Chapter 1 Council Trainers: Position Requirements Appointments, and Re-Appointments At Girl Scout Council of the Nation’s Capital, there are three GSUSA certified levels of council trainers: Apprentice Trainers, Experienced Trainers, and Masters Trainers.

• Apprentice Trainer A volunteer, who recently completed a Train-theTrainer course and is in-training to become a fullfledged Experienced Trainer.

Throughout the manual, we will use the term “lead Trainer”. A lead trainer is an Experienced or Master Trainer who takes on the administrative responsibilities for a particular class.

Experienced Trainer A volunteer, who has completed their apprenticeship and can now take the lead in training any course they have previously cotrained.

Master Trainer A volunteer, who has been an Experience Trainer for at least two years, and meet additional GSUSA application requirements.

In the next few pages, we will explain the following for all levels of trainers:

The Apprentice Trainer RECOGNITION: After taking the Train-the-Trainer (TTT) class, the Apprentice Trainer is awarded an official GSUSA trainer pin with an “Apprentice” rocker. APPOINTMENT PROCESS: An Apprentice Appointment Letter (see below) is issued after the TTT class.

The Experienced Trainer RECOGNITION: At the end of the apprenticeship, after completing the Roundtable, the trainer is awarded the GSUSA “Experienced” rocker to go under the trainer pin. APPOINTMENT PROCESS: At this time, an Appointment Letter (see below) is issued, indicating your term of service.

Read over the Requirements & Qualifications (Making sure you understand and are working toward each one).

Sign both copies.

Keep one for your records Send one copy to the Training Specialist.

REQUIREMENTS: 1. Sign and return the Appointment Letter. 2. Stay current on all program materials and procedures. 3. Participate in six hours of continuing education activities every three years. 4. Respect each individual’s differences and use them to enrich the training experience. 5. Use teaching methods and materials that are appropriate to subjects, trainee, and setting. 6. Train a minimum of nine hours per year to help fill the council needs, at least six hours of which must be in module courses. 7. Work with the Association Training Manager (ATM) to meet council training needs. 8. Provide course information and dates to the ATM at least eight weeks prior to class date to ensure publicity. 9. Team-train as much as possible. 10. As a lead trainer – record data for all participants in attendance and quickly submit forms to the Training Specialist. 11. As a lead trainer – write an evaluation for the training and submit it to your ATM with the trainee evaluations. 12. Participate in the re-appointment process every one to three years. 13. Attend the annual Trainers Kickoff (or contact your ATM). 14. Attend spring/fall association trainers’ meetings. 15. Find a replacement trainer if you are unable to train at the last minute.

After trainers’ appointment periods end, they are requested to assess their position and decide between the following three choices:

1) Resign If they cannot, or do not wish to, continue as a Council Trainer, a trainer should contact their Training Specialist to resign. 2) Take a leave of absence A trainer who does not wish to resign, but will be taking a specified leave of absence can do so by contacting their Training Specialist. 3) Apply for re-appointment A trainer interested in continuing as a Council Trainer, must apply for re-appointment.

RE-APPOINTMENT PROCESS (continued): If you wish to apply for re-appointment, then:

Fill out a the (see below) “Self Assessment Tool”.

This guides you to assess your progress and to update your list of continuing education experiences. It can be accessed online at: http://www.gscnc.org/training/justfortrainers.php It can also be requested as a hardcopy from your Training Specialist.

Keep a copy for your records & send a copy to your Training Specialist.

Your re-appointment will be assessed by the AVD department.

If you HAVE fulfilled your training and continuing education require ments, You will be re-appointed for a full term of three years.

If you HAVE NOT fuflilled your requirements, but are interested in improving and remaining a council trainer, you may be re-appointed for a one year term with two additional requirements. (see below)

Additional Requirements if hours are not met: 1 2

A Remediation Plan – In discussion with your ATM or Training Specialist, you will create a plan to fulfill your requirements within one year. A Peer Evaluation – In coordination with your ATM, you will request another trainer to attend and evaluate your training skills, using a Trainer Evaluation Form.

The Master Trainer RECOGNITION: After a volunteer has been an Experienced Trainer for two years, she/he may work toward becoming a Master Trainer. This would include being recognized with a “Master” rocker to go under her/his trainer pin. APPOINTMENT PROCESS: This is the same as for an Experienced Trainer. APPLICATION PROCESS

GSCNC requires that a Master Trainer: 1.

