Call for the host of the 16th IPSF Pan American Regional Symposium (PARS) 2023 The IPSF Pan American Regional Symposium (PARS) is the key regional event of the Pan American Regional Office (PARO) as part of the International Pharmaceutical Students’ Federation (IPSF). IPSF PARO is calling for interested member organizations to host the 16th IPSF Pan American Regional Symposium (PARS) in 2023. The IPSF PARS is a 5- to 8-day international event held annually for pharmacy students and recent graduates in the Pan American region. The program includes, but is not limited to, an official opening ceremony, the IPSF PARO Regional Assembly, symposia on topics of pharmaceutical interest and of scientific and educational nature, meetings and workshops, a pre-PARS training program and various social events. All organizations that have been IPSF members for at least one year in the Pan American region can bid to host the event. Please notify the IPSF PARO Regional Working Group (RWG) (at secretary@paro.ipsf.org) of your intention to bid no later than June 18 2021, 23:59 (11:59 pm) GMT-6 (San Salvador, El Salvador time). Things you must know if you wish to host a future IPSF PARS: • The bid for hosting the IPSF PARS 2023 will be made during the online 19th IPSF PARO Regional Assembly. The bid should include pre-recorded video with a maximum of ten minutes presentation with information such as a provisional budget, expected maximum number of participants, possible IPSF PARS venues, and tentative dates. • The finances of the IPSF PARS are totally independent from IPSF and shall be handled by the organizing member association. (IPSF Domestic Rules, Article 14.4.1) • No profit shall be generated from this event. Any excess funds from the event will be treated according to the IPSF Domestic Rules. (Article 14.4.10). • The budget shall also cover the registration fee of one IPSF Executive Committee member and all Regional Working Group members, IPSF PARO partners, speakers’ accommodation and transportation during the event, tokens of appreciation for speakers and judges, as well as prizes for the Professional Development competitions and/or the Poster Exhibition. • The event registration fee shall include accommodation, meals, and transportation during the event and should not be above 55 Euros per night for the first registration period. (IPSF Domestic Rules, article 14.4.6.b) • It is strongly recommended that the accommodation should be cheap and basic but also clean, safe and comfortable for all delegates. • It is recommended computer equipment and Internet access shall be made available for use during PARS and that one person of the Reception Committee shall be appointed to be responsible for technical support. • All sessions of the regional assembly should be recorded. • If your bid is selected, you are required to sign an Event Agreement contract with IPSF. Please read Article 14 of the IPSF Domestic Rules very carefully. These documents can be obtained from the IPSF PARO Secretary.
The host is required to work closely with the IPSF PARO Regional Working Group who shall supervize the planning and organizing of the IPSF PARS. The host will be required to submit updates and reports whenever required and requested by the IPSF PARO Regional Working Group. Other responsibilities include: • The responsibilities of the Chairperson of PARS are to coordinate the Reception Committee (RC), the group of people that will be of assistance in organizing the event. The Chairperson of PARS will be in charge of the organization of meetings with the established RC, which includes coordinating all aspects of the event and tackling the obstacles that the event may face as well as internal problems such as disagreements or discouragements. • The Chairperson will first present the bid for hosting the event, during the Regional Assembly at the online 19th IPSF PARO Regional Assembly. • Furthermore, the Chairperson is part of the Regional Working Group (RWG) as a co-opted member and is in charge of reporting the progress of the event and the activities, but should also participate in giving opinion on matters related to the RWG and the decisions taken by it. The Chairperson has also to write a formal report of the activities and present to the Executive and be responsible for any issues related to the Pan American Regional Symposium. • The meetings with the Reception Committee are suggested to occur at least once every two weeks in the beginning and according to the progress of work and the arrival date of the event, with the meeting varying from once or twice per week, with approximately two hours per meeting. • The Chairperson is responsible to make contact with the other members of IPSF, such as the IPSF Treasurer, IPSF Secretary-General, PARO Secretary, Chairperson of the Pan American Regional Office, Chairperson of Professional Development, Chairperson of Public Health and many others as needed in order to provide some activities that may occur during the event. The nominees shall have the right to speak up to a limit of ten minutes. The presentation shall include, at a minimum: 11.2. 4.a. Name of the proposed Chairperson of the Reception Committee; 11.2.4.b. Structure and proposed names of the Reception Committee; 11.2.4.c. Tentative programme; 11.2.4.d. Accommodation and maximum number of attendees; 11.2.4.e. Budget; 11.2.4.f. Availability of pre- and post-event programming.
