elcome to 2019! In December, we all looked back at the year, and now in early 2019, we are looking forward to what is to come. Something that has not changed is this: the amazing things that Microsoft Dynamics GP does for each of us. At the User Group Summit in Phoenix, we saw this firsthand. It is clear that each of you have made this flexible, configurable, and easy-to-use business application your own. I

love that our community can toot our own horns to show others the great things that we have done. While 2019 brings us new opportunities with the software, it also brings new vigor to perhaps go after that additional training on Microsoft Dynamics GP products. Keep in mind that those webinars and regional chapter meetings will get back into full swing. Never before have there been so many opportunities to continue to learn and apply knowledge to your daily routine. The GPUGÂŽ website has had a major facelift in its User interface, allowing you an even better experience. I would love to hear your feedback. As you dig into this issue, enjoy reading about your fellow GPUG Members and their experiences with Microsoft Dynamics GP. I envision you seeing what our great volunteers are doing and maybe thinking about joining us in our endeavors to be even greater this year. he new year is well underway, yet the excitement percolating in the GPUG® community thus far still feels as if we never left #PhabulousPhoenix late last year! The best things about Microsoft Dynamics GP—and there are many—were on display each and every day at the last #GPUGSummit, and that obvious momentum we all felt has continued nicely into 2019. To say that I’m optimistic about all this is a true understatement.

As I stated in my final BloGPipes post of 2018 (www.gpug.com/blogs/bob-mcadam/2018/12/03/newsworthy-items-

to-wrap-up-2018), we’ve reigned things in a little this year from an event standpoint with the shelving of GPUG Amplify in North America. This is our only major event change, by the way, and it allows us to focus on Central Florida this October as GPUG Summit returns to sunny Orlando the week of October 13th. The premier Microsoft Dynamics GP event on the planet will exceed your expectations this year, just as it has 12 times prior. GPUG Summit hasn’t been in Orlando since 2010, and we’re looking forward to being back! The best things about Microsoft Dynamics GP also include our extensive GPUG virtual content lineup (www.gpug.com/ participate/webinars). My colleague (and your GPUG program manager) @LisaLucas has already posted a bunch of topic areas on our webinar calendar, and I can tell you that we have no shortage of experts seeking to deliver more. If you have topic ideas you feel we’re missing, please ping Lisa directly at Lisa@gpug.com and let her know so she can continue to exceed Member expectations. Meticulous planning for yet another GPUG event in Johannesburg during early June as well as the annual pilgrimage to #FabulousFargo for Microsoft Dynamics GP Partners is already in the works, so if you’ve been to these events before or are perhaps considering them this time around, details are arriving very soon, I assure you. GPUG chapters continue to garner traction thanks to our dedicated chapter leaders, and our Open Forum is, of course, busier than a gopher on a golf course (do you know what gophers can do to a golf course?). Meet the Richard Whaley Academy Award Winner

The Chapter of the Year award recognizes a successful local GPUG chapter and is based on the size of the chapter, meeting attendance, and the involvement of the chapter leaders to drive content, promotion, and engagement.

Richard Whaley was an author and publisher, longtime GPUG Member, GPUG All Star, and well-respected Academy instructor who selflessly contributed countless hours of his time and talents to his GPUG Academy students. Richard passed away July 1, 2014, and this award was created to honor Richard by carrying on his legacy. An award in Richard’s honor is a way for GPUG and the community to recognize others who have been influenced by his example.

LEADER HIGHLIGHTS FLORIDA CHAPTER LEADERS

Come Together The Jacksonville Chapter started up three years ago, and Barbara Gavron gave the boost this young group needed to build it up. “Barbara was instrumental in getting our chapter started and going strong. I came on board the leadership team this past year, and it’s pretty awesome. Laureen, Barbara, and I are so close, we’re like family,” Tasha Orange explains. In addition to being awarded the 2018 GPUG® Chapter of the Year, Jacksonville is pretty well-known for its Q4 zoo meetings. Laureen Mobley works at the Jacksonville Zoo and Gardens and opens it up just for chapter attendees. “The zoo meetings are the best and so fun to look forward to. Laureen gives us our own personal tour, and it’s always catered so nicely. It is such an excellent experience for our Members,” Tasha says. Florida chapters have an “all are welcome” attitude, and that is resulting in some amazing comradery and collaboration. The past two years the four Florida chapters have worked together to host a regional chapter meeting in Orlando because of its central location. With 58 attendees at the last meeting in August 2018, it felt like “our own mini Summit,” Tasha described. “Jason Zonts does so much to make the regional chapter meetings a success; he makes it pretty spectacular.” Jason is on the leadership team for the Orlando chapter and has been since its inception in 2015. “The first time I attended GPUG Summit was after Microsoft decided not to do Convergence, and there I met Anne Provost,” Jason explains. “We decided an Orlando chapter was needed, and ever since, we’ve been building it up and constantly recruiting new Members.” At its start, Orlando had about 18 regular attendees. Today, they host more than 30 Microsoft Dynamics GP Users and Partners each quarter. “Through the years, we’ve gotten a lot better and more efficient in running our meetings,” Jason explains. “We include feedback questions during the icebreakers and hand out questionnaires as much as we can.” In addition to trying to attend other Florida chapter meetings, the four chapters coordinate their schedules so that Members and sponsors don’t have to choose one over the other. Two chapters meet one month and then the other two meet the following month. “We like to schedule them close enough so that Bob McAdam is able to attend all our meetings. He brings the Dynamic Communities side, and if any of us don’t feel like emceeing, we know Bob will step up to the plate,” Jason jokes. The preparations have begun! At GPUG Summit in Phoenix, Jason and Anne suggested to Bob that the Orlando and Jacksonville chapters work as a team to host User Group Summit North America in Orlando. “We have some big and bright personalities across all our Florida chapter leadership teams and wish to showcase them all,” Jason shares. “We are ‘Florida Strong’!”