Serve on a special training team or task group to design curricula.

Take a leadership role in a council training function (such as being part of the Trainer Education Team, coordinating a large event, or mentoring an Apprentice Trainer).

The Transfer Trainer We welcome trainers who have re-located to our council from other areas. The process of transferring into our council is as follows:

Complete a GSCNC Trainer Application (see below). This can be downloaded from the GSCNC website under “Trainer Forms” or a hardcopy from a Training Specialist.

Submit the application.

A Training Specialist will contact you to discuss your background, and interests and to explain the processes of GSCNC.

A Training Specialist will contact the trainer’s Association Training Manager (ATM) and make recommendations for steps to appointment.

The ATM contacts you to welcome you and informs you of the basic require ments of a Council Trainer.

All Transfer Trainers should take our 101 – Basic Leadership Training, available in classes and online. If they are also interested in camping, they should take the 224 – Re-Qualification for Campout class.

After the proper steps have been followed, your name is then added to the Council Trainer list at your earned GSUSA level.

RECOGNITIONS: If you have not already received your trainer pin and the appropriate rocker, this can be requested from a Training Specialist at this time.

Chapter 2 Setting-Up a Training Site Fees for Training:

DETERMINING NEED There are at least three ways that training needs are determined: 1. A particular service unit or association needs a certain course. 2. A trainer wants to train a particular course. 3. The council office sees a need for a certain course.

FINDING A LOCATION It is the trainer’s responsibility to find a location for her/his training. (ATMs might assist in arranging a location for larger events, such as blitzes.) At this point, the lead trainer can begin to fill out a Course Set-Up Form (see below).

We encourage the use of low, or no-cost sites for trainings. • Volunteers should not pay fees out-ofpocket. • Request payment of site fees from the Training Specialist before contracting with a facility. The Training Specialist will either: Approve the request and • Process the payment through GSCNC • Authorize the lead trainer to submit a letter for reimbursement, accompanied by receipts. Deny the request and • Assist the lead trainer or ATM in securing a site that is more cost effective. New location? Include directions with Course SetUp Form. Campsite Requests: If training requires a campsite, the lead trainer should submit a GSCNC Trainer Campsite Application Form (see below), and verify availability with the Camping Administrative Assistant, before submitting the Course Set-Up Form to her/his ATM. Do not use the online camping registration system when scheduling an outdoor training, as this will result in time restrictions and fees. This form is available on page 19 and accessible on the website under “Just for Trainers�.

Include your 1st and 2nd choices of camps as well as specific campsites within each camp.

Specify the time Trainers will arrive and depart, rather than when the training begins and ends.

Minimum of two trainers for the first 18 volunteers, and an additional trainer for every 8-10 volunteers.

Day sites are firstcome-first-serve on the day of your training

All Outdoor Classes must have at least two trainers.

PUBLICITY The council office must publish all council trainings. Classes are publicized in two places: 1. Electronic Calendar All courses submitted to the council office by an ATM, are added to the online registration catalog. Classes must be submitted at least 8-weeks prior to the date of the class. 2. Paper Calendar – A training calendar comes out in the publication In Addition, which is issued five times a year: • August • October • January • March • May Any trainings published in In Addition, must arrive in the council office (with ATM approval) by the 1st day of the month two months prior to publication.

MATERIALS Materials for the maximum number of participants will be mailed to the lead trainer two weeks prior to the class, unless otherwise requested. GSCNC will provide the following: • Nametags • Markers • Course Modules • Authorized Handouts • Evaluation and Reporting Forms Also available upon request: • Newsprint* • Masking tape • Index cards • Glue sticks • GSUSA publications* • Resource books* • Easels* • TV/VCR* • Training Cards • Trainer Cards *Must be picked up from a council office and returned with in three days of the class.

Laptops and LCDs: There are two laptops and two liquid crystal display (LCD) projectors available for use during classes. Requests must be made via e-mail to

tdiakite@gscnc.org a minimum of two weeks in advance of a training class. Equipment must be picked-up from one of the GSCNC offices. Trainers will be asked to sign a statement of responsibility and provide a refundable deposit of $50 per item. The equipment must be returned to a GSCNC office within two working days of a class. The deposit will be refunded upon the safe return of the equipment. Requests will be granted on a first come first serve basis; however, a trainer who has never used the equipment will receive preferred access over a trainer who has used it more than three times in a twelve month period.

