HOW CAN I RELATE? This iBook is about running a Global Issues Network Indonesia Conference and I completely understand if this may be the last thing that relates to you. This iBook would relate to you most if you: a) are involved in GIN b) are planning to host a conference c) are concerned about global issues d) live in Indonesia. However, all of these things have no relation to you whatsoever, I still urge you to check it out. Why? You will gain new information and knowledge throughout this book in running a conference. There are also plenty of picture galleries of previous conferences and evaluation on which concept works and which doesn’t. Anyways, this book aims to inspire YOU to run a successful conference. But to answer the initial question, you can relate to this because you are a citizen of the world and by that I mean we are responsible in reversing all the damage we have done to our planet. Conferences are a great platform to inspiring others to do so.

IN20YEARS I was fortunate enough to be part of GINDO from the very beginning and my wish is so that GINDO will continue to bridge participants and schools across Indonesia towards tackling global issues. If I were to wish for or aim of what GINDO should look like in 20 years, assuming it will still exist, it would be more than workshops after workshops but rather a more powerful wind that strives action and drives collaboration. It’s amazing how past conferences has literally changed the way I think about the world and how it has motivated me to do more. But what I thought was missing are keynote speakers giving goose-bumps, exhibitions of students work to inspire and continous action to be taken together as responsible citizens. Maybe in 20 years GINDO would be an environmental-humanitarian camp or maybe it would be an online conference. Who knows? But above all, I want GINDO to serve as a powerful platform for teens across Indonesia and one that can strengthen bonds with other passionate youth living in their very community.

BEGINNING GLOBAL ISSUES NETWORK was originally founded in 2003 by the International School of Luxembourg. At first, it was only a network of not more than 6 international schools across Europe. Though the idea was developed since 2003, the first conference, however, wasn’t until March of 2006. Since then, the idea of Global Issues Network grew around the world. The very first EARCOS GIN Conference was held in Beijing, China and was hosted by the Western Academy of Beijing. The big GIN conferences include: the GIN European Annual Conference, GIN Asian Annual Conference, GIN North-American Annual Conference and the GIN South-American Annual Conference. By separating these conferences by continents, this would mean that less carbon footprint will be impacted in terms of transport. These conferences are aimed to look into environmentalism, humanism and peace movement through direct action research and lobbying. GLOBAL ISSUES NETWORK PAST CONFERENCES

Global Issues Network Indonesia was founded by a group of Jakarta International School students in 2008 after their attendance on the 1st EARCOS (East Asia Regional Council of Overseas Schools) GIN conference in Beijing. Inspired, they came back and started the first ever GINDO in 2009. They adopted a similar concept to EARCOS GIN with a few modifications to make it more relatable to the situation in Indonesia. The conference includes of keynote spakers, student workshops and very informative and inspiring elements that triggers new service groups to be made. Most EARCOS GIN conferences still adopt the same concept as the one in Beijing but with of course some improvements. As the years grow by, so does the conferences. Today, GIN conferences became one of the most well-known environmental and humanitarian conferences. Coming to its 7th conference, GIN has not only networked students from international schools across Asia together but hopefully also inspire every one of them into making a change in their very own community. In other words, think global, act local. GIN conferences has definitely empowered students to do so. 8

GINDO3 After going to a few GIN & GINDO conferences, Sinarmas World Academy is finally ready to host their first GINDO conference. The conference concept is similar to the first two but with the emphasis on simulations. The theme of the conference is “Dare to Act� which aims to inspire participants to go back to their respective schools and start taking action.

GINDO4 The fourth GINDO conference was co-hosted by Jakarta International School and Sinarmas World Academy and was held in the Jakarta International School campus. It was the first ever collaborative GIN conference ever held. The theme for the conference was “Global and Local Partnership” since it was a collaboration between 2 schools to make the conference possible. Working together is actually harder than working alone because it’s hard to communicate, find time and agree on one thing. Nevertheless, the conference was successful as they were (GIN)spiring.

For the first few months of planning the conference, the logistics don’t have a lot to do but their job is the most demanding around a month before the conference. However, the logistics can still plan ahead before the conference. The sooner the better!