Jason is very excited to have User Group Summit in his home city and hopes not only will it be the greatest GPUG Summit ever, but also that it will be the largest. “The conference space is second to none. I’m sure there will be Disney characters (rumors of Beauty and the Beast played by Molly Fuschel and Bob McAdam have already begun), and we have chapter Members becoming presenters, ready to show their stuff,” Jason shares. “That’s such a fun transition to see in a User; moving over to the other side of the wall.” To Jason, GPUG chapters and GPUG as a whole have become more than just a resource. “These people have become my friends, and I’m looking forward to having Summit in my own backyard, so to speak,” Jason concludes. Are you going to Summit Phoenix? Why? I am absolutely going to Summit Phoenix. I’m so excited that I’ll be making it back to Summit this year because last year was my first Summit, and it opened a whole new Microsoft Dynamics GP world for me. I really don’t want to miss out on the knowledge and networking available to me.

Who do you follow on social media right now and why? I currently follow Will Smith because I think he’s just adorable and his posts usually make me smile (insert school-girl heart-eyed emoji here, lol).

What is on your desk? Right now, EVERYTHING is on my desk, but to point out the particulars: 1) VariDesk attachment (because I can’t always just sit here) 2) hand sanitizer (an extra-large 67.6 fluid ounce container because that way I don’t have to say how I feel about germs) 3) handheld games, an assortment of mini games and buttons, Simon, Bop Its, fidget spinners, and more (just in case someone

What do you do when you’re not at work? It feels as if I am always working, and honestly, I love it that way. When I’m not at work, I am mostly a homebody taking care of everything that keeps my household running smoothly. But I must admit that at those perfect times that the sun/stars/ moon/work/home have aligned perfectly, I love to sit down and just read something that has caught my interest and takes me away somehow. I recently finished “The Heart Forger” and “The Wicked Deep”, and I am currently reading “Children of Blood and Bone”. My reading interests are more on the dark fantasy side at this moment, but I definitely mix that up here and there.

What is the best advice you’ve ever received? The best advice I’ve ever received is “you get what you pay for” because I don’t take that strictly in the monetary sense. I take that advice metaphorically and apply it in many ways. Primarily though, I think about everything that I put into anything that I’m involved in, and I strive to get the best return on my investment while being and/or providing the best return on what others have invested in me. What is your favorite volunteer activity in the GPUG community and why? I am relatively new to the GPUG community, so I haven’t had the pleasure of getting to know all the volunteer opportunities available to me, but at the moment being our North Florida chapter’s co-leader is my favorite volunteer activity. I love the interaction with my peers, and I am devoted to finding ways to grow our chapter community. Microsoft Dynamics GP Do For YOU?

icrosoft Dynamics GP continues to improve and grow with each release. Many of these improvement suggestions come directly from US! As Users we are in Microsoft Dynamics GP every day and give honest feedback on what improvements would be most helpful and what works for US in the meantime! By having hands-on experience, it becomes more and more valuable to share with each other the tweaks and customizations we do to make Microsoft Dynamics GP ours. Customizations, configurations, and User settings can be simple or complex. Some of these examples may require assistance from your IT team or Microsoft Dynamics GP Partner, but others are just a click away! Our sales/customer service team uses customizations to

reduce errors and save TONS of time with processing hundreds of orders each day. As an example, we put all our orders shipping for the day into a single batch. Based on that batch, we’re able to print labels, shipping documents, AND a call-in sheet to schedule trucks for any number of orders with just a few clicks! The details are derived from custom, User-defined fields we complete when entering a sales order. Documents, reports, and labels can come from Microsoft Dynamics GP navigation lists, SmartLists, SSRS reports, or Report Writer modified forms. All of these made it easier to ship orders out the door. But what about getting orders in the system? Use integration! Whether you are a made-to-order manufacturer or just billing for services, integrations can reduce keystroke errors and the amount of time data entry consumes each day. While there are many options for integration, such as IM, macros, replicator, and many EDI providers, we chose to use a third-party service that works well for our customers’ data and how we generate our sales orders. By having integrations, both for entering orders and sending documents back to our customers (acknowledgments, invoices, ship notices, etc.), we can import and export large batches of documents instead of one at a time. It also eliminates doublekeying of line items, addresses, tracking information, etc. as it reads directly from Microsoft Dynamics GP back to our EDI interface!

We continue to use simple tweaks across other modules such as inventory, purchasing, and manufacturing. In any system, you will always be scrubbing and updating to ensure you have data integrity. In doing so, it can be helpful to know what was proofed/updated and when. Why not use Userdefined fields for that? We added a date field, proofed by, and verified by as we continue to review our inventory items and their BOMs/routes. It’s easy to know when a task was completed as well as which ones still need to be done.

When scrubbing some data, it can be difficult to analyze from within the native Microsoft Dynamics GP window or even more difficult to get it into Microsoft Excel. We invested in a couple intricate SSRS reports to make this easier! One of my favorite parts of Microsoft Dynamics is how easy it can be to make updates to your data. There are many tools, but our go-to has been running a mail-merge macro. They can be effective for inventory, customers, vendors, GL, etc. Like any other business, we’re constantly making changes and improvements or need to add information. No matter how quickly you can type, it can be time-consuming and leave room for errors by doing anything manually. Be sure to always create a back-up before running any scripts or macros!

