Dear Parent Coordinator, Welcome to Global Premier Soccer (GPS). Thank you for taking on the role of Parent Coordinator (PC). This document will provide further information as to what our expectations are for you in this position. You will play an integral role in building a positive experience for all families within the club. We will do everything we can to provide our support to you in this role and make it a positive experience for you and the team. The Role of Parent Coordinator The role of the Parent Coordinator (PC) is to act as a liaison between GPS and our families. This will include forwarding all information sent from GPS to players and parents. The information provided by the club, will take the form of regular communication updates, as well as any logistical information associated with your specific team. You MUST have computer capabilities and respond in a timely fashion for requests for information. Korrio The communication tool we use at GPS is called Korrio (www.korrio.com). It is imperative that ALL PC’s are competent in using Korrio as it will be our main communication tool for the 2013/14 season. Failure to use Korrio will automatically preclude you from being selected for a PC role within the club. GPS will provide you with a tutorial on the various functions included in Korrio so that you are comfortable in dealing with it as a communication tool. Korrio also has its own support network that you will be able to refer families to, should they experience any difficulties. GPS will be responsible for setting up and populating your Korrio team page once all participants have completed their on-‐line registration. Once established, you will be granted administrative rights to the team page and have the ability to communicate with both players and parents directly. Team coaches will also have this same capability. After everything is set up, you will manage the basic content of the page including inputting training/games details as well as responding to individual parental enquiries.
Operations There will be some operational requirements at the start of the season in terms of player registration and for subsequent tournament play with organizing travel and accommodation when necessary. Paperwork Management: Initially, you will be asked to collate a copy of all players’ birth certificates, passcard size photos as well as completed/up-‐to-‐date waiver forms. We ask that you submit duplicates of these to the club via the Head Coach, but also recommend you keep copies for yourself. AP – CAN YOU CLARIFY WHAT GOTSOCCER WILL AND WON’T DO HERE SO WE DON’T DUPLICATE WORK ON THIS. Roster Management: Rosters will be needed for EVERY league game/tournament in which the team participates. You will be provided official rosters by the club, which will be created utilizing information obtained from Korrio and the team Head Coach. You are responsible for updating this information. Rosters are kept in the club office at all times. When a new player is offered a position on your team, they will be contacted by the Head Coach regarding the registration process. This contact will be via email and will include an attachment with the Player Handbook and all details outlining how they register on Korrio. ALL NEW PLAYERS MUST REGISTER ON KORRIO. Once registration is complete, the club will add them to your team and they will immediately begin receiving your communications. You will then be responsible for collecting necessary paperwork and submitting to the office so players can be added to official team rosters. NEEDS A GOTSOCCER PARAGRAPH Player Cards: NEED INPUT HERE FROM PREMIER DEPT Game Day Operations: Parent Coordinators are expected to keep all rosters and player cards and have them available for check in with referees before games. If you will not be in attendance, you should contact your Head Coach directly and nominate someone who can take your place for the day Uniform Distribution:
We will be instituting a new format this year called the “GPS Kit room” where families will be asked to come directly to the MPS offices to pick up their kit for the season. This will allow for more efficiency in the distribution process and will lighten the load on the Parent Coordinators. Tournament Travel and Accommodation: Parent Coordinators will assist the club with travel and hotel arrangements for out-‐of-‐state tournaments. This may include researching hotels and flights, reserving rooms, planning bus trips, etc. If a hotel is required for the Head Coach for a Tournament you must follow this procedure: You must first get your choice of hotel approved by the club as tournaments often mandate that we go through them. Once approved, you will contact the hotel and reserve a block of rooms for your team, including 1 room for your coach. Please then send the contact information for the hotel including phone number and name of the contact you have been dealing with, to the club. The club will then communicate directly with the hotel and pay for the coach’s room. Any Tournaments that require flights for the coaches will be reserved and paid for by GPS.
