regulations all customers who purchased that SKU will be notified. Two times per month Amazon will remit payment and generate a statement inside Seller Central. These can be a bit complicated. Watch your dates, dates don’t hold from one screen to the other in Seller Central and always default to the current open period. With these Amazon reports you will want to make an Invoice Only in NAV from your Customer Card of Amazon. Selecting what Items were sold and qty – careful with what may appear to be a give-away of an item. If someone paid with points two lines are generated in the Amazon report, one showing the price and one showing free. Also, since Amazon does not care for your lots, you should probably assume FIFO. Using Item here will consume it against your Amazon warehouse. Sales Tax collected not remitted, will come back as ”income”, code that to your sales tax liability account. We’ll revisit sales tax in one moment. Freights should go against any COGS GL accounts. Class fees to their proper GL, which could be COGS based or marketing based. Some fees are separated different from the summary verse the data export. This can cause confusion, I tend to write off any variances against a fee account.

Post the Invoice Amazon does tend to hold funds to ensure they can cover returns. This makes invoicing and cash application very difficult.
Sales Tax My favorite topic! Amazon is required in many states to collect and remit. It changes often, so I’m not going to list these states, as of writing this it was 24 states. The good news for you, nothing to do for these states even if you are nexus in them; as they will not remit the tax collection to you to remit back to the state. A little gray area here is whether or not you should report these sales as “non-taxable” to the state to ensure your revenue matches your returns; a CPA specializing in sales tax should be sought out to ensure proper tax compliance. In states without these rules, things get a little more interesting. If you have nexus in that state, you must have Amazon collect and then you must remit. This requires some setup work in Seller Central, such as entering what states you’re nexus in and what your registration number is for that state. However, the real work begins here. Sales tax can be parish/local/city/region/state-specific depending on the state you’re selling into and your nexus liabilities. Given the standard reports in Seller Central don’t include a tax break out for your easy filing means you need to extract each customer’s information and itemize each sell for your tax returns to remit to the proper taxing authority. If you have Avalara as your tax ISV, you might be in luck, they offer an Amazon to Avalara connector that imports the transactions and the liabilities for you into Avatax. Which will flow to your normal sales tax returns and the proper taxing authorities. Then in NAV, you would only hit your sales tax accrual account for the amount Amazon gave you which should wash against what Avatax remitted. The program took about two hours to get up and running and compared to most integrations, I felt it was priced well. Selling on an open market place such as Amazon does open you to more risk in the nexus market. From your consigned inventory being in states, you are not currently nexus in (physical presence), to additional sales in those states (economic nexus) or even additional marketing that comes with Amazon selling that could result in another Quill standard regarding marketing. Not to mention, if a consumer sees a company not charging them tax they can report that back to a state taxing authority, where that taxing authority may conduct an audit to determine if you do have nexus and should have been collecting tax. Which if the answer is yes, it results in back taxes owed and possibly fines and interest.

Finally Amazon selling is probably not an easy task to undertake, but it can be done. The hardest part for Amazon is all the Amazon portions. Or at least, if you want to be an effective seller, have good SEO and all of those other cool marketing terms, let’s be honest you and I don’t know, there’s a lot more to think about than NAV. However, a non-integrated NAV shouldn’t be a hindrance to you, if you streamline and clearly define your process and employee expectations.

I
n the year 2003 at Convergence in Houston, Microsoft met with a small group of NAV end-users that were interested in forming a group. Mike Ball from Simplot volunteered to chair the group and along with a handful of people the first Navision User Group was formed. The original logo had a miner and a gold nugget, get itâ&#x20AC;ŚNUG!
The group struggled to gain traction during those first formative years for several reasons. It was hard to find NAV user companies because Microsoft could or would not provide names. Partners emphatically rejected the user group concept as they felt it was a just a way for users to search for other partners and/or get free advice. With few members, funding was very limited and growth was very slow. Little by little people met at Convergence (2005 in San Diego, 2006 in Dallas and 2007 back in San Diego) and word began to drift out slowly. Some of the original members, tired from the hard work for five years with minimal progress, began to leave the board. Mike Ball the first and longest sitting chairman, kept pushing forward. New brave souls got involved to expand the board and bring the group forward. Most of these names you probably havenâ&#x20AC;&#x2122;t heard but these guys were instrumental in that initial growth, Michael Oâ&#x20AC;&#x2122;Kelly, Fred Kilbry, Robin Horstmann, and Kim Dallefeld to name a few (Robin and Kim are still around.)