ASSEMBLY, GROUPING, DETAILS
The logistics team is mainly responsible for the organization of the conference. They’re basically the event organizers. Their responsibilities include:

The Media: Design committee’s job is to deal with anything that has to do with design and aesthetics. Normally, they would only create the conference logo and place them in the merchandise but in GINDO2013, they are also responsible in making the conference booklet. The Media: Online committee’s job is centered around the online platforms. They are also responsible for tech support as well as documenting the conference with photographs, videos and blogging. The website should be made months before the conference but the photographs, video and blogging should be during. 16
SCHOOLS LIAISON The following is the list of things to do for the schools liaison committee:

The school’s liaison’s job is to connect the conference with all the schools. They have to send the invitations then follow up with them. The letters need to be sent as soon as all the information is settled. The follow up comes after that. It’s very important that the schools liaison committee stay in touch with the facilitators. 17
ACTIONX LIAISON ARRANGE GUIDES GROUPINGS & TRANSPORT

The ACTIONX Liaison, or the service trips liaison was just recently established for GINDO2013. Their main job is to make sure that each group is going to a life-changing service trip. The first thing that needs to be done is making sure that they have a list of service trips that they have previous relations with to use for the conference. 18
NGOs LIAISON Here’s a list of what the NGOs Liaison needs to do: ✓ Ask for what they need
ARRANGE AND ASSIST
✓ Make invitation letters for the NGOs in both English and Indonesian ✓ Gather contacts of NGOs ✓ Get the letters proofread and then send them
FOLLOW UP WITH REPRESENTATIVES
✓ Follow up with NGOs and ask whether they are intersted in presenting either of the following: keynote speaker, bazaar or workshop.
INVITE NGO REPRESENTATIVES TO COME
✓ Purchase flowers for the NGO representative(s) or make sure that their donations are ready ✓ Arrange the NGOs lounge and make them feel comfortable ✓ Help them set up the bazaar or ‘passion fair’ ✓ Assist them with whatever they need
This commitee is similar to the schools committee but for the NGOs (Non-Governmental Organizations). What this commitee does is to inform the NGOs about the conference and to make sure that they attend. This means for either as keynote speakers, bazaar or workshops.

FINANCE The finance committee is the backbone for the conference because without money not a lot of things can happen. The first to the fourth GINDO conferences were free but his year, in addition to the sponsorships, participants must pay a conference fee.
PAY FOR THE CONFERENCE & SET UP GINDO FUND
The Finance team is responsible for handling the money. The following is a list of things the finance committee needs to do: ✓ Finalize the budget of the conference
FOLLOW UP AND GET MONEY FROM SPONSORS & GET REGISTRATION MONEY
MAKE AND SEND SPONSORSHIP LETTERS
✓ Make sponsorship letters in both English and Indonesian ✓ Get the sponsorship letters checked
✓ Set up a bank account for transfers (for both the sponsors and paricipants) ✓ Pay for the website (starting from GINDO2013) ✓ Pay for the rest of the conference ✓ Set up a GINDO Fund for future collaborative works between schools ✓ Talk to the hotels to see if they can give special price if paricipants want to stay there ✓ Get the registration money to pay for the conference ✓ Make sure that the sponsors get their logos on the banner, website, t-shirts, etc

GINTRODUCTION This year’s conference (GINDO2013) is once again a collaboration between Sinarmas World Academy and Jakarta International School but this time it’s being held in SWA. This year we’re going a little wild with the concept of GINDO as we are trying to make it a little more effective. For the past four years, we have been using the same concept with very little modifications. This year, we felt that it’s time to ‘move on’ and try something new for a change. This is why this year we will introduce Passion groups, passion fairs, actionx and a social networking platform. This year’s theme is centered around taking action and the slogan is: “TALK TO INSPIRE, WALK TO EMPOWER, RUN TO CHANGE”

