5 Essential Steps
To Improve Your Payroll System
SPOTLIGHT INDEX
Before payday arrives, thinking about how you handle your business’s payroll process comes with dread, especially when there is room for improvement. Y our payroll system involves several crucial touchpoints, from papers and electronic procedures in collecting employee time and data to accurately and timely distributing wages.
Follow these steps to optimize your payroll system, account for all your work better and improve how you manage your business’s time.
1. AUTOMATE MORE PROCESSES
Performing processes manually consumes time and makes them more susceptible to human error. For example, in payroll, manual processes include:
4 Tracking employee time with handwritten logbooks
4 Data entry into spreadsheets
4 Using cards to track hours
With digital recording, you can verify timestamps and increase the efficiency of tracking work hours. Automating your payroll process makes it easier to handle government contracts by proving
professionalism, logging in several work periods without manual input and giving reports that provide insights into your workflows.
2. TRACK YOUR PAYROLL PROCESS
Typically, processing your payroll involves significant steps for each cycle. Such steps include registering employee hours, verifying timestamps and distributing wages. With each payroll cycle, these steps are repeated, resulting in a payroll system.
Tracking each of the crucial steps in your payroll system can help you highlight areas prone to errors or cause delays in the process. When the system has problems, you can quickly look into these areas to pinpoint what you need to solve and address them immediately.
More clarity about your payroll system helps you gain your employees’ trust, and by working on the significant error-prone areas, you can improve your construction payroll system over time.
3. GO MOBILE
In cases where your employees work from different locations, using mobile time tracking software enables you to save payroll processing time. From project managers to field supervisors, time tracking for employees in the field can have delays that result in problems for your payroll system.

Mobile time tracking software helps your employees to record work hours instantly and share this data with your central enterprise resource planning system in real time. Mobile software usually includes web tools and online features in a connected platform that all employees can conveniently access to log their labor hours.
4. DIRECT DEPOSIT
Convenience is crucial for a better payroll process.
The payroll system should be easy for you and your employees to understand, use and implement. The wages distribution aspect of the payroll process usually has problems from paying later than the due dates to the form of payment, whether through cash or cheque.
Direct deposit helps you reduce the processing time and have digital evidence that you can make the transaction. For better convenience, you can accommodate more payment options, such as distributing wages directly to employees’ debit cards or their preferred payment processing platforms and setting automatic payments on due dates.
5. CONSIDER OUTSOURCING YOUR PAYROLL PROCESS
Some companies focus on processing payroll for other businesses. Delegating the management of your construction payroll system to these professionals helps you focus on other areas of your business, like securing better contracts and driving growth.
Typically, payroll companies’ contacts state they will bear the cost of errors in the process, including penalties and interest, so you don't bear the brunt of any mistakes. These companies also provide more accuracy and exclusive features because they focus

on payroll processes. Such features include job-cost accounting and wage distribution to multiple direct deposit accounts.
ORGANIZE YOUR CONSTRUCTION PAYROLL SYSTEM BETTER
Planning enables you to proactively address any issues that can arise when processing your next payroll period. You can prepare by looking at previous periods and spotting where went wrong and moves you can make
to tackle them this time. This reflection also gives you financial oversight to estimate your subsequent payroll expenses.
ASSOCIA TION NEWS
While it can be challenging to keep a handle on tracking your employees’ hours, making adjustments and correcting the wrong log-in periods, implementing these steps will help you reduce errors. A more straightforward payroll system enables you to limit risks and positively drive your business’s growth with more satisfied employees that improve your retention rate.