At the 2008 at Microsoft’s Convergence in Orlando, Dynamic Communities was engaged to assist in building the NAV user group. Dynamic Communities with Andy Hafer at the helm had been growing the AXUG by leaps and bounds. Does anyone remember well the tie-dye user groups t-shirts! The first annual conference, held in 2008, was called NAVUG Forum and the board of NAVUG was so very proud that ours was called Forum while every other user group was a Summit. Over the years, this difference in names caused extra cost and confusion, putting a burden on Dynamic Communities and it just made sense to become NAVUG Summit. It has been the leadership and organization of Dynamic Communities that has been the spearhead for the group of NAVUG. That first Forum/Summit conference had 134 attendees with only have being users, 45 were partners and 22 were Microsoft; thank you to Lewis Rosenberg for the numbers. Though there were a couple of partner members on the board in those early years, they were never very active. They were, however, excellent speakers at events and we counted on them. One partner, got involved back in Vegas in 2005 and has stayed involved to this date, ArcherPoint, thanks to Greg Kaupp’s leadership. Greg’s continued support finally penetrated the partner ranks and now most large partners and ISVs are sponsors for Focus and Summit. Anyone remember Lee in the Weiner Dog costume? In writing this article, I learned that ABC Computers, now Innovia, had started a user group in 2003. This group call MANUG ran until 2008 when Kerry Rosvold convinced the group to become a regional chapter for NAVUG. It was/is so vital that partners acknowledge and support the user group. I think this group might have been the first NAVUG Chapter! There are many sponsors that have been with the user group since way back, Lanham Associates, Avalara, ZetaDocs and many others. Without the support and participation of Microsoft, NAVUG would never have gotten off the ground. Their continued support over the years with financial, personnel and our great product makes NAVUG possible. In 2009, we began user group meetings as the day before Convergence with the first being New Orleans. This became Day One in 2009 and consisted of user led sessions. It was like a mini-Summit. Day One began to show users the value of “users helping users”. Unfortunately, NAV user attendance at Convergence was not large. The advent of Day One created the first Programming Committee, chaired by Kim Dallefeld, assisted by Robin, Kerry Rosvold, Lee Weiner, Lewis Rosenberg. At the time there were only 8-16 sessions in total but it was a start. Thinking back to my first Summit in Las Vegas in 2005 at which there were less than 50 attendees and no exhibitors. This was before Dynamic Communities. Fast forward to our first shoot out (a session on BI) in Chicago in 2009, we were at about a couple hundred strong and we had an expo! It was small but we had an expo! There was a spark at this annual meeting and everyone was super excited. It seemed that the addition of the expo stepped up the user group to another level….thank you to the exhibitors. Back to Vegas in 2009, we had a fair size room full, I guess a couple hundred attendees. Now look at us today, thousands of members and attendees.

It was about 2009, when NAVUG really began working to establish local chapters. The chapter in Wisconsin was so active then and now but it seemed like a daunting task to get more chapters up and working. Being one of the charter members of the Houston chapter, I can tell you it was a struggle. How to find users companies? Microsoft provided meeting space and we slowly grew. Its thanks to so many for the success of the chapters but mostly to users who volunteer to organize these meetings, host these meetings and to speak at them. Annual sponsors make this and so much more possible as well. The mind boggles a little to know that we have expanded to Canada and to Europe and even Australia! These were just dreams ten years ago. Up to this point, each user group had their Summit conference on separate days. This killed the exhibitors by being away from the office for over a week and didn’t give us the benefits of scale in attendee size. Fast forward to Nashville, as I missed Seattle, Tampa and Reno, and I was totally in awe. NAVUG Summit looked like Microsoft Convergence! Banners on the escalators, huge auditorium filled to the brim. In Phoenix 2018, we couldn’t all fit into one ballroom!! 1194 attendees at the 2018 NAVUG Summit in Phoenix, 156 breakout sessions (not including the general sessions, hackathon and partner showcases), rooms so full we sat on the floor! Absolutely amazing networking, learning and fun. We’ve come a long way baby! And now a new future. Mark Rhodes has been with Dynamic Communities for eleven years and he’s been an absolute driving force for NAVUG. He assists the board and programming committee, has established wonderful procedures to ensure quality sessions at Focus and Summit. Mark and Dynamic Communities has built an organization and amazing team members. Epilog, for all those that have volunteered, worked behind the scenes, users, exhibitors, partners, independents, Microsoft staff, I know I should have name so many more of you but there is a word limit on these articles….. Seriously, your efforts small and large have help grow this organization and I for one want to thank you!