On every purchase order, we strive to hold ourselves and our vendors accountable. By using the date fields on a PO, we can state when we want the PO delivered, when our vendor acknowledges, and when they promise to deliver. With this information, we can create dashboards, scorecards, and more to analyze issues with our vendor performance.

Being in the Cloud

icrosoft Dynamics GP works totally awesome in the cloud, but unlike other cloud solutions, you get to choose what kind of cloud you want. It’s really the best way to go to the cloud and get all the cloud benefits while keeping your business processes and historical data. How does the cloud work? Private cloud is a dedicated environment for one business. You get direct database access and can add any ISV, and things are easy to customize. Public cloud doesn’t offer these benefits, but since you are sharing hardware, it’s much cheaper. Keep in mind, private cloud is a private dedicated environment, so you also might spend time on maintaining this environment, where public cloud is mostly maintenance-free.

Microsoft Dynamics GP in the Cloud: Totally Awesome For IT pros, it frees up time to focus on strategic IT investments instead of creating and testing backups. The cloud takes care of time-consuming server maintenance and backups, and it ensures security. Plus, you never have to do a Microsoft Dynamics GP install again. For power Users, the cloud gives more flexibility to work from where you want; all you need is an internet connection. Plus, you won’t have to argue with the IT team about getting an upgrade anymore. For business leaders, the cloud gives peace of mind with an extra team working for you. You get to focus on achieving your

company vision rather than the systems that support it. Plus, it can give you a predictable cashflow without unexpected expenses. Things to Research Not all clouds are the same; they offer different benefits. When doing research, be careful; they will all sound fantastic, but you need to get into the details. Should you go to the cloud yourself? You can, but should you? It really depends on three factors: »» Skills of your team. Going to Azure or any other cloud takes a little skill. It’s not impossible, just something much different than an on-premises deployment. »» Money you want to invest. Paying someone to help you can save you a lot of time, but the cost might be more than you want. »» The time to deploy the solution and the time to maintain it. Maintaining a cloud solution yourself takes up a lot of time and gives you less value. Just because you have the skills and time doesn’t mean you should be using it for this. Of course, it’s totally possible to go to cloud on your own. I’ve talked to successful Users doing it that are very happy. Just make sure that you know what you are getting in to. Should you use a cloud service provider or hosting provider? Here are things to ask your potential hosting provider: »» What kind of service level agreement (SLA) do they offer? Most providers offer a pretty good SLA. Make sure you understand the terms and what you should expect. »» How do upgrades work? Asking about who does the upgrade and the cost are important questions. Some cloud solutions do upgrades on their terms. Others give you control over the upgrade.

»» Do they have Microsoft Dynamics

GP experts? Some providers just provide the hardware, and they don’t understand Microsoft Dynamics GP and how it’s different. There’s a reason many IT teams don’t want to mess with Microsoft Dynamics GP. »» Who owns the data? If you want to move from their cloud, how does it work? I’ve heard of providers keeping data hostage. »» What security protocols do they have? Where your data is located and where backups are located is important. Most providers do this well, but it’s always good to do your due diligence. »» Do the people fit with your people? This is probably the most important question. When something happens, it’s the people who you can trust and rely on that will make all the difference. Make sure their values match yours.

Specific Microsoft Dynamics GP Considerations Going to the cloud is your chance to look at your deployment and see how you can get more out of your investment. You can take your local deployment and have exactly the same solution in the cloud, most likely, and in the meantime save money, be more productive, and be happier overall. As newer versions of Microsoft Dynamics GP are released, there is additional technical knowledge needed. This also means potentially additional costs for hardware. Being in the cloud allows you to take advantage of these features. Moving to the cloud gives some additional benefits. Web Client has been out for a few versions now, and

this is the time to embrace it. While you could certainly deploy this on your own while on-premises, taking advantage of cloud experts that know how to deploy and maintain it will be much easier and cheaper. We all hear a lot about Power BI, PowerApps, and more. Being in the cloud allows you to integrate your data into these new applications and really advance your business. Power BI can allow all your data consumers to have immediate access to the data they need, and they can see it the way they want to see it. You don’t need to have team members ask for text reports that you then spend an enormous amount of time formatting. Putting the power in your Users’ hands allows for quicker visibility and decision-making abilities. At the end of the day, going to or not going to the cloud is a personal decision. But it isn’t one you need to make on your own. Talk to your Partner and find out what your options are. If your Partner is hesitant, then reach out to the community. There are great cloud providers in the Microsoft Dynamics GP community that are experts at supporting the solution.

How Flexible Is It?

f you’re reading this, you are likely familiar with Microsoft Dynamics GP and the seemingly endless ways it can flex and adapt to meet company and industry needs. As in most cases, when you initially started using the solution, you made decisions on what modules you would utilize and how to configure them based on practicality and company goals. This practical approach to tailor your experience empowers companies to accurately track and manage essential information and improve processes. I’ve heard time and time again, “No two companies are the same”; I don’t disagree. I do challenge you, though, to consider this: Is your company at this present moment the same company it was when you initially started using Microsoft Dynamics GP? Because of the industry specific addons, its immediate functionality, and its customization options, more and more businesses reinvest in Microsoft Dynamics GP. This ERP solution best answers to their needs. While there are endless reasons why companies and industries have, and continue to choose, Microsoft Dynamics GP over other products, its adaptability remains a crucial benefit that is rivaled by few.