Big List of Fuel Savings Tips
Fuel cost is a primary budget factor for all liquid waste-handling businesses. With today’s extreme fuel prices, fortunately, there are many ways operators can cut vehicle fuel waste and costs substantially.
Below is a list of great ways to help reduce fuel costs for your business. These recommendations are provided by various experts in industrial vehicle operation.
MANAGING THE PROBLEM OF HIGH FUEL COSTS
The general complaint about fuel costs is one we’ve seen discussed in online industry forum pages and expressed in interviews with national service business leaders:
Fuel bills have increased to staggering rates during recent operating periods. Unfortunately, it
can be a conundrum trying to find appreciable savings upfront, since the majority of fuel providers are similarly priced. At best, you can reasonably expect to save just a few pennies per gallon. The biggest reduction in the fuel bill was from tighter controls on purchases. For example, using fleet fuel purchase cards and having managers check receipts daily, more efficient route planning, and increased driver fuel waste awareness training. Some routes cover many miles per day. So, educating drivers on how much can be saved from reducing speed from 70 to 65 mph can make a big difference in fuel consumption, wear on vehicles, and safety.
GENERAL FUEL SAVINGS TIPS
Here are some obvious and some less apparent fuel savings tips to help you manage operating costs in your portable restroom rental or other sewage-hauling business: When Route Planning Optimize Routes: Improve route efficiency by ensuring that each driver is taking the shortest and least congested driving route. Ideally, choose routes that are also the least interrupted by traffic stops, school zones, construction work areas, other
slow speed zones, etc. Routinely ask your drivers for current input. Reducing service route driving time can cut up to 20 minutes daily average per vehicle.
Make Sure GPS Matches Routes: Monitor GPS systems carefully, and ensure all drivers are actually using the routes you have designated. This is to prevent some workers from attempting to lengthen their work hours by using longer or slower routes to and from customer sites.
Choose Best Urban Drive Times: Travel at the least busy times for the areas the driver needs to pass through.
Reduce Engine RPMs: Remind all drivers frequently to use the overdrive option for highway driving. Lower RPMs means less fuel waste.
Control Driving Speeds: Emphasize using cruise control in vehicles that have that feature.
Monitor Driver Habits: Require good driving behaviors. Use monitoring technology to automatically flag excessive acceleration, idle times, and much more for auto-reporting.
Use Good Routing Tech: There is even technology that designs routes to avoid as many left turns as possible! That cuts idle time. In larger fleets, this can yield worthwhile fuel savings.
When Fueling
Top-Off the Tank: Keeping fuel topped off leaves less space in the tank for ambient air, which means minimal space for the buildup of water condensation. (This can be a worse problem in the Southeast and South Midwest than in the arid Southwest desert region.)
Use the Right Fueling Station: Be smart with where you tell your drivers/operators/mechanics to fuel up. At a few cents here and there all year long in a big fleet can add up to major fuel cost savings over time.
Assign the Right Equipment: For example, don’t send heavier vehicles out in the field for a repair call or an offsite customer meeting if you have a pickup truck that can serve the purpose.
Reduce Weight in Tanks: For longer driving distances, try to use the nearest liquid waste dumping facility to the pickup destination, instead of bringing it all the way back to more familiar locations.
Turn Off Engine When Parked: Cut down fuel-wasting idle time by turning off engines while fueling, waiting in line, servicing toilet units, eating lunch, making phone calls, etc. Use Cardlock for Fueling: Monitor your Cardlock system carefully and use alerts to notify you when drivers are fueling. Watch for theft.
Convert to Propane: Propane is typically spectacularly cheap per gallon compared to gasoline or diesel after installation rebates, and the fuel mileage is similar to gasoline. Investing in an engine conversion may seem financially risky, but for driving routes hundreds of miles per day between several service vehicles and sewage water hauling trucks, the ROI may make this a good option for you.
When Performing Maintenance
Inspect All Moving Parts: Check all moving engine and external operational parts on each vehicle on a routine fleet inspection schedule.
Propane is typically spectacularly cheap per gallon compared to gasoline or diesel after installation rebates, and the fuel mileage is similar to gasoline.
Investing in an engine conversion may seem financially risky, but ... the ROI may make this a good option for you.
Maintain Correct Tire Pressure: Keep the air pressure in all tires at the manufacturer’s specifications. Driving on low tires causes drag, and that cuts your miles per gallon.
Change Oil: As part of your scheduled fleet maintenance, change engine oil and oil filters on all service vehicles at the manufacturer’s recommended intervals.
Maintain Clean Radiator Clean: All vehicle radiators should be kept clean as a priority. When an engine runs at hotter temperatures, it burns fuel less efficiently.
Change Spark Plugs: Changing spark plugs on schedule. Letting bad spark plugs wait for replacement can increase fuel waste by as much as 30%!
Track Current Conditions: Track the current vehicle, road, weather, and traffic conditions, and any other factors that can affect your budgeted daily fuel consumption.
Change Air and Oil Filters: Fuel filters and air filters per the vehicle manufacturer’s prescribed maintenance instructions to avoid clogging that reduces the engine’s performance. Regularly changing fuel filters will also lengthen the life of the fuel injectors.
Maintain Fuel Injectors: Compare performance between trucks to help identify those that are consuming fuel

disproportionately. Check the fuel injectors and have faulty units serviced.
Check for Fuel Leaks: trucks routinely and make repairs promptly. When Buying Vehicle Parts
Choose the Appropriate Tires: Install proper tires for urban street and highway driving, vs. heavily treaded tires for rough terrain.
Use the Most Economical Fuel Type: Be careful choosing the fuel type for the new wastewater hauling