FOOD & BEVERAGES GOODS For this year’s conference, the GINDO2013 organizing team has been trying their hardest to make sure that the lunch, dinner and snacks are as eco-friendly as possible. In order to make that possible, this year we will adopt the concept of having vegan food which has a lot more benefits than what meets the eye. We will also reduce if not eliminate packaging for the food. All participants must bring their own water bottle as we are not going to provide them with plastic cups. We are considering ‘Loving Hut’ as our food option at the moment and hopefully we’ll get partial sponsorship for the conference buffet.
In GINDO2013, we’re trying to cut down as much goods as possible to make the conference more ecofriendly. However, like the 4 previous conferences, we will still be including t-shirts as they are ‘tradition’. It will also be helpful on the day of the ActionX because then we can tell which ones are the GINDO participants. We also will try our best in making the conference paperless by placing everything online. We have already set up the website and a lot of people were already signed up. Unlike the previous years, this year we will work towards using more electronic devices. In other words, GINDO wants to reduce its carbon footprint. These are all just concepts that we wish to apply for the upcoming conference. There is no guarantee to whether or not this will happen. However, the team will continue to work hard to make it a reality. 23
EXPANDING NETWORKS We constantly invite the same schools and the same participants year after year. This year, we decided that it’s time to expand our network further across Indonesia. Since this year we will be trying out new concepts, we won’t aim to have a huge amount of participants. Instead, we strive for a high quality conference. In order to invite more schools across Indonesia, we will have to keep in mind flights and accommodation. Participants and facilitators wishing to go to the conference will have to book their own flights and hotels (if they want to stay in a hotel).
Just like a few GINDO conferences back, we offer homestays to participants living out of town. This is the choice we recommend to those participants as it’s free, more eco-friendly and is a great opportunity to build networks pre and post-conference.

3NEW CONCEPTS ACTIONX Tired of being labeled as ‘All talk and no action’, GINDO finally launches its first service trip programme called ACTIONX (Action Excursion). This trip is aimed to empower the youth of Indonesia into taking action in something that they like. Participants are given the choice to pick the United Nations Millennium Develop Goal (UNMDG) they are most passionate about. At the moment, we are thinking of having 16 ActionX trips- 2 excursions for each UNMDG.
PASSION GROUPS Passion groups replaces students and NGO workshops that we’ve had for the past 4 years. We feel that through passion groups, participants can interact more with their peers rather than listening to a group of people talk for nearly 1 hour about their project. During the passion groups, participants will discuss about problems, solutions, their projects and action they can take collaboratively after the conference. Participants will be divided into 8 groupsone for each UNMDG.
PASSION FAIR Passion fair is entirely a new concept. Since we have eliminated the students and NGO workshops for this conference, we will have to introduce that information through a different medium. This is why passion fair was made. Passion fair is basically a community and service fair where students and NGOs showcase their work. Participants will walk through the fair and ask questions regarding the projects. If they are interested, they may sign up for that particular project, triggering collaboration.

GINDO BOARD
GINDO board or the ‘leadership team’ is an entirely new concept to GINDO or even GIN. The idea behind this is so that the conference is a platform for collaborative projects. After the conference, we aim so that schools can work together in service projects and in order for this to happen, a GINDO board needs to be formed. This very same leadership team could also have input on the conference the following year. Along with the GINDO board, we came up with a GINDO fund. This fund is basically for funding service projects between schools or donations to NGOs. The idea is so that 2 representatives from each schools will come together and discuss what action should be taken, where and when. The meetings could happen via skype or even face to face. This idea, however, isn’t quite developed yet as it will take time for the team to form. On the day of the conference, however, the leadership team will be taken out of one of the many passion group sessions to discuss further development.

The website is aimed to serve as a platform for not only GINDO participants but just about anyone who is interested on the issues or are currently taking action. This website isn’t a regular website but rather a social network. Members are required to sign in to fully utilize the social network. Members can chat with each other, share their projects, join projects, comment, add pages, photo, videos and really connect to one another before and after the conference. All the information for the conference will be on the website so participants don’t have to go through the hassle of getting information from their facilitators. Along with the website is also our twittter account from GINDO2012 @GINindonesia. This is so youth can keep in touch with GINDO with the social network they use most. This will hopefully inspire and empower youth to create change in their community. 28