Microsoft Dynamics GP = Flexible “The measure of intelligence is the ability to change.” – Albert Einstein While I’ve yet to produce an alternative theory to debunk Einstein’s theory of relativity, I have been able to conclude that Einstein was referring to Microsoft Dynamics GP in his quote above.

In my pursuit to prove how flexible Microsoft Dynamics GP is, I was inspired by Einstein’s other work and came up with a formula that states flexibility (F) is found when great (g) is multiplied by plains (p) squared: F=gp². With that definition, a solution like Microsoft Dynamics GP that has been a proactive instrument of change for decades to meet the demands of thousands of businesses certainly equates to being labeled as flexible. Give Customization Another Chance There is a major misconception when it comes to customizations and that is that they cause unnecessary headaches and make future changes problematic. I want to set the record straight that when a customization is done correctly, it will be a positive impact on your business and provide a massive ROI. For some, hearing the word customization can send them into a frenzy, and they are immediately turned off by it because of cost, waiting long periods of time for a customization to be delivered, having difficulty maintaining the customization, or having it not provide the intended results. Instead of waiting for Microsoft’s cue, these ISVs are working together to proactively solve solution gaps. Now that these ISVs are enjoying a bit more freedom from keeping up with Microsoft, improvements to their add-on solutions are being made proactively and in large-scale ways:

GPUG®: How has this Microsoft shift changed your Microsoft Dynamics GP business? Martin Olsen (MO): It’s actually been great! Our Customers

are getting new features and functionality without waiting for Microsoft. It has given us more freedom to not just sit back and wonder what they’re going to put out that may overlap with our product. We can and are making Microsoft Dynamics GP better than it was before.

Lak Chahal (LC): It has also simplified our business. With every release, we need to educate all our Customers on those new features and functionality. It was a challenge for us to keep up and make sure our Customers kept up along with us. This new cadence helps us focus on our product and what we do best. Jay Manley (JM): Agreed! We were so busy keeping up that we couldn’t focus on larger, net-new features. Now we can and are focusing on larger features we didn’t have time for before.

GPUG: How do you identify which issues to focus your time and effort on today? JM: I used to answer the question, “why can’t you do this”, a lot more than I do today. Now the question is, “what can we do?”. We’ve gone from a reactive approach to a proactive one that allows us to think bigger. MO: A lot of that is driven by our Partner channel and the broad appeal of making major changes to our horizontal solution. We focus on how it can make a bigger impact across our Customer base. LC: ISV collaboration has allowed us to focus our efforts in the right place to really streamline the value we can provide. We work with 30 different ISVs that integrate with our products and collaborate together to build integrations so there is less dependency. Just a few years ago, new functionality could break functionality. What has come as a result of those challenges is a proactive ISV community. There are so many of us excited

about working together to make sure products work together. As we mature, there are less and less issues occurring. It’s been a steady evolution for Microsoft Dynamics GP ISVs, and I think that makes our community unique in that sense.

GPUG: That is very exciting! How do you identify which ISVs to work with? LC: Usually it’s a phone call to see how we can work together. We’re a tight-knit group. Sometimes it depends on the specific industries or verticals we play in. We focus on how the partnership could help win more deals together and ultimately be less hassle for end Users and VARs. JM: I sat down with Binary Stream while at User Group Summit and pointed out all our mutual Customers to see what else we could do together. From there, we changed the ways we handled screens so we could provide something deeper than we had prior. Those are the sort of updates that are key to Customer success. When you start treading on other ISV toes, we start to ask, “how can we not tread so heavily on your toes?”.

GPUG: What are some ways you “play well together” in the Microsoft Dynamics GP ISV channel? LC: I think the mindset that we’re in it together—here together— focused on the end User experience is crucial. We collaborate and look to the interest of our end Users, asking how we can bring it together and show the importance of integration. JM: When Binary Stream and Mekorma teamed up, we didn’t fully understand some of their models. They came in to train us how to properly test our functionality with theirs, and that gave us enough of a highlight to build out testing demo images to show the integration between the two. Showing the combined solution and complete story sells so much better than demoing one-off solutions. This is really something we need to think more about how to streamline in the future. Brian Morris (BM): When we’re working with new Customers for an upgrade, we really dive into what other third-party products they are involved in. I’m amazed at all the new third parties we’re encountering. When we identify those new ones, we pick up the phone to call them. We also make our table list available online so that other ISVs can easily access it and their developers can build a hook in. LC: We’ve learned to write code in a new way to prevent running into issues with others.

MO: Yeah, we don’t write in Dexterity like we used to. We do it separately and outside of the Microsoft Dynamics GP solutions to guarantee more flexibility. If our Customers are on Microsoft Dynamics GP and plan to stay there, we got them covered. If they plan to move to Microsoft Dynamics 365 Business Central, we also have them covered. We’re essentially future-proofing our ISV products so the functionality Customers need will be there, no matter what their upgrade path looks like.

