We accomplished so much throughout last year, ending with your generous support of our Employee Giving Program. We exceeded our goal, thanks to you, raising more than $130,000! One more notable accomplishment is our own Bob Mueller, who received the Commitment to Compassion Award!

As we move away from a successful 2018, we prepare for a year of strengthening. 2019 will bring us several opportunities to embrace new systems, build new processes, and redesign structures which will make us stronger and better aligned to serve our patients and communities. You can look forward to opportunities to collaborate as teams and become more cohesive across Hosparus Health. To continue to get closer to our goal of caring for 10,000 patients, I need you to be fully engaged and accountable. To be clear, I’m

asking for a commitment from each of you to embrace our new efforts to become stronger, to strive for more and to be resilient as the organization focuses on alignment. As you know, the hospice industry has hurdles we must overcome, including shrinking reimbursements and stiff competition, which makes it challenging for us to serve more families and serve them longer. Sometimes the answers may literally be in our backyard. One opportunity for us to consider is increasing the number of patients served in our current markets. The data indicates we only serve about 40% of eligible patients, while the national average hovers around 50%. There are opportunities, and if we are bold and strong, we can take advantage of these opportunities. Despite the obstacles, I see this as another great year for Hosparus Health. I believe in our mission, I believe in our care, and I believe in you.

EMPLOYEE EXPENSES • Please submit all expense reports (with Manager’s approving signature) to employeereimbursement@hosparus.org. • All paper expense reports for time periods PRIOR to December, were due by FRIDAY, JANUARY 11, 2019. • All paper expense reports for DECEMBER, were due by TUESDAY, JANUARY 15, 2019 • All telephone bills for up to six months (July through December) were due by FRIDAY, JANUARY 12, 2019. We understand some December statements will issue after the due date. Please contact finance if you haven’t turned these in. VENDOR INVOICES • Please submit all approved invoices to accountspayable@hosparus.org. • All 2018 invoices received after today should be approved and submitted promptly for payment. Should you know of an expense greater than $1,000 that we will not have an invoice for prior to the due dates, please email Beverly Bruyneel, bbruyneel@hosparus.org, with the vendor name, date of service, type of service, and total amount due. 2019 MILEAGE REIMBURSEMENT The 2019 Hosparus Health reimbursement rate is .50 per mile. Hosparus, Inc. reimburses 85% of the IRS rate, and the IRS has announced the 2019 mileage reimbursement rate is .58 per mile. This reimbursement rate is subject to change should the IRS make any adjustments to their rate.

Corporate Patient Family Advisory Council (PFAC)

Back in Session: Advocacy Updates

Led by Amy Hill and her team, Hosparus Health’s first ever Patient Family Advisory Council (PFAC) came to a close with three sessions completed. The goal for the council was to influence and improve the quality of care that we provide through family member participation. The group of individuals were mixed with those who had been very pleased with the care, or had concerns. We want to thank our PFAC group of family members and staff for their time, honesty, and input.

Our Legislators are back in session in both Kentucky and Indiana. Indiana convened its long session on January 3rd while Kentucky gaveled in for just 4 days on January 8th. Each week we’ll send a legislative update to keep you informed of important developments in healthcare and policies that may impact our mission. Please visit our web portal often to get more involved in advocating for what’s important to Hosparus Health on the state and Federal level. Submitted by patients & families, this is the ‘why’ behind what we do.

Record Breaking Year for Employee Giving! Every year, employee are given the opportunity to donate part of their pay to the Circle of Excellence employee giving program. This year’s giving has been the best we have ever received from the campaign with 358 donors, up 202 from last year! Here is what our amazing staff have pledged: • Over 50% of our employees pledged $109,855 to Hosparus Health. • 51 folks pledged $8,168 to Hildegard House. • 42 folks pledged $6,552 to Shepherd’s Hospice. • 25 folks pledged $4,992 to Fund for the Arts. • 10 folks pledged $2,366 to Metro United Way These numbers can continue to increase with each orientation class having the opportunity to give and with others still getting their commitments in. For 2018 our employee giving program generated $21,000 for our sister hospice, Shepherd’s Hospice in Sierra Leone. Their CEO Gabriel received it this past month, and was very thankful. “My mother passed away on January 13th, 2019 at the inpatient unit at Norton’s. I can not begin to thank all of the doctors and nurses that provided her with the best care. I want to especially thank Mary. She was my mother’s nurse the last night my mother was with us. I also want to thank AJ and Sarah. They were my mom’s hospice nurse and social worker while she was still in the nursing home. Again, I am so grateful for the service that Hosparus provides. Tough Questions Q: I was hired on with a stated start and stop time. Others are able to come and go as they please to fit their personal needs. Most do not even “make up time” if they have to leave for any reason or come in late, etc.