PORTA POTTY LLC
A1 Porta Potty LLC is one of the newest companies of its kind we've ever seen, especially considering their well-filled out list of services. But that's not all that's unusual about them. They are a porta potty rental company whose services revolve around porta potties and they offer septic pumping and street sweeping service on the side.
The usual formula for a small septic company, especially in an area like Louisville, KY is to start strong with septic services and build out from there. In reality, this is what they are, but it's not apparent at a cursory glance- and the reasons for this are interesting.
BECOMING A LOCAL LEADER IN PORTABLE TOILET RENTALS
Having gotten its start fairly recently in 2015, A1 Porta Potty made its bones in the usual fashion. They did it by delivering fast and reliable septic service to an area with a relatively high water table that desperately needed it. But as we will see, A1 Porta Potty is something of a case study in a strong trend that you're going to see again and again with companies like it.
it's the fact that the thing people need most when they have septic trouble is relief, and they are grateful when a company like A1 delivers. continued on page 22
That trend is a tendency to slowly become more about portable toilet rentals than septic service. There's a reason for that, and it's slightly difficult to talk about it without seeming crass. But, it's the fact that the thing people need most when they have septic trouble is relief, and they are grateful when a company like A1 delivers. What's interesting about A1 Porta Potty is the fact that they developed in the usual way into a porta-potty-
heavy organization, but they did it in just a few years. This seems to suggest that their leadership is especially strong in business foresight.
WHY PORTA POTTIES ARE THE PATH OF LEAST RESISTANCE
When you look through their online presence, you find some artifacts that suggest they entered the septic
business as a septic pumping service. The team will tell you the same thing. But there is a powerful biological driver behind how septic companies grow and evolve, and porta potties are always at the cutting edge of business development.
A1 Porta Potty anticipated this optimal trajectory and they leaned into it at an early stage. Today, they are a porta-potty rental company with septic service as a follow-up. When you look at as many small to mediumsized septic companies as we do, you begin to realize there is a touch of genius in the way they have positioned themselves as leaders in their field in Louisville, KY. They saw early on that there is a fundamental principle at play in the septic service industry. They also saw that the way to get the most customer satisfaction is to allay the customer's most immediate concerns.
A1 Porta Potty serves the one key need behind the entire septic industry by focusing on the core
continued on page 24
human pain point involved and providing the service that satisfies the fastest.
Once the customer's most pressing need is taken care of, A1 Porta Potty brings in the septic pumping truck and delivers a lasting solution. All you have to do is look at their many glowing customer reviews and it's clear A1 Porta Potty has homed in on a core human need like a laser and provided a solution that people appreciate.

PORTA POTTY RENTALS & SERVICE LIST
Of course, delivering portable toilets to residential customers with a pressing need is just one aspect of a successful porta-potty service. A1 Porta Potty also serves construction sites with a complete list of construction rental services. These include:
Construction grade porta potties
As you might have noticed, they also home in on some significant pain points for construction contractors that few similar companies do. That is, they deliver street sweeping
MAKING A POSITIVE IMPACT ON COMMUNITIES AND ENVIRONMENTS AROUND THE WORLD
and site fencing. That is an unusual flourish, and we think it's more evidence of their acute understanding of the industry.
One thing that plagues construction companies is the need for apparent cleanliness on the street level. More and more, customers are becoming intolerant of the messy appearance construction jobs tend to exhibit. Many renovations and additions are done in close proximity to the hub of a growing business. Those businesses lose customers when the streets are littered with debris.
This is a pain point that A1 Porta Potty has zeroed in on. To serve this need, they provide fencing and street sweeping services. In so doing, they keep the perimeters of construction sites looking clean and tidy. They take it a step further by providing dumpsters and site containers.
In short, they are serving a need that contractors have struggled with for years. They are the first company we have
ever reported on that combines the need of contractors to look tidier than their competition with portable toilets and septic service to boot.
In the final analysis, A1 Porta Potty has proven its ability to zero in on the core unmet needs of its customers and to serve them with a level of speed and accuracy that shows why they are one of the fastest growing companies in their area.