GPUG: What do you see happening in the channel for Microsoft Dynamics GP? MO: In short, I don’t see massive changes to the Microsoft Dynamics GP Customer base. If the last 10 years have showed anything, it’s proved that Microsoft Dynamics GP Customers don’t like to move software, and for good reason! ERP is complex, and mid-market companies simply don’t move from one ERP to another. It might get tougher to attract net-new Customers, but small companies growing out of QuickBooks, for example, could greatly benefit from Microsoft Dynamics GP. JM: Both our net-new adds and renewals were much higher than we thought they would be in 2018. Fewer Customers dropped Microsoft Dynamics GP than we thought. It’s exciting to see the number of net-new Customers exceed our expectations as well. LC: We also had a very strong year in 2018. We surveyed our Customers recently, and not many are planning to upgrade from Microsoft Dynamics GP anytime soon. Customers see for themselves the value they get from their platform, and that value is still very much there with Microsoft Dynamics GP. JM: Business Central still has a lot to prove, and the functionality is pretty limited. There is still no mid-market ERP that can scale the way Microsoft Dynamics GP can. I’m not aware of any others that can keep up with the raw transaction throughput that Microsoft Dynamics GP has. It holds the record and already has so much time and effort invested into it. LC: I agree! All the competition—Intacct, Acumatica, and NetSuite—are going through growing pains and major changes. Microsoft Dynamics GP is so great as it is, and the cost of ownership is lower. We recently won a Microsoft Dynamics GP opportunity in healthcare that is 1,400 percent bigger than any other deal. They have more than 330 healthcare offices with 1,300 Users. That in itself is a great testament to the power of Microsoft Dynamics GP.

Five Technologies Shaping the Modern Finance Office

emember the early days of personal digital assistants and cell phones? Before they were â&#x20AC;&#x153;smartâ&#x20AC;?? We were wowed by the first handheld computers (now long forgotten) like the PalmPilot and BlackBerry, but few among us knew then that in a few short years we would become dependent upon smart technology in all aspects of our personal and business lives. Technology and time march swiftly on, and business moves fast. Todayâ&#x20AC;&#x2122;s emerging innovations are already impacting business operations, profits, and productivity, and companies must learn how to adapt or consequently fall behind. Part Two, SQL Scripting Basics SQL for Other Microsoft Dynamics GP Guys There are lots of great Microsoft Dynamics GP solutions on the web; I love this community! Once you find a solution that works for you, embed the URL link in your saved SQL script so that you will not only have the original reference for the solution, but also when you hold CTRL and click the link on line 7 of the code below, it opens the page as a new tab inside SSMS (SQL Server Management Studio). Now you have everything you need to use this code in the future; how cool is that? I used the following script recently from Microsoft Dynamics GP Community Forum and include it here as an example:

How to Update Tables Safely Most data manipulation scripts used to fix corrupt Microsoft Dynamics GP data include INSERT, UPDATE, or DELETE commands, which are at the heart of SQL’s power. But how do we wield that power for good and not evil? In the above example, the select command on line 11 is benign; no data will be changed when the entire code is executed. The update on line 12 has the power to update every row in the table sy01402. The WHERE statement on line 13 limits which rows will be updated, in this case only those rows with syDefaultType of 96, and the userid JosephBlow will be updated but only if both rows 12 and 13 are highlighted and run together. This syntax allows you to write one query for both the select and update, ensuring that the results for the update will be what you are expecting from the select statement.

SQL Comments Let’s talk about SQL scripting readability and annotation. I like to use lots of notes so I don’t have to read through code to remember what it does. The double dashes used throughout the script create a comment on one line causing the SQL code to the right of the dashes not to be executed if the dashes are included or highlighted when the code is executed. I like to create reminders or even a checklist of steps to take since many fixes in Microsoft Dynamics GP require you to run reconcile or checklinks routines after adjusting data in the tables. You can also use the characters /* and */, as I did on lines 19 through 24, to encapsulate an entire section of code, which is great for secondary scripts which might be used to ferret out the errors or to test a view or stored procedure created. Bottom line, none of the code in green will execute unless highlighted directly. If the above code is executed in its entirety by clicking the Execute or F5, only the USE DYNAMICS and the select statement on line

11 would run using the where statement on line 13. Also, I like to start a new script by writing the steps I want the code to take as a checklist and then fleshing out the code to do the actual work beneath the notes. Referred to as pseudocode, this leaves your SQL code very readable to you or anyone who may need to execute the script in the future. Back to the script: The code on line 12 is what does the actual work here. For added safety, it can be a good practice to comment on the UPDATE on line 12 to avoid the possible headache of accidentally running an entire script. For even more safety, embed the UPDATE within a transaction so that you can roll back the results if you don’t like them. If you highlight the code from the “Begin” to the end of line 13, then the records included in the select statement will be updated, and you should receive a row count which should match the count from the original select statement which was just one row in this example.

This can be confirmed by running the entire script, and you will receive results with the new value updated. If the row count is different, you would execute the rollback tran on line 17 to reverse the update. Once you have confirmed the accuracy of the results by executing the original select on line 12, be sure to run the commit statement on line 15 to finalize the update. If you do not rollback or commit the transaction it will wait indefinitely for your response and cause all other transactions to queue up behind it, and Users can’t make their own updates. If a User is posting after your update but before your commit, Microsoft Dynamics GP will basically stop responding as it waits for the open update transaction to finish. This code provides additional control over your updates. If you are updating just one row but miss the where statement, the record count would reflect the multiple rows updated. You would see this as you run the select statement to confirm the update, and to fix this, you just select the rollback tran statement on line 17 to start over. This is a lot nicer than a database restore. The primary role of the transaction with commit code discussed here is to automatically abort changes to the database if errors are encountered. This error handling is crucial for production systems but is beyond the scope of this article. We use it here to give the User a second chance before data is committed with no recourse.