A: Hosparus Health has generally kept core business hours of 8:00 am – 5:00 pm. With the round-the-clock nature of the

work that we do, and with one community operating in the Central Time zone, we have found that we must have some flexibility in how departments schedule their work times, and setting work schedules has been at the discretion of each manager. If an hourly (non-exempt) employee comes in late or leaves early, his/her time card should reflect that. If a salaried (exempt) employee flexes their time, they should be sure to clear the missed time with their manager. Please note that you may not be aware of the workload or “make up time” that another employee puts in. If you truly feel that someone is committing time fraud, please report that information to Human Resources or call the Compliance Line at 866-842-7172.

Improve the Patient Experience

Every complaint is an opportunity to improve Hosparus Health’s overall patient experience. More feedback means more information for patient advocates and more chances to improve the patient/family experience of care. Patients, caregivers, and families should be encouraged to communicate complaints, criticisms and grievances to any staff member on the interdisciplinary group caring for the patient. SERVICE RECOVERY is important in creating a culture of excellence! The real test of Service Excellence comes when a bad experience is swiftly and honestly addressed and turned around. When a patient/family complains, you have a brief window of opportunity to make or break all chances for satisfactory resolution and, ultimately, loyalty. Here are some tips to handle service recovery situations: • It is vital that we acknowledge the problem and the patient/family feelings. Remember that perception is reality. This is not the time to argue and explain your position. It is the time to accept responsibility for acting on the complaint. • An apology, as simple as it may seem, is an important step in moving the situation away from the negative and into the positive, action-focused arena. An apology is not an admission of guilt. You can safely apologize by saying,“I’m sorry that happened.”

NEW QTIPS Resource

The Quality Department is very excited to announce the introduction of QTIPS:

Active Shooter Recently, the term “active shooter” has become part of our vocabulary. The Federal Bureau Of Investigation defines an Active Shooter as someone who is “actively engaged in killing or attempting to kill people in a confined and populated area.” Hosparus Health’s Emergency Response Plan includes courses of action that describes how staff can most effectively respond to an active shooter situation in the workplace to minimize the loss of life:

Quality To Improve Patient Service

QTIPS is an educational resource form. It will be used to provide education around best practices, to enhance education about current practices/process, and to provide clarification on quality topics. QTIPS will generally be distributed on a monthly basis and more frequently as needed. The Quality Department distributed our maiden QTIPS to Chaplains, Social Worker, and Nurses. These QTIPS will be a follow-up to the mandatory Joint Commission training and will provide additional examples for updating plans of care.

Development & KKids Hang with the Big Man

The Kourageous Kids party was held in December in Louisville. Each year donors such as Beach Mold & Tool, Cave Hill Cemetery, Texas Roadhouse, and Nord’s donate gifts and food to throw the kids and their families a memorable party. The annual external affairs holiday party, meeting, and white elephant game showed that this bunch means business when it comes to presents. Better Bake Off: Better Impact Training Competition

The volunteer department is officially launching its portal to all volunteers to manage volunteer activity reporting and profiles. The portal is called Better Impact, with Sky Yeasayer as the lead the portal is taking the volunteer department to the next level. To celebrate the launch and training for the portal, volunteers were able to participate in “Better Baking Kick Off� meetings. We have a goal this year to grow our volunteers in order to continuing serving patients and families. Volunteers only have to commit to as little as 24 hours a year, and can choose hours that work best with their personal life. Although patient care volunteers are in high demand, volunteers can do a variety of tasks: administrative, events, grief counseling help, care blankets, veteran recognition, play instruments, hair care, and massage therapy. Hosparus Health employees donate $21,000 to Shepherd’s Hospice in Sierra Leone Hosparus Health is pleased announced our recent donation of $21,000 to The Shepherd’s Hospice in Sierra Leone to help fund the organization’s palliative care services and training. The Shepherd’s Hospice is a registered non-governmental organization in West Africa that serves more than 3,000 patients a year. Hosparus Health’s donation is a result of a recent employee-giving campaign in which employees of the Louisville-based nonprofit hospice and palliative organization designated Shepherd’s Hospice as the recipient of their voluntary contributions. The donation is helping to pay the salary for Shepherd’s Hospice Clinical Officer Kartha Murana, who cares for patients at the organization’s inpatient palliative care center. Murana studied Clinical Science at the University of NJala, graduating in 2018. She now helps train her colleagues at Shepherd’s Hospice in palliative care. “We have partnered with Shepherd’s Hospice for many years, sending supplies and donations to this wonderful organization that helps so many seriously illness people in Sierra Leone,” says Bob Mueller, Senior Vice President of Development for Hosparus Health. “You can tell by their incredible generosity that our employees understand better than anyone else the important work Shepherd’s Hospice is doing.