Reimbursements: GSCNC will reimburse trainers for certain expenses such as: • Refreshments for spring/fall trainers meetings (up to $50 per ATM) • Rental of special, non-GSCNC equipment required for training volunteers (e.g. Coleman stoves, kerosene lanterns, roundup tents, etc.)

Camping Equipment for Training: Camping equipment may be rented using the Rental Equipment Request Form (see Appendix A, page 20) Available online under “Trainer Forms” and then “Camp Related Forms”. Requests should be submitted at least two weeks before the equipment is required. Equipment must be picked up and returned during Equipment Center hours.

Supplementary Handouts: Module courses must be consistent councilwide; therefore, individual trainers should not distribute personal handouts to replace or supplement course content. Trainers who wish to give input on curriculum changes should contact the Manager of AVD and the appropriate groups will address the concern. Copies of handouts for enrichment classes should be given to a Training Specialist.

REGISTRATIONS Registrations are accepted by: Mail, e-mail, fax, online registration and our automated phone line: (202-237-1670, Ext.455, Option 5). Online Registration and Trainer Central By using our online training registration system, you can see the most current registration for your course, as well as complete the course attendance after the class. 1. Create an account on the website (if you haven’t already), go to http:// register.gscnc.org and click on “Create an Account”. 2. Contact your Training Specialist to be added to the Trainers Group. 3. Now you have access to Trainer Central at http://register.gscnc.org/trainer 4. You should see a list of classes that you are designated as lead trainer. If you click on one of the course numbers, you will see contact information for each participant. Contact the Manager of Information Services with concerns regarding the online registration system.

Class Roster: Before the day of a course, the lead trainer should go to Trainer Central http://register.gscnc.org/trainer and print out the most up-to-date list of participants. To see a roster, click “List All Classes” in the right menu bar. Select the date range for the class you are looking for. Click on the appropriate class ID number to get a roster with contact information.

Cancellations: GSCNC makes every effort not to cancel classes. But, if enrollment in a class is lower that 6 participants, the training team can discuss its cancellation with the ATM or Training Specialist, keeping in mind these factors: • Is it scheduled in an underserved area? • Is it a training that is not offered very often? If the training is cancelled, participants can be notified by the trainer or by a staff member. Cancellation status due to bad weather, will be posted on our website, www.gscnc.org.

Walk-ins: It is up to the discretion of the training team to allow walk-ins. If you do invite a participant to stay, please let your ATM or Training Specialist know within twenty-four hours.

Latecomers: Trainers should be flexible whenever possible. Covering the course objectives with each participant is our main goal – if covering the material on a break or after class helps a latecomer, we encourage you to do so. If you do not sign a person’s card, please let your ATM or Training Specialist know within twenty-four hours.

Pre-Requisites: Pre-requisites for any course are listed in Volunteer Basics and in the online registration catalog, but they are not monitored for participant registration.

If you have an unqualified participant arrive at a course that has a pre-requisite you may, at your discretion allow the participant to stay, but: • Do not sign their training card at that time. • Offer to sign their training card after they have gone back and taken the pre-requisite course(s). • Notify your ATM or Training Specialist within 24 hours. POST-COURSE WORK

Scoring a Class: After a class, the lead trainer should log onto Trainer Central at http://register.gscnc.org/trainer to score the class. Participants can only be marked as having “Passed”, or as being a “No Show”. Please review list carefully on registrants on the “Waitlist” and “Cancelled” sections, do not mark as no-shows.

Trainer Report Form: This form can be downloaded or submitted online on the “Just for Trainers” page under “Council Trainers” (Appendix A, page 21). Trainers should do the following: • Check the Trainer Report for accuracy. • Fill in overall totals. • List all trainers and co-trainers and the number of hours trained (This is crucial to get credit for training hours.) • Mail one completed copy to the Training Specialist within one week. (Accurate training statistics depend on these forms being submitted.) Trainer Card: A wallet-sized Trainer Card with blue ink is usually distributed at the Train-the-Trainer class, but can also be requested from a Training Specialist at any time. Use this to keep a record of the courses you have trained.

A walk-in participant can create an account and register by midnight the day of the class.

Participant Evaluations:

Class Roster:

The lead trainer sends the participant evaluations to the ATM.

If you scored the class online and have no walkins, you may discard the Class Roster. If you have walk-ins, please submit the roster to the AVD department. If you are unable to score the class online, please submit the Class Roster soon after the class is completed.