SSMS Text Editor Tricks Here is another helpful tip when scripting in SSMS for Microsoft Dynamics GP updates: using the Shift/Alt keys to modify columns of data. The SSMS is not a bad text editor; in the following screenshot I paste the four SOP numbers sent to me in an email which I would like to use in a where statement to update User-defined data in the SOP10106 table: ORD1000001 ORD1000005 ORD1000100 ORD1000105 If I copy that column of data into a query, I can highlight columns to add the single quotes and commas required for the where statement. If I left-click to the right of the value ORD1000001 as the beginning location, then hold the Shift and Alt keys as I leftclick at the end of the value ORD1000105 as the ending location, then a thin blue line will show the vertical “highlighted” area:

I then enter the single quote and comma, and presto: All rows are updated. I do the same for the leading single quote, and I have all the data ready for the statement (after deleting the extra comma on the last SOP number):

This may not seem like much, but if you need to update thousands of rows with a column of data, it’s a quick fix. Make sure to try these tips in a test database. Everyone filters their Microsoft Dynamics GP questions and comments through Mary Kay, and she takes it from there to resolve any issues. Her first source of information, education, and support is GPUG®. “Nine out of 10 times, there is already something available to answer my questions right on the GPUG Discussion Forum. If that can’t lead me to the right answer, I reach out to our Partner,” Mary Kay explains. Once such Discussion Forum response opened Mary Kay’s eyes to the community available to her online: “I was asked to update a field in the Inventory module and to create a SmartConnect map to do this. I questioned myself in being able to do this alone, so I thought why not take a chance and post a question on GPUG? The response was amazing. I received a wealth of information and support as well as someone offering me to work through the creation of a SmartConnect map without charge. I couldn’t believe this type of support was out there. In the end, I was able to learn how to do this on my own through perseverance, but without the support and suggestions that everyone provided me on a daily basis, I wouldn’t have had the confidence to tackle this. I knew I believed in the GPUG Discussion Forum, but now I’ll be a contributor and a regular User of this incredible community. In addition, I’m going to encourage our team to utilize this as a source of support.” Since then, she has encouraged her entire accounting team to get more engaged online by sending them links to relevant discussions, suggesting recorded webinars for new employees to watch, and, if encountered with an error message, encouraging them to search www.gpug.com for the answer. Mary Kay tries to be as independent as she can be, and GPUG allows her and her colleagues to do just that. In doing so, she also plans to get certified as an administrator through the GPUG Academy to expand what she already knows within the software she loves to use. “I’m pretty passionate about Microsoft Dynamics GP. When people who don’t know the solution say it’s broken or not good enough, I stop that thinking right away,” Mary Kay concludes. “It comes down to how much you know about Microsoft Dynamics GP and making sure you’re educated. ou know the sound a penny makes when you drop it into an empty jar? For Shawn Dorward and his family, that first “Penny for Taylor” marked the beginning of their miraculous story. Although a lonely sound, it was to celebrate Shawn’s son, Taylor’s, first movement after he nearly drowned in a friend’s pool on July 4, 2018. Taylor was 18-years-old at the time and went without oxygen for 13 minutes. It took 19 minutes of CPR to bring him back. After that trauma, the outcome looked bleak. As you can imagine, the Dorward family was lost in despair, terrified of losing Taylor, and relied heavily on the medical staff (who were not giving them the best news those first few days). Shawn recalls the “bad day” where doctors recommended they consider organ donorship five days into Taylor’s coma. “Our other option was to keep trying, and that is what we did and have been doing now for more than 26 weeks, always shooting for making tomorrow better than today,” Shawn shares. Twenty of Taylor’s friends came to the hospital the day after the accident. They and the Dorward family were starving for any and all hope they could find. On that same day, Taylor clutched Shawn’s hand, so Shawn decided to drop a penny in a jar to celebrate. They’ve since celebrated all the brand-new things Taylor has done after the accident.

He fought the disease for more than six and a half years, and we held fundraisers. Besides contributing to the fundraisers and flying to southern California to participate in them, after my son passed away, and I took time off to grieve. MANY community Members helped me get my feet going straight again by being alongside me while I navigated my next conference. Today, they have more than 33 pounds of pennies in jars all over their house AND a 19-year-old who has made almost a complete recovery. Taylor went on a jog recently and has returned to taking college classes. “He has gone through so much and hasn’t complained once. He’s such an upbeat person with a good attitude,” Shawn says. “He does and will have vision problems but has reached above average cognitive ability and is nearing 100 percent physical ability. He is a miracle.”

Kindred Spirits Shawn has been a part of the GPUG® community for six years. Kim Peterson was a big advocate in rallying him to volunteer, and before long, he was presenting at webinars and conferences, becoming an MVP as well as a GPUG All Star. “I used to be asked if I could help; now I’m the one beating down the door to ask when I can present again. When you have that desire to help someone, you really have no choice but to learn something new. It’s self-challenging as well as rewarding,” Shawn explains. A kindred spirit soon came into Shawn’s life, and at one event, he was convinced to tell her how much he enjoyed her sessions. Shawn and Belinda Allen have known each other for about two years now, catching up at conferences and forming a great friendship.

