How to Use Polls for Better Event Engagement Audience polling has been around for a while, but it’s only recently that more and more organisations have understood its effectiveness in engaging attendees and improving the overall performance of an event. Yet getting polling right isn’t always easy. And many struggle on implementing polls that successfully engage attendees, increase participation and give organisers the insights they need. 1) Ask the Right Questions Polling your audience is not only about making them feel heard but also about collecting actual data and feedback that you can use. Therefore, the success of using polls in conferences comes down to the value and information that the questions you end up asking can provide. One of the most basic (but also most important) rules when putting together a list of questions is to keep things simple and straightforward if you want to actually obtain the answers that you’re looking for. For starters, avoid combining multiple questions into one and spread them out – this way, you will get specific insights about each aspect you want an opinion on and will avoid getting generic answers that don’t provide value. You should also make sure to be as specific as possible and ask questions that encourage the attendees to elaborate or to pick an option that is the closest to how they feel. Be very clear in your questions and use language and words that you know your audience will understand. The worst thing that could happen is people misunderstanding your questions and providing you with false data that you might interpret the wrong way. 2) Use Visuals When you ask attendees to fill out a form or a questionnaire, you need to

be able to grab and keep their attention if you want them to follow through and provide you with insightful answers. Make sure that you make your questionnaire look professional, and don’t be afraid to use multiple visual tools to make them look more engaging and easier to understand. There are also many visual displays that can help make your polls more convenient to view through apps or even via direct link, so make sure that you make it as easy for your guests to fill out the form if you want high participation. And if you want to share the results with your audience, you should use brand elements, as well as visual charts and graphs to showcase the results and make your polls more engaging. But if you’re asking questions that can have negative connotations if the results go one way or another, be prepared to confront it and provide context so that you don’t hurt your brand image. 3) Incentivise Participation Getting people to participate in your event polls is crucial. Still, with so much going on, a large part of the attendees might decide it’s just not worth their time, at least if you don’t take additional measures to increase participation. The easiest way to do that is to add an incentive for those that decide to participate. Obviously, you can’t offer anything too big, as that would make it hard to fulfil your promise if the vast majority of people ended up answering the polls. But at the same time, you want to give a significant enough nudge that gets people to go to your link and participate. A simple yet effective approach is to provide an exclusive offer or a discount to a product. This way, you might actually give a boost for your sales by cleverly disguising a promotion in the form of a reward. Alternatively, you could set up a prize and randomly select
the winner or winners, adding another exciting activity to your conference and making everyone want to participate. 4) Quiz Your Audience While the primary use for polls is to gauge interest and gain insights, sometimes it can be just as useful as a tool to drive engagement and make sure that your conference attendees are paying close attention. Before a speech, you could announce that there will be a quiz at the end about the subject matter and promise a reward for those that get the most answers right. This way, without almost any effort, you can increase engagement tenfold and ensure that most of the attendees will be focused and absorbing all of the information throughout the speech. The quiz can also be useful in showing you the weak areas in the presentation – if many people misunderstood or missed a critical point, that can show you that you should reconsider your approach and look for more effective ways to convey the information. 5) Gather and Use the Feedback Finally, when you put together a poll and get people to participate, you are likely to learn a lot of useful info about what people were happy about, as well as what might need improvement. As you know, it’s crucial to use the information as a basis when creating a future event. Otherwise, you will not only have wasted effort in collecting that data but will also upset the attendees that expected change after giving their feedback. Your event is only as good as the data and experience that it accumulates, so make sure that you use the polling insights to the best of your ability and continue to ask the opinion of your attendees in the future.

7 Key Skills for Running Successful Virtual Events Managing virtual events requires a different set of skills from event planners – from filming and broadcasting to writing scripts and dealing with new tech. But according to a new poll from this month, 53% of event planners do not feel they have the necessary skills nor experience in running successful online events. This could be very worrying, especially as these events are going to be around for a while.

Let’s take a look. 1) TV Production Mindset Event planners need to transition their thinking. No longer are they effectively stage-managing live events, they are now producing a virtual one. The planner has become a producer, making a programme – not running an event. This approach highlights some key differences that need to be addressed. For example, at a live event, delegates may not worry too much if the schedule slips and runs late. After all, there are other delegates they can talk to. The mindset trait for successful virtual events is that the planner has to be production focused. Watching a news programme or an online talk show enables you to see the techniques used to keep viewers. You can adopt some of their tricks and tips and replicate for your virtual event. Listening and analysing data skills have long been needed for live events, so using these for a virtual production should not present experienced planner with any issues. You always need to be looking at the analytics, listening to what your audience want and improving the ROI of your event. In your fact finding: establish how long attendees are prepared to stay online, find out how they like content to be delivered and ascertain any nuances such as whether they really want to do group networking. There are numerous clues in how to produce a great virtual event when you take the time and trouble to understand what your audience and the data is telling you. 3) Visualising Skills Visualising what an event will look like is a skill that event planners already have. And it’s this skill which then needs to be used for your virtual production. You will be a long way ahead of your competition just by understanding that not all content is capable of being delivered virtually. Some activities just do not work. July 2021
Let’s say you are going to produce a virtual conference and one of your speakers wants to deliver group team building. Your job as the virtual event producer is to decide whether the idea is practical or not and whether it will enhance the delegate experience. Only recently, a speaker was arguing with technology companies about the fact that they hadn’t come up with a solution he needed for his group exercise. Whilst his exercise works well in a physical format, it wasn’t going to work in the virtual world. Being able to visualise how activities could work virtually is super important. If they are not going to work, then alternatives need to be found. 4) Design Skills Design is another key skill needed for your virtual production to be a success. You need to consider session length, maximising audience engagement tools and most importantly how your audience will benefit. All of these skills are already known to event planners. However, the challenge that trips up a lot of people is the speed with which time evaporates with virtual events. Once you have decided on the main elements of content, you need to drill into each specific session and design appropriately. For example, you have a 30-minute slot for a session. The session needs to include: an introduction from your host, time for the speaker to deliver their presentation, time for questions and polling and time for the host to close. Suddenly that 30-minute slot looks quite tight. This is when you 27 inory

need to decide whether to expand the time or redesign the session. You need to design virtual events from the ground up. They are not something you can instantly throw together. 7) Responsiveness and Proactivity Having a ‘Plan B’ is useful for any event but even more so for a virtual production. What will you do if one of the speakers can’t be seen or heard? What if they cannot turn up because they have a personal tragedy to deal with? You need a solution and you need it quickly. One of the answers is to have them send in their prerecorded presentation in advance. If you engage the services of a ‘virtual host’ you can solve other issues as they crop up. Getting ahead of potential issues is well advised. However, not everything can be predicted. At a live event you may have more time to consider and deal with issues. But, for a virtual production you have to be able to problem solve much quicker and in the moment. You need to be making decisive decisions or else your viewers will log off. Don’t forget that TV production mindset we talked about at the start. Running a virtual event requires a very particular set of skills. Many event planners will have some of these skills and some will need to be acquired. Since the outbreak of COVID-19 a lot of organisations have been willing to accept less than perfect virtual experiences, but as time goes on that will change and they will expect better and more polished virtual events July 2021
