WHY IT IS IMPORTANT THAT YOU READ THIS MANUAL? This manual is intended to guide the Exhibitor in order for his participation in the XXII International Fair Expopartes 2015 version, be a complete success.

Below you will find in detail all aspects regarding the setup and development of the event, which you will find as the best way to optimize your participation.

It is also very important that a representative of the participating company attends to the Exhibitor’s meeting to be held on Thursday, March 19, 2015 from 10:00 am to 12:00 pm at Corferias, Connector Building, conference rooms 1 to 3, located at Carrera 37 # 24 – 67, Bogota, Colombia.

On this meeting we will be covering all aspects regarding the logistics and participation conditions of the exhibitors at the XXII International Fair Expopartes 2015 and any doubt or concern that it may rise among the attendees will be addressed as well.

 In any way, the exhibitor may not be able to request the event’s credentials or take possession of their stand without presenting the receipt certifying payment for the lease contract.  It is important your complete collaboration to comply with the commitment that your stand be ready before the appointed time otherwise a penalty of 5% increase on the payment for your required area shall be applied.  The stand should always be the exhibitor´s responsibility. dismantling of stands. Keep in mind that the security of your area is your responsibility from the moment you officially receive your stand.

4. SCHEDULE A. EXHIBITORS Early entrance to the fairgrounds will not be allowed for any assembly work, with no exceptions.

Stands’ Assembly Sunday May 31st 2015 from 8:30 am to 5:00 pm, Monday June 1st 2015 form 8:00 am to 5:00 pm and Tuesday June 2nd 2015 from 8:00 am to 5:00 pm.

form. The security staff will require it at the gate when entry and/or exit of the goods from the fairgrounds. All the Goods Movement forms for admission to the event are mandatory, they have no cost, consider that not only the merchandise products must be listed on this form; the materials for the stand shall be listed as well, like liquor and other items as food in case there is any social activity in the stand.

In order to give you a clear picture, below you will find the step by step to fill out the merchandise entry form for exhibitors in Expopartes 2015. We invite you to perform this procedure before May 25th, in order to provide technical support if necessary.

 Look for the event: EXPOPARTES JUNIO 2015

 Enter your username, password and select the option exhibitor by pressing on “expositor”.

USERNAME: The Email listed on the lease contract of the person responsible for the exhibitor company.

PASSWORD: For companies registered in Colombia the password will be your NIT number without the verification code. For international companies will be the company’s representative passport number.

 Click on the required type of form:

 At this point you will have to start addressing the selected form.

On the type of transaction or operation you have to select: entry “entrada” On the type of form you will have to select the option based and/or depending if the merchandise to be entered into the fairgrounds is national or imported, then you shall select the option create by clicking on “crear”.

Once you select on create the website will generate and assign number to your form.

On this form must be related all the goods, merchandise, advertising material, stand mounting materials, chairs, tables, audiovisual aids and anything or article that will enter CORFERIAS. In order to be able to disassemble your stand, you will be given a good standing payment receipt issued by Expopartes, sealed by its foreign trade department and signed by Corferias’ Pavilion Coordinator.

GOODS WAREHOUSE The exhibitor’s warehouse will be located on the pavilion 1 second floor.

Entry of goods and packaging materials to the warehouse: May 31st to June 2nd from 8:00 am to 6:00 pm Exit of goods and packaging materials to the warehouse: June 2nd to June 4th from 8:00 am to 6:00 pm June 5th from 4:30 pm to 8:00 pm June 6th from 8:00 am to 12 pm To remove the packing material from the warehouse, the exhibitor must submit the Corferias merchandise entry form.

Expopartes staff and Corferias will not be responsible for the packing material or decoration elements for the stands stored in the warehouse, as well as for any furniture, items or goods remaining in the warehouse or at the fairgrounds after the last day of the stands’ disassembly.

7. MANDATORY INSURANCE POLICY FOR THE STAND AND YOUR GOODS As a prerequisite for your participation, exhibitors must insure against all risks any and all goods on display at the event and all the decorative elements within your stand, whether owned or from third parties. last one you will be able to acquire it by submitting the related documentation below at window 2:  Rut copy (In case it is a foreign company, it will be required Passport copy or foreign Id).  Contract copy.  List of goods (As per established format).

Insurance coverage: Fire, lightning, explosion, Amit (malicious acts of third parties) riot, water damage, flooding or flood, extended coverage (windstorm, hail, aircraft crashing), earthquake 100%, qualified theft (theft with violence involved).

Cost of insurance: COP$70,000 (TAX included) as minimum plan and insured for a value up to COP$35,000,000. If your assets (furniture and goods) exceed these COP$35,000,000 you should pay COP$2,000 per additional million including TAX. 8. STAND’S ASSEMBLY AND DISASSMEBLY A. must submit the Goods entry form to the security guard at the gate of CORFERIAS. B. DISASSEMBLY The goods’ disassemble work starts at 5:00 pm on June 5th, you can take the goods out of CORFERIAS or leave them on hold at the exhibitors’ warehouse until 12:00 pm next day. In any case, the exit of the goods from the display pavilion will be granted by presenting the certificate of good standing issued by Expopartes and signed by the CORFERIAS Supervisor in charge to the security guard, just be aware that in order to be able to obtain it you must have the good standing certificate from the foreign trade department first.

The organization is not responsible for the goods left in the stand after 1:00 pm on June 5th, for the assemble companies will enter on Saturday June 6th at 8:00 am to withdraw all the carpentry.

The exhibitor will receive the certificate of good standing from Friday June 5th in the morning hours through the directives of the fair.

It is mandatory to present EPS and ARL card of all service personnel performing assembly and/or disassembly work at the entrance of the fairgrounds. Without this document no one will be allowed to entry.

9. SPECIAL SERVICES CORFERIAS offers to the Expopartes’ exhibitors the installation of telephone services, special energy set ups, internet and furniture, among others, to the adequacy of their display area.

Please consult the CORFERIAS general services catalog and order your required products in the Plus Service Center, paviliol 2A of the Corporation or through our website at www.corferias.com, entering the exhibitor’s information section and then to general services. Download the services form, address it and follow the instructions to perform the required payment.

Keep in mind that CORFERIAS has up to 48 hours to process your order and provide the required service.

10. INVITATIONS Each exhibitor company will receive official invitations according to its contracted square meter area, which will be able to handover to their customers and/or special guests.

11. VEHICLE PARKING Expopartes’ exhibitors may be able to acquire for a value of COP$43,300 the parking pass at the Plus Unique Service Center, Pavilion 2A of the corporation, valid for the entry of one (1) vehicle per day to the parking lot assigned by CORFERIAS. The parking pass will be valid June 1st to June 5, 2015.

12. RESTRICTIONS The following activities are NOT allowed by Expopartes Directives:  To enter any minors to the event, from the day of assembly to the disassembly thereof and during the entire fair will not be allowed, it is important to notify your customers to avoid any inconvenience at the time of the event.  Deliver any advertising or promotional material in corridors, hallways or common social areas at Corferias without prior authorization, if you require this service please contact the commercial department on pricing.  Showing products outside the stand.  Drill, grind or paint the paneling delivered by CORFERIAS.  The entry of any music band of any kind whatsoever.