“There is something special about Belinda. Her dedication to helping someone individually is amazing,” Shawn shares. When Belinda came to visit Shawn in the hospital, it deepened their bond as friends even further. “Belinda came to visit a few times in the hospital and was such a strong shoulder to lean on. We are very like-minded, and that alone helped keep me in check while my life was falling apart around me,” Shawn recalls, “She gave up her own time to help us. Her generosity to be our advocate is far more than I can ever thank her for.” The GPUG community support soon followed, after Belinda informed the channel of what Shawn and his family were going through. By the time GP Tech Conference came around in August, Taylor was doing better. His recovery was promising, yet he still had a long way to go. Shawn’s GPUG peers were there and ready to help. David Musgrave and Mark Polino both approached Shawn about fundraising efforts for Taylor. Every day since, Shawn has felt the support of the GPUG community through social media, at conferences, and via friends reaching out with an email or phone call. “It wasn’t a story about how we lost him,” Shawn says. “It was a story about how we got him back, and not everyone gets that chance.”

Counting on Each Other Shawn and his wife, Jennifer, celebrate their anniversary in early October, and both enjoy traveling to User Group Summit. “It’s nothing but an uplifting week,” Shawn shares. As you can imagine, they were reluctant to leave Taylor on his own this past year, so the leaders of GPUG invited Taylor to attend the conference in Phoenix. “So much transpired that week,” Shawn recalls. “Taylor got to hear me speak, and that was a treasured moment for me. Usually I attend and present. People tell me they learned something, and those are all awesome things. But when someone comes up to your son and says, ‘I’m so inspired by you.’ Now that is a different level of awesomeness!” The community pulled together to support the Dorward family in GPUG Summit fashion! A collection of GPUG ISVs, spearheaded by Njevity and Rockton Software, pulled together a “Pennies for Taylor” challenge party that included serious karaoke, pies to faces, and an amazing donation to the Dorward family of more than $3,200. “Fundraising efforts from that event alone paid for three weeks of Taylor’s therapy. You don’t realize how expensive things are until…they are. If he took a break from therapy, it could have been bad news,” Shawn explains. Shawn finds it impossible to convey his appreciation for all the support he has received. “GPUG has turned into something we call community, and it’s easy to say ‘the community’. That’s my neighbor, that’s my friend, but when you have actual evidence where people in large quantities come together for one thing that is so selfless of them simply because we are a community, it is pretty incredible,” Shawn adds. “It’s a whole new level of community. You’re not just saying it, you’re living it. I would never want others to go through something like this, but having this feeling is very powerful. It’s not just a community for your accounting software, it’s the way we count on each other.”

New Discussion Forum Features: Reply Email Notifications, Inline Replies, Save Posts as Drafts

ecently, we announced three new community features on the User Group website, all designed to enhance your Discussion Forum experience: reply email notifications, inline replies, and save posts as drafts.

New Reply Email Notifications Participants will now receive a real-time email notification when there is a new reply on a discussion thread that you started or when there is a new post to which you’ve replied. You will see a star icon next to the title of the post that will be automatically filled in when you create or participate in a discussion. When the star is filled in, that means you will receive email notifications.

Interested in getting a notification on a thread that you didn’t create nor have a reason to reply yet? Simply click on the star icon to “favorite” that thread to get real-time post updates on that discussion, and you can deselect it to stop getting notifications on new posts on that thread. Not interested in getting ANY real-time notifications when a post is updated? Simply go to your profile page and navigate to My Settings > Email Preferences and toggle “Participation Emails” to NO.

Inline Replies To make it easier for Users to reply to threads online, you now can make a reply within the discussion thread page to allow you to reference all the replies made when creating your post. This new default is a quick reply option with streamlined formatting options; however, you can click on the “Reply with Advanced Editor” link if you want to use more formatting options (add an image, etc.) in your post. You will still be able to use the ”Reply to Discussion” option to reply to discussion posts online, which has all the usual reply formatting features. This will take you to the standard reply to discussion page with all the formatting options that you are used to having on our forums.

You can now press “Save as Draft” if you need more time to finish before you post your new thread or reply to the community. When you save a post as a draft, you will see a notification confirmation on the discussion page of where to find your draft. In addition, when you start typing a new thread or reply, your post will

now be auto-saved at a frequent interval so you can continue your post in case of the occasional computer or internet issues. To find your drafts so you can continue your post, go to your Profile page and click on My Contributions > List of Contributions. There is a filter that will allow you to sort by your draft posts. Simply click on the option to continue your post, or click delete to remove it.

How Easy Is It?!

hat really separates an ERP system from the herd? The ability to integrate, of course! Without having the ability to integrate, we’d be back to processing everything manually like the days of the cavemen. Microsoft Dynamics GP is especially EASY to integrate with, and this short article will walk you through the whys and the hows, with a few tips and tricks along the way.

The Whys SQL Server Microsoft Dynamics GP is built on SQL Server, which is one of the most widely used database management systems in existence. It’s easy to work with, easy to connect to, you don’t come across many issues/bugs, and there are a million resources out there on the database platform and language itself.

Table and Database Structure Microsoft Dynamics GP at its core is logically sound, very well thought-out, and tables/fields are organized. A thought-out and organized database structure makes integrating to (and reporting from) SIGNIFICANTLY easier. Anyone who has ever spent any time looking or working with the Microsoft Dynamics GP tables will be able to quickly tell you what a prefix of “PM” stands for (Payables Management) and what “10000” in a table name signifies (hello, unposted transactions). The whole database model is standard, consistent, and just makes sense. eConnect The out-of-the-box “Integration Roads” that Microsoft Dynamics GP provides (eConnect) give peace of mind when integrating data. If you’ve heard stories of corrupt data and nightmare ERP system implementations, it’s likely because of faulty/incorrect data integrations. This happens when “someone” who thinks they know everything just starts inserting data into tables based on their own thought process…this never ends well. With Microsoft Dynamics GP and the assistance of the out-of-the-box eConnect nodes, your worries of bad/incorrect data are no more. eConnect nodes are what can be used to integrate directly into the CORRECT places in Microsoft Dynamics GP and will prevent you from ending up with bad data. There are dozens of these eConnect nodes available right out of the box that you can hook up to and integrate data. Need to integrate a payables transaction? Well instead of your team having to know that you must hit the PM10000 and PM10100 tables, you just run your data through the eConnect nodes which will properly import the data AND will stop/notify you if there are potential issues with your data (say an inactive vendor). eConnect nodes are hands down an integration job’s best friend.

