First class tickets must be provided by the City for visits made by the National President. Sedan or SUV's (black preferably) transportation is always required for the National President whenever he visits the city, for the duration of the two or three-day stay. Must be provided to NBC USA, Inc. team for first site visit. The Presidential Suite or comparable accommodations is always required for the National President. If the potential headquarters hotel is sold out, please place the Presidents in a hotel where a Presidential or comparable suite is available.
Provide sufficient promotional materials for two prior year conventions - Congress and Annual Session 1-year out; and provide personnel to exhibit at the two conventions the year prior to Annual Session coming to the Host City.

Proposal will include an alert regarding any unusual activities, which will be occurring two weeks prior and following the time of the proposed Congress session. This should include: special festivities, other city-wide conventions, other meetings of importance, major road construction, significant renovations of major facilities, i.e. convention center, airport and union contract issues.

The policy asks for a review date of 10 months prior to the event with a voluntary 10% reduction at that time followed by an additional 10% allowable at the conclusion of the event. CANCELLATION: Any cancelled event that is not covered by the Force Majeure/ Act of God clause is subject to liquidated damages. These liquidated damage fees are proportional to the amount of lost revenues that were anticipated by the Hotel and the amount of time prior to the start date of the event that it was cancelled.