Communication Schedules: You must ensure all players know their training and game day schedule. This will include practice dates/times, game dates/times as well as other important events throughout the season. All of this information can be easily inputted into Korrio once received. Tournament Itineraries: Coaches will create an itinerary for every tournament attended. GPS will provide a sample template that can be amended based on communication with your Head Coach. Player Availability: This will be a basic weekly task – confirming player availability for training and games and then submitting this information to the Head Coach. Any player who is unavailable for practice or games must notify you and the Head Coach, in writing, with their reason. You should have the cell numbers of all parents in case of late arrivals.
Benefits Your benefits as Parent Coordinator (PC) relate to an annual fee reduction: PC’s will receive a 25% reduction from their annual fees which can be applied to a full, upfront payment, or a 25% discount from each individual installment. PC’s are responsible for paying 100% of their tournament fees & residential camp fees These reductions do not prohibit PC’s from applying for scholarships for their children, with further discount provided on a demonstrated need basis.
GPS Policies To help you answer any questions you may be asked by your team, a number of the GPS policies have been outlined below: Game Day Policy Parent Coordinators are to remain on the Parent’s side of the field after check-‐in. Please be aware of the behavior of you and your players’ parents during the game. If you feel that a GPS Parent on your team is behaving inappropriately, please inform the Head Coach immediately. DO NOT intervene with the parents on the sideline. SOME REMINDERS A) DO NOT engage the coach on any matters relating to team selection or the practical nature of training. B) DO NOT engage the coach on any matters outside of the communication protocol relating to any player other than your own child. C) DO NOT get involved in re-‐scheduling of games. You will be asked to check player availability for possible dates but actual rescheduling of games and choice of venue, is the responsibility of the coach. D) DO NOT engage ANY opposition within a league or Tournament without the permission of either the head Coach, Technical Director or the Club Registrar. Cancellation Policy Should practices or games be cancelled due to inclement weather, or for any other reason, the information will be announced a minimum of 2hrs prior to the event via your Korrio team page and will be updated on the club’s website, via our weather-‐watch facility. Please work with your Head coach on educating your Parents about the weather-‐watch facility and encourage them to continually check this, as this displays our most up to date information on cancellations. Lost Gear Policy Please note that any items of a player’s uniform or equipment that are lost during the course of the season will not be replaced by GPS. Should a player lose any piece of their practice or game uniforms, please contact ………. As always, we ask that our players take responsibility and show respect for their gear. Players should make sure they have their names CLEARLY marked on all pieces of their kit.
GPS Player and Parent Protocol Availability Protocol
It will be assumed that all players are available for practices/games, unless the PC and Head Coach are notified otherwise. Players who are not available should submit a reason for absence to their Head Coach. It is the club’s expectation that players attend ALL scheduled events. To help streamline communication and to ensure your questions or queries on any issues are dealt with as soon as possible; we have put into place a contact protocol: THIS CAN BE ELIMINATED AS IT WILL HAVE BEEN COVERED EARLIER IN THE HANDBOOK. Parent Coordinator Communication Protocol Any questions in relation to times and logistics of games and practices and any questions in relation to uniform should be directed firstly to your team's Parent Coordinator. You as Parent Coordinator; are the first point of contact between GPS and your team in relation to these matters. Team Head Coach Communication Protocol Your Head Coach will be your first port of call with any team questions other than those outlined above, including questions relating to, but not limited to, anything of a developmental/ performance nature. All Head Coaches can be reached via the Office. It is also a MUST to have the cell phone number of your team coach in case of any last minute communication needs. Finance All financial matters can be addressed with your teams Head Coach, or the finance department. Contact details are on the contact page at the end of this document.
GPS PC Memorandum of Understanding: I ________________________ have read and fully understand the above information and agree to act as Parent Coordinator for the following team ___________________________ for the 2013/2014 year. By signing this contract, I agree to perform all tasks in return for the agreed upon discounted rates and realize that failure to comply with the designated PC tasks as delineated in this handbook, will result in the removal from the Parent Co-‐coordinator position and loss of the discounted rates: PC’s will receive a 25% reduction from their annual fees which can be applied to a full, upfront payment, or a 25% discount from each individual installment.