The Hows Integration Tools The technical back-end is great, but what good is it if you’re not interested in talking SQL, tables, or data in general, and you just want to integrate and be done? Microsoft Dynamics GP has several integration tools available to its Users which is really what takes integrating with Microsoft Dynamics GP to the next level. Some of these tools are Microsoft provided and come right out of the box with Microsoft Dynamics GP, but there are also several other integration tools available from companies that focus their business solely on data integrations into Microsoft Dynamics GP. Almost all the tools provide pre-defined integration templates for those that just want to quickly push data through from say Microsoft Excel to Microsoft Dynamics GP. However, the bread and butter of these tools and real value come from the integrations that you can fit exactly to your business. Getting Data Out for Integrations to Other Systems This article has been primarily focused on getting data into Microsoft Dynamics GP, but the points discussed above also apply to getting data out and integrating with other systems. We could go on for another four pages talking solely about reporting, but the main points are that getting data out is just as easy as getting data in (well, easier, really). Taking that data and importing into another system can be done with some of the tools that integrate data INTO Microsoft Dynamics GP or the data can easily be handed off to another tool for another system.

erry Heley is part of a rare breed. While the IT sector has seen such rapid and far-reaching transformation, so many have come and gone to follow new paths, opportunities, and projects. But Terry has confidently chosen Microsoft as her home for the past 18 years. For this Microsoft escalation engineer, it’s been a fascinating labor of love, ever-challenging, and incredibly satisfying as she has intimately learned the Microsoft Dynamics GP product while guiding many, many Users through extremely challenging times. When you speak to Terry, one thing shines through: It’s not about the future of technology. It’s about the future of the Users she serves and how she can make today better than yesterday—and even better tomorrow.

GPUG®: What exactly is an escalation engineer? Terry Heley (TH): We have vendor support pulled inside on the Microsoft Dynamics GP side. We have level one and level two engineers, and then we have escalation engineers. We take on any case for Microsoft Dynamics GP. Sometimes the level one and level two engineers have some unhappy people, and it may prove tough to fix an issue and communicate workarounds. It can lead to escalation, and that’s where we come in. We’ve become trusted advisors to people over the years. Now that we have questions about lifecycle and future changes, we really need to have people trust us with the changes.

GPUG: You’ve been with Microsoft 18 years, almost your full career time since college. People don’t tend to stay in one place for as long anymore. What has kept you at Microsoft all this time?

GPUG MAGAZINE

TH: I have stayed in support because I enjoy the role. Things are always changing, and we’re always coming up with different ways of doing things to support the Customer. I enjoy working with Customers. I remember when I was hired, they said, “we are like koala bears,” meaning we are always amiable, likable, and empathetic to the Customer. We are always excited when we can solve a Customer’s situation—especially around year-end. If we feel we can help them get the job done, that’s extremely rewarding. Over the years the role has evolved, and we do a lot more proactive work than we ever did before. We used to handle 50 cases a day! Now, we handle about eight to 10 because of all the proactive efforts. Look at the User Group website; that wasn’t here 20 years ago. There’s so much more community involvement. That’s great because our support team participates in the User Group, and we leverage that. It’s so nice to see our Users become more self-sufficient. We’re a lot more interactive than years ago, and I think that’s great! What people might not know is that the Microsoft Dynamics GP team is only a very small piece of Microsoft. We have perhaps about 30 engineers. We have a very collaborative team and a very open cubicle structure. If you see something you haven’t seen before, someone else probably has seen it, giving us the opportunity to work together to solve problems quickly. It’s great because I don’t want to troubleshoot something I know nothing about, and most likely a fellow team member has the knowledge. GPUG: Which advances in your work do you think have been the most beneficial?

TH: Over the past 18 years, the Microsoft Dynamics GP product has become a more mature product, so the challenges are different. The product team has changed a lot and gotten smaller. As such, we’ve been creative in finding ways of doing things differently while providing the same level of service we always have, all while focusing on new solutions in a collaborative manner. I still learn things about the product all the time. I’m more of an applications person versus an upgrades and systems person. There are a lot of modules, so we’re always dabbling with upgrades integrated with Office products and learning all that goes with that. There continues to be different development work, and we continue to drive things within the product. We now do a lot of documentation.

GPUG: What comes next for you and Microsoft Dynamics TH: We’ll continue to watch the lifecycle of Microsoft Dynamics GP. We are going to do a new 2018 R3 version release with new features for Customers, so we still have a lifecycle to support which goes into 2028. We will support our Customers through that, see what ERP is doing, and see how the changes with Microsoft Dynamics 365 are taking hold. We’re doing a little cross-training because we are so knowledgeable in ERP, so we’ll see where that takes us. We will evolve and change with what happens over the next 10 years. I think we have one of the larger User Groups, so there are a lot of Customers to continue to support. As for me, I like the fact that with my job, I’m always learning and challenging myself with different issues every day.