ATMs may choose to forward the evaluations on to the council office if important information is reflected in the evaluations.

Remember: The lead trainer is responsible for submitting the: • Course Set-Up Form and Participant Evaluations to his/her ATM • Course Attendance Sheets and Trainer Report Form to his/her Training Specialist.

Chapter 3 Training Leadership Positions ASSOCIATION TRAINING MANAGERS (ATM’s) PURPOSE: To manage the administrative aspects of training for designated associations. RESPONSIBILITIES WITHIN A SPECIFIC ASSOCIATION: • Administering training functions • Recruiting, appointing, and managing trainers • Securing trainers to meet the training needs of the council • Coordinating local training blitzes • Submitting paperwork • Attending ATM meetings to help manage training practices • Contacting Service Unit Managers and Field Directors via cluster meetings, emails, or phone calls. • Coordinating the spring/fall trainer meetings • Organizing formal and informal recognition for trainers • Attending the Trainer Kick-Off SELECTION PROCESS: ATM’s are selected by Training Specialists and the Manager of the Adult Volunteer Development (AVD) Department. An ATM can be re-appointed annually, for a maximum of six years.

THE TRAINING PANEL PURPOSE: To assist the AVD Department in managing aspects of training.

RESPONSIBILITIES: • Recommending practices to meet the GSCNC goals and annual operating objectives • Monitoring the effectiveness of all aspects of training • Acting as a reviewing and decisionmaking group for training issues requiring input SELECTION PROCESS: The GSCNC Manager of AVD appoints the members of the Training Panel. It is comprised of: representatives from each area, the ATM chair, the Trainer Mentor Chair, and the Trainer Education Team chair. TERM OF SERVICE: The AVD Manager selects members of the Training Panel for a term of three years. A member cannot serve consecutive terms but may return after a one-year absence.

CURRICULUM TASK GROUPS PURPOSE: To create, or alter training modules - including trainer guides or handouts RESPONSIBILITIES: • Recommending changes to a particular training module or series of training modules. • Overseeing the development of new curriculum materials by a Training Specialist. SELECTION PROCESS: The AVD Manager or a Training Specialist appoints the members of the Curriculum Task Group, on an as-needed basis.

SPECIAL TRAINING TEAMS PURPOSE: In order to meet the needs of GSCNC, the Manager of AVD may establish Special Training Teams to teach administrative courses, or to pilot leadership or outdoor courses. RESPONSIBILITIES: • Provide the training necessary to meet the annual council operating objectives • Consult with the Training Specialist responsible for the team • Meet as a team at least once a year • Recommend changes for the modules to the Training Specialist SELECTION PROCESS: The Manager of AVD appoints members of the Special Training Teams. Anyone interested in joining a Special Training Team should contact the Manager of AVD.

TRAINER EDUCATION TEAM PURPOSE: To provide training and support to adult volunteers who are interested in training adults RESPONSIBILITIES: • Assist the AVD Department in achieving the corporate training goals • Ensure the Train-the-Trainer courses take place • Assess and revise the Train-the-Trainer course • Support the body of council trainers • Consult with Adult Volunteer Development Staff as needed, on issues relating to training, design, delivery, and evaluation

SELECTION PROCESS: Trainers interested in joining the Trainer Education Team should submit an application – available online under “Just for Trainers”, and “Council Trainer Forms”, to begin the application and interview process. Interviews will take place in the fall of each year.

TRAINER MENTORS PURPOSE: To support and encourage assigned Apprentice trainers from the time they take the Train-the-Trainer class until they have participated in their Roundtable session and completed their apprenticeship. RESPONSIBILITIES: • Attend mentor training • Develop a mentoring plan with assigned apprentice trainers • Attend winter and summer mentor meetings • Review or discuss paperwork after apprentices train courses • Share resources with apprentice trainers • Offer support, encouragement, problemsolving, and give critical feedback to apprentice trainers as necessary • Support existing systems of training SELECTION PROCESS: Applications for the mentor program are available year-round on the website under “Just for Trainers” and “Council Trainer Forms”. AVD Staff will interview applicants in late summer/ early fall, and approve them to register for the two-hour mentor training. TERM OF SERVICE: After the initial one-year appointment, a mentor may request re-appointment for a three-year term. Staff may recommend supplemental mentor training in conjunction with re-appointment.
